Student Evaluation System

Chapter I INTRODUCTION

People nowadays living in an information age dependent upon digital information.

Digital information is electronic information the result of computer processing. Every type of job

relies upon getting information, using it, managing it, and relaying information to others. Hossler

and Bean (1990) Computers enable efficient processing and storage of information.

A student grade evaluation system plays a key role in the management system school.

But such a system does not often relate expectations, outcomes, and performance. As each

student desires to achieve a good score for each Assignment, Exam, Project and/or Reports, the

whole process adds heavy workloads for teachers in order to make their evaluation fair,

comprehensive and accurate. From the faculty perspective, these are necessary to avoid

disagreement from students and parents. A student grades evaluation system is a highly desirable

addition to the educational tool-kit, particularly when it can provide less effort and a more

effective and timely outcome.

The student evaluation system is designed to provide incentives for achievement and

assist in identifying problem areas of a student. It is the most commonly used means of analyzing

student performance, talents, and skills. Student’s grades are vital information needed in

advancing the next grade/year level and its accuracy is very important.

Many teachers feel that time they take in recording and computing for the grades of their

students is the time that could be better spent elsewhere, like preparing lessons, researching or

meeting with their students. With the advent of computer technology, more and more schools are

taking advantage of a variety of grading systems available both offline and online that can help

save time on administrative tasks and give teachers more time to attend to their important

functions. However, a greater majority, especially small schools, government schools, and

schools in remote areas, still utilize the manual method of recording for the grades of the

students.

1.1 Background of the Study

Bacolod City College (Fortune Towne Campus) is a public school in Bacolod City,

Negros Occidental. It was established in 1997 and is utilizing the manual system in almost all

phases of their school work.

The school maintains a small staff of teachers and personnel as compared to its growing

population. There are teachers handling as many different subjects, aside from being a class

advisor and an area coordinator majority of the teachers handle four different grade year levels.

Bacolod City College – school uses the manual way of evaluating grades and adding

information or records of students. The process entails a lot of effort and by computing and

storing of data manually the process is prone to error especially to the professors who handle two

or more classes. By using the manual way of computing and storing data, being prone to error is

possible and just by a single mistake, repeating the process may be required.

1.2 System project context


Developing a grades evaluation system for Bacolod City College would make the task of

recording grades easier for the teachers. This will not only benefit the teachers of the school but

will also benefit the students because of the improvement in the accuracy and productivity of the

teacher evaluator or the in-charged personnel.

1.3 Objectives of the study

General objectives
 The general objective of this study is to develop a Computerized Students Grades

Evaluation System for Bacolod City College (Fortune Towne Campus).

Specific Objectives
 To design and develop a module that will record the students’ profile and grade for each

subject.

 To automatically identify the credited subjects if transferee or from another course.

 To view or display subjects to be taken in the next semester.

 To generate real-time reports as needed by student or the area coordinator.

.1.4 Scope and limitation of the study


This study is focused and will concentrate on the grades evaluation system of Bacolod

City College (BCC), exclusive for Fortune Towne Campus only; design and develop a module of

the school, to automatically identify the credited subjects, display subjects to be taken in the next

semester and to generate real-time reports because Computerized Students Grades Evaluation

System is used in computing and analyzing the performance and skills of the students. It is an

important record to keep even for the longest time for the referral and credentials of the student

to enter their next level of attaining their goals. It is the track record that recognizes of students,

this may be used for analyzing of their grades to precede their next taken subject.

This system can view the student record and password protected to secure the integrity of the

record.

This system entered data cannot be deleted to prevent loss of data. Mistaken input
will be deleted on the database by an authorized person/operator only. The system cannot
be viewed online and the system has no password recovery. The said system is only for
recording and keeping of student grades. It is not for enrolment and registration use.

1.5 Significance of the study


The computers provide convenience to their users through an easier and faster way of recording

information. The population of students in almost all educational institution is rapidly increasing

so great demand in teaching force is also becoming higher.

Grades evaluation system is a very important aspect of a school’s operations and goals. The

students are graded to measure their performance and knowledge in every grading period.

Teachers spend the massive time to accurately compute the grades of the students using their

calculators, and, in earlier times, teachers manually solve grades using paper and pen. The basic

objective of a student grades evaluation system is to communicate to parent’s periodic evaluation

summarizing significant factors of the student’s adjustment in the total educational program. The

cumulative purpose of the student grades evaluation system is to supply the parent a composite

statement of the educational process in a specified period of time for the student in selected areas

of learning.

A computerized evaluation grading system for Bacolod City College – Fortune Town Campus

will provide a marked improvement in the way teachers record and compute for the grades of

students. The study will be a great help for:

Faculty Members of BCC Fortune Town Campus

 The teachers to record for the grades of their students faster thereby lessening their

workload and providing them with added time to attend to other functions. This in turn

would improve their efficiency as teachers.

School Administrator of BCC Fortune Town Campus

 For College School Administrator no longer have to re-compute the grades of each

student to check on their accuracy. Reports such as grading system sheets and the class

records can be submitted on time.

Students

 Students can now look forward to better lessons since their teachers would have added

time to prepare for their lessons plan.

 It can help them to inquire their grades in a more efficient way. They can get their

summary of grades and be able to print it in a paper report without hassle and fast

transaction.

1.6 Operational definition and terms


 Accuracy – the ability to work or perform without making mistakes.

 Automated - to apply the principles of automation to (Mechanical Process, Industry, Office,

etc.).

 Computerized - convert (Information) to a form which is stored or processed by a computer.

 Credited subjects - recognition by a college or university that a course of studies has been

successfully completed; typically measured in semester hours.

 Evaluation - to determine the significance, worth or condition of usually by careful appraisal

and study.

 Generate - to be the cause of or reason for (something, such as interest or excitement.).


 Grading System - a system of classifying or ranking on a particular scale.

 Integrity - the quality of being honest in having strong moral principles.

 Module - is a software component or part of a program that contains one or more routines.

 Real-time - is something happening now or something that is being broadcast over the exact
number of minutes, seconds or hours the event is taking.
 Redundancy - the state of being not or no longer needed or useful.

 Students’ profile - Central to student life is the four-year residential college system,

where students develop friendships, receive academic advising and participate in intellectual,

cultural, recreational and social activities.

 Transferee - a person who is transferred or removed, as from one place to another.

Chapter II REVIEW OF RELATED LITERATURE AND SYSTEMS


The literature and system cited in this chapter tackle the different concept,

understanding, and ideas, generalization or conclusions and different development related to

study of the enrollment from the past up to the present and which serves as the researchers guide

in developing the project. Those that were also included in this chapter helps in familiarizing

information that is relevant and similar to the present study. Other schools are still using not fully

automated data bases in record keeping and distribution of information.

2.1 Review of Related Literature


Enrollment management is “not just an organizational concept: it is both a process and a series of

activities that involve the entire campus”. (Hossler & Bean, 1990). Dennis (1998) defines

enrollment management as forecasting trends that will affect higher education and utilizing

research to plan for the future. (Dennis, 1998). Second, Dennis lists the following attributes of

those who understand enrollment management. Hossler and Bean conclude that there are two

goals of enrollment management. “First, to exert more control over the characteristics of the

student body and two control the size of the student body” (& Bean, 1990, p.5) given these two

perspectives, one would say that enrollment management is concerned with the attraction and

retention of students (Braxton, Vesper, & Hossler, 1995). Donhardt (1995), feels that enrollment

management involves the influence of the whole enrollment picture from recruitment through

graduation. Bateman and Spruill (1995) found that enrollment management extends to the

educational outcomes of attendance.

Hossler and Bean (1990) define enrollment management as “efforts to influence the

characteristics and the size of enrolled student bodies by directing the activities of the offices of

admissions, financial aid, new-student orientation, career planning, retention, and a number of

other student affairs areas” (Dennis, 1998). Tinto and Russo (1994) report that the success of

enrollment management programs has been only moderately successful. In traditional way of

enrolling, manual enrollment system is commonly used as a way of enrolling students to and is

continuing to be used nowadays. In manual way of registering and enrolling students they must

have to fill up first using ball pen and an enrollment form sheet given by their teachers. By the

help of different developers and programmers, they have developed different system about the

registration and enrollment process. Computerized, online registration and online enrollment

systems that helps the school for having an easier process of managing student information.

2.2 Review of Related System


Local

Based on the researcher, a web-based enrollment system for Veritas Parochial School (VPS)

in Web Based enrollment system, Manila was developed to help its students enroll in a more

efficient way without the hassles of waiting long hours in filling out forms, which sometimes

become redundant, or to stand in line and pay at the cashier. It is with the Web-based Enrollment

System for VPS that this new style of enrollment may be achieved. This new type of system

offers its students new options for enrolling at VPS. By logging on to VPS website, one can

register and enroll subjects for a school year. With these, all the students are required to fill out

certain forms that do not take more than a few minutes to accomplish. The system stores its

records in the school database for future references. Confirmation of the transaction made by the

students need to be verified, the payment of tuition fees must be made in the schools registrar.

The students may also browse the web site of VPS and he can check his current account. He can

also refer to the list of the school current tuition fee rates (Pascual & Riceo, 2008) According to

Lopez (2005), a registration system helps and provides efficient and reliable services to the

students, enrollment personnel and administration. Moreover, this system improved the process

of enrollment in terms of searching, retrieving and subject schedules. While in a study conducted

by Cayabyab (2007), many problems and difficulties were identified in the existing system of

Dagupan City National High School (DCNHS). These major concerns are affecting the efficient

enrollment system of students. Security of the students records were found to be at high risk. The

current system may fail to protect some important documents. It has also untimely and inefficient

report generation. A computerized system for DCNHS shall result to a significant increase in the

number of enrollee Network-Based Enrollment system Conde (2007) in his study entitled

“Network-bases Enrollment System of Paete National High School cited that the manual process

of enrollment and manual handling of information and reports of the students is very laborious

one. The proponents developed a network based system enrollment system to the said school to

solve the huge amount of task. Garcia (2002) created the “LSPC Enrollment System”, the study

Due to increasing population of the institution, and the school currently implementing the

manual system, every student spends a lot of time during enrollment period, such as paying their

2.3 Summary and Synthesis


The automated recording system is proposed as a computerized system to ease the pressure of

teachers. The idea of computerizing the system was introduced with a view to address the

problem associated with the current recording system. For one thing, the system will work in the

active record section. This will mean that it can give you access and help you manage the most

current documents and data that the operations are handling. The second sector would be the data

protection and vaulting, which is the area that will ensure all the files are properly files and

The system also has an attendance which maintained in every meeting, a proper record needs to

maintain by respective teachers. Manual record is not efficient and requires time to arrange

record of each individual student. So there is a need to design a system that will automatically

arrange the record grades of each student, an organization system. This proposed will try to

organize the current scenario. Where the system will update the data on the server of the

respective admin as well as soon as the data is updated. The goal is to provide teachers with an

easy, time saving solution to record and maintenance the recording grades. The record for each

student is needed for every lecture and must be submitted after checking the grades.

Similarity

With the above mention studies, Enrollment system of Veritas Parochial School used web-

based and databases to stores their records. Students will logging on website, register and fill out

languages is one way for them to develop their system.

According to Ella (2012), the ideas and concept where the students will check their schedule,

view subjects and teachers and set desired changes and pay online. While Gaton (2012), the

system allows students to choose courses they want to take with the available class schedules.

This allows students to make up their time schedules for different class courses without time

schedule conflicts. After the allotted enrollment period, the system runs and assigns slots to

students. Both concept and ideas does not cover the researchers system in terms of online

The researchers used a qualitative approach which includes document analysis and evaluation as

a strategy for gathering and collecting information. The proponents and used files and other

Upon the collection of data, the proponents study the documents and journals related to the study and

interviewed some professionals for some information needed in the development of the application.

The proponents analyzed the usefulness of the gathered data and through the data validation process

the proponents used elimination process to obtain necessary data that will be encoded to the web

hosting site and will be stored in the database where the application will get information.

In manipulating the interface of the system the user should first choose from the school year and

semester and trivia menu. Upon choosing a menu, the user can either view information of the

semester grades and subject to be taken next semester. The user can access it’s information of the

database and can also edit the given information of students.

3.12 Application Architecture


The proposed system will be program after it will be implemented. Users can download the

application for free. After the application is downloaded, users can choose on the menu on what

information he or she would like to view. The application will serve as a guideline to achieve a

healthy living and to make a fast action if there is an emergency.

System’s Testing and Evaluation

System’s Testing
In testing the application the proponents ask 30 respondent including 10 computer professionals

to participate and use the system and ask for their feedback. This is to ensure that the system has

met the requirements needed for the implementation. After the user used the system the

proponents will ask the respondent to rate or evaluate the system. The implementation of the

application will be based on the result of the feedback and rating given by the respondent.

System’s Evaluation
The System Evaluation Form will be conducted in order to assess the overall function of Grades

Evaluation System. A Total of 30 respondents were asked to participate in System Evaluation

Form survey.

The system evaluation was used as one of the data gathering instrument for this research study.

The questionnaire used by the proponents are McCall's software quality standards and the ISO

25010:2011. The main purpose of the questionnaire is to assess the overall function of the

system. The questions were structured using the Likert format. In this questionnaire, five choices

are provided for every criterion. The choices represent the degree of agreement each respondent

has on the given question. The scale was used to interpret the total responses of all the

respondents for every survey question by computing the weighted mean.
