ALifeEventmustbedefinedandlinkedtoaChecklist,andOracleAdvancedBenefits(OAB)mustbeinstalledin
ordertocreateaLifeEventwithDefinedPersonChanges.SoafullinstallofOABisamandatoryprerequisiteto
usingLifeEventChecklists.

Furthermore,ChecklistsarelimitedtoEmployeepersontypesasOABdoesnotprocessLifeEventsfor

UseAddChecklisttocreateachecklistagainstaspecificcategory.DefineanameandlinkintheLifeEventcreatedinstep1)

ThenuseAddTasktocreatetasksassociatedtoyourchecklist.Defineaname,durationandmandatoryflag.Linkinaneligibility
profileifrequired(seestep2),andanAMEidentifierifaperformeristobeassignedautomaticallytothetaskwhenitis
allocated(seebelowforfurtherinformationonsettingupAME).Alternativelyaperformercanbeallocatedmanuallyinthe
AllocatedChecklistsfunctioninSelfService.

6.RunAllocateChecklistsandTasksProgram

ThisprogramshouldbescheduledatintervalsregularenoughtocaterforthefrequencyofoccurringLifeEvents.Whenthe
AllocatedChecklistsfunctionisruninSelfServicetheprogramisruninbackgroundfortheindividualpersontoensurethe
informationdisplayediscurrent,butit'sbettertoremovetheoverheadbyschedulingthisconcurentprogram.

TheprogramidentifiespendingLifeEventslinkedtoChecklists,andallocatesthechecklisttaskstothepersonbasedoneligibility
profiles.

ManagingChecklists

Managerscanviewandupdatethetasksallocatedtotheemployeesreportingtothem,andemployeescanview,andupdate
theirownallocatedtasks.Foremployees,addthefunctionHR_ALLOCATED_CHECKLIST_SStotheirSelfServicemenuifnot
alreadythere,andforManagers,thefunctionisHR_ALLOCATED_CHECKLIST_MGR_SStogetaccesstotheAllocatedChecklists
page.

Theattributesofthetaskscanbemaintainedhere,includingcompletionstatus,duration,performerandflexfieldinformation.
Taskscanalsobedeleted,andaddedtotheemployee.
ThechecklistandtasksareallocatedbytheAllocateChecklistsandTasksProcess.Itshouldbenoted,however,thatsubsequent
changestothechecklistarenotreallocatedtoemployeeswhohavealreadyreceivedthechecklistandtaskswhentheLifeEvent
istriggered.Ifataskhasbeenaddedsincetheallocation,thetaskcanbeaddedmanuallytoeachemployeeusingtheAllocated
Checklistspage,orbyrunningtheper_checklist_events.allocate_person_tasksprocedure(SeeAllocatingChecklistTasks
usinganAPIsection).

SetupPerformersinAME

PerformerscanbeautomaticallyassignedtodesignatedchecklisttasksbysettingupanApprovalGroupwithinOracleApprovals
Management(AME).Thissectionwillprovidesomebasicstepsonhowtodothis,butforamoredetailedunderstandingofusing
AMEandWorkflowNotifications,seetheOracleApprovalsManagementImplementationGuide,andOracleWorkflow
AdministratorandUsersGuides.

1.AssignRolesandGrants

BeforeattemptingtosetupAME,checklistapprovalrequirementsmustbewellplannedinadvance,andtheuserwiththe
responsibilityforsettingthisupshouldbeassignedtheAMERolesandgrants.FollowinstructionsinNote375119.1.AMEhas
implementedRoleBasedAccessModel(RBAC),sodonotattempttoassigntheAMEResponsibilitiesdirectlytoyouruserasyou
willnotbeabletoselectanytransactiontypesusingtheAMEDashboardsasaconsequence.

2.CreateConditions,ApprovalGroupandRule

FromBusinessAnalystDashboard,selectCHECKLISTtransactiontype
ClickonConditionslink,andclickonCreatebutton.SelectCHECKLIST_ATTRIBUTEandenteranameinthe'StringValue'
fieldintheregionbelow.ThiswillbetheApprovalsIdentifierforlinkingtothechecklisttask.Seestep5inSetupSteps
above.
CreateApprovalGroupbyselectingthetab'ApproverGroups'.SetusagetypetoStatic,andvotingmethodto'First
Responderwins',andaddgroupmembersasrequired.
AssociatetheActionType,'ApprovalGroupChainofAuthority'totheCHECKLISTTransactionType.
Select'Rules'tabtodefineanAMEApprovalRuleoftype'ListCreation',andassociatewithyourconditionandactiontype.
FinishtheprocesstosavetheAMErule.

3.UpdateChecklistTask

InSetup/MaintainChecklistsunderWorkStructures>Checklistsmenu,updateeachrequiredtaskwiththeApprovalsIdentifier.
ThissetsthecolumnAME_ATTRIBUTE_IDENTIFIERonthetablePER_TASKS_IN_CHECKLISTtotheAMEconditionyou
havecreated.Ifdifferentperformersrequiredforeachtask,morethanoneconditionmayberequired.

4.RespondtoNotifications

Whensetup,theperformerwilldefaultagainsttheallocatedtasks.AnotificationwillbesenttoeachmemberoftheApproval
Groupsaying,'ActionRequired:Complete<taskname>for<employeename>',andincludetwobuttons,COMPLETED
andNOTCOMPLETED.WhicheverpersonrespondstothesebuttonsfirstwillsetthestatusonthetasktoeitherCompletedor
Rejected.TheNotificationtoallperformerswillthenshow'FYI:<employeename>task<taskname>isupdated'

program,soit'sagoodideanottopurgeinitially.IfthereisarowthereeitherPendingorProcessedtheproblemwouldn'tbe
withtheLifeEvent.

Ifarowisnotcreated,theeventdefinedinPersonChangesontheLifeEventisnothappening.Checkinganindividual'sdata
usingEBSHumanCapitalManagement(HCM)PersonAnalyzer(Note:1675487.1)mayhelptounderstandwhy.Forexample,a
commonmisunderstandingistosetupaLifeEventforTerminations,andtocheckforachangeinAssignmentStatus.Mostofthe
timethestatusdoesn'tchangewhenanassignmentisterminated.Therecordismerelyenddated.
