CHAPTER I
INTRODUCTION
Project Context

The word difficult is no longer in our vocabulary, with the use of technology
difficult become easy. Technology now conquered the world of humans, through this
technology humans avoid natural living, by means of not feeling the difficulty of
acquiring the something. It makes all the things possible through technology, robots
begin to think like a human. And human begins to think like a robot. In all fields is
technology helping humans to take job faster, accurate and trustworthy. Despite
errors sometimes it is not already the robot fault but the human who invented it. The
technology already takes place the job that for humans. But nevertheless, if it is
needed for the humans to perform more task why not if for the development of the
nation, and can save lives why not but we must value the work of our own hands and
not all aspect is we defend trough technology.
In Divine Word College of Vigan particularly in CSC as the Computing
Services Center located at the third-floor administration building, various
departments go to there and fix their broken computers or in needed of services,
distributed their work to the repair room.
The proponents conducted an interview about the service of the center
discussed by the head. This is the following process
1. The requester given the work to the head of CSC
2. Head distributed the work to the IT technician at repair room.
3. Technicians executed the work. The head monitored the works
4. When the services is all done it is the time for the head to distribute, to the
owners
This piece of work been studied in order to find the solution of the following
problems:
1. Difficulties in organizing the job

-Often time’s encountered difficulties in organizing the job who will be the
first one to fix, distribution of work in the repair room.
2. Unmonitored jobs
-because of many computers to fix some are forlorn. Client is worried
about their computers if are they working on it or they already forgotten the task or
when I will be picking my computer?
3. Un-Computerize Record
-it is relevant to use computerize record in order to refrain loss of hard
copy.
The study is to eliminate those encountered problems in CSC, we proposed
the DWCV CSC Ticketing Service System as a key to those obstacles.

The Requester of various department approached the CSC or Head in


whatever the individual wishes to fix and the Head distributed the work to repair
room if some cases that the computer parts is broken the repair room authorities will
approach the Head and then the Head will be the one to request in school or that

individual. And when the work is done the repair room sended the finished work to
CSC and distribute it.

Mansion, and South of Govantes River.

The organizational Structure are the exertions of the primary players of


the organization, task distribution, working of the task, and distribution of finished
work this organizational structure aimed for satisfaction and adequate, trustworthy
service. Mr. Laurence P. Sales the Head of CSC is responsible for accepting any
broken computers, and understand the condition of the computer, Mr. Christian T.
Calpito & Mr. Dexter R. Rabo are both Assistant Computer Technician accountable
for fixing the ordered work from Mr. Laurence P. Sales. And when the service is
done the technician give the computer to Head, and the head distributed to the
owner.

Purpose and Description


The purpose of this study is to respond the request of CSC to computerize the
ticketing system of the center, the proponent build the ticketing system of the
DWCV CSC. The specification of the project are: unique ticket id/number, time
register, description, assigned technician, status, and actions of all received works.

Objectives
The main reasons why the proponents proposed this project are:
1. The proponents build a system at the CSC
By building a computerize Ticketing System the service of that center was
improved.
2. Informed request’ status
In order for the requester to receive notifications about the requested task from the
CSC the system give SMS to requester’s ITSR Ref # and used as tracker number.

Scope and Limitation


The build project used Waterfall Model that implement the proponents
development.
The project maneuvered the Ticketing system which aims faster action and
monitored order work received by the head, and quick replacement of broken parts
of the electric devices that provided by the school. Also the study involved SMS
Technology in order to meet the standard of notification.
The study focused in the ticketing system of the DWCV CSC, other transaction
such as unrelated rather than fixing computers and services about
technology only covered the system, transaction from the outside of the campus and
not employee of DWCV is not included in the ticketing.

CHAPTER II
REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents survey of related literature and writing of recognized


experts both of which have significant bearing or relations to the problem under
investigations.
Computer is a prime example of the impact of technology. They have
dramatically simplified information processing because of their speed in
calculating, classifying, storing and summarizing data. Computer are important
component in many records and monitoring systems.
According to Aquino, et. Al (2013), information technology has a greater
impact to an entire industry. It is use of computer and software to manage
information. In actuality, it is the collection of tools that makes it easier to use,
create, manage, and exchange information. It is responsible for storing in formation,
protecting information, processing the information transmitting the information as
necessary, and later retrieving information as necessary. Automation provides
benefits to virtually all of industry from installation, integration and maintenance to
design, procurement, and management.
According to Fortuna, et. Al (2011), the use of computer in the offices has
become very vital. Through the advancement of information technology, people are
able works more accurately than the manual ways. This suggests that through the
vast development in the forms of technology, the quality of works and the time
needed to accomplish a task is improved. Furthermore, people who are accomplish
a t task is improved. Furthermore, people who are to accomplish task undergo
minor difficulties and thus, produce better results compares to using manual or
outdates technology. Organization and updating of data become more efficient and
comprehensive. Moreover, with the creasing percentage of data to be stored, it is
then imperative to make use the recent technology.

According to Rialubin, et. al (2012), the need for computerized system to


process data into information has increased with the rapid growth of population.
The use of computerized processing of information and data makes the works easier
especially in schools, like recording of data leading to efficiency when trying to
summarize reports, and produce accurate records of the school. There is a need to
keep records of all school activities, especially keeping and the management of the
records is a vital responsibility of the school activities of the schools system.
Moreover, schools managers or administrators rely on the shorts and long-term data
captured in records to make effectives decisions about immediate issues and
students concerns.
According to Gustafson (2011), the web is an ever-changing medium whose
scope, application, audience and platform continue to grow on a daily basis. If one
worked on the web for any amount of time, he/she has likely heard or even used the
term “progressive enhancement.” Since the term’s inception, it has been considered
a best practice for approaching web design. But what is it really? And how do user
reconcile its meaning with the rapid evolution of the languages and browser relied
on to do jobs? In this brief book, Adaptive Web Design: Crafting Rich Experiences
with Progressive Enhancement. Easy Readers, LLC; 1st edition 2011, Aaron
Gustafson chronicles the origin of progressive enhancement, its philosophy, and
mechanisms, and reveals the countless practical ways that one can apply
progressive enhancement principles using HTML, CSS, and JavaScript. By
understanding progressive enhancement and how to apply it properly, web
practitioners can craft experiences that serve users (rather than browsers), giving
them access to content without technological restrictions.
Today, we live in an information economy. Information itself has value, and
commerce often involves the exchange of information rather than tangible goods.
System based on computer are increasingly being used to create, store, and transfer
information. Computers and information systems will continue to change business
and the way we live.

According to Reynolds (2014), Electronic commerce (e-commerce) involves


any business transaction executed electronically between companies (business-to-
business, or B2B), companies and consumers (business-to-consumer, or B2C),
consumers and other consumers (consumer-to-consumer, or C2C), business and the
public sector, and consumer and the public sector. E-commerce use of mobile,
wireless devices to place orders and conduct business. E-commerce relies on
wireless communication that managers and corporations use to place order and
conduct business with handheld computers, portable phones, laptop computers
connected to a network, and other mobile devices. E-commerce offers many
advantages for streamlining work activities. In addition to e-commerce, business
information system use telecommunication and the Internet to perform many related
tasks.
Enterprise system that process daily transactions have evolved over the
years and offer important solutions for business of all sizes. Many of these early
system were designed to reduce costs by automating routine, labor-intensive
business transactions. Processing business transaction was the first computer
application developed for most organization. A transaction processing system (TPS)
is an organized collection of people, procedures, software, database, and devices
used to perform and record business transactions.
According to Reynolds (2014), Order processing system “running these
systems efficiently and reliably is so critical that the order processing systems are
sometimes referred to as the lifeblood of the organization.” The processing flow
begins with the receipt of a customer order. The finished product inventory is
checked to see if sufficient inventory is on hand to fill the order. Purchasing system
is traditional transaction processing system that support the purchasing function
include inventory control, purchase order processing, receiving, and accounts
payable.
An enterprise system is central to an organization and ensures information
can be shared across all business functions and all levels of management to support

the running and managing of a business. Enterprise system employ a


database of key operational and planning data that can be shared by all. Businesses
rely on such systems to perform many of their daily activities in areas such as
product supply, distribution, sales, marketing, human resources, manufacturing,
accounting, and taxation so that work is performed quickly, while avoiding waste
and mistakes. Without such system, recording and processing business transactions
would consume huge amounts of an organization’s resources. This collection of
processed transaction also forms a storehouse of data invaluable to decision
making. The ultimate goal is to satisfy customers and provide a competitive
advantage by reducing cost and improving service.

CHAPTER III
TECHNICAL BACKGROUND

To better understand the software and hardware that were used in the development
of DWCV CSC Ticketing Service System, the following requirements are
presented:

Software Requirements
Database Server : MySQL
Development Tools : Dreamweaver 2015
Operating System : Windows 7, 8.1, 10

Hardware Requirements
Memory : Minimum: 2GB
Processor : Intel Core 2.8 GHz
Hard Disk : Minimum: 500 GB

MySQL this software is possible to track different information about CSC


Ticketing Service by creating tables that holds data and used them for further
monitored work.
Dreamweaver it is one of the most astonishing web-design programs in the
industry by this the CSC Ticketing Service allowed the development trough tools
and features that made it the must package for the web designers.
Windows 7, 8.1, 10 these operating system are compatibled and used in
developing the DWCV CSC Ticketing System also has a modern look, and an
interface that is easier to navigate than previous versions of Windows.

Memory at least 2GB has needed to the proponents utilized the software’s in
developing the DWCV CSC Ticketing Service System and also faster enough for
multi-tasking or multiple execution of program jobs needed in building the system.
Processor the proponents will be using at least 2.8 GHz for smooth and faster
process in development because the higher the amount of processor the quicker the
process run and think on what did the developer instruct.
Hard Disk in building the system the proponents will be using 500 GB
because it is responsible for storing the work of the developers and storing the
information on the developing system. The Hard Disk is needed because it remain
intact the recorded information after turning off the computer and it enable to write
again the continuation of the developing system.

CHAPTER IV
METHODOLOGY

The development of DWCV CSC Ticketing Service System, the


proponents adhered the Waterfall Model because there is a sequential design process
for project management means it is easier to build a system because there is an
assigned/ step by step assembling of the project and the proponents choose these
kind of model because among the software development it is uncomplicated to
understand and used also a cleared picture of what the final product should be, the
plan was already fix, facile to manage due to the rigidity of the model each phase has
specific deliverables and a review process. Waterfall model works well for
developing the Ticketing project where requirements are very well understood.

The Waterfall Model was first Process Model to be introduced. It is also referred to
as a linear-sequential life cycle model. It is very simple to understand and use. In a
waterfall model, each phase must be completed fully before the next phase can
begin. At the end of each phase, a review takes place to determine if the project is
on the right path and whether or not to continue or discard the project. In this
model software testing starts only after the development is complete. In waterfall
model phases do not overlap.
The following are the phases of waterfall model:

Requirements Specification

The proponents ensured all the possible requirements, sample forms and
information gathered in order to build the expected result of the system, the
proponents procured the flow circulated in the CSC, and tried to unravel the needs
and make possible solution to the problems faced in the CSC. The Head explained
how the Ticketing System build and run, and maintained and how it benefited both
the CSC and other department who has a relation regards in fixing their computers.

Implementation
When planning and designing is ready it is time to move all the gathered
ideas into building the project, designing and coding is in this phase. The
proponents make sure that the system is working according to what the proponents
wanted, and ensured the security, maintenance, and errors that possible to come up
is reviewed and solved. The proponents make sure that “IT Service Request Map”
the proper procedure of request is observed in the CSC Ticketing Service System.

Once the implementation phase is done it is already the time the errors and
faults will arise this is what we call post-integration. The proponents make sure that
before final testing all the errors are eliminated.
Testing
The testing process focused on the logical flow of the software, ensuring
that all the modules have been tested and all were functional, and the IT Service
Request Map is the system flow. When post integration is ready in place, the testing
of the project is next phase wherein the proponents done alpha and beta testing the
proponents conduct a complete basis to evaluate the system’s compliance with its
specification and requirements in alpha testing. While in the beta testing the
expected tester will the CSC personnel and some department employees, the
proponents also conducted an evaluation tool in order utilize the system’s
effectiveness and efficient to use.

-In order to access the system type the code and the program will automatically
appear and will display the log in & sign up form.

The employee fill up all the questions to register account in CSC wait for your their
activation from the head.

REQUESTER FORM

When employees account is activated, can already log-in, request service and
fill again the questions provided and at the right part of the form there is on queue
these are the employees who are next to your request. You can also track your
request here click TRACK MY REQUEST button.There is also LOG OUTbutton at
the upper right of the form.

REQUESTER FORM : TRACKING

In this form the employee requester can seen all the request information like
the ID or IT SER Number, and to make sure that the employee is the one to request
the is the NAME, what type of request and STATUS of the request.

Traking Form when the employee receive sms contains tracking number the
person can already know the status of the his/her request by filling up tracking
number and employee ID.

First Status is PENDING means the Head already recieve the request from. And
assigning to technician.

Second Status is VERIFYING the Head already assign the request but the
technician not yet started the task.

Third Stage is PROCESSING the Technician is doing the job.

Fourth Status is DONE means the work is finish. The transaction is closed.

SMS NOTIFICATION : VERIFICATION

First SMS massage the employee requester recieve from the CSC Ticketing
Service System that allowing the employee to request.
SMS NOTIFICATION : TRACKING NUMBER

After waiting, employee receive an sms massage coming from the system
giving notification and tracking number that will use to track request.
SMS NOTIFICATION : DONE

Last SMS Massage from the CSC System that the employee recieve, the
request is done and ready to pick up.

HEAD

The Head must log in first

NEW REQUEST FORM

In this form the Head can see all the on new request of the employees if
click VIEW the full information will appear at thr right part of the form named
Request Detail and there the head can assign the work to the technician either IT
Technician Christian or IT Technician Dexter and if he click UPDATE the work will
pass to the chosen technician in her page. The DONE button means the work is
finish where the employee requester automatically revieves sms massage telling that
the employee’s request was already recieve and assign technician. All forms have

navigaiton bar and small number indicating how many new request in that form
inside, when the head will click that it will appear all the names of the forms that the

MATERIAL, ACCOUNT AND REPORT there is also small number indicates or
notify the head the number of new request, material from the technician and account
to verify.

ON GOING FORM

In this form the Head can seen all the on going task at the right of the form
this are the request that already assign to respective technician.

This form use to make request matiral form, fill up by the technician recieved
by head click VIEW and the detail will appeal at the REQUEST SLIP. And when the

for verification at the right part and if the head will click VIEW the full information

At the left part of the form all the activated employee as well as their
personal information can be seen.

REPORT FORM

When the Head click VIEW from the REQUEST DONE all the information of
the finish work can be seen at the SERVICE REPORT, and when the head click the
PRINT button the following image will appear.

FOR TECHNICIAN

When the head assigned technician, automatically the respective technician


will then appear all his task in her page. In that page the technician can see all the

task to him at the left part named ID, NAME REQUEST this are the information
about the task and in the center when the technician click VIEW from the requesters
common information then the Technician then can fill up INVENTORY,
OBSERVATIONS, STEP DONE, REMARKS and DATES according to the task
condition. When the technician click SAVE all the fields saved. And DONE means
the task is finished and automatic SMS again receives the employee who requested
notifying that the request he/she give is done and ready to pick up.
