Tally is the most popular software in Accounts. Tally is India’s best financial and
Inventory management Accounting Software. Tally was invented by “Mr.Bhrath
Goenka” who was an Indian in the year 1988.
When he was invented the use of tally was 0%. But now it was increase to 80%. This
was completed developed by “private Limited Company” and the name it as “Tally
Solutions Private Limited”. Tally is both single & multi user . Single user is called as
Tally Server (or) Tally silver and Multi user is called as “Tally Gold”. Tally was
mainly used by three types of companies.
1. Financial Companies.
2. Manufacturing Companies.
3. Inventory Management Companies.
VERSIONS OF TALLY :-
1. The first version of Tally was 4.5 which was DOS (Disk Operating System)
based version which was released in the year 1988/
2. The second version of Tally was 5.0 which was WINDOW based version.
3. The third version of Tally was 5.4 for the above versions developed company
was Peutronics Pvt Ltd and this version was most successfully developed and
used a lot by different types of companies.
4. The fourth Version of Tally was 6.3 which include Sundry debtors & creditors.
In this version the company was changed into Solutions Pvt Ltd.
5. The fifth versions of Tally were Tally 7.2 which includes taxation (VAT, TDS,
CST,SST, Sales Tax, Income Tax, and Excise Duty) which was released in the
year 2005.
6. The sixth version of Tally was 8.1 which includes different types of languages
and released in the year 2006.
7. The seventh version is 9.0 which include Payroll (used to post the employees
data all similar topics of 7.2 versions. This version was released in the 2007.

TYPE OF ENTRIES SYSTEMS/ BOOK KEEPING
If one person is getting benefit means ultimately another person is giving the
benefit
In accounting the receiving of benefit is referred as debit and giving the benefit called
credit aspect
Thus the procedure of recording both debit and credit aspects related to business
transition is called double entry systems.
ACCOUNTS CLASIFICATION:-
In double entry book keeping system all the transactions are divided into 2
types pf a/c’s
Personal a/c and impersonal a/c’s Impersonal are further divided into 2 real and
nominal so totally 3 type of accounts
1. Personal Accounts
2. Real accounts
3. Nominal Accounts

1. PERSONAL ACCOUNTS:-
The accounts opened in the name of the natural person or artificial persons

Opened in the name of expenses, Losses, incomes and Profit/ gains are known as
Nominal a/c

To open Tally :-
Start ……….programs ……………..Tally .(Enter)
As soon as the window loads it displays the “Activation Form” box just “Esc” to exit
from that option.

Title Bar:
The top most bars which appear on the screen is Title Area hence it displays the name
of the application.

Below the Title bar it displays the Title Area in which the name “Tally”, company
“Tally Solutions Ltd’& some others options are displayed.
Calculator Area:
Below the main frame area is the calculator area in which we can do addition,
multiplication, subtraction, division ….Etc.

How to close the Company?
In “Company Info” select “Shut Company” option and press . Now the company
name will disappear at left side of the tally window .(Alt +F1)
In “Company Info” select Company” option and press > by this it displays the list of
all companies names which exists in the tally select your company from the list by
typing th name.( F1 )
To change any details of the company select “Alter” option in “Company Info” and
press by this all details are displayed now we can change, after changing it must
“Accept “ at last.

How to delete the Company?
While creating the company you get “Use Security Control” option press YES. By this
it asks administrator name (i.e. user name) & password give it.
To change or remove this password use “Alter” option.

How to Hide the company Name in List of Companies?
While creating the company you “Tally Vault Password” by giving this password the
name of company is not displayed in select company list instead of displaying the
name it shows like[********].

Select “Change Tally Vault” option in “Company Info” press and now enter the old
password , new password & confirm new password
By this another new company is created automatically with changing the password but
the total data is copied just only the password is changed.
Open the hidden company first and select Change Tally Vault option here enter “only
old password” and leave blank at “new password” option one statement will appear
“This will Remove Encryption From your Data”.
Press . Now your company name is displayed.
To give more passwords and users to single company select “Security Control” option
in company info and press now here select “Users and passwords” press now
here you can give the use passwords.
Note: In company info security is displayed when you give password to company
while creating the company (i.e. use security control option ) otherwise security
control option is not displayed.

How to Backup & Restore the company?
Generally other files like word excel, paint, PowerPoint….etc when deleted they are
stored in “Recycle Bin” when we delete Tally files those are not stored in it. For this
purpose the files which are important are backup . In case if deleted unfortunately can
be able to bring them back.
To back up a company
Select “back Up” option press it displays back up dialogue box here select the name
of the company which you want back up.
To restore the company
To restore the deleted company this is in back up select “Restore” option in company
info press now select the name press .

GATEWAY OF TALLY:
After creating the company at right side of the window ‘gateway of tally’ is displayed
this part is the major part where we can create group ledges, voucher stock items,
godowns, cost centers………Etc.
We can check report & print them,
This part is mainly divided in to 4 parts.
1 master
2 Transactions
3 Imports
4 Reports
As shown below

I. Groups:
In the tally some predefined group will appear we can use these group, if we are not
satisfied with these groups means we can create the new groups.
Tally consists of 28pre-defined groups out of them 15 are “primary groups” and 13 are
“sub groups”

Group
Primary groups are the head groups and the sub group are the division of the primary
group
Finally these groups are divided 2 types depended into 2 types depending upon the
appearance in the reports (final accounts)
1.capital groups
2 Revenue groups,
1 capital groups are the group which appears in the balance sheet and these are
further divided into ‘liabilities’ and assets.
2 revenue groups are the groups which appear in the “trading and profit & Loss A/c”.

While creating the ledges A/c selection of the background group is compulsory.
Groups are the heads of the similar ledger A/c,s simple similar nature ledgers are put
together and made a groups.
IMP: in over all tally groups plays an important role so selection of groups will affect
the final A/c.s (balance sheet, trading A/c. and profit & loss) in case of wrong selection
also ledger A/c. are created but the final A/c.s which appear will get with wrong
selection also ledger A/c.s are created but the final A/c.s which appear will get with
wrong results. Clear explanation of each group with examples is given below.
CAPITAL GROUPS :
1 Capital account
The investment of owner or partner to started the business those ledgers are taken in
these groups and also any drawings.
Drawing –the amount withdrawn by owner or partner for their personal use are called
drawings and these amounts are deducted from the capital amount.
2. LOANS(Liabilities):-
Loans that the company has borrowed typically loang loans.This group has 3 sub sub
groups
B.SECURED LOANS:
In this group the loans taken for business use by showing or giving any security or
shurity of any assets of company
C.UNSECURED LOANS :-
Taking of any loans for business with out showing any security or shurity
3.CURRENT LIABILITIES :
The payment of all the liabilities which are to be must paid in the current year only.
This group has 3 sub group
B.PROVISIONS:-
Accounts like provisions for taxations, provisions for depreciations and so on are taken
in this group

C.SUNDRY CREDITORS:-
The person or party to whom our company owes money.(or)
The person or party from whom our company purchase goods or assets on credit basis
to our company ( simply sundry creditors are SUPPLIERS or VENDORS)

4.BRANCHSE /DIVISIONS:-
This group maintains all the ledgers which are related to all our companies branch
5.SUSPENSE A/COMPUTER
In modern accounting many large corporation use suspense ledger to track the money
paid or recovered the nature of which is not yet known.
6.FIXED ASSETS:-
These are the items which are purchased to Maintain our business or through which
our business runs for a long period. Like land, building, machinery, plant, Etc
7.INVESTMENTS :
In this group the investment a/c like investment in share bonds, government security
by bank deposits and so on
8.CURRENT ASSETS :-
These are the assets which can be converted in cash very easily or which can be used
in one year
This group has 6 sub group
A.BANK ACCOUNT :-
Business Current accounts or saving accounts or any shot term deposits or any cheques
received from customers are taking in this group.
B.CASH-IN-HAND:-
In this group one ledger a/c “Cash a/c” is ready opened by tally it self no need to create
further, in case this if necessary can create.
C.DEPOSITES :-
All fixed deposits of the company either in banks or any other firms and also any
security deposits are taken in this group.

D.LOANS AND ADVANCES:-
The loans are payments of any advances given to others by the company those ledgers
are taken this group.
E.STOCK-IN-HAND:-
This group contains like raw materials, work in progress or finished goods a/c’s
F.SUNDRY DEBTORS:-
The person or party one who owes money to our company (or)
The person or party to whom our company sales goods or assets on credit basis.(simple
sundry debtors are the CUSTOMERS.)
GOODS OR ASSETS
REVENUE GROUPS:-
1. SALES ACCOUNTS :-
This group maintains the ledgers of trading.the items which are meant to sale(either
cash sales or credit sales)and also we can open returns of the goods by customers
called sales returns.
2. PURCHSE ACCOUNT:-
This group also maintains the ledgers of trading .The items which are purchased for
resale (either cash porches or credit purchases)and also we can open returns of goods
to suppliers by our company.
3. DIRECT INCOME :-
The income obtained by company other than the sales of goods by factory itself like
sale of scrap affects the gross profit
4. INDIRECT INCOME :
These are the non trading incomes which are obtained other than the sales of goods by
office itself.
5.DIRECT EXPENSES :-
These are the manufacturing expenses or direct trading expenses or factory expenses.
These expenses determine the Gross Profit of the company.
6. INDIRECT EXPENSES :
All administrative or non-trading or office expenses are taken in this group.
Determines the net profit of the company

To delete any group in “Alter” select which u want to delete and press “Alt” together
Note :- The Groups which already exist can not be deleted.
LEDGER CREATION :-
The difference between the single and multiple is same as groups and “create”,
display” , “Alter”, also same.
While creating the ledgers selection of background is important, with out selecting any
group we can’t create the ledger
Alias is the short name for the ledgers it is not necessary to give.

If you want to give opening balance for ledgers, while creating you gets one option for
opening balance amount. This Option will be displayed in both single and multiple
here you can give the opening balance if any
VOUCHER CREATION
FOR EXAMPLE :-
Voucher Types:-
In Tally Pre Defined Vouchers will exits. In every business transitions Ledger A/c are
Opened but not other details like amount, Debit/Credit aspects, Date, Narrations ..Etc
is not given to give all those details of respective transitions of related ledgers and to
record in chronological manner according to rules voucher types are used.
Depending pone the nature of the transaction tally difficultly created some pre defined

PROFIT &LOSS ACCOUNT:-
Income statement is prepared with the items of Expenses / Losses and Incomes /Gains
/Profit with a view to ascertain amount of net profit or loss in the business. It is known
as profit & loss Account.
STOCK SUMMARY
This is used to check the opening and closing stock /Items. The data can be
differentiated by group wise we have allotted to the specific item. This shows the date
column, particulars, Voucher type, Voucher No, Inwards column, Outwards column
and closing Balance.
DISPLAY:-
This option displays following options,
TRIAL BALANCE:-
In order to ascertain arithmetical accuracy, we prepare trial balance with the debit
credit balances of all ledger accounts. If every thing is Ok, the debit and credit total of
trial balance must tally

It displays the major options like Cash / bank book , Ledger’s closing balance, Group
summary , Group voucher, Sales & Purchase Register and Journal Register.
INVENTORY BOOK:-
Displays all the details of stock items, Sales & Purchase Order Books, Stock Transfer.

Each stock item has its own way of measuring so we can set unit of measure defined
for each stock here

A company has different types of stock items among them some similarly items will

depending upon the companies stock how the company wants to distinguish them By
this “Stock Group” checking of the Closing stock is very easy
