Chapter 1 Introduction

The older and traditional library system use pen and paper to compile the file and sort into
a cabinet. The traditional library system is very costly and consume a lot of time. While the
manual and modern and library system save time and much easier. Instead of using pen and
paper to compile the file, it’s more convenient and efficient to use a modern library system to
save time.

1.1 Background of Study

Edward Everett Luna established Citilibrary on May 1965 in Ibaan, Batangas. The
Ciitlibrary can accommodate hundreds of people at the same time. The Citilibrary have 5
librarian Grace Penelope, Audrey Brooklyn, Ruby Eva, Mason Logan, and Aiden Matthew. It
Citilibrary have 5,000 books. In every book category they have 500 books. In 1 book they have
5 copies of it.
The person who wants to borrow books cannot take out of the library. The borrowers must
fill-out the borrowers log sheet with their full name, name of book, date borrowed, date returned
and signature.

1.2 Statement of the Problem

1.2.1 General Problem
● The librarians of Citilibrary uses the traditional process in recording borrowed
and returned books that leads to inaccurate records.
When the person who wants to borrow books, they will fill-up the borrower’s
log sheet that includes the date, name, name of books, and the date when they will
return the books. If the borrower did not return the book within 48 hours, the book
records will be change and make new records. When the log sheet if already full
of records the librarian needs to get another log sheet for the next borrower.
1.2.2 Specific Problem
● The redundancy of the information records.
The librarian always encounter the redundancy problem in the records,
because the librarian writes the needed information when there is someone to log
in and borrow books. The redundant records are author, title, publisher, year
published, subject and control number. Because the librarian manually write
down the following records in the information book. When they are done writing
down the records in the information book they will type it in MS excel to finish
the record then print again to put into other record. Too much time and paper are
used in these processes and done it manually.

 ● The book of information records are misplaced.
The only reference of borrowed and returned books are the information
records. If the records will be misplaced all the records will be gone.
● Borrowing of books/Returning of books
In the manual library system has different book recording in each book and
it takes a lot of time for the borrower or returner to fill up those forms.
● Report
In the old library system the reports are listed in many log books. In each
book, there is one log book for it. So the numbers of books you are going to
borrow at the same time is number of forms you are needed to fill-up.

1.3 Objectives of the Study

1.3.1 General Objective
To develop a library system that will make the process of borrowing and
returning of books in Citilibrary more convenient.The major objective of study is
to develop an enhanced library system, computerized library system that will
make the record more accurate and make the transaction easier, faster and time
consuming.For borrowing, the librarian in Citilibrary will scan the ID of the
borrower then search and select the book information that will be borrowed.For
returning, the borrower will no longer need to fill-out the date returned and
signature instead the librarian will search only for the name of the borrower in
returning module to get the information and to add the date returned.
1.3.2 Specific Objective
To develop a module that will be used to store book information.

The developed system provides a borrower's module that can be keep and
record the borrower's information such as their ID number, Name, Address, and
Contact Information. Also it will keep records of the books they borrow such as
the information of books, date borrowed and date returned.
● The redundancy of the information records
In recording book information such as control number, subject, book title,
author, publisher and date published, and edition where redundancy can be
avoided by this module because it has a capability to add, update and delete the
entire records.

 ● Borrowing of books
To develop a borrower's module that will keep their information together with
records of the book that they borrow.

● Returning of books
To develop a returner’s module that will keep their information together with
records of the book that they return.
● Report
There will be one record and easy way to search what record you needed. To
locate the records of each borrow and return transactions.

1.4 Significance of the Study

The library system for Citilibrary has a great advantage like accuracy, effectiveness
and convenience within the transaction. The developed system will provide benefits to:
● Librarian
Work of the librarian will be much easier and faster compared to the previous way
of finding books and taking records because this system will help him/her to monitor
the available books, borrowed and returned books.
● The Library
Every transaction in the Citilibrary will be more efficient and easier. Information
is saved into the system database, so loss of data will be minimal.
● The Students and Teachers
Students and teachers will find this library system helpful because it will not
consume so much of their time in borrowing and returning books.
● The Future Researchers
This system will help the future researchers lessen their time doing their research
because finding the books needed will not going to be a problem, they don’t have to
go look in the shelves but they only need to tell the librarian the information of the
book that they need.
● The developers
The developers of this system will gain experience needed to upgrade their
knowledge in programming for the next system that they will be doing or working
with.

 ● Citilibrary
This project will give significance and serve as honor to CitiLibrary and it will
also prove the standards in quality education. This also proves that this library is
different from other libraries because the process is much faster.
● STI College Balayan
This is an achievement for STI College Balayan because they’ve produce a group
of students that can help people reduce their stress and also lessen the amount of time
being in the library doing their research.

1.5 Scope and Limitation

1.5.1 Scope
The developed system will cover the process involved in the library system.
1.5.1.1 Security Module
It helps to secure the system.

● The Librarians
The librarian can access all the records of borrowing and returning of books.

1.5.1.2 Maintenance Module

The system administrator is the only one can access the system. The librarian
is the only one can manage the system.

● Book Information Maintenance

It has the capability to record a new book and it can manage the data for the
book information such as title, author, year published, number of copies, and
control number.
● Books Maintenance
It manage the record of the books
1.5.1.3 Librarians Login Module
This module will be a multi-user login wherein there will be an admin in
which can access all the other modules where can modify the inventory and users
and while the librarian can access only borrowers module, return module and to
create a profile for the borrower’s.

 1.5.1.4 Search/Update
Allows the user to search or browse material/s and modify its
information and availability or delete it. If a student requests for a certain book
or other related materials, a search by title/author/publisher/category will be
made.
1.5.1.5 Borrowing/Returning Module
When a borrower requests to borrow a book, his/her information and
due date will be recorded in the database and the borrowed book will be marked
unavailable. Upon returning, material and borrower’s status will be updated.
1.5.1.6 Fine
In case a borrower isn’t able to return material on time or lost a borrowed
material, the system will automatically compute for the corresponding fine.
1.5.1.7 Adding of Acquisitions
If a new material is acquired, the material will be registered.
1.5.1.8 Printing of Reports
Pertinent reports such as new acquisitions, lost books, book status and
fines etc.

1.5.2 Limitation
● Power Failure
The system does not automatically save data or records in cause of power failure
and power interruption because it is only solved by using battery backup.
● Reservation of Books
The system cannot provide the reservation because the CitiLibrary uses first-come-
first-serve policy.
