PTA Position Description/Activities 2017-2018 Team 2018-2019


President Serve one year as President Elect. Cindy Condrich Elizabeth Campbell
Run Monthly PTA Board Meetings
Speak at three General PTA Meetings each calendar year
Prepare the calendar for the PTA year with the principal.
Work with principal to ensure cooperation between PTA and school staff.
Have a working knowledge of parliamentary procedures.
Be familiar with PTA objectives, policies, and mission as well as local and state bylaws.
Call upon committee chairpersons to prepare a plan to accomplish committee objectives.
Delegate to other officers and committee chairs as appropriate to their office.
Represent the PTA at all times.
Ensure that responsibilities of other officers and chairs are carried out.
Represent the PTA on the School Leadership Team and the local PTA Council.
Spend year becoming familiar with the responsibilities of the PTA President position. Share all duties and responsibilities
President-Elect equally with PTA President along with but not limited to the following: Elizabeth Campbell
o Attend Monthly Board Meetings
o Run Monthly PTA Board Meetings if President is absent
o Monitor budget and bylaws for accuracy
o Fill PTA Chair Positions for upcoming Year in spring

Vice President Act as aide to the PTA President and support the PTA President - Elect. Perform other duties as may be assigned by the Lauren Springs
association.
Be prepared to answer all information requests promptly with knowledge of the PTA bylaws and school policy.
Participate in monthly executive board meetings and general PTA meetings.
Participate in school activities as much as possible and support PTA committees.
Additional duties of the Vice President include: Chair the PTA Rocktoberfest fundraiser in the fall and the PTA Rec for Tech
fundraiser in the spring.
Secretary Record Monthly Committee meeting minutes and distribute to Committee. Elizabeth Poplin
Treasurer The Treasurer is responsible for preparing the budget and monitoring the financials results of the PTA. Peggy Conerly
This includes keeping the electronics books that track all spending and deposits
Preparing monthly financial statements
Filing necessary tax forms
Coordinating the end of year audit with a third-party accountant
Some understanding of Quickbooks and Excel is beneficial
Assistant Treasurer Support the Treasurer in their activities. Lee Sugg

Directory The Directory Chairperson is responsible for creating the JMR Student Directory The responsibilities with respect to the Kristi Datta
Directory include but are not limited to:

o Decide on a Directory format and coordinate with Pay4School chair to include notice that a Directory will be
printed and solicit permission form parents to publish the childs name, parents names, address, telephone
number and e-mail address. The Pay4School entry should inquire as to the number of directories a family wishes
to purchase and should notify parents that their information will automatically be included in the Directory unless
they specifically request that it not be printed.

o Input student information into a computer data bank, print Directory information and work with the printer to
prepare the Directory. The chair should coordinate with the office personnel to aid with the delivery of the
Directory to students and teachers through the classroom.
o Coordinate with the PTA Executive Board to determine what price to charge for Directories. Extra Directories
should be available for purchase to new families by the office staff.
Charger Chatter Collect information for inclusion in the weekly Chatter. Stephanie Bertorelli
Plug the information into the very simple Microsoft Word format newsletter every week, after the noon Wednesday
deadline.
Update the general and sports calendars with important dates.

Email completed newsletter to PTA executive board for approval (preferably by Wednesday evening), then to Katy Coffelt,
preferably by Thursday afternoon so she can run it past Mr. Miliote for his approval before she sends it out Friday morning.
Book Fair / Co-chairs Book Fair Kristen Thomas / Susan Jewell
o Chair is responsible for setting the fall and spring book fair dates with the Media Specialist, the Principal and the
Book Vendor.
o One week commitment twice a year
Required Novel Sales
o Chair works with Academic Facilitator and Book Vendor to coordinate selling required reading at the beginning
of the school year and summer novel sales at the end of the school year.
Charger Challenge Develop collateral to introduce and promote the Charger Challenge Annual Giving Campaign: Peggy Conerly
o Copy for Parent Pack Letters (Treasurer)
o Charger Challenge Donation Form
o Newsletter articles, Connect Ed copy, letters soliciting contributions, etc.
o Process Corporate Matching Gifts with local employers and manage matching sign-on credentials
o Work with the PTA Treasurer to process Charger Challenge donations.
Rebate Fundraising Coordinate and promote rebate/sales fundraising efforts including Harris-Teeter, Amazon Smile, coupon rebates, etc. Laura Richards
Welcome Desk Schedule and coordinate Welcome Desk volunteer activities Lori Hooper
School Tours Amy Self
Along with a co-chair, 8th grade celebration consists of organizing and planning the end of year celebration for the 8th grade
class. This is an end of year, after school activity for the 8th graders. The co-chairs organize the volunteers and coordinate the
8th grade celebration theme, dj, and food for the students. The co-chairs work closely with the 8th grade VP. The co-chairs also receive a small budget Kristen Lyons / Susan Georgeson
from the PTA to help cover expenses.

Reflections / Co-chairs Promote the Reflections program to students, teachers, parents through teachers, posters, announcements, Charger Chatter. Jo Rinker
o Attend training with MeckPTA.
o Distribute student entry forms/rules and answer questions about the rules, and deadlines.
o Collect student artwork
o Recruit judges and coordinate the local judging process.
o Prepare and forward winning entries to MeckPTA.
o Organize recognition and celebration event at school for participants.
o Return artwork to students.
o Represent JMR at the award ceremonies.
Volunteer with MeckPTA to organize collections and distributions.
Volunteers Assist in the organization of Volunteers for major events. Laura Taylor (Pay4School)

Media Center Create and maintain a Media Center volunteer list utilizing the previous years volunteer list as well as incorporating new Vicki Shannon
volunteers from online Back to school Parent Pack
Create and maintain a Sign Up Genius for daily Media Center shifts for volunteers to use and access throughout the school
year
Manage and recruit volunteers at the beginning of the school year for school-wide Chromebook distribution
Send out email requests (using Sign up Genius) for volunteers as needed for special Media Center projects
Copy Center Coordinator Train and schedule approximately 20 volunteers to complete photocopying for teachers. Storey Parker
At the beginning of the year, set up the log book for tracking copies by teacher.
Copying begins the week before the students start school. Reach out to prior year volunteers to get help during this period.

On an ongoing basis:
o Send out a weekly e-mail reminder to volunteers for the following week.
o Help out when volunteers cant make it or help to find a sub.
Copying can be done any time of the day and generally takes 1.5-2hrs.
Attendance at PTA board meetings is not required.

o Build and utilize strong volunteer list of enthusiastic parents. Collect donations of food, gift cards &
decorations.
Hospitality Co-Chairs will inherit a notebook that includes past budgets, invoices, Sign Up Geniuses and pictures of past
events.
Membership Gather membership details at the beginning of the year from Pay4School. Kristi Datta
Track PTA members in NCPTA site.
Check requests done several times at the beginning of the school year and as needed after.

PE Wear Co-chairs Coordinate acquisition, sale, and distribution of PE wear to students. Haley O Brien / Kathy Verdeshi/Julia

Spirit Wear / Co-chairs Coordinate acquisition and sale of JMR Spirit Wear Oonagh Nealon / Lisa Schneider
Cultural Arts Work with the Arts teachers to plan one cultural arts experience for each grade level for the year. Stephanie Bertorelli
Provide suggestions and recommendations for an appropriate arts activity for each grade taken place at the school.
Manage yearly committee budget.
Contact vendor to coordinate performance date and time that work with the school and teachers.
Coordinate vendor payments.
Be the main point of contact for the vendor.
On the day of performance/experience, meet the vendor team at the school to facilitate setup and answer any questions or
help wherever needed.
Provide updates for PTA board members.
Grounds/Beautification Organize volunteer days to clean up the grounds of the school. Jennifer West
Maintain the outside appearance of the school, picking up trash. Watering the plants in the courtyard.
Planting/maintaining annuals in the courtyard containers.
