1. What are flex fields?

Flexfields are configurable fileds that open in a window from oracle application windows,
Defining flex fields enable you to tailer oracle application to your own business so that you
can modify oracle applications without programming.
You can use flexfields to :
6. Configure or structure certain identifiers required by oracle applications
( intellegent keys)
7. Display additonal information for your business as required

2. Flex fields Types

Key flex field:

Used to define your own structure for many key identifiers required by oracle
applications such as accounting flex field which is used to build account numbers
used by general ledgers
Descriptive Flex field:
Used to supply additional information about your business entities beyond the
information required by oracle applications such as adding mobile number to the
journal entry screen for tracking the user who entered the journal.

3. Flex fields Examples

To see a key flex field example you can enter new item in the master items window and
review both descriptive and key flex fields used in completing items data

Creating New Item

From the responsibilities Menu - Inventory, Vision Operations (USA)Master Items

You will be asked for the organization name which will be the owner of this item
Select M1 Seattel Manufacturing

Now the master item window will open

Here you can create item by two ways :

9. Use an existing Template to get values for most of your items fields
1. Creating New Item by entering data
Supply the following fields
Item: xxNewRadioshack Servers
Note that the item field is a key flex field with one segment, no validations
Description:New servers purchased from radio shake supplier
Accept all the default values and click save
Note the icon beside the description field

This is the notation of the descriptive flex field , here you can supply optional data , also
you can design it to add additional information , by clicking this icon the descriptive flex
field window will appear to complete your additional data

2. Creating New Item by using template

Oracle EBS Defined some item templates with ready entered properties to facilitate the
way of items data entry , here you can create your item using oracle item template
On the master item screen click new to add new item
From the tools menu - copy from

Template: @Equipment
Item : AC Filter

Click ok
Note that most of the attributes has properties copied from the template
Enter the item name : fathalla filters 5 stages
Click save
Go to purchasing tab note the expense account column it is an example of key flex field
Which is the accounting flex field owned by the general ledger application

Click the button in the expense account column, you will see the accounting flex field

Note that it consists of 5 parts ( company , department , account , sub-account , product)

Each part of them is called flexfield segment

4 . Fields Examples

9.1 Creating New Asset by using oracle EBS Asset Category

To Create New assets Navigate to Assets , Vision Operations USA - Assets  Workbench

The new asset window will appear click Quick additions Button
In the category column click the attached button and select
Major category: Vehicles
Minor Category: Owned Luxury
Click OK

Fill the Asset Category Column

In the asset category descriptive flex field supply this data

Just select license plate (number), insurance company

Click ok
In Description Column: select Luxury Vehicles
Book: select the ledger that the asset will be assigned to , write its cost
In line select the assigned employee
In the expense account key flex field select account alias : bad debts its an alias for group of
accounts

Will be asked to supply the account no from the accounting flex field

Select no department that you donot want to assign the asset to certain department
In the location column select New York from the location Flex Field

Now Click Done or save to save your asset , the system will assign number for your asset in
this book so that in serach , u will supply asset number and book

Click the find icon in the menu to search for your asset with the number supplied by the
system
And the book name which is Ops Corp
Click find
The system will get it to you

Click Open to get the Asset Data

4 .2 Editing Asset category Descriptive Flex Field

Suppose that you want to add new column in the asset category flex field which is the
insurance class
To edit the asset category descriptive flex field
Switch Responsibility to application developer Descriptive  Segments
Search for Assets Category Flexfield

In the context field values find the Vehicle Owned Luxury Descriptive Field

Click the Segments Button to open the field

Add new segment which is the insurance class segment

Create New Value set for the segment named Vision FA insurance class with this details

Save the flex field and close the window

Now, to enter the valid values for your new values set you have to open the values window
From the navigator select
application developer Descriptive  Values
search for your new segment and click Find

Enter the Values for the Value set as Shown

Switch your responsibility to assets Vision Operations - assets  asset Work bench
The find asset window will appear
Enter the asset number assigned to your asset by the system
Enter the book used to store your new asset : Ops Corp
And click find

Open the category descriptive flex field of the asset

you will find the new insurance class segment
select value from the list
Click Ok
Save Your asset Data

4. 3 Creating New Journal Entry with New Context Descriptive Flex Field

Click New Journal

Journal: New Managerial Expenses

Description : managerial expenses for printer , paper packets , inks , pens

Account : click the button for selecting accounts
Account alias : from list of values select - Employee Exp
Click ok

Select account alias : cash

Department : Facilities Resources

If your manager wants to add new data for the journal entry, may be want to store the
Mobile number of the employee who enters this journal , here we have no columns named
employee mobile ??
Here you can use flex field to add new column to your screen beyond the oracle application
columns to be used as the employee telephone number .

Editing the journal Flex Field to add telephone number

Insure that this screen has the icon which means that this form may be extended by
using oracle flexfields to add new columns
To edit the flex field switch responsibility
Application Developer  Flex Field  Descriptive  segments
Search for the Flex field
F11
Application : General Ledger
Title : Enter Journals : Journal
Ctrl F11

Open the field segments , add new segment with name mobileno

Note that you have the ability to add up to 10 columns

Select attribute 1
Click ok
Click Value Set Button

Select the value set name to be a value set for your segment

Save your work

Close the form
Open the value window to enter valid values for your Value set

Exit the form
Oracle application will tell you that the value set will be compiled
You can see it from view  requests
Now switch your responsibility to general ledger vision operations  journals  enter
Search about your journal entry

Select the mobile number
