MOVE IN / OUT GENERAL RULES AND REGULATION (Tenants& Owners)

1. These rules and procedures apply to ALL MOVES regardless of whether it is a sale or a sublet of the
unit or whether it is a regular shareholder or holder of unsold shares.

2. Move-in move out is defined as any move of furniture or the moving of items into or out of a unit in
connection with the beginning or end of the occupancy of a unit by an owner /Tenant.

3. All move-In/Out approval request must be communicated at-least a week in advance of the
requested date & time (including the length of time which the move will take), contact information
etc via e-mail at frondosians@gmail.com & fmafaoa@gmail.com Please get NOC for both Move in
& Move Out from AFAOA office. Without NOC Security will not allow.

4. No noise or vibration which is detectable in any other unit or in common area shall be generated by
any move in or move out activity, any complaint in this will be dealt appropriately starting from
minimum fine of INR 500 to max of suspension of Move-In/out

5. Move-In/Out allowed during following hours:


Monday- Sunday: 9:00 AM - 5: 00 PM
No Move-In/Out allowed at times different then as mentioned above
(Please align with FM on Move in & Out Schedule -NOC)
6. It is mandatory that Move-In/Out happen in presence of facility Manger, & so it is strongly
recommended to inform in advance & adhere to mentioned time to avoid last minute disputes.

7. Any damage to common property during Move-In/Out will be charged to respective flat, based upon
facility manager report.

8. Each Unit Owner or resident of a Unit requesting approval for a move-in or move-out shall provide a
INR 1000 deposit to Association at the time of making any request for approval to move in or move
out.
a.) Said INR 1000 deposit shall be used to defray the costs to repair any damage to the Common
Area (Staircase, lift, Garden, Glasses, Corridor etc.) caused by such move in/out
b.) If the costs to repair any damage to the Common Area is less than INR 1000, then the
Balance remaining shall promptly be returned to the person after repairing complete
c.) If the cost exceeds INR 1000, then the Owner, tenants and residents who are moving In/out,
Shall remain jointly & severally liable to the Association for all of such additional costs.

Standard Procedure for Move in & out has given in next pages along with forms to fill by residents.
9. Facility Manager will conduct a walkthrough of the Common Area (i.e...Lift, Corridors,
Staircase, walls, doors, etc...) Which will be used during the move to insure the condition before
And after the move.

10. Loading and unloading is only permitted at the designated location as specified by facility
Manager. Violators may be cited and towed, and the Owner of the Unit involved in the move
Shall also be liable for violation of this rule. If any damages to common area due to loading or
unloading trucks/containers its cost to flat owner & tenant. Charges will be provide after EC
inspect the damages.

11.Moving of any items over the staircase which is more than 4ft X 4ft X4ft in Length, breath & width
respectively require agreement from facility manger. Transfer of Bed Single / Double / Sofa Dinning
table or any big furniture must be moved through outside via balcony routes using rope.

12. Companies and persons involved in any move in/Out should not use lift to transfer any
Furniture, Hard /heavy material, which can damage the lift in any of the way. Facility Manager
Decision in this will be consider final in case of any dispute.

13. All trash relaying to any move must be properly disposed of with help of Housekeeping staff.
Residents are prohibited from placing trash in corridor/common Area etc.
Standard Operating Procedure - Move-in
 AFAOA office maintains the data of all the residents (owners, tenants). Every resident shifting in and out Adithya
Frondoso has to follow the process of “Move-In” and “Move-Out” documented here.
 Data of all residents are maintained by AFAOA as a statutory requirement.
 The Move In/Out process is handled from the AFAOA office by Facility Manager.
 Move-In/Out is allowed for all days except (FM week off, Please align with FM on Schedule)
 The time for move In/out is between 9 AM to 5 PM
On completion of the Move-In process the resident/association must have data of all members registered with
AFAOA database for unit, Process and Parking stickers on vehicles. Awareness of the rules and regulations of the
Association.

Step 1: Initiate Move-In


 Visit AFAOA office located at G Block Basement besides Gym during office hours.FM (Jayakumar -+91 9742669568)
would guide you with the necessary process and fill the forms.
 Fill in the hard copy "Form 2 - Move in Form” and” Online Form 1 - Resident's Information
Join adda adithya-frondoso-apartment-owners-association.
Fill the Name as per agreement or sale deed, provide the mobile number, email id, and upload clear copy of ID
card and Rental Agreement/Lease Agreement/Sale Deed of the flat.
 Form 2 are available online by mail or Request hardcopy with FM @office.
 In case of a Tenant Moving in, the owner should raise ADDA helpdesk ticket and introduce the tenant to FM/EC.
 It is the responsibility of the owner to validate/verify the tenant and then confirm to the AFAOA.
 Association Members or FM will grant the ADDA &Alliswell access to new Members.
 Member will receive the ADDA credentials to their registered email id.
 Login with registered email and password received via mail into ADDA. LoginADDA
 If member not login first time after grant the ADDA access member will not get any updates from Association

Step 2: Pay Move-In changes


 Treasurer or Joint Treasurer post the invoice against new members move –in flat in ADDA as move in charges .
 Pay the move in charge (Rs 1000/-). All payments are to be made by cheque in favor of "Adithya Frondoso
Apartment ASSN" or by using ADDA Gateway.
 This charge is irrespective of the amount of luggage the resident is moving in with or the floor the resident stays.

Step 3: Obtain Move-In NOC from AFAOA office


 After Complete Step 1 and Step 2 – Member Obtain the NOC for Move-In. Please display a copy of the NOC for
Movers & Packers entry &AFAOA Security.
 The NOC can be used for 7 days from the date of Move-In in lieu of parking sticker.
 Without NOC from Association office, The Security will not allow the Movers and Packers inside the premises.

Step 4: Obtain AFAOA Parking Stickers


 AFAOA FM/Secretary issues Parking stickers for resident Vehicles.
 Before the Parking stickers are handed over to the resident, the resident has to sign the Form 2 B (Move-In
Undertaking) and accept to abide by the rules and regulations set by AFAOA.

 Move-In undertaking forms (Form 2B) has to be filled and signed by the Tenant while collecting the vehicle stickers
 Lifts should not be used for shifting the big furniture items, electronic items. It should go via staircase only
 Big Container vehicles not recommended. Resident should take all necessary steps not to damage the property while
move-in. if any damages recorded those cost to resident after inspect the EC team.
I have read the above Notes & confirm having received the instructions from AFAOA. I hereby undertake to abide by the
Rules and Regulations of the Association during our stay In Adithya Frondoso.

Standard Operating Procedure - Move-out
Step 1: Initiate Move-OUT
 Fill in the Move Out form (Form 3) and inform AFAOA office about the intended Move-Out. This can be done over
ADDA help desk ticket. Or Visit AFAOA office located at G Block Basement besides Gym during office hours.FM

 Online Form 3 available on request from FM/EC & fill and sign it and send it over email/attached to ADDA ticket to

 In case of a Tenant Moving out, the owner should be informed by the tenant in the over email.
 Intimation should be preferably provided at least one week and not less than 3 days before the move-out date.
 It is the responsibility of the owner to make sure that the tenant completes the Move-Out process.

Step 2: Pay Move-Out changes


 Treasurer or Joint Treasurer post the invoice against members move –out flat in ADDA as move out charges
 Pay the move Out charge (Rs 1000/-). All payments are to be made by “ADDA Payment Gateway” or cheque in
favor of "Adithya Frondoso Apartment Owners ASSN".
 This charge is irrespective of the amount of luggage the resident is moving out with or the floor the resident
currently stays.

Step 3: Return Adithya Frondoso Vehicle Sticker, ADDA Access &Dues if any
 Return all Adithya frondoso vehicle Stickers at AFAOA office.
 Request to clear if any dues against flat using ADDA gateway
 Request to FM/EC to Disable the ADDA Access

Step 4: Obtain Move-Out NOC from AFAOA office


 Please obtain the NOC for Move-Out (Single NOC) which includes clearances from the following.
1. AFAOA NOC ( ADDA Access disable and Return sticker)
2. Finance NOC (All outstanding payments e.g. maintenance, charges, penalties etc. should be cleared)
3. Party Hall/Club House NOC
 The NOC can be used by the resident for 5 days in lieu of the stickers.
 Owners must ensure that the tenants have completed the move out process and has handed over the Vehicle
stickers.
 If this process is not followed the next tenant move in to the apartment will be delayed and the owner would need
to take responsibility of the dues and changes pending for the flat.

FAQ
Q1. Why is there a Move In/Out fee charged by the association?
Ans: AFAOA charges Rs 1000/- for any Move In/Out. This fee is collected to fund the overhead caused by Move
In/Outs in the society, wear and tear / depreciation of assets. This Create addition work for AFAOA staff, data
collection and update, HK, Garbage Collections, FM Inspection before and after & Vehicle Stickers. This fee is
applicable to all residents (Owners and Tenants). This fee has to be paid by using ADDA payment gateway or
cheque.

Q2. Does AFAOA provide any help in Move In/Out?


Ans: The AFAOA staff helps in the process to get the ADDA, Alliswell access, stickers and in the process. No, help
is provided to move the luggage. The resident has to make self-arrangements for the same in the agreed time.

Q3. I have a tenant moving out and another moving in. Do they both have to pay both Move Out / In
charges?
Ans: Yes. AFAOA considers these incidents separate. The current resident of your flat has to follow the Move
Out process and move out. Then The new resident has to follow the Move In process. These two cannot be seen
as an integrated step.

Q4. I am doing an internal movement. Moving from one block to another? Do they both have to pay Move
Out / In charges?
Ans: No. AFAOA considers this as one step. Contact FM/EC to get update in ADDA, Alliswell apps & Vehicle
stickers.

Q5. I have no luggage to shift. Do I still have to pay Move Out / In charges?
Ans: Yes. As mentioned earlier, this fee charged by AFAOA has not relation to the amount of luggage a
residents shifts. This fee is a fee collected to successfully maintain the AFAOA functions,

Q6. My tenant has left without the Move Out process. What should be done?
Ans: The Owner is liable for the same. The Owner has the responsibility to make sure the tenant completes the
Move-Out process hands over the stickers.
In such a case all the costs (move out charges, stickers, finance dues etc.) should be borne by the Owner.
Please note - AFAOA doesn't have any security deposit from the tenant and it is not possible for AFAOA force a
desired Move-Out, where as the Owner holds a security deposit of the tenant and can help the society by
making sure the tenant follows the process and does a formal Move-Out.

Q7. 4 of us share a flat - One of us is leaving Adithya Frondoso and another friend is shifting in. Do we still
have to follow the process?
Ans: Yes. The complete process has to be followed and the owner must be informed in any such changes. Both
move out of the first resident and move in of the other has to complete.
Unless the name of the new resident is added in the rental agreement, AFAOA will not provide ADDA, Alliswell
access.
