JOB DESCRIPTION

Job Title: Purpose of the position:


Administrative Assistant Ensure administrative management of Maintenance
departments activities

Reporting relationship: Location : Ambatovy Mine Site, Moramanga


Special requirements :

Job context

Maintenance function ensures machinery reliability and capacity above provided requirements so as to
achieve plants operational objectives all through its lifetime. It uses a proactive approach, based on
centralized planning and decentralized work execution.

Reporting to the Planner Supervisor, the incumbent ensures administrative follow-up of transactions,
ensure administrative management of Maintenance Departments activities and keep up-to-date the
databases related to them.

Main Accountabilities
Responsibilities Activities / frequency

1. Ensure administrative management 1.1. Keep updated administrative follow-up of Maintenance


within the Department transactions (PR) and procurement
1.2. Keep databases updated, including PPE, KPI, supervisors
leaves, sick leaves and accumulated holidays of
Maintenance employees
1.3. Ensure administrative management of the Departments
activities
1.4. Substitute other departments administrative employees
when needed
1.5. Archive all Maintenance departments documents in
relation with daily operations (electronic or paper
versions)
1.6. Manage all documents related to contracts established by
Maintenance Department (ex : MARC, AMBOL contracts)
1.7. Follow up on departments HS inspection reporting
1.8. Record tools from warehouse
1.9. Manage and send departments timesheets to Finance

2. Manage equipment 2.1. Maintain his/her equipment clean as well as that of the
site under his/her responsibility
2.2. Accomplish tasks in a way not to waste materials,
2.3. Promptly inform the Maintenance Leader in case of tools
or equipment maintenance or replacement need,
2.4. Complete all necessary documents in relation with

maintenance management system,

3. Contribute to HS respect while 3.1. Promote a safe work environment in compliance with
working enforced health and safety policies and practices and
collaborate to improve them,
3.2. Take all useful actions to avoid deterioration, break or
damage of the Companys assets; provide a report to the
immediate hierarchy,
3.3. Identify and communicate opportunities to improve
preventive and predictive maintenance procedures and
methods.

4. Accomplish other works 4.1. Accomplish other tasks the hierarchy may ask
4.2. Collaborate with other shifts to accomplish his/her
functions
4.3. Ensure confidentiality of employees personal folders as
well as good and service suppliers estimates
4.4. Develop, manage and update a database that serves to
handle information provided by suppliers
4.5. Draft administrative monthly reports required by
Maintenance management
4.6. Use EAM Maintenance management system with
proficiency

Fluency in French
Proficiency with Microsoft Office (Word, Excel, Outlook and Power Point).

Minimum two years of relevant experience in a similar position
