Mr. John Smith

12345 Rainbow Rd
Sedona, AZ 86336

Dear Mr. Smith,

My name is Riley Caldwell and I am the director at Leisure Futures, LLC. I recently came across
your unfortunate complaint pertaining to an employee you had an offensive confrontation with.
According to your letter our employee was offensive and gave you a sense of danger in the
language used. I would like to take this opportunity to deeply apologize for Leisure Futures,
LLC, the employee, and every other worker involved. As we speak, Leisure Futures, LLC, has
employed an outside investigator to look into the confrontation that took place. As evidence
presents itself, we will take appropriate action be it punishment or even termination. I cannot
however, due to law, terminate the employee you had this confrontation with at this time.

According to the employee, the confrontation occurred and he had done what he was trained to
do and what he was trained to say. The employee also had said that what you had said offended
him as well, and what was said was considered offensive and perceived as racist. While this isnt
what the company thinks of you, we wish to get passed this misunderstanding. We understand
that you must be very upset after this confrontation and we wish to provide an outcome that can
be preferable to both parties.

Once again, I cannot terminate the employee in question, nor can I punish the employee at this
time. We cannot make a sound judgement on the circumstances with the current lack of evidence
presented to us. Under federal law, we are bound to promote a culture of diversity, inclusion, and
safety. We must respect every person regardless of religion, sex, race, or sexual orientation.
Upon current evidence, I fully support what my employee did to lessen the situation. According
to what my employee stated about the confrontation, he acted according to federal law. I am
more than happy to have further dialogue with you, to send you proof of the laws I am referring
to.

I hope this letter can help lessen the frustrated feelings you feel for our employee and our
company. We hope that you will still patron our events and we hope that we can move passed
this misunderstanding and we can both help support a much healthier environment of common
respect and decency. Again, I cannot punish the employee and probably will end up not

punishing the employee. I deeply apologize for the confrontation and I would like to apologize
for your feelings.

I sincerely hope this letter can soften your feelings and I would be more than happy to help you
with further complaints, to resolve them. Please contact me again if you have any more issues
with our staff or procedure, so we can make them better. I hope we can renew your patronage at
our events in the near future.

Sincerely,
Riley Caldwell
