Introduction

Welcome to PROPERTY MANGEMENT


SYSTEM

This manual is reference guide for the


ACOR Property Management System.

This manual contains procedures for the


operation of the Property Management
System and the structure of the manual
designed to guide you through the
application of the system.
Login Window

This is the Login screen. Login using


your Username and Password set by
the Administrator.
Main Page

The main page of Gates HMS is the page


where it will be the first window shown
after the user successfully logged in into
the system.

Control List

This selection list lets you access quickly


on the functions of this system.
New Reservation

For new reservations, just click the Reservation button on the


quick buttons located at the upper view of the main page then
click Create New.

Guest Searching (Reservation)

This is the table where you can find the profile of a guest .You
can search them by last name or first name then press enter.
Guest Searching (Reservation)

On the upper table is the Guest Profile List. At the bottom table
you can see the booking history details which show all the
history of the guest you selected.

To create a new guest profile, click the New button at the


bottom right of the guest searching window and it will
automatically direct you to the profile module.
Fill in this guest profile module and when done, click Save to
record this guest profile.
Guest Profile Module

After filling up the module and saving the profile, a pop up


window will appear showing that the data is successfully
updated.
Click OK to continue the process.

Guest Searching (Reservation)

If the guest already had a profile, just search his/her profile.


Select the profile in the list then click Select to use his/her
profile.
Reservation Info

The profile you selected is automatically used in the other


fields on this module. There is a table below that shows
the availability of each room type for the date of
reservation. Finish filling up the rest of reservation info
module. When done click Save to proceed into another
transaction.

Another window will appear asking if you want to


proceed transaction. Just click Yes.
Data Successfully saved. Reservation Successful
Confirmation No. 01-0000003. Click OK to continue.

This module shows all the information of the reservation.


You can add more information of the guest in the guest
general information at the top of this module.

If the transaction has free meals, just check the box. For
breakfast check the BF, for lunch check the LN, for
dinner check the DN and if all three are free, you can just
check Full Board and it will automatically check all three
meals.
Guest Information

When done filling up this module, click Update to save


the record you made and a window will appear asking if
you want to proceed to transaction, and then click Yes. If
the data is successfully updated click Ok. Click Cancel
Transaction to end the guest reservation.
Walk In

For walk in, just click the Reservation button on the quick
buttons located at the upper view of the main page then
click Walk In.
Guest Searching (Walk In)

Fill up the module then click Save to record the profile of


the guest.

If the guest already has a profile, just click the record in


the profile list then click Select button to use the profile.
Guest Searching (Walk In)

The guest information will open using the profile you


selected. Fill up this module then click save to record the
reservation.

A confirmation will appear asking if you want to proceed


transaction. Click Yes to proceed. Data successfully
saved. Reservation Successful! Confirmation No. 01-
0000004.
Room Chart

Click the Reports button on the quick buttons located at


the upper view of the main page then click Room Chart.

Room Chart shows the status of the rooms in the hotel if


there are guests in that particular date.
Arrival Tab

Click the Front Office button on the quick buttons located


at the upper view of the main page then click Arrival.

This is the list of guests who reserved a room for today


that is expected to arrive. Select the record of the guest
that will check in.

When you click the Check In button a pop out window


appears and will tell you if the guest is successfully
checked in or not.
In house Tab

This shows you the list of all records of guests that


already checked in. You can update the record of a guest
at the right side buttons.
Update - Click Update button to update the record and a
pop out window will appear where you can update the
record
Quick Option Window (In-house update)

Services - add transaction with auto post function


Billing - for posting and payment function for in-house
guests.
Payment - function for advance payment upon reservation
Routing - to route the bill charges of other rooms to the
principal room automatically
Changes - to view users log
Room Move - Transfer guest to another room
Reg. Card - to view an In-house guest’s Registration card
Comments, Notes, Traces, Message, Alerts - add
information on guest request or information needed to be
added.
Extend/Shorten Stay

If the guest wants to extend their stay in the hotel for


several days, click Extend Stay button and it will
automatically open the guest information.

In the room information you can see the arrival and the
departure of the guest. To extend the stay just click the
button beside the date and choose a date you want to
check out you can change the number of nights in the
Night(s) field.
Check-out

When the guest leaves the hotel, another window will


open for the payment of bills.
The login window will appear to gain access to the billing
module. Enter your user name and password then click
Login to proceed. The Billing module shows if there are
bills that are not paid yet.
Billing

Before checking out, click the HK Check button at the


bottom left of the billing module for housekeeping.
Housekeeping

After housekeeping, the guest can check out by clicking


Check Out button at the right side of the billing module.
Check Out Tab

This records all guests that already checked out. At the


right side there is button that can let you update the record
of the guest.
Guest Billing

For guest billing, just click the Cashiering button on the


quick buttons located at the upper view of the main page
then click Guest Billing.
Guest Billing

The login window will appear to gain access to the billing


module. Enter your user name and password then click
Log in to proceed.

The Billing module shows if there are bills that are not
paid yet.
Guest Billing

To settle the bill, select the bill from the list located at the
upper left of the billing module and then click the
Payment button at the bottom of the module to open the
payment information.
Guest Billing

A confirmation will appear asking if you want to proceed


transaction. Another window shows you that the Payment
was successfully saved.
Housekeeping

Choose a housekeeping status to change the status of a


room. Update a room if the room is Dirty, Clean,
Inspected or OOS . Click the Apply / Update button to
change the status.

If you want to clear a pending for checking room,


click Room Cleared button for the room clearance.
Reports

To locate all reports click the Reports button.
