SAP HR Tutorial

SAP human resource management (HR) module is also called as Human Capital Management (HCM). It is one of the
important module of SAP systems as it plays an important role in supporting all the business scenarios of human
resources of an organization. SAP HCM module can be integrated with other of modules of SAP like SAP FICO (Financial
Accounting), SAP PP (Production Planning), SAP PS (Project systems), SAP WF (Workflow), etc.

client would like to go for ESS, MSS, Personnel development and ECM.

Travel Management Sub module : – This module deals with all the activities of business travel like booking
travel trips, settlements, etc.

Payroll Accounting sub module : – Payroll module deals with financial records of employees salaries, wages,
bonuses, etc. The basic functionality of payroll is processing the pay components for a specific period.

Training and Event Management : – This module enables to plan and manage training needs and facilities
for employees. Based on the requirements organizations provides training for implementing SAP modules, so
that end to end implementation is possible.

Personnel Administration (PA): – This module maintains all the HR master database of employees, so
information about an employee can accessed on personnel administration.

Time Management (TM) : – TM module enables to track the working time of an employees in an

How to Define Company Code in SAP


In this SAP tutorials we will learn how to define company code “TK01″(TK Software limited) in SAP system.
What is Company Code?

Company code is an independent organizational unit which is registered under companies act 1956. Under
company code you can generate individual financial statements like profit & loss account and balance sheets.

 The definition of company code in SAP is mandatory.


 It is mandatory to create at least one company code for implementing the SAP financial accounting module.

You can define company code in SAP by using navigation method or transaction code.

 Navigation: – SPRO – IMG – Enterprise Structure – Definition – Financial Accounting – Edit Copy, Delete, Check
company code
 Transaction code: – OX02
 Database Table: – T880

Step 1) Enter transaction code “OX02” in the SAP commend field and enter to continue.

Step 2) On change view “Company Code”: Overview screen, displays with the list of company codes with their names.
Click on “New Entries” button to create new company code as per organizational requirements.

Step 3) On new entries company code screen, update the following details.

 Company code: – Enter 4 digits alphanumeric code that identifies company in SAP
 Company name: – Update the name of the company
 City: – Enter the name of city in which the company is located.
 Country: – Enter the name of country. Press F4 for possible entries and you can select the code from
the list.
 Currency: – This currency is also called as home currency or local currency.
 Language: – Our default language key: English (EN).
Step 4) After updating all the required details, click on save button to save the configured data.

Now the system prompts the another screen to update the full address of company. Update all the required
address details of company and press enter to save the data.
Step 5) Now you get the transport request number, save the request.
Define Personnel Area in SAP

What is Personnel Area?

Personnel area in SAP represents as a geographical location of an organization, where it can not be a
department.

Technical field name of personnel area in SAP is “BTRTL”

Step by step configuration steps of personnel area in SAP: –

Step 1 :- Execute tcode “SPRO” from command field.

Step 2 :- From display IMG screen, follow the IMG path as shown below image and click on IMG activity
personnel areas.
Step 3 : – From choose activity screen, you will get display with two options i.e.

1. Copy, delete, check personnel area


2. Personnel areas.

If you like to copy, delete or check existing personnel area, choose first option and do the required actions. To
new personnel area in SAP, double click on the “personnel areas”.
Step 4 : – From change view personnel areas overview screen, you can create new personnel area in SAP
either using new entries option or copying from existing personnel area. Click on new entries button to create
new personnel area in SAP HRM.

Step 5 : – On new entries personnel areas screen, enter the following details.

1. Personnel area : – Enter the new key that identifies as personnel ares in SAP, you are allowed to enter
up to 4 digits alphanumeric key.
2. Description : – Update the description of personnel area.
3. Personnel areas : – Under personnel areas, you are required to update the address details of personnel
area. The required fields to update are House number, PO box, Postal code, Country key, region,
country code and city code.
After maintaining all the required details of personnel area in SAP, click on save button. Now a window opens
for updating detailed address information of personnel area. Update the required address details and save the
updated address data.
Define Personnel Subarea in SAP

What is Personnel Subarea ?

Personnel subarea in SAP is a further division of personnel area. Personnel subarea can be a department or
branch office based on the company business process.

Technical field name of personnel subarea is “BRTL”.

How to define personnel subarea in SAP


Refer below step by step configuration procedure for creation of new personnel subarea in SAP system.

Step 1 : – Execute Tcode “SPRO” and SAP command field.

Step 2 : – From display IMG screen, follow the menu navigation and choose img activity “personnel
subareas”.
Step 3 : – A choose activity window appears on the screen with the two options i.e.

1. Copy, delete, check personnel subarea


2. Create personnel subareas.

If you like to create new personnel subarea in SAP, double click on the option “create personnel subareas”. To
copy or delete existing personnel subarea, choose the first option for any changes as per your requirements.
A popup window determine work area entry opens, enter the personnel area key in the field work area and
press enter.
Step 4 : – From change view personnel area/subarea overview screen, click on new entries button to create
new personnel subarea in SAP.
Step 5 : – In the next screen, personnel subarea new entries screen, update the following details.

 Personnel subarea :– Enter the four digits key that identifies as personnel subarea in SAP
 Pers. subarea text : – Enter the description of personnel subarea.
After maintaining personnel subareas in SAP, click on save button and save the details. Now you get a
message as “Data was saved”.

SAP HR – Define Employee Group in SAP

What is an Employee group?

An Employee group in SAP specifies as a category of employment, for e.g. permanent employees, contract
employees, trainees, etc. Employee groups and employee subgroups are considered as personnel structure
which is a part of enterprise structure.

Field name of employee group in SAP is “PERSG”

How to define employee groups in SAP


Refer below step by step configuration procedure for creating a new employee group in SAP.

Step 1 : – Execute Tcode “SPRO” and SAP command field.

Step 2 : – From display IMG screen, follow the navigation menu as below image and choose IMG activity
“Employee groups”.
Step 3 : – On change view employee groups overview screen, the system displays a list of defined employee
groups in SAP. To create new employee group in SAP, choose new entries button and create new employee
groups as per the requirements of an organization.

Step 4 : – On new entries employee groups screen, enter the following details.

 Employee group : – Enter a key that defines as employee group in SAP. You are allowed to enter a
single digits key for new employee group key in SAP.
 Name of employee grp : – Update the descriptive name of an employee group.
After maintaining all the required employee groups in SAP as per requirements of an organization, choose save
button and save the details. Now you a message as “data was saved”.

Step 3 : – In next screen, a choose activity with two options displays for maintaining the employee subgroups
in SAP.

Double click on employee subgroup option to define new employee subgroup in SAP as per requirements of an
organization enterprise structure.

Step 4 : – From change view employee subgroups overview screen, choose the option new entries for creation

 Name of EE subgroup : – Enter the name of an employee subgroup that shows in SAP system.

How to assign personnel area to company code in SAP


The link between personnel area and company code is established through the assignment of company code to
personnel area in SAP.

Step 4 : – On change view “Assignment of personnel area to company code” overview screen, click on
position button and enter the personnel area key in the entry field, press enter ? to continue. Now you your
personnel area key displays on top of the screen, so that you easily assign company code to this personnel area
in SAP.
Step 5 : – Now enter the company code “TK01” in the given field company code, country grouping key (Press
F4 for list of available country grouping codes) and press enter..

Click on save button and save the configured assignment details.

Successfully we have assigned personnel area to company code in SAP HR.

SAP -HR PERSONNEL ADMINISTRATION

How to maintain user parameters in SAP


In SAP HR, we are going to maintain the two user parameters for maintaining the consistency IMG
configuration.

1. Country Grouping
2. User Grouping

Country grouping : – With country grouping key, you can maintain separate configuration from one country
to another.

For e.g. India – 40, US – 10.

User grouping : – Grouping of similar business process with the country grouping for avoiding the duplication
and handling authorization very effectively.

Note : – In real time project scenario, generally we come across one country grouping and one user grouping
only. For e.g. India country grouping key 40, India user group 40 because most of companies maintain HR
policies at country level.

 Set/get parameter ID: – Choose MOL (Personnel country grouping) from the list. MOL is a technical field for
country grouping.
 Parameter Value : – Update the parameter value as “40”.
Click on save button and save the configured details.

Choose parameters

Now choose insert new row and enter the details as we discussed above.
Choose save button from toolbar and save the configured details.

Step 4 : – From features initial screen, enter the new administrator group name in the given field of Feature.
You are required to enter upto 5 digits key in the field. Now click on create (shift+f6) button for creating the
new administrator groups in SAP.

Note : – If you don’t get below screen, execute transaction code “PE03” from SAP command field.
Step 5 : – From edit feature ADMIN: Attribute screen update the following details.

 Title : – Enter the descriptive title of administrator group in SAP.


 Feature : – Under this field, update the responsible person’s SAP user id, choose the option changes only by
person responsible if required. By choosing this option, only assigned responsible person are allowed to change
any feature activities.
 Structure/ field name : – Update the responsible person user id and check the option “changes only by person
responsible”. If you check this option, responsible person is only allowed to change structures and field names
in SAP.
Click on save button and save the configured details.

Successfully we have defined new administrator groups in SAP HR.

SAP HR – Define Infogroups in SAP (Info Group)

What is an info group in SAP HR

Grouping of relevant infotypes (list of infotypes) to perform a specific actions in SAP is called as infogroup.
Actions will execute infotypes as per the info groups sequential order.

Actions and choose IMG activity define infogroups.
Step 4 : – Choose activity screen appears with three options, i.e.

i. User group dependency on menus and Info groups


ii. Infogroup modifier
iii. Info group

Choose the first option “user group dependency on menus and info groups”
Step 5 : – On change view User group dependency on menus and info groups overview screen for defining
new infotype menu for infogroup in SAP.

Step 6 : – From new entries inforgroup screen, enter the following required details.

 Menu :- Enter the two digits key that defines as infotype menu in SAP – TK
 Text : – Update the description of menu – TK Hiring Infogroup
 User-dep : – By checking this user dependency check box, it implies that menu can be used for reference group
40.
 Ref. : – Update the user reference groups as 40. Reference 40 refers to user group entered in user parameter
node, this menu can be used for any reference group.

Press enter and click on save button to save the configured infogroup details. Similarly create other new
infogroups as per requirements of project.

Define Info Group

Step 7 : – Now go to back choose activity screen, and double click the Info group option.

On determine work area entry screen, update the info group key as “TH” and press enter to continue.
From change view “Info groups” overview screen, click on new entries button.

On new entries Info group screen, update the following details.

User group No Operation Infotype SC Infotype text Subtype

40 01 INS 0000 Actions

40 02 INS 0001 Org. Assignment

40 03 INS 0002 Personal data

After maintaining all the required details for Info group, choose save icon for saving the configuration data.
Successfully we have defined new Infogroups in SAP HR.

What is an Infotype in SAP HR


In SAP, infotype is an information table which stores logical related data. Infotypes are specially designed only
for SAP HR module. It denotes as an information type, the data for the employees would be maintained in info
types.

Standard SAP R/3 system delivers various infotypes which can be used to maintain different data for the
employees separately in different info types. Technically info type denotes as logical grouping of data fields
which are used to store the information of employees in SAP.

Characteristics of Infotype

 Info type stores the data in a table for a specific period of time, means when you create a object with the dates
from 01.04.2010 to 31.03.2020, you can view the object up to 31st March, 2017.
 The data will not be deleted and you can view the objects by changing the date.
 Every infotype is defined with four character numerical key with long text.

Infotype Validity Periods

Validity period of time is used to denote the time period for information stored in infotype. Every infotype
would have a start date and end date. In some cases infinity date is used for infotypes wherever end data can
not be predetermined.

Infotype Subtypes

Some infotypes can have a sub types, which is used to denote sub infotype. Subtype refers as the further
classification of an infotype in SAP.

1. SAP Standard infotype


2. Customer Specific infotype
SAP standard Infotype : – Standard SAP infotypes are the infotypes which are delivered by standard SAP
system. Standard infotypes comes with predefined settings which are used to maintain employees information.
Standard infotypes can be divided into two categories

 International infotypes : – This international infotypes can be used for all countries.
 Country Specific infotypes : -This types of infotypes are only used in specific countries, this infotypes are used in
payroll process.

Customer Specific Info type : – You can create custom infotype as per requirements of project. This
infortypes are used by SAP HR – ABAP consultants.

What is an Infotype Menu?


Grouping of relevant infotypes under a single tab in the master data screen is called as an infotype menu. With
the help of Infotype menu in SAP, you can easily maintain master data of employees.

In transaction code PA30 (Maintain HR Master Data), different infotypes are maintained under each tab. You
can maintain maximum 10 infotype menus in the master data for a specific user group.

Step 3 : – On user group dependency on menu and infogroups screen, check the existing entries and use those
menu as per your requirements. Choose new entries button to create new menu as per requirements of project.
Step 4 : – From new entries menu type screen, update

 Menu : – Enter the key defines as infotype menu in SAP.


 Text : – Enter the description of menu.

Press enter and choose save button and save the configuration.

Note : – We have already configured one infotype menu “TH” when we are creating infogroups in SAP. You
can edit this info type menu or create new one.

Step 5 : – Now click on back button or press function key F3 for choose activity screen. Click on infotype
menu option to configure infotype menus in SAP as per client requirements.
On determine work area entry scree, enter menu key as “1”.

From change view infotype menu overview screen, click on new entries button to configure new infotype
menu in SAP

On new entries menu (1 – basic personal data) screen, enter the required infotypes as per sequential order.
Click on save button and save the details.

Successfully we have defined new infotype menus in SAP HR.

in SAP are Hiring, transfer, promotions, leave, resignation, termination, retirements, rehire, etc. An action
infotype is one of important infotype that records all the activities of an employee from recruiting to last day in
a company.

When an employee is hired, the specific infotypes are to be maintained in SAP. The following are the
important infotypes are to be maintained for hiring an employee.

Infotype 0000 – Actions

In this infotype 0000, actions of a particular employee is entered. For e.g. Hiring an employee is one action,
retirement of an employee is one action, transfer of a employee is one action, etc. This type of actions of an
employee are declared in this infotype actions. The data updated in this infotype actions, will be automatically
updated in other infotypes.

FC : – FC stand for functional character, and the available values are

 0 – Other Actions

Employment : – Update the employment status for action type and values are

 0 – Withdrawn/ Termination/ Resignation, Transfer, etc.

Special Payment : – Special payment status specifies how an employee is getting payment.

 0 – No payment
 1 – Standard payment
 2 – Special payment

Activate check fields inputs for personnel area, position, employee group, employee subgroup.

Country reassignment : -Action country reassignment action field for country transfer.

Calendar is not a client specific, if any change done it effects directly in all clients in SAP.

Types of public holidays in SAP

Step 1 : – Execute tcode “SPRO”

Choose “SAP Reference IMG”

Follow the navigation time management >> Work schedules and choose img activity Define public holiday
classes.
Step 2 : – From SAP calendar: Main menu screen, you will get three options i.e.

1. Public holidays
2. Holiday calendar – It specifies the number of public holidays for a specific period.
3. Factory calendar – It specifies the number of public holidays along with working week holidays.

choose public holiday and click on change button.

From change public holidays: overview screen, click on create button.


With Fixed Date

Step 3 : Choose the type of public holiday – with fixed date and click on create button.

Step 4 : – On Create/ change public holidays: fixed date screen, enter the following details.

 Day: – Enter the day of the month.


 Month :- Update the month.
 Guaranteed : – Choose not guaranteed radio button.
 Public holiday attributes : –
o Sort Criterion :- Update the sort key, so the holidays can be sorted accordingly.
o Religion denomination : – Choose the religion if the holiday for a specific religion.
o Public holiday class : – Choose 1 (ordinary public holiday)
o Holiday name : – Enter name of holiday in short and long holiday name fields.

After updating required


details for creation of public holiday in SAP, click on create button and save the configured details.

Floating Public Holiday

In floating public holidays, you can change every year with a close proximity ( 2 to 3 days).

From change view public holidays overview screen, choose create button.
Now choose floating public holiday option and click on create button to create the floating public holiday in
SAP system.

On create/ change public holidays: floating public holidays screen, enter the following details.
After maintaining the required details, click on insert button >> and then click on create button. Now you get a
message as “Public holiday was entered”.

Distance to Easter : – This calendar is followed by some countries like European countries. When following
distance to easter, easter Sunday and remaining holidays will not be captured.

Successfully we have defined public holiday classes in SAP HR.

Personnel Subarea groupings


The standard SAP system maintains personnel subarea groupings and daily work schedule groupings with
defaults. In real time, this node will not be opened as it is already standard and maintained. Personnel subarea
groupings is a two digits key that is mapped to the personnel area and personnel subarea. For easy process, you
can group personnel area and personnel subarea which has the similar working process.

Personnel subarea groupings consists two configurations.

1. Group Personnel Subareas for the work schedules


2. Group Personnel Subareas for the daily work schedules.

First we need to define groupings for daily work schedules in SAP, and then it is mapped to work schedules
grouping.

Define Break Schedules

In this activity, you define break schedules in SAP. Every organization follows some break schedules like
break fast break, lunch break, Coffee/Tea break, Dinner break, etc. When you are creating new break schedules
in SAP, you need to give starting and ending time stipulates time as paid or unpaid.

Break schedule time differs from shift to shift. So you can define break schedules as per shifts, for e.g.
morning shift, afternoon shift, night shift, etc.

Configuration steps
Step 1 : – Execute tcode “SPRO”

Choose “Display SAP Reference IMG”

Step 2 : – Follow the navigation Time management – Work schedules – Daily work schedules and choose img
activity “Define break schedules”.

Step 3 : – From choose activity screen, click on “Determine break schedules”.


Step 4 : – On change view “Work break schedule”: overview screen, click on new entries option to create new
break schedules as per requirements of client in SAP.

Step 5 : – On new entries work break schedule screen, enter the following details.

 Grpg : – Update the key which is Personnel Subarea grouping for daily work schedules.
 Break : – Update any name
 No : – Update the sequence number of field.
 Start : – Update the break schedule starting time, update the time 24hrs format.
 End : – Update the break schedule end time.

 0, 25: – Specifies quarter – 15 minutes.


 0,75 specifies 45 minutes.

Click on save button and save the configured work break schedule in SAP.

Define Rules for Variant

To define working schedule rules for variant follow the configuration steps.

Menu Path: Time Management/ Work Schedules / Daily Work Schedules / Define rules for variant.

Step 1 : – From display IMG screen, follow the navigation and choose IMG activity “Define rules for variant”

Step 2 : – From change view “Rules to determine variant for monthly WS rule generation, click on new entries
button to create rules for variants.
Step 3 : – From new entries rules for variant screen, define the rules as per your requirements and save the
details.

Define daily work schedules

In daily work schedules, you define actual working hours per day in an organization with scheduled break
times.

Step 1 : – Follow the menu navigation and choose define daily work schedule.

Menu Path: – Time Management/ Work Schedules / Daily Work Schedules / Define daily work schedules.
Step 2 : – On change view “daily work schedule” overview screen, click on new entries button to create the
daily work schedules as per the requirements of client.

Step 3 : – On new entries daily work schedules screen, enter the following details.

 DWS Grouping : – Enter Personnel Subarea grouping for daily work schedules key.
 Daily work schedule : – Enter the four digits key that defines as daily work schedule in SAP and its description in
the text field.
 Start/ End : – Enter the starting date of daily work schedule and end time appears automatically.
 Daily ws class : – It specifies whether a particular day is working day or day off/ week off (1 to 9 indicates
working days).
 Breaks : – Update the working break schedule (WBS) key as BRSC as we defined in SAP system.
 Flextime : – Flex time determines the employees should work for 9 hours in between the time.
 Tolerance time : – Enter time for begin tolerance and end tolerance as per requirements.
Choose save button and save the details.

Define Period Work Schedules in SAP HR


In SAP, period work schedules specifies the number of daily working schedules for a particular period of time.
In SAP HR, you can define period work schedules based on weekly work.

Period work schedule can be represented as a week or month based on the requirements of client. In standard
SAP system you can define only number of weeks but not monthly schedules. For monthly schedules, ABAP
developers can customize the program as per the requirements.

choose IMG activity “Define period work schedule”.

Step 4 : – From change view “Period work schedule” overview screen, click on new entries button to create
new period work schedules in SAP as per the requirements of an organization.
Step 5 : – On new entries period work schedule screen, enter the following details.

 Grpg : – Enter the personnel subarea groups for DWS key i.e. 50.
 PWS : – Enter the four digit key that defines as period work schedule in SAP system.
 Period WS text : – Update the descriptive text of period work schedule.
 Week : – It specifies the shifts for the week. Enter the sequential number i.e. 001. You can define number of
weeks but not monthly schedules in standard SAP.
 01 – 07 : – 01 to 07 denotes as 7 days in a week that starts from Monday on wards. Here you need to update
the daily work schedule key to working days.

After maintaining period work schedule for week, choose save icon and the configured details of period work
schedule in SAP system.
