FAQ for Shortlisted Agencies

ABOUT THE LIVE PRESENTATIONS


1. At what time is my presentation? Is it possible to rehearse?
The live presentation schedule will be available here
http://www.beaworldfestival.com/live-presentations-2017 starting from October
20th, 2017.
No, it wont be possible to rehearse before the presentation.

2. Can I change the time of my presentation?


We are sorry, but for organisational reasons we are unfortunately unable to change
your presentation time.

3. What is the structure of my presentation?


It will be divided in 3 parts:
3 min video
3 min presentation
3 min Q&A from the Jury and the audience.

4. My project has been shortlisted in more than one category. Should I give only
one presentation for all categories?
No, you will have the opportunity to present your project in all categories where your
event has been shortlisted. It might be the case that you will have to present your
event in different rooms, in front of different Jurors.
In case your event is presented more than once in the same room, the jury might
choose to watch the video only once, but you will still have your 3 mins of
presentation and 3mins for Q&A.

5. Is the video shown during the presentation the same that I uploaded on the
platform?
Yes, the long version video. It wont be possible to change it.

6. Will the presentation be in English? Is there the option to have a simultaneous


translation?
All presentations must be in English and no translation service will be provided.

7. Can I involve actors, artists etc. in my presentation?


Sure, they are very welcome.

8. Can I bring some additional materials?


Yes, it is possible to provide further material highlighting the success of the event
such as press review, publications, gadgets created for the event, market data.
Please note that it is not possible to project anything on screen.

9. Can I bring a PPT?


No. See answer above.
10. What is the structure of the Jury Panel?
The Jury Panel will be divided into 3 groups, in separate rooms, each supervised by a
vice-president.

11. Which criteria does the Jury follow in the evaluation of the projects?
While evaluating each entry, each Juror will consider the following aspects of the
event:
Creativity & Innovation Creative idea and technological innovation to reach
dedicated business objectives.
Execution Participants experience, flow of the event, direction, set design,
audio/video/lighting production.
Effectiveness Achievement of the stated objectives, such as target audience
results, survey results, business impact results and ROI (profit of event compared
to cost).
Channel Strategy Communication channel strategy: the omni-channel strategy
applied to the event and its impact according to the objectives.
Relevance with the Companys communication objective and brand values.
Overall quality, especially in comparison to the budget.
The competitors in the same category.

ABOUT THE FESTIVAL

12. Do I need to buy a ticket to access the Festival?


Yes, you will need to buy a delegate pass here: www.eubeafestival.com/buy-

13. What is included in my Delegate Pass?


The Delegate Passe includes:
Participation to Bea World Festival content programme (live presentations of
shortlisted events to the Jury, conferences, breakout sessions, workshops, expo
area);
Access to the dedicated networking area and to one-to-one business meetings;
Networking lunches and dinners;
Access to the Awards Ceremony, closing dinner and after-party;
Participation to the leisure activities;
Porto Card (three days) with free access or discounts to more than 170 places of
interest.
Please note that accommodation and travel are not included in the pass.

14. Are there any special offers on Delegate Passes?


Yes. If you have bought two Delegate Passes, you can get a third one for free! To get
your discount code, write to ilaria.granato@adcgroup.it after purchasing the first two
tickets. The free Pass can be used only by someone working for the same company
that has purchased the first two Delegate Passes.

There is also a special offer for Entrant agencies Corporate Clients: if you wish to
invite your clients to Porto, you can get a Delegate Pass at only 300. The Corporate
Clients Delegate Pass is personal to the holder and not transferable. It will be
available upon examination only for corporate clients of agencies that have entered
for the competition. If interested, please write to ilaria.granato@adcgroup.it
specifying the name, company and job title of the corporate delegate.
15. Where can I find a Festival programme?

16. Are there recommended hotels with special fares for Bea World delegates?
Are there special offers on flights and trains?
HOTELS: Yes, special fares have been reserved for Bea World delegates in selected
official Fnix Hotels thanks to our partner for hotel and travel bookings: Eventos by T.
Please note that the Bea World & Eventos by T will provide a free shuttle service to
the Festival locations only from these hotels (and viceversa). No free transfers are
provided from/to the airport. Rooms will be allocated upon availability. Reservations

TRAINS: CP Trains of Portugal is one of our official partners of Bea World Festival

17. Is there a dress code during the Festival?


Yes, especially for the Awards Ceremony.
Dinner for all Delegates - 16th November: Cocktail
Daily programme 16th & 17th November: Business casual
Awards Ceremony 17th November: Black tie optional (men are given the option of
either wearing a tuxedo or a dark suit and a tie. Women can wear anything from a
long dress to a cocktail number. No sneakers, sport shoes or boots are allowed.
Please note that no exception will be made at the entrance.)
