Sub-Committee Groups with Vacancies

We need more people to volunteer on sub-committees at Penguins. This

means meeting with a group of people a few times a year. Each sub-
committee will either already have existing volunteers on it or will
coordinate closely with a volunteer. This means that new volunteers in
these groups will have guidance about their new roles. Further details
about the committees with spaces can be found below.

Club Championships
 To organise the sprint and long-distance club champs.

Finance
 To meet to discuss any financial issues that arise. To decide on options for fees for
the next swimming year.

Open Water
 To organise a variety of open water events during a season.

Social and Fundraising

 To organise the summer and Christmas parties and other social and fundraising
events.

Welfare & Conduct

 To meet and consider welfare of all club members and the best ways to promote
this. To deal with any conduct issues that arise.

All these jobs need filling. We will support for
all people within the roles. Please ask for
details if you think you could do all or part of a
job.

Club Championships Coordinators - priority
Number of positions = 3
Description
To sit on the club championships sub-committee to
organise the long distance and sprint club champs at
Penguins. The organisation includes inviting swimmers,
keeping a database of selected events, making a
programme, keeping track of payments, etc.

Cover Coordinator
Number of positions = 1
Description
Someone to send emails out to all the coaches &
volunteers to coordinate cover when someone is
unavailable to coach or teach their usual session.

Finance Assistant
Number of positions = 1/2
Description
The finance assistant will help to check and chase
money through the Active online system. To also join
the finance sub-committee and help to make financial
decisions regarding individuals and the club.

Gala Coordinators & Team Managers - priority
Number of positions = 3
Description
To coordinate attendance at galas – this involves
emailing parents and collating replies. Chasing again
for those who don’t reply and emailing replacements.
Also sending out a final reminder email about the gala.
These people, if they would like, could also attend the
galas as Team Managers, though people can do the job
without this part if they wish.

Masters
Number of positions = 1
Description
To work as part of a team to make a masters calendar,
organise entering meets, update the masters section
of the website, liaise with Andrej, organise social
events etc.

Officials - priority
Number of positions = lots
Description
This is an opportunity to train to be a qualified official
who volunteers at galas in roles such as timekeeping,
starting, turn judge, referee. It’s a wonderful way to
watch your children swim. No experience is necessary.
Penguins will pay for the training course.
Time
Course required, once qualified can help at galas as
desired, but preferably 4+ times a year
Location
At the location of the training course and then at galas
 Open Water Coordinators - priority
Number of positions = 2/3
Description
To sit on the open water sub-committee to organise a
variety of open water events during the season. The
admin to include finding sites, writing risk assessments,
organising coaching, inviting appropriate swimmers,
costings etc.

Teacher/Coach
Number of positions = some
Description
Teachers and coaches are needed for the Swim
Academy and the main squads. Penguins will support
people through the training process by pairing trainees
with teachers/coaches for observation and to start to
teach/coach small parts of a session. If trainees decide
they would like to continue with the process, they can
then train to be a qualified aquatics teacher or coach.
Once volunteers have helped regularly (weekly) for 6
months Penguins will pay for half of the training course
fee and will pay the full fee after a year.

Social/Fundraising Coordinators

Description
To sit on the social/fundraising sub-committee to
organise the summer & Christmas parties. To plan,
organise and run fundraising & other social events.

Swimming Session Changes Coordinator
Number of positions = 1
Description
Admin job for someone to email relevant
parents/carers regarding any temporary pool
time/location changes.

Website Team
Number of positions = 2
Description
To work as a team to keep the website up to date. To
request relevant information to update the website
(and to chase those individuals if it’s not provided!). To
liaise with the main committee to make any structural
changes required.

Welfare Officer – priority to be filled
Number of positions = 1
Description
The welfare officer sits on the welfare and conduct
sub-committee. They will need to attend a Time to
Listen course run by the NSPCC. They oversee DBS
checks for relevant club members. The welfare officer
will deal with any safeguarding and welfare issues,
with support from Swim England.
