Exercises Week 4 Unit 4: Third-Party Processes

EXERCISE 1:

Business scenario:
You want to perform a Third Party Order Fulfillment, in order to source some products directly from your
supplier to your customer.

Exercise goals:
In this exercise, you will:
- Create Third Party Order Sales Orders and Purchase Orders
- Complete the Order processing via the Third Party Order Fulfillment Work Center.

Prerequisites <keep if necessary>


None.

Task 1: Create the Sales Order


1. Log into SAP Business ByDesign system using the below mentioned credentials –
a. User ID: supplyplanner01p
b. Password: Welcome1
2. Navigate to Sales Order work center by clicking Show/ hide work center navigation icon
3. In the Common Tasks view click on New Sales Order (Advanced)
4. In the screen that opens, in the General Tab, under the Account section, enter Name as
CP100120.
5. Navigate to tab Items.
6. Use Add Row. In the row that is added, enter Product ID as P100202.
7. Again, use Add Row. In the row that is added, enter Product ID as P100205.
8. Observe the following:
a. For Product P100202:
i. In the ATP column, you shall see a green box .
ii. Scroll down and location the Details section. In the section locate the Ship-From.
Here Fulfillment is set to External and the Supplier is already populated as
Technical Component Inc.
b. For the Product P100205:

i. In the ATP column, you shall see a yellow triangle .


ii. Scroll down and location the Details section. In the section locate the Ship-From.
Here Fulfillment is set to Internal with Name populated as Almika Heating
Cleveland.
9. For the Product P100205, change the Fulfillment to External. As soon as you do this, the
Supplier is automatically populated as Technical Component Inc. Scroll back up and observe
that the ATP icon for the product P100205 has changed to green.
10. Click on Submit  Release Order.
11. Note down the Sales Order ID.

Task 2: Check the Purchase Request created based on the Sales Order
1. Navigate to the Purchase Requests and Orders work center.
2. Select the Purchase Requests view.
3. In the Drop-Down box, select All Purchase Requests.
4. Click on the Icon for Open Advanced filter .
5. In the Process Type, enter the Third Party. The Assigned To field should get set to Sales Order.
In the Sales Order ID field enter the ID noted in Task 1.
6. Click Go.
7. Select the row which appears in the table below, confirm that the Open Quantities column is
showing 0 ea. (This is because the Purchase Order is already created).

Task 3: Check the Purchase Order


1. In the same work center Purchase Requests and Orders, navigate to Purchase Orders view.
2. Click on the Icon for Open Advanced filter .
3. In the Process Type, enter the Third Party. The Assigned To field should get set to Sales Order.
In the Sales Order ID field enter the ID noted in Task 1.
4. Click Go.
5. In the table below, for the row that appears click on Edit.
6. Navigate to tab Document Flow. In this tab, you can see that Purchase Order created is linked to
the Sales Order you created in Task1.
7. Confirm that the Status of Purchase Order is ‘Sent’.
8. Note the Purchase Order ID.

Task 4: Process the Third-Party Inbound and Outbound Deliveries


1. Navigate to Work Center Third-Party Order Fulfillment.
2. Select the Third-Party Purchase Orders view.
3. In the Drop-down box select Open Purchase Orders.
4. In the Search box, enter the purchase order ID, noted down from task 3. Press Enter.
5. For the row shows up in the table below, click on action New Third-Party Delivery Notification.
Note: Sometimes it may take time for the Purchase Order to appear here. In this case, just wait
for 5-10 mins and try again.
6. In the screen that opens, in the tab General, enter any alphanumeric value for the field Delivery
Notification ID. (It can be any value that helps you identify the document later).
7. Navigate to the Line Items tab, check the product and the quantity.

8. Now click on the icon , on the screen and select Check Consistency.
9. You will get a message stating ‘Inbound Delivery Notification is consistent’.
10. Click on Release.
11. Click on Save.
12. Navigate to tab Document Flow.
13. You can scroll to the right and observe the Inbound and Outbound Delivery documents have
been created automatically and also released.
