SHIPPING & FREIGHT FORWARDING GUIDELINES & TARIFFS
CONSIGNING OF SHIPMENTS
The Bills of lading (B/L) or Airway bills (AWB) should be consigned as follows:

INTERNATIONAL FORWARDING PARTNER
Airlink International will be working along‐side Fairexx / GT Exhibitions to ensure that all of your
freight, shipment and on‐site handling needs are taken care of.
Fairexx / GT Exhibitions are the international freight forwarding partner for the WCC 2012 and will
be able to provide you with recommended agents around the world (see spate “Recommended
Agents List).
Airlink International will be specifically managing shipments (door‐to‐door) from the Middle East
region as well as the on‐site handling of all of the freight for the congress.
REQUIRED DOCUMENTATION
Original commercial invoices and packing lists are only considered if they are stamped, signed and
printed on a company letter head.
Please note that hand written documents are not acceptable; the details on all documents MUST
be in English language and should tally with the actual shipment.
Country of origin should be declared correctly on the certificate of origin which should match the
declared country of origin on the goods / boxes
For shipments via Sea freight the following documentation is needed :
o Certificate of origin
o 2 originals + 5 copies of each: commercial invoice and packing list (originals must be
attested by the chamber of commerce at origin)
o Invoice and packing list must show:
individual item price
total CIF value (Cost, insurance & freight)
total number of packages matching the B/L (Bills of Lading)
gross weight & volume matching the B/L
Harmonized system code (HS code)for all items

For shipments via Air freight the following documentation is needed :
o 2 originals + 5 copies of each: commercial invoice and packing list (originals must be
attested by the chamber of commerce at origin)
o Invoice and packing list should show:
individual item price
total CIF value (Cost, insurance & freight)
total number of packages matching Airway bill (AWB) or the House airway
bill (HAWB)
gross weight & volume matching the AWB or HAWB
Harmonized system code (HS code)for all items
IMPORTANT: For any cargo containing foods items, medicine, ammunition, guns, or any irregular
cargo, please contact us before sending these goods to avoid customs delay or rejection.
Bill of lading / Airway bills:
Must be consigned as per details mentioned above in the name of “Airlink International UAE” only;
failing of which Airlink will not be able to process customs clearance.
Separate house airway bills (HAWB) or Forwarders bill of ladings (FBL):
Must be issued for individual Exhibitors per consignment stating the correct weights and measures.
Certificate of origin:
This document must be sent as original and attested by the Chamber of Commerce at origin.
Commercial invoice/Packing list:
This document must be duly typed in English and printed only on one‐sided paper with an original
company letter head with an original company stamp and along with an authorized signature.
Computer print outs of invoices or freight forwarders invoices are not acceptable.
Separate invoices for temporary and permanent goods are also required for goods under permanent
import such us giveaways/brochures, consumables, gift items, etc. which must be mentioned
separately on a separate invoice detailing their respective correct gross and net weight. The same
should also be packed separately as a different package. This is a must in order to ensure accurate
calculation of customs duty during re‐exportation.
PLEASE NOTE that failing to provide us with original documents fulfilling the above
requirements in detail may cause customs fines, excess duty assessment and delays with
and refusal of customs clearance. Any customs fines and excess duty assessments caused
due to incorrect, improper or missing documents will be billed to the respective freight
agent/client.

Please use the shipping labels available in the WCC 2012 services manual – be sure to use the
appropriate label depending on whether your shipment is for:
Exhibition stand materials
Future events booth
Congress bag inserts (see congress bag insert section)
SHIPPING DEADLINES
The Port and Custom Authorities of Dubai levy a 5% duty on goods, which are sold, giveaways and
any of non‐return items such as leaflets, brochures, and catalogues etc, based on cost, insurance, and
freight value declared (CIF). Therefore, please issue detailed invoices showing all CIF values.
All shipments are normally cleared on a temporary import basis against payment of 5% CIF VALUE as
assessed by the UAE customs. UAE customs can and often do re‐evaluate the value of invoices, duty
is paid based on UAE customs valuation of a shipment, Airlink International UAE will not be held
responsible for an invoice value being increased by the authorities.
It is essential, that the information mentioned on the documents matches with those mentioned on
the AWB, B/L, packing list and invoice.
For all brochures, give‐aways, leaflets, samples which are not returning, all exhibitors should provide
a separate detailed invoice showing the number of boxes, weight, dimensions, individual price per
item, and total CIF price, however, the above items are dutiable anyway

INSURANCE
Insurance of the cargo not included in our scope of work / tariff and same to be arranged by the
Exhibitor and / or Exhibitor company with an express and unconditional waiver of subrogation
towards Airlink, partners & our sub‐contractors.
The show site yard is not a covered site, therefore all freight and empties moving in and out of the
halls or stored on site during the show are exposed to climatic conditions. Our tariff is computed on
the basis of volume and weight and has no correlation with the value of exhibits, it follows that the
cost of insurance cover is not included in our charges.
For shipments arriving in apparent damaged condition, the airport and sea port will not assist with
surveys and provide any damage reports. The goods will need to be surveyed onsite by the
exhibitor’s survey company to process any claims.

5) COURIER SHIPMENTS
Handling charges from arrival exhibition show site to delivered stand:
US$ 50.00 or 0.65/kg – Plus U.A.E Customs duties / taxes if applicable
Handling charges from arrival airport:
Please refer to the Airfreight tariff section 3 for handling charges – Plus U.A.E Customs duties / taxes
if applicable
6) ADDITIONAL CHARGES
Presently the DWTC does not impose a charge of storage on site during the tenancy period of the
show. This may change in the near future. If it does, additional charges will apply for storage of
empties.
Temporary Import Bond Fee (TIB FEE) 2% of Duty Deposit or MIN USD 50.00
If the duty is US$ 100.00 or less, duty will be paid automatically and TIB Fee will not be applicable.
All exhibition shipments are Customs cleared on a temporary import basis and have to be re‐
exported within 90 days from the date of arrival into the UAE. Otherwise, customs duty will be
applicable on a final basis. Please note that if shipments are re‐exported to any GCC country then
customs duty has to be paid in the UAE (first port of entry) prior to re‐export, which will take a
minimum of 2‐6 weeks.
UAE Customs will implement the ATA Carnet import system within 2011, more details will be sent
out once it is declared and implemented.

Any charges relating to Airport and Port storage, container detention / demurrage, exchange B/L
fees, will be charged as per outlay. Dubai Ports offer 10 days free time and the shipping lines offer 7
days free time for the containers to be unloaded and returned to the port.
Any container remains out of the port for more than 17 days, a Port Receiving charges (PRC) will
apply in addition to the above@ US$ 265.00/20ft and US$ 390.00/40ft.
For any LCL shipment with volume more than 10 CBM, a port handling fee will apply @ US$
50.00/shipment.
Heavy‐lift surcharge for over 2,000 kilograms per unit or for units in excess of 2.0x2.0x2.0 meters is
charged at tariff plus 50%.
Failure to produce full set of original invoices and / or certificate of origin
- Customs penalty US$ 275.00
- Service fee US$ 50.00 per document
If we receive the full set of original documents and C/O within 30 days from the date of arrival into
the UAE and subject to the same being accepted by the Customs authorities, then the penalty
charges can be refunded.
Failure to declare true and accurate values on the shipping invoice including misdeclaration of the
Country of Origin against the physical cargo, the – Customs re‐evaluation penalty US$ 150.00
U.A.E. Government duties and taxes, which are currently charged at 5% of CIF value or as assessed by
customs.
CRANEAGE FOR GROUNDING CONTAINER AT SITE
- US$ 200.00 per container ‐ Inbound
- US$ 200.00 per container ‐ Outbound
In case of any container shifting, same charges will apply:
Labor US$ 15.00 per hour/man (minimum 1 hour)
3 ton Forklift for assisting with erection work US$ 50.00 per hour (min.1 hour)
25 ton Crane hire for assisting with erection work US$ 135.00 per hour (min.8 hours)
Storage charges per shipment (HAWB or HB/L) for exports delayed by air or sea more than 15
days a min US$ 75.00 or US$ 25.00/CBM/month or part thereof from day of closing of the
show is charged.
LATE ARRIVAL SURCHARGE
Goods arriving 4 days before the show dates will be subject to a surcharge as below:
Sea Freight shipments 25% from applicable tariff
Air Freight shipments 25% from applicable tariff
