Installing Oracle Applications

EBS Payroll Integration with HCM Cloud
Overview
Overview
The EBS Payroll Integration with the HCM Cloud enables you to integrate HCM on the
cloud with an existing e-Business Suite Payroll implementation.
On the HCM Cloud, you use the HR related tasks such as workforce management, HR
information, benefits management and talent related tasks such as succession planning,
performance, and goal management. On the EBS side, you use Oracle Payroll for the
payroll related tasks.
This integration enables you to extract and transfer employee data along with the
necessary set up data from the HCM Cloud and intelligently synchronize the selected
business object data between the Oracle EBS application and the HCM Cloud.
After this implementation, you can use the HCM Cloud for all the HR related functions
and continue to use the existing EBS HCM application for all payroll related functions.
Using this integration you can perform the following tasks:
• Map the EBS entities to the HCM Cloud using the mapping spreadsheets
• Select Configuration function to select the current configuration and to check the
current status of the configuration activities
• Import Reference Data function to import cross-reference data from HCM Cloud
• Define Mapping function to define mapping and validate the mapped entities
• Import and Load data function to import and load the extracted data from the HCM
Cloud
The steps 1, 4, 5-8 outlined in the graphic represent steps performed on the EBS system
while the steps 2, 3, 6, 7 outlined represent the steps to be performed on the HCM
Cloud system.
2. Step 2 - Prepare HCM Cloud for Data Synchronization - HCM Cloud provides the
HCM Extract definitions for this integration. You can configure the following
extracts - Work Structure Extract, Worker Extract, and Compensation Changes
Extract.
3. Step 3 - Extract Reference Data - In this step, the setup data that is defined in HCM
Cloud and not synchronized is extracted so that it can be imported and data
mapped accordingly in EBS system.
4. Step 4 - Import Reference Data for Mapping - This step is performed in EBS system,
where you can import the exported data from the previous step so that this data can
be mapped.
5. Step 5 - Perform Setup Data Mapping - The HCM Cloud entities that are imported
must be mapped to the entities manually defined in the Oracle EBS such as the
business group, the salary basis, and the key flexfields.
7. Step 7 - Extract Work Structure and Worker Data changes - In HCM Cloud, run the
Work Structure, Worker, and Compensation extracts to generate the files for
integration.
8. Step 8 - Import and load changes to EBS - The extracts generated in the HCM Cloud
are imported in the staging tables, validated and loaded in the EBS system.
The steps 1 and 2 are configuration steps that are set up only once during the initial
configuration of the integration. Steps 3, 4, and 5 may have to be performed

If you want to change the existing configuration, use the Edit icon and update the
values.
Selecting Configuration
If you have created multiple configurations, you can use the Select Configuration option
to set a configuration as the default configuration. Using this page you can view the
configuration details and the activities being performed on the selected configuration.
You also have the option to remove any previously created data sets.
Viewing Recent Activities
This option enables you to view a log of the various actions performed on a selected
configuration such as configuration parameter update, import data from HCM Cloud,
entity extraction, and extract to file.
Viewing My Requests
You can view the status of all your requests whether pending, running, or completed
using the View My Requests option for the selected configuration.
Purging Data Sets
During an implementation of the HCM Cloud Integration, the application generates a
number of data sets. You can remove the unwanted data sets using the Purge Data Sets
option. When you select the Purge Data Sets option, the application runs the Purge
HCM Cloud Data Sets process on the selected configuration to remove the data sets
from the staging tables.
Select a configuration to purge.
• Worker Extract
These extracts are used by the predefined EBS Payroll integration solution for
synchronizing the work structure and worker data from the HCM Cloud.

• Enter a filename if the transfer method is FTP or SFTP. Enter the UCM Content ID
of the cross reference file generated in HCM Cloud, if the transfer method is UCM.
The Cross Reference Import process will help you map the setup data with EBS setup data.
• Map the HCM Cloud assignment statuses to the Oracle EBS assignment statuses
Note: You can map one Set to only one business group only.
Note: You can do only one-to-one mapping of the salary basis in HCM
Cloud to the EBS salary basis.
4. Check the concurrent program log file to check the business object mappings.
The concurrent program imports the extract data into the staging tables and initiates the
primary ID mapping process. The mapping of primary IDs is different for each object as
explained below:
• Job - The program derives the flexfield segments of each Job object using the Map
Key Flexfield Segments and derives the business group, the job using the Map
Reference Data Sets. The program searches for the Job with the same segment
combination in the business group and maps the HCM Cloud Job ID to the EBS Job
ID to find a match.
• Grade - The program derives the flexfield segments of each Grade object using the
Map Key FlexField Segments and derives the business group the Grade belongs to
using the Map Reference Data Sets. The program then searches for the Grade with
same segment combination in the business group and maps the HCM Cloud Grade
ID to the EBS Grade ID to find a match.
• Location - After deriving the business group, the program searches for Location
with the same location_code in the business group. A map is created between the
HCM Cloud and the EBS Location IDs in case of a match.
• Department - After deriving the business group, the program searches for the
Organization in EBS with a name same as the dept_name from the HCM Cloud. A
map is created between the HCM Cloud and the EBS Organization IDs in case of a
match.
• Position - The program expects the Position attribute30 to hold the EBS Position ID.
You must define a flexfield structure to store corresponding EBS ID of the position
in Attribute30.
• Worker - Similar to the Position, you must store the corresponding EBS Person Id
and EBS Assignment Id in asg_attribute49 and asg_attribute50 flexfield segments
• Salary - You can establish the salary mapping only if the corresponding
assignment's mapping has already been established. The program searches for any
Pay Proposal Date in EBS under the mapped EBS Assignment with a change date
similar to the HCM Cloud Pay Proposal Start Date.
Navigate to the After you perform this mapping and page using the Go To Task option.
You can import and load the XML files containing the HCM Cloud data that are placed
on the UCM server.
Importing HCM Cloud Data File
When you click the Import file option, the application runs the Import HCM Cloud
Data File for Payroll Integration process to import the XML file containing the HCM
• Export Errors - you can select the data set to identify if there are any errors. Using
the Web ADI interface, you can view these errors in the spreadsheet.
2. Click Validate to go to the Validate HCM Cloud Data for Payroll Integration page.
2. The application runs the Load HCM Cloud Data for Payroll Integration process to
load the business objects.
3. The configuration name and the data set name are displayed by default. You can
select the Action Parameter Group to configure and run multiple processes in
parallel.
Select a data set to display different business objects present in that data set. It also
displays the count of objects in different load states (successful, failed, and pending)
after or during the load process.
Exporting Errors
When the Load process has been completed, you can select the data set and click Export
Errors to identify if there are any errors. You can view the error in the spreadsheet that
opens.
Data brought into the Staging Tables but not into an EBS Application table
When you run the Import process, in addition to the data elements, certain set of
flexfield data is brought into the staging tables but not loaded into EBS application
tables.
You may have to write your own routines to load this flexfield data accordingly into
EBS application tables. For the data elements that are staged but not loaded into the EBS
application, see Appendix: Flexfield Mapping, page E-1
Automating Import and Load ProcessYou can automate the process of extracting the
data from HCM Cloud, importing and loading it into EBS. You can schedule the
extraction process on HCM Cloud and a concurrent program on EBS. See: Automating
Import and Load Process, page I-1
• Select the extract and click the copy icon, enter a new name when prompted..
• Navigate to the Parameters tab and change the following parameters. Note: The
following parameters are presented to the user each time that the extract is run.
The sequence number change simply ensures that the relevant parameters are
displayed in the correct order.

• Click Advanced.
• In Tasks pane, select Submit an HCM Process. Search and select the Extract
defined previously.
The parameter page displays the following options:
1. Payroll Flow – Provide a name for the extract run you want to create [Note:
This name is referred to when running subsequent report].
3. Search for extract copy that needs to be configured and click Edit.

Flexfield Mapping
When you run the Import process, in addition to the data elements, some flexfield data
is brought into the staging tables but not loaded into EBS application tables. You may
have to write your own routines to load this flexfield data into EBS application tables.
HCM Cloud Integration enables importing the HCM Cloud flexfield data into the
staging tables of EBS. When the flexfield data is imported, you can write their own
routines to load the flexfield data to the actual EBS application fields. Before extracting
the data from HCM Cloud system, you must modify the extracts in HCM Cloud to
include the flexfield segments. After the flexfield segments are included, the tags have
to be named from following mappings:

Writing Formula to Derive Final Process Date and Last Standard Process
Date
The HCM Cloud – EBS Payroll Integration provides you with a mechanism to derive a
custom value for the Final Process Date and the Last Standard Process Date fields when
a person is terminated.
To derive the custom value for the Final Process Date and Last Standard Process Date
fields, you can write a custom formula with the name
HCM_PAYROLL_INTG_CUSTOM_MAP and the formula type as QuickPaint for
specific business groups.
The formula derives the required custom value from the available input parameters and
returns the values as output parameters. When you have defined and validated the
formula, the HCM Cloud – EBS Payroll Integration process executes the formula and
populates the Final Process Date and Last Standard Process Date fields with the values
returned as output parameter to the formula.
If you do not provide a formula, then the HCM Cloud – EBS Payroll Integration
defaults the values of the Final Process Date and Last Standard Process Date to the last
day of the payroll period in which actual termination date falls.
Formula Name and Parameters:
