ADVANTAGES OF CBS :-
• Centralised Database: The data of all the branches covered under the CBS is stored
at one place called Data Centre. In effect, it means that all the operations at the
connected branches take place at one place i.e. at Data Centre.
• Enhanced Security Features: The highest of Security features can be put in place
as Server is located at one place. Access control can be effectively managed on need
to know basis, over and above the basic security features like Maker-Checker
Concept, Audit Trail etc.
• Back Office Functions: The branches of a Bank need not take back-up as the same
are done at Data Centre. Many of the back office functions like Interest Rate
updation, Charge / Fee setup, amortization etc. are handled at Data Centre only.
• Effective MIS: As the data of all networked branches is shared at one Centralised
Location, the Management Information is extracted without the branches having to
do the same. The branches are spared from the burden of providing information by
way of returns / reports etc.
• Integration with Core Module: Integration of other Third Party Software like
Government Business Module [GBM], Customer Relationship Manager [CRM],
Mortgage Lending, AML and KYC Module, SWIFT, Wireless Banking, ATMs,
Internet Banking, POS and WAP Banking etc. is possible.
• Since the Data is on Central Server, duplication of data, work process and repetitive
processes are eliminated.

services. CBS exploits full functionality of a RDBMS by easy and need based
customisation of products and services at Bank level.
4. Trade Finance Module includes Inland / Foreign Bills, Documentary Credits,
Guarantees, Remittances, Pre-Shipment Credits and Forward Contracts.
5. Customer Relationship Module (CRM), Loans Originating System (LOS), etc.
supporting frontend and backend modules.
6. Government Business Module (GBM) enables Pension processing, PPF, CBDT
and RBI Bonds maintenance etc.
7. Core module supports various other delivery channels like Internet Banking, Tele
Banking, POS, ATMs, SMS, and WAP Banking etc.
8. The CBS can support Investment Module, Cash Management Module, Treasury
Module, Risk Management functions including ALM, and even other
requirements relating to Basel-II.
9. With the compatibility, full functionality and open architecture, CBS caters to all
needs of “Financial Super Market” by providing “Single Window Concept” in its
true sense.
10. The CBS supports Multi-lingual, Multi-currency, Multi-national regulations and
Multi-delivery channel.
11. Due to availability of the data at the Central location, many processes and
procedures and back office functions like Inward and Outward Clearing,
Processing ECS Debits/Credits, Issuance of Cheque Books, Statement of
Accounts and Passbooks, Account Opening process, Issuance of ATM [Dr]
Cards, Credit Cards, IDs and Passwords of other delivery channels like Internet
Banking, SMS Banking, Tele Banking, WAP Banking etc. are possible from any
location. In true sense Core Banking Solutions [CBS] provides “AAA” banking
i.e. Convenient Banking Solutions not only for Customers but also for Bank and
their Staff members also. In a way it is a Cost Benefit Solution.

Customisation:-
After the parameterisation process, Customisation is the next important process.
Generally, the CBS Software is an open BOX. It requires bank specific customisation.
This process includes workflow, internal process, identifying field level customization
like “Mandatory” or “Optional” Fields. Bank specific Reports and scripts etc.
Migration:-
In case Bank branches are already working on non-core banking system –
migration to CBS becomes very important for total shift from legacy system i.e.
“Decentralised” mode to “Centralised” mode. At this stage data cleaning and correct data
entry is important, as it creates issues at post migration level stage. Before going live on
CBS System, thorough checking of migrated data, data cleaning and complete data
feeding is very much essential.
ISSUES IN CBS:-
1. Data cleaning [in case of migration from Non CBS to CBS] and Data Updation
are real challenges. The unique IT initiative of CBS is expected to exploit more
on “Information” rather than the “Technology”.

3. Any user who wants to log into the application should have a valid application
user ID. This record contains all the information on the user with regard to his /
her branch address. The record has also other security information like password,
login time, low and high etc. Based on this information, the system does
validations during logging in and allows the user to login.
4. Employees of the Bank, who are expected to work on Core Banking Software,
are defined as Users. Generally, Provident Fund No (which is Unique). Of the
Employee is used as the User-ID for that employee.
5. Each User-Id is assigned a Work Class (which decides the powers vested for the
user to have access to the menu, to override exceptions, passing / posting powers
etc). Various work classes for the users can be defined in the system like -
Operator, Teller, Cashier, Special Assistant, Supervisor, Second line
functionaries, Branch-in-charge, Data Base Administrator at Data Centre,
Auditor, All rights (Restricted to Data Centre officials) etc.
6. Each user in a branch is required to perform a different role depending upon his
designation and assignment of the duties by the bank, for e.g. a Senior Manager
can be posted as Branch Manager in a branch or he may be posted as Second line
functionary in Very Large Branch; in both the cases the role of the Senior
Manage will be different in the different Branches. Accordingly, each User-Id is
also assigned a Role-Id. The Roles defined in CBS System are ‘Supervisor’,
‘Teller’, ‘Cashier-in-charge’, ‘Auditor’ etc. Appropriate rights have been given
to each Role. ‘Auditor’ has rights to ‘Inquire’ and ‘View’ the reports, master-data
etc. Special Assistants and Officers are authorised to ‘Verify’ the transactions and
so on.
7. Different concepts as regards the entry, posting, and verification viz-a-viz stages
of each transaction processing are adopted. Generally, Maker - Checker concept,
where each transaction is entered by an operator and verified by a supervisor is in
vogue.
8. Therefore, the users who are defined as Teller, Cashier-in-charge, Special
Assistants. Officers can create / enter the transactions and other Supervisory User
can verify the Transaction. Under CBS System, users would be required to create
transactions and post them across the branches (Service Outlets as they are
referred to in CBS System). In order to exploit fully the functionalities offered by
CBS System, users may be required to carry out transactions from a Central
location covering all the branches under that particular centre / location as per the
need of the bank. Based on the above requirement, it is mandatory that Single
window concept is working at the branch.
1. Employee / User ID
All the users in CBS system are allotted User-ID as per the Policy and requirements.
Generally, for Employees the Banks are using the PF No. as User- ID and for Direct
Selling Agents (DSA) and other outsiders such as Outsourced Data Entry Operators etc.
different suitable System is followed.
8
Bank of India, Management Development Institute, CBD Belapur
2. Branch Code
Each branch of Bank has a Unique Branch code as per bank policy. This Branch code is
mandatory for attaching an employee / user ID for all practical purposes.
10. Password
Enter the password (To be changed by the user at the time of his first login). Capability
to implement Pass word Policy as per the Bank’s ISSP

at the surplus after considering the Interest expenditure on deposits from the Income
earned from advances Exposure and income earned from other ancillary business.

There are three stages of any transaction. These stages are customized by the Bank
before implementation of the CBS System.
Entry: The data corresponding to a transaction can be entered without any further
operation. Unbalanced batch details may also be entered. An unbalanced transaction can
be entered with a confirmation from the user. The User ID of the person entering the
transaction, the date and the time are captured. If any exception is encountered, an
17
Bank of India, Management Development Institute, CBD Belapur
Posting: After the transaction entry is complete, it should be posted. Posting can be done
at the part transaction level. Exceptions encountered are displayed for each part
transaction. Only a user who has “access” to the account or who has entered the
transaction and has the authority for posting can post a part transaction. The posting
process updates the balance in the account.
Verification: Transaction verification is the last activity. The person who has entered
and / or posted the transaction cannot verify it. The person entering the transaction can
verify the transaction if the transaction has been modified and posted by some other user.
To verify a transaction the person must have the required work class. This ensures dual
control over transactions. If a person, who has the verifying authority, posts a
transaction, the transaction is automatically verified.
It is obvious that once the transaction is verified this transaction cannot be reversed
through system. This has to be reversed manually.
As per the parameters, some of the transactions like System generated transactions are
also reversed automatically by the system. Under System Reversal mode, the system
creates the reversal transaction and updates the reversal flag of the transaction as
reversed. This is stored as reversal flag in the table. Due to some exceptions, if the
reversal transaction posting is not going through, this can be posted manually.
There are different types of financial transactions in the Bank Viz. Cash, Clearing and
Transfer. Follwing are common fieds to be captured:
Account number, Cr. Or Dr. transaction, Currency, Details of Transaction, Other Bank
details, Instrumnet no. Clearing Zones, TOD allowed, Penal Interest etc.
In Cash type of transactions, the receipt or payment is made by the teller. At the time of
receiving the cash, the system debits the cash a/c of the teller and credits the customer a/c
and in case of payment, the Customer A/c gets debited and Cash A/c of the Teller gets
credited. Hence, cash always gets balanced. This will also facilitate the teller and the
cashier to balance their cash in hand on real time basis. In case of single currency cash
transactions, only one credit and one or more debits are possible. The sum of the debits is
taken as the credit amount and the part transaction is generated by the system. For cash
receipts, only one debit and one or more credits are possible. The sum of the credits is
taken as the debit amount and the part transaction for debit to cash account is generated
by the system.
18
Bank of India, Management Development Institute, CBD Belapur
In Transfer type of transaction the system is capable of handling single / multiple debit
and multiple / single credit or vice versa. The system is also capable of handling the
multi currency transaction. Even the cross currency transactions can be handled by the
CBS Software. The system balances each transfer set and throws warning in case of
unbalanced sets.
The system is also capable of providing the facility of posting of partial transactions as
well as Dummy (proxy) posting to facilitate the normal functioning of the branches.
The tracking of the dummy posting is required to be done by the branch.
Some of the transfer transaction where one leg of the transaction is bank induced, the
system will generate the balancing voucher. The System generated transactions facilitate
the branch to reduce its work significantly.
Non Web enabled Transactions – To facilitate corporate customers, CBS has facility to
prepare the files [e.g. payroll] in the format specified by the bank for processing. This
bulk posting facility can be enabled from the Customers place.
In Clearing module, there are two types of clearing viz.- outward clearing and inward
clearing. Direct or bulk posting process is possible in the CBS Outward Clearing
system. The system also supports multi currency transactions by using different clearing
zones in the system. Control over the release of zone and regularising the same can be
done in customised manner as per the requirements of the bank. The system also
facilitats the immediate release of funds in case of high networth customers. The System
also has provision to include the post dated cheque in outward clearing on the due date
of the cheque. This module also provides the latest technology of cheque imaging and
Cheque Truncation.
Inward Clearing module is a user friendly and open ended having all the features
available in the outward clearing module. System supports the uploading of inward
clearing from the centalised location for the local branches as per the soft copy received
from clearing house. Additionaly the Inward clearing module provides TOD / proxy /
underlien posting facility. Now the CBS system provides the facility to undertake the
clearing job by the DSAs’/ outsourced third party agencies.
There is a provision for Opening and suspending Clearing Zones. In case of any
rejections or returns, charges are set up in the CBS System.
There is a provision of suspending a zone to prevent addition of any further instruments
to the zone. Instrument entry is not allowed after the zone is suspended. To re-start entry
of instruments, the suspension must be revoked.
All the above three types of transaction viz – cash, clearing & transfer can done from any
branch in the CBS environment.
19
Bank of India, Management Development Institute, CBD Belapur
BCTT –
To cope up with the introduction of BCTT (Banking Cash Transaction Tax), the CBS
system provides the facilty to calculate and deduct the BCTT from individual a/cs’ on
daily basis and keep it in some non customer a/c from where the tax can be remitted.
Abnormal Transactions –
There are some abnormal transaction limits, which are set at a parameter level, scheme
level and product level where the user can monitor transactions that are being put
through an account. Abnormal transaction limits are set for all types of transaction –
Cash, Clearing and Transfer. There is also a provision to set up limits for new account.
Whenever such limits are exceeded, the system puts an entry into a separate table for
future reference of the user. Such transactions can be inquired subsequently through –
Abnormal Transaction Inquiry.
Banks parameterise different types of error handling rules. Accordingly, the messages
get displayed. Normally, there are three types of errors in CBS environment :
Warning – allows the user to proceed further with a warning message like “payment
against clearing” etc. There will not be any report or noting thereof.
Exception – allows with the permission or sanction of the higher work class user like
“Exceeds limit” etc. These will be reported in the exception transaction report or
“Audit Trail”.
Error – no official can allow such transactions like “Cheque stopped by the
Customer”.
Parking Accounts –
A Parking Account is a Temporary Account for routing transactions, where the bank or
branch is not in a position to post usual transactions on another bank or branch.
20
Bank of India, Management Development Institute, CBD Belapur
Like dual control system in physical environment; this facility is also available in
CBS environment with the two users. Depending upon the Bank requirements and needs,
parameters can be set for accessing, issuing, crossing, verification and payment of
stationery items.
STOP PAYMENT -
Stop Payment instructions for cheque can be entered only if concerned cheque
book has been acknowledged by customer and is duly entered in the system. Therefore, it
is necessary that cheque book should be in acknowledged status before any stop payment
instructions are entered in the system. There is a system for revocation and cancellation
of instructions.
F> Remittances:-
Demand Draft:-
For issuing DD from one CBS Branch to another CBS Branch, each CBS branch will be
having one Office Account, which will be credited while issuing the draft and debited
while paying the draft.
At the end of day (EOD) process, DD accounts in various CBS branches will be funded
by debiting the DD account of the issuing branch and crediting DD Account of Paying
Branch. Advice of Drawing [AOD] is not required in this case.
21
Bank of India, Management Development Institute, CBD Belapur
