Chapter 1

Background of the Study

The faculty evaluation system was developed as an automated aid for

evaluating faculty. The system allows the evaluation to be processed at a central

location by data entry personnel.

Faculty evaluation system is a system that processes contract and promotion

of faculty employees. Every academic year faculty employees are being observed by

their supervisor on how they met their goals. Evaluating a faculty employee has a

process that is capable to measure job performance and the quality of work. In order

to evaluate the employees, it has to undergo the proper processing of evaluation

step by step, one by one.

The intention of making a faculty evaluation system is to fasten the workflow

of processing the faculty evaluation in ESSU-Guiuan. The said campus is facing a

little trouble in evaluating the faculty employees. Because of the manual process of

evaluating a faculty employee the project team studied on how to provide an

improvement of the process with systematic support. This system will be a big help

to all who are involved in the process, especially to the students who are assigned to

evaluate the faculty employee because this system is a friendly to user and less time

consuming. Due to unfair evaluation and big expenses that occurs when the

evaluation period comes. In this generation, the project system would help to lessen

the problem that ESSU Guiuan campus is dealing with. An unfair evaluation will be

settled for a secured evaluation is implemented and the expenses during this period
will be also solved. And this system will genuinely provide the inputted

questionnaires and automatic computation is also in the requirement of the system.

Faculty evaluation system is a system that would secure the data you enter.

This system can avoid the conflicting of records. It can fasten the input and

computation of the scale score. It can edit and delete the data you enter and able

also to print reports. This system can guarantee the security of student and faculty

employee’s information that are being inputted.

The faculty evaluation system was tested mostly under actual operation

conditions. The programs were tested to see if they matched the requirements and

the specifications. The complete system performs all of the items described in the

requirements and specifications.


Objectives of the Study

(Faculty evaluation system)

The objective of this research is to replace the current system used in

processing the faculty evaluation by using technology for fastest way of evaluating

the faculty employees. This system must be able to perform the following task;

The promotion result for the evaluation is faster.

Provide the scores of each employee by calculating it automatically.

Meet the educational needs of students and community by continually

monitoring instructional performance.

Provide a basis for professional growth and development.


Scope and Limitation

This study was developed to provide a fair evaluation and sustain quality

faculty performance within the division of ESSU Guiuan University. Each faculty

member has a big contribution in the field of study therefore they need to be unjust to

every student for each faculty deserve a good and fair performance evaluation in

every end of the semester. The proposed project is to give ESSU Guiuan Campus

an automated aid in evaluating each faculty the project was given in this year of

school year 2017-2018 the topics of this study looked into the performance of each

faculty, students rating, questionnaires form for evaluating, problems and solutions

for the problem.

Significance of the study

This study will be a big help for the faculty’s and to the other individuals for it

will provide them a better performance evaluation. Furthermore this study will also be

beneficial to the following:

 Faculty – they will be given a fair performance evaluation

 Students – provides a fair rating score for the faculty

 Assigned Personnel – it will be easy for them to do their work

This is to clarify words that are unfamiliar to the other readers that will review

the research.

Technical Terms

Database- a structured set of data held in a computer, especially one that is

accessible in various ways.

Form- a layout interface / a display program

Reports- a ready to print layout

Program- coded software

REVIEW OF RELATED LITERATURE

In this chapter discusses the related literature and related studies.

“Every faculty member’s contribution is important to the achievement of the

University’s mission of teaching, research, and service. Our performance evaluation

and development process assists faculty members and supervisors in setting goals,

engaging in professional development activities, and measuring and rewarding

success. The process articulates individual goals and achievement in the context of

the overall mission of the institution. The university is committed to individual and

collective responsibility of the success of the institution by articulating goals,

fostering open dialogue and constructive feedback, emphasizing quality

performance, and supporting professional development.” (August 2007)

“Each faculty member being evaluated is responsible for providing the

evidence to support their evaluation with respect to both quality and quantity of

teaching. The quality and significance of teaching should be evaluated by peers in

the discipline or unit, whichever is more appropriate. This may include effectiveness

in teaching, monitoring and coordinating educational activities, such as planning,

assessing and documenting. All faculties are accountable for the learning of their

students and clients therefore assessment is a vital and expected part of role as the

faculty of the university. Student evaluations of teaching should not be the only

evidence of teaching effectiveness considered in the annual evaluation. Each unit


should also specify other types of evidence that will be considered, and should be

provided by the faculty’s evaluated member.” (Peter Weiler (1983))

The faculty evaluation system was tested, mostly under actual operation

“The faculty evaluation system has some other benefits besides being

required. The system is used to aid teachers in the development of their teaching

abilities. Each instructor is ensured that only he will see the results of the confidential

questions. The confidential results will allow the instructor to ask questions that will

provide him with feedback that will benefit him. By selecting appropriate questions

from the available database the instructor can obtain ideas on how to improve his

teaching. Furthermore the report program generates an error message if it cannot

find a unique instructor record in the database or when it cannot match the

identification record that is at the beginning of the statistics file. The data entry

person then has to correct the errors or run the program and enter the instructor's

name as the additional information to make the instructor record lookup find a unique

However, there are some problems in running this program especially that this

program is new and most of the faculty don’t have any knowledge about how to use

the automated design aid. But because of the designed manual the so called

problem was overcome since the manual describes in detail all of the procedures in

the program and how they interconnect. The manual also discusses the flow of data

between the procedures.


“Another problem is with backing up the data base using this method is that

Pascal keeps the file pointer to the input file pointing to the original file not to the

updated version. This error caused the system to read in the information from the

wrong version of the instructor data base file. However this error has been corrected

through a lot of readings and trials. So the program appears to be running correctly

as of the current data and allows the user to perform all of the tasks specified in the

requirements document.” (August 2001)

The Faculty Evaluation System will give way to easy collection and more

accurate data analysis of faculty evaluation in lesser time. Faculty Evaluation System

is a paperless process in which the evaluator (students, co-teacher, and supervisor)

will use the computer and the system to evaluate the teacher.

“The performance evaluation of faculty members in a higher education is a

serious challenge for management. Several qualitative and quantitative factors are

considered leading to targeted professional growth of an organization to evaluate the

performance, such as acquiring research grants, research profile, student evaluation,

a difficult task. Usually standard “Key Performance Indicators” (KPIs) are used to

evaluate bare level workload of a faculty, however gauging quality always remain a

programs were set up to trap all of the errors that I could think of and that the user

could make. In all of the programs the input is parsed so an invalid entry will not

“Evaluating performance of faculty members is one of the most critical tasks

within an institute, and it has become a priority worldwide for the institute. Due to

rapid increase in getting promotion in academic careers the faculty evaluation

system is becoming more formal and complex. Defining appropriate methods to

accomplish faculty evaluation has become a challenging issue for the universities.

Since a number of performance parameters require consideration for effective

decision making. However, most common parameters may include students’

“However, the development of computer based systems is more likely to be

plagued by scarcity of resources and difficult delivery of data it is both necessary and

prudent to evaluate the feasibility of a project at the earliest possible time. Precious

time and money can be saved and untold professional embarrassment can be

averted if an ill-conceived system is recognized early in the definition phase. So a

detailed study is carried out to check the workability of the system.”( Avinash Singh

Visual Basic (VB6) - Developed by Microsoft Corporation, Visual Basic 6 allows the

development of user-defined functions and the automation of certain processes and

calculations. Visual Basic 6 is a standard feature of Microsoft Office products. It

allows user a level of customization beyond what is typically available in Microsoft

Office product, such as Excel, Word and Power Point.

MS Access- is a database management system from Microsoft that combines the

relational Microsoft Jet Database Engine with a graphical user interface and

Adobe Photoshop- is a raster graphics editor developed and published by Adobe

Systems for macOS and Windows. Photoshop was created in 1988 by Thomas and

Printer- In computing, a printer is a peripheral device which makes a persistent

human-readable representation of graphics or text on paper.

Hardware Requirements

Central Processing Unit

Processor: Intel(R) Celeron(R) CPU N2840 @ 2.16GHz (2 CPUs), ~2.2GHz.

The higher the processor, the faster is the processing time.

At least 512MB RAM (random access memory).

Hard Disk

USB port, CD or DVD Drive for file backup.

Input Devices

Mouse – used for selecting menu options.

Keyboard – used for inputting information.

Output Devices

Monitor – a device where information is displayed for the user.


How the project will work?

A Faculty Evaluation System (FES) icon is shown in desktop in order the

project to work the user need to click the icon. The first form that will display is the

log-in form, in this area the username and password is needed after the confirmation

of the account you can now access the main form. The main form is where the

important transactions in system are shown a menu bar and menu options will be

display depends on what the personnel needed to do. The project works depends on

what the user’s interaction.
