Introduction
Welcome to Navitas Professional’s Professional Year Program (PYP).
The main two components of the program are:
1. The BSB40215 Certificate IV in Business delivered by Navitas Professional Training (NPT)
(RTO ID: 21663 our Registered Training Organisation (RTO)), requirements and rules and;
2. The Internship requirements that are set by each of the professional associations, the
Australian Computer Society (ACS), Engineering Education Australia (EEA), CPA Australia,
CA and IPA as gazetted by the Australian Government’s Department of Home Affairs
(DHA).
Within this Participant Handbook, you will find important details regarding the PYP such as:
• attendance policy;
• program rules and regulations;
• the internship component;
• homework and assessments;
• networking events;
• graduation;
• answers to frequently asked questions; and
• useful contacts.
We expect that you will take the time to read and familiarise yourself with this information.

On the back page of this Participant Handbook is a summary of the program rules. Upon first login
to the online learning system, you will be required to complete a task to indicate you have read
and understand the information provided.

Remember that you are now are a trainee professional and many of our policies and procedures
are similar to those you will find in the Australian workplace. We trust that throughout the
program you will develop the necessary skills to fully equip yourself for a successful career in the
Australian workforce.

Application Fee Structure & Payment Options


Information regarding the enrolment fees paid prior to the start of the course is listed on each of
the relevant application forms. Please note that this includes a non-refundable application
fee/deposit (listed below)
• ACS application fee $250
• Accounting application fee $250
• EEA application fee of $250 if you pay in full and $550 if you pay in instalments (both are
included in the tuition fee payable to EEA)
Please see your Letter of Offer or COE for details of instalment amounts and when they are due.
For ACS and Accounting participants payment of tuition fees is by instalments, invoices will be
issued via email upon commencement of the program.
As per the terms and conditions, failure to pay the invoice by the due date will result in a late fee
of $250 (including GST) being applied and may result in your enrolment being suspended until the
payment is received. This in turn may affect your attendance and your graduation. Please note
that any participant that still has payments outstanding will not be placed in an internship.
Copies of the invoices will be sent to you via email, so please ensure that you advise the Navitas
Professional office of any email address changes. Invoices can be paid by one of three methods:
• BPAY (details will appear on your invoice)
• Credit Card/Debit Card
• Bank Cheque (this option not available in Brisbane)
When paying by bank cheque, the cheque should be made payable to Navitas Professional
Training Pty Ltd. The cheque should either be mailed or presented at your local office, with an
accompanying note detailing your name and PY program intake date. This will enable us to cross-
reference your payment against your invoice. Please note that we do not accept personal or
company cheques. This payment method is not available in Brisbane.

If you wish to pay by credit card, one of Navitas Professional’s Credit Card Authorisation Forms
(available from NP’s Policy and Forms webpage at https://navitas-
professional.edu.au/apply/policy-documents/)http://www.navitas-
internships.com/assets/PDFFile/Credit-Card-Debit-Authorisation-Form.pdf must be signed by the
credit card holder and returned to the office for processing. Alternatively, the cardholder can visit a
Navitas Professional office and pay by credit card or debit card in person.
Please note that credit card transactions will incur a 0.2% surcharge to cover bank charges. Any
payment made using the "credit" account will have an extra 0.2% deducted from the account
when payment is processed. Navitas Professional accepts only Visa and Mastercard.
EEA participants will always pay their fees directly to EEA not Navitas Professional (NP).
Note: EEA Only - Changing your payment method from full payment to instalments or vice versa,
will incur a non-refundable $75 administration fee on top of your program fees.

Notification of Change of Personal Details


It is important that you advise the Navitas Professional office of any change of personal details
(address, phone number, email address).
Email and phone are our main methods of communication with you, so it is especially important
that if these details change you let us know immediately so you do not miss any important
communication from us.
DHA and the professional associations on completion of the PY program also use personal details,
so your details need to be accurate at all times.

Navitas Professional administration team to advise of any change of personal details, as well as
updates to your visa, skills assessment, English Language test results and passport. Staff will

BSB40215 Certificate IV in Business
Assessment Criteria by Unit of Competence
The most up to date version of these units can be downloaded from www.training.gov.au or
accessed on request from your Facilitator / Assessor. Successful completion of the assessment
tasks will form part of the qualification that make up the BSB40215 Certificate IV in Business
This qualification is suited to those working as administrators and project officers. In this role,
individuals use well-developed skills and a broad knowledge base to apply solutions to a defined
range of unpredictable problems and analyse information from a variety of sources. They may
provide leadership and guidance to others with some limited responsibility for the output of others.

Methods of Assessment
Navitas Professional uses a range of assessments including:
• Demonstration/Presentation
• Case Study – Fault Finding
• Written Test – Quiz/Short Answer
• Report/Workplace Document/Research
All assessments conducted by us will:
• Comply with the assessment guidelines defined in the relevant nationally endorsed training
package. In the case of our qualifications we will ensure that the competency assessment
is determined by a vocationally competent assessor who holds the TAE10 assessment units
of TAEASS401A, TAEASS402A and TAEASS403A.
• All of our assessments within our RTO will lead to the issuing of a statement of attainment
or to the issuing of a qualification under the AQF where a person is assessed as competent
against the National Endorsed units of competency in the applicable training package.
All of our Assessments will be:
• Valid - Assessment methods will be valid, that is, they will assess what they claim to
assess,
• Reliable - Assessment procedures must be reliable, that is, they must result in consistent
interpretation of evidence from the learner and from context to context,

• Fair - Assessment procedures will be fair, so as not disadvantage any learners. Assessment
procedures will:
o be equitable, culturally and linguistically appropriate,
o involve procedures in which criteria for judging performance are made clear to all
participants,
o employ a participatory approach,
o provide for participants to undertake assessments at appropriate times and where
required in appropriate locations.
• Flexible - Assessment procedures will be flexible, that is, they should involve a variety of
methods that depend on the circumstances surrounding the assessment.
We will achieve this through:
• careful design of the assessments,
• validation and moderation of the assessment materials conducted in our ongoing review,
• an understanding of the definition and practical application of the above definitions.

Assessment Criteria
All our assessments will provide for applicants to be informed of the context and purpose of the
assessment and the assessment process.
This will include information regarding assessment methods, alternative assessment methods if
required to accommodate special needs or circumstances, information will also be included at the
start of each unit or course as to the assessment processes, number of assessments, and types of
assessment. All assessments are marked on a competency basis as either Competent (C)or Not
Yet Competent (NYC).

Assessment Methods
Our assessments and assessment methods will ensure that we:
• focus on the application of the skill and knowledge as required in the workplace, including:
o task skills (actually doing the job)
o task management skills (managing the job)
o contingency management skills (what happens if something goes wrong)
o job role environments skills (managing your job and its interaction with others around
you)
Assessments may be carried out in simulated work context as advised by the training package
assessment guidance criteria.
We will ensure that we assess you in sufficient detail to ensure that we can determine that you
have attained competency.
Staff are available to discuss the outcomes of the assessment process and guidance on future
options.
All assessment tasks must consider any language and literacy issues, cultural issues or any other
individual needs related to the assessment. Re-assessment is available on appeal; see further
details in the appeal process section.

Workplace Simulation
In these sessions, your trainer becomes your workplace manager where you will be allocated work
related activities utilising educational technology tools. These tools include video conferencing,
infographics, video editing software, google apps, screencast development and blog creation tools.
Additionally, you will create your own website to showcase your work on a digital portfolio.
The workplace simulation component of your course requires you to attend the class wearing
suitable Business Attire. Business Casual Attire which includes:
For Men
• Pressed, collared, long-sleeved business shirt
• Dress slacks, socks, belt and shoes
• Shirts should always be tucked in
• Jeans UNACCEPTABLE
• Closed-toe shoes

For Women
• Dress pants, skirt (at or below knee) or dress okay
• Fitted blouses and sweaters/cardings, scarves okay
• Closed-toe shoes (pumps/heels <4cm)
Avoid
• Blingy, shiny, lacy fabric, sequins, khaki, skinny and capri pants, shorts, tight skirts, skirts
shorter than knee length, low-cut and sleeveless blouses/dress, large jewellery, bulky
purse, sandals, wedges, and heels >4cm.

Bring Your Own Device


The Curriculum has been developed with an increased use of educational technology in the
classroom. This includes the use of tools for:
• Digital Portfolio/Website Development
• Blogging
• Screencast development
• Video Editing
• Virtual Meetings
• Website development
• Using Google Apps
The use of this technology means students will be expected to bring a fully charged device to
every classroom session. The minimum requirements for the computer device you bring is:
Processor – i3 Processor
RAM – 8GB
Hard Drive – 128GB SSD (256GB SSD is recommended if not using Cloud storage)

Display – 13” Full HD (1920 x 1080) with a built-in webcam


Headsets/Microphone

Home Study Requirements


Your trainer will set home study each week. You are to complete any home study in your own
time. It is anticipated that you will be required to complete 3 hours of homework per 1 hour of
face-to-face teaching time which is approximately 24 hours per week in addition to your 8 hours in
the classroom. All home study is to be submitted online through myNavCareer Moodle.
At your first class you will be supplied with a username and password to access our online learning
portal – myNavCareer Moodle. MyNavCareer Moodle will enable you to access all of the relevant
materials needed to complete your home study, as well as access participant forums and other
important details about the Navitas Professional PY program. If you have trouble-accessing
myNavCareer Moodle, i.e. forgot your username or password you can contact the ICT Service Desk
to reset your password: servicedesk@navitas.com or use the Self Reset URL https://my.navitas-
professional.edu.au/password-reset/email-NCI/
Failure to complete homework may result in a delay of your internship, or failure of the PYP.

Assessment Outcomes
Your coursework component is competency based. This means that if you complete an assessment
and you do not meet the required standard, that is, you are ‘not yet competent’ (NYC); you are
allowed to attempt that assessment again (addressing the feedback identified by the assessor).
You will have one week to resubmit.
If you are unsuccessful in completing this assessment to the required ‘competent’ (C) level you will
be given a final opportunity to complete an alternate form of assessment and/or additional training
conducted by the PYP trainer/assessor. This will be conducted within one week of your
resubmission.

Assessment Extensions & Late Submissions
All participants are expected to submit their assessments by the due date. In rare circumstances,
a participant may be granted an extension of time for the submission of their assessment. The
timely submission of assessment or the appropriate negotiation of an extension is the
responsibility of the participant. As participants are notified of assessment details well in advance
of due dates, extensions will not be granted without demonstrated serious cause. Extensions will
only be granted in extenuating circumstances and will only be considered on medical,
compassionate or other serious grounds.
Requests for an extension of more than one week from the original assessment due date must be
submitted in writing at least 5 working days prior to the assessment due date. Participants are
required to complete the Extension Request Form (available at: https://navitas-
professional.edu.au/apply/policy-documents/) and email with supporting documentation to their
local Program Services team. The request will be assessed by the trainer who will advise the
participant if their request has been approved or denied.
• No extension may exceed 14 calendar days from the original due date.
• Submitting a request for an extension dos not automatically mean that the extension will
be granted.
• No extensions are available for resubmissions.
• No more than 2 (two) extensions per participant may be granted in any academic year
unless there are special circumstances.

Inability to achieve all of the PYP BSB40215 Certificate


IV in Business Requirements
The Navitas Professional PY Program is aimed at developing your professional skills and therefore
you are required to use your best endeavours to fulfil this obligation. Aside from the previously
mentioned attendance and homework obligations, you are required to adhere to the following:
• Maintain an acceptable attitude throughout the program;
• Fully participate in all organised activities that are part of the PY program; and
• Attend all organised activities that are part of the PY program.
The following situations are examples of how you could fail the PYP:
• Receive three (3) warnings during the program;
• Attendance below the minimum requirement;
• Failure to progress satisfactorily in the program for any reason;
• Not contributing to class activities;
• Speaking in languages other than English in class or the internship;
• Cheating (all online documents will be assessed for plagiarism);
• Exhibiting behaviours that would be unacceptable in the workplace; or
• Submission of substandard work.
If you fail the program, you will not receive your BSB40215 Certificate IV in Business and you will
not progress to the internship phase of the program making you ineligible to receive points
towards migration.

ACS Online Orientation Program
All ACS (IT) participants are required to complete the compulsory ACS Online Orientation Program
as part of their course requirements.
The ACS Online Orientation Program explains what the ACS requires of participants throughout the
PY program and also provides information on what the ACS can do to assist you. Details of the
ACS Online Orientation Program will be emailed to IT participants following the commencement of
the PY program. The site: http://learn2.acseducation.edu.au will be open for participants to
complete the orientation over a designated 5-day period. ACS will email user names and
passwords to access the site directly to participants.
Queries can be directed to the ACS on 1800 671 003.
Please note that failure to complete the ACS Online Orientation Program within the
designated timeframe will prevent you from moving to the next stage of your PY
program studies.

EEA Specific Training


EEA provides a range of support training. This includes free access to the following:
• Project Management Essentials - a new online course covering the same core concepts as
the Certificate IV Project Management Practice
• Clear English pronunciation course delivered by Star Pronunciation- a 15-week program
delivered online.
• Access to Engineers Australia’s new online training platform. Participants will be given
complimentary credits to access high quality courses on topics ranging from technical
skills, career development and becoming a chartered engineer.
EEA will provide further details to engineering participants upon their enrolment.

Networking Sessions
It is a requirement of the professional bodies that participants attend a number of industry
networking events during the PY program. All participants must attend at least two networking
events as part of their assessment in the BSB40215 Certificate IV in Business and write a report.
However, the different professional associations have additional requirements as outlined below. If
you have extra networking events to attend above and beyond your assessments in the BSB40215
Certificate IV in Business because of the professional stream that you are completing, then you
must complete these to be successful in graduating your PYP Year.
Participants can find out about upcoming events on the websites of their professional bodies, or by
contacting the professional bodies directly ACS, EEA, CPA, IPA & CA.
As there are many industry networking events that occur throughout the year, permission will not
be granted to take leave from class to attend such events. Make sure you plan ahead and don’t
leave it to the last minute to fulfil this important requirement.

ACS Requirements (IT Participants)


It is a requirement of ACS participants to attend at least six (6) CPD hours by attending ACS
organised events. The six (6) CPD hours may be completed in one event (such as an ACS
conference), or over multiple events.
ACS participants are also required to write three (3) events reports based on their ACS event
experience. Participants can report on ACS events they have attended anytime during the
Professional Year, but NOT events hosted by a third party. Reports should be 200 – 300 words in
length and must be submitted during the ACS Professional Environment online course.
Make sure you register for events you are attending (via the website or at the actual event) so
ACS can record your attendance. If ACS participants do not meet this requirement, they will
automatically fail this component and thus the PY program. Events can include:
• Special Interest Groups (SIGS), Regular type events e.g. branch forum, advertised
education/ other branch activities, Toastmaster and Young IT events.
Note that ACS Events fill up quickly, so participants are encouraged to book in early for advertised
events.

EEA Requirements (Engineering Participants)
There is a requirement for all EEA participants to attend a minimum of four (4) events
throughout the PY program, two technical and two non-technical events.
What is the difference between a technical and non-technical event?
• Technical events are events directly related to engineering i.e. technical presentation, site
visits, presentation about the future of mechanical engineering etc.
• Non-technical events are organised social events with fellow engineers’ i.e. Young
Engineers functions, awards nights, career planning seminars, dinners etc.
Events can include:
• EEA – your local Engineers Australia division will regularly promote upcoming free events
and workshops, which are usually located at the division office. Keep an eye out for
upcoming events in your division at https://www.engineersaustralia.org.au/Conferences-
And-Events
• YEA – Young Engineers Australia, which offers many social (non-technical) and other
events that are specifically aimed at young engineers.
• Other – in some instances your engineering discipline may cross over with another
profession (such as ICT) and in this instance attending another professional body’s event
can also count towards your Continuing Professional Development (CPD) for the
Professional Year – but remember to record your attendances in the Event Attendance
Sheet and have it validated on the day by the presenter.
It is extremely important that participants be aware that these attendances are mandatory and
must be recorded in their Event Attendance Sheet and the page is submitted via email to a
representative at EEA professionalyear@eeaust.com.au prior to completing the Program. EEA will
not issue a Pass/Fail to the DHA without this record. The template for the event attendance sheet
is available electronically from your local Navitas Professional Administration staff.

Accounting PYP Requirements


Navitas Professional requires Accounting participants to attend networking events as part of their
course work, as there will be assessments based on attendance at such events. Remember that it
is also a chance to network and find out more about your industry at the same time as gaining
some professional development.

current skills set. Navitas Professional offers all new participants with access to Lynda.com,
LinkedIn’s online training platform. You will have unlimited access to more than 5,000 quality
courses to complement your coursework and continue your professional development outside of
the classroom.
Who is eligible to access Lynda.com?
All participants in Professional Year Program are eligible to access Lynda.com.

Online Language Preparation Course –


BULATS/IELTS/PTE-A
BULATS, IELTS and PTE are internationally recognised language assessments of English language
communication and language skills. The results of each of the tests give prospective employers
‘plain English’ examples of a candidate’s language capabilities. As we are committed to improving
employment outcomes for international graduates, the online access to a free English language
test preparation course is just one of the exciting measures in place to ensure Navitas Professional
graduates stand out from the crowd.
BULATS specifically assesses workplace English skills. BULATS scores are on a scale of 1-100 and
indicate “A1-Beginner” to “C2-Upper-Advanced” level. Your BULATS scores provide a description of

IELTS assesses English language skills for migration, study or work purposes. IELTS scores are on
a scale of Band 1-9. Your IELTS scores provide an individual assessment of your reading, listening,
writing and speaking English level and can be undertaken at Academic or General levels. For

PTE-A is a computer-based test for English language skills for study and immigration purposes.
PTE-A scores are on a scale from 10-90. Your PTE-A scores provide an overall score and individual

The PTE-A online preparation course includes 70 sample questions and one sample practice test.
You will be sent a letter outlining each of the online preparation courses after week 4 and you
must advise your choice of one online language preparation program if you wish to be provided
with a login. Once this form has been returned to the local Navitas Professional office, your chosen
online preparation login will be ordered and details distributed within two – four weeks.
English Test Registration
BULATS tests are available at all Navitas Professional locations. You can register for the test
through your local Navitas Professional office. Test dates and fees are available at your local office.
IELTS tests are available at Navitas IELTS Testing Centres near a number of Navitas Professional
locations. Navitas IELTS Test Centres are located in Adelaide, Brisbane, Canberra, Darwin,

Internship Framework
The internship component of the PY program will take place following the 32 weeks of classes.
The internship component is a twelve (12) week full-time, unpaid placement and is designed for
you to put into practice the skills you have learnt during the Navitas Professional PY program and

Internship Guidelines
• Navitas Professional will place all participants in an internship. You do not need to
find an internship yourself as it is our role to find an industry placement for you;
• All internships will be of good quality, and selected from a range of role and
industries;
• Not all participants will start their internship on the same date as the course
calendar. The calendar is only to be used as a guide. Please be patient and understand
that your internship may start a few days or weeks later because host companies:
o have to allocate a supervisor for the 12 weeks you will be an intern
o may have internal staff arrangements e.g. staff on holiday leave
o may have a set date for when a project will start
• All participants must undertake work related to their field of study during their
internship, whether with a small, medium or large company. This is a DHA requirement
for participants to graduate;
• Navitas Professional does not pay host companies to take on interns. Host
companies volunteer to offer a participant a placement in order to assist them in
developing their careers and employability skills;
• Internship placements will be available in a wide variety of industries, for example:
o Professional services;
o Accounting/IT/Engineering company;
o Education;
o Health; or
o Charities.
• It is common in Australia for employees to travel/commute to work. Some
participants will be required to travel either by car or public transport to their internships;
• Your internship is full time, unpaid, Monday to Friday for 12 weeks;
• If you currently have a job which involves doing degree related work, you may be able to
complete your internship at your place of employment. We will need to speak with your
supervisor and conduct a visit to your workplace in order to confirm that the position
meets the requirements of the Program and the Host Company Engagement Benchmarks;
• Please understand that this is an internship program and host companies are under no
obligation to hire you once the internship is completed. We will therefore not be speaking
to companies about hiring opportunities and nor should participants ask this question
during an interview. On occasion, internship opportunities may become available at one
of our many Navitas business units;
• Navitas Professional is the largest private education organisation in Australia and we are
proud of the outcomes of the PY program and in the quality of our graduates.

Host Company Engagement Benchmarks


Navitas Professional has a set of Host Company Engagement Benchmarks in place to ensure
compliance with professional associations and Fair Work Australia guidelines. These are particularly
important for participants who wish to complete their internship with their current employer.
1. Minimum number of Employees to Interns
• Minimum 10 employees to host Interns (as per ACS and EEA guidelines)
o Recommendation: NP recommend that no one supervisor mentor more than one
intern at any one time.
o Note: The minimum is applied as a benchmark for all three PY streams
• Smaller States/Territories: NT, TAS and ACT are classified as smaller regions, therefore
minimum employees would be considered as follows;
o Accounting: minimum of 5 employees
o ACS: will consider placements in organisations of less than 10 employees on a
case by case basis
o EEA: will consider placements in organisations of less than 10 employees on a case
by case basis
2. Supervisors Qualifications
• Appropriately experienced supervisor(s) to deliver training and provide mentorship.

3. Organisation Requirements
• Registered company with and ABN/ACN
• Ability to provide training in line with the interns Job Description
• Capacity to allocate a supervisor qualified in the relevant field.
• Agrees to the Terms & Conditions of a Professional Year Program Internship; understands
the aims, purposes and outcomes sought.
• Suitably located and accessible; has a professional office (i.e. not a home office). Located
usually within 1-1.5 hours of where the intern lives and is accessible by public transport.
• The internship is supernumerary.
• WHS requirements:
o Provide their WHS policy – if they have one.
o If no to the above, provide Navitas Professional with a generated WHS policy as a
guideline or links to State codes of practice.
o Prepared to undergo site inspection if location permits and meets checklist
requirements.
Quality audited by NP to ensure it meets the minimum standards and understands the
quality processes for all aspects of the operation of the internship
4. Periodic Host Company Reviews
• Review of Host Companies should be carried out every 12 months to ensure that they
continue to meet the guidelines set by Navitas Professional.
Note: Employment is not an outcome of the Internship, however employment rates should
be monitored when reviewing Host Companies. It is OK if a host company doesn’t employ
anyone if the interns they have hosted have been developed to a point where they are
readily employable and find work with 3 months of their internship. However, for host
companies that often host interns, but don’t employ ensure that there are ‘breaks’
throughout the year.
5. Found Own Employment (FOE)
• The same standards apply to FOE. Host Companies will need to undertake the same
quality assessment as outlined above. Refer to the flexibility note for any variations.

Internship Procedure
During class all participants will be required to put their resume into the required format.
Participant Preliminary Interviews.
Internship Placement Coordinators will conduct a preliminary face-to-face interview with
participants. This allows the IPC team to assess participant’s communication and interview skills,
to go over resumes and suggest improvements and to identify the best internship placement
opportunity for each participant. This should happen approximately 4-6 weeks before internships
are due to commence.

Each participant is allocated an Internship Placement Co-ordinator, who will:
• Obtain a report from the Program Trainer on the participant’s course performance
• Provide participants with feedback on areas for improvement.
• Advise participants to treat the preliminary interview like a formal interview, including
being dressed appropriately, be on time etc.
• Will consult with the participants to achieve a suitable internship placement; noting that
participants will not have the option of choosing the Host Company.
• Liaise with the Trainer and the State Operations Manager on the appropriate action taken
to address the issue if the participant is not suitable for placement.
A participant who rejects an internship opportunity should provide reasons, in writing, as to why
they do not wish to proceed with the proposed internship. Participants who provide reasonable
grounds should be given other interview opportunities.
Participants who repeatedly refuse internship interviews or appropriate placement opportunities
without reasonable grounds will be required to source their own placement and may be issued with
a warning letter.
Disputes around such issues should be managed by the Internship Placement Coordinator or State
Operations Manager as appropriate.
Short Listing
Prospective Host Companies will be sent a shortlist of suitable internship candidates’ resumes by
the IPC to enable them to identify who they wish to interview
Interview with Host Companies
• Host companies must interview participants before accepting them as an intern.
• Participants will be advised to treat the Host Company Internship interview like any formal
job interview. Participants should do some research about the company and compile some
questions they would like to ask at the interview and will look much more professional and
prepared by doing so.
• Participants should ensure that they dress appropriately and arrive on time.
• Where a participant is unsuccessful, they must be given feedback on their interview, given
coaching, if required, and shortlisted to further companies.
Job Descriptions
• It is a Navitas Professional organisational requirement that a detailed job description (can
also be a Position Description or Vocational Placement Description) should be obtained
from the Host Company for each intern. This should include the name of the host
organisation, company logo and a detailed outline of the training and activities to be
conducted during the course of the internship.
Internship Agreement
• Once a participant has been accepted by a Host Company, an Internship Agreement must
be signed by all three parties: Navitas Professional, Host Company and participant.
The agreement must be signed before an intern enters the Host Company’s premises for the first
day of their internship to ensure all parties are insured in the unlikely event of an accident. There
are no exceptions to this rule.
Mid Review
• The Mid-Review is conducted at approximately the week 6 mark of the placement by the
IPC.
• This review is ideally done onsite with both the intern and the Host Company separately
to monitor and obtain feedback relating to the intern’s training and progress.
• An IPC must visit interns at their host organisation at least once during the course of their
internship.
• ACS & EEA Internships in remote areas are the only exception to the above rule. For
remote internship placements (e.g. mining or construction projects), a videoconference
interview may be conducted with both the Supervisor and Intern. If videoconference is
unavailable, a telephone interview will suffice. NOTE: Accounting PYP regulations require
the mid-review to be conducted in person.
• Mid Review Reports should be detailed and include comments from the Supervisor, Intern
and IPC in the respective sections of the report.

• All Internship reports should be signed by the Supervisor, Intern and IPC so that their
authenticity can be established.
Training Plan
• A copy of the Training Plan will be provided to the Host Company at the commencement
of the internship. This will ensure the Supervisor is aware of what behaviours to assess
over the course of the internship.
• Training Plans must also be signed by the Intern and the Host Company Supervisor.
• The Supervisors are welcome to make supplementary comments and or reports.

Participant Conduct during Internship


During the 12-week internship period, you are required to maintain a 100% attendance rate. Any
absence must be notified to the Host Company and Navitas Professional and be accompanied by
medical certificate or other evidence. Participants will be treated the same as an employee within
their Host Company, so will be required to act accordingly.
Participants are expected to behave professionally throughout their placement. Professional
behaviour includes:
• speaking in English at an appropriate level in the workplace
• ensuring that they are punctual and dress suitably for the Host Company environment
• adhering to all Host Company policies such as IT, WHS and Codes of Conduct
• exhibiting behaviour as expected in the workplace i.e. treating colleagues and managers
with respect, acting in a professional manner at all times etc.
Any participant who displays unacceptable or disruptive behaviour during their internship may be
asked to leave the internship or source their own suitable internship.
The appropriate external authority will be informed where the alleged misconduct under
investigation is considered to warrant intervention or action from an external agency.
Removal from internship – Host Company Request
Where a company asks an intern to leave, the request must be in writing and needs to include as
much evidence (dates and specific incidents) as possible. The IPC and State Operations Manager
will assess the situation and advise the participant and Host Company on the recommended course
of action. Where a participant’s behaviour is deemed unacceptable and unprofessional the
participant will be notified in writing that they will be removed from the internship.
Where the incident is not severe enough to justify completely removing the participant from the
program the State Operations Manager will decide whether or not they will be placed with another
company and undertake the entire internship placement process again.
The appropriate external authority will be informed where the alleged misconduct under
investigation is considered to warrant intervention or action from an external agency
Removal from internship – Participant Request
If a participant requests to be removed from an internship placement, this will be managed on a
case by case basis by the IPC or State Operations Manager.
If you have any concerns during your internship period, please do not hesitate to contact one of
our IPCs.

Please note that at no point does Navitas Professional guarantee employment from your
Internship or on completion of the PY program.

Internship Assessments
Depending on your specialist discipline there will be assessments and/or homework to complete
during your internship period that relate only to your Professional Year and internship. These
assessments do not form a part of the BSB40215 Certificate IV in Business.
ACS (IT Participants)
Australian Computer Society participants are required to undertake the following formal
assessments as part of the ACS Professional Environment (PE) online course:
a) Assignment 1: Ethics;
b) Assignment 2: Risk Management Plan;

Assessment finalisation period will take place during the 2 weeks following the PE
completion.

Please note that failure to keep up-to-date with the Professional Environment (PE) work
on a weekly basis may result in your withdrawal from this component by the ACS. In this
case, the ACS may elect to remove you from the program, or stipulate that you repeat
the PE, from the beginning, at an extra charge of $900 (plus GST).
ACS closes the Performance Environment system over the Christmas period for 2-3
weeks. As a result, ACS participants completing the PE at this time will experience an
extra 2-3 week delay with their graduation.

EEA (Engineering) Participants


Engineering Education Australia participants are required to complete a mandatory Work
Placement Report, which is a record of the participant’s achievements during their Internship. A
copy of the Work Placement Report can be obtained from your local Navitas administration team.
When the Work Placement Report is complete, it must be emailed to Engineering Education
Australia directly at professionalyear@eeaust.com.au.

Warnings
Navitas Professional adheres to a three (3) warning policy for the PY program, which applies at all,
times during class and during the internship. This follows the same system in place in many
Australian workplaces. The reasons for issuing a warning may include:
• Not speaking English in class or when on the internship;
• Using mobile phone repeatedly/and or Facebook/ email or other social media;
• Late assessments without approval and non-completion of assigned homework;
• Poor attitude/behaviour;
• Attendance issues; or
• Consistently late to class.
First Warning
A warning letter is sent to the participant via email and is to be read, signed and returned.
Second Warning
Navitas Professional will arrange a meeting with the participant. This meeting may be attended by
a trainer, IPC or other applicable Navitas Professional staff member where a discussion is held
regarding the reason for the warning, and a warning letter is issued. The participant will be
required to sign the letter to acknowledge receipt of the warning.
Third Warning
Navitas Professional will arrange a meeting with the participant. This meeting may be attended by
a trainer, IPC or other applicable Navitas Professional staff member and the State Operations
Manager. The reason for the warning will be discussed and the participant is issued with a third
and final warning letter, which includes details regarding the appeals process. The participant is
required to sign this letter to acknowledge the receipt of the third and final warning.

Once a participant has received a third warning they are deemed to have failed the
course and may not attend any further classes or progress to Internship.

Graduation
Accounting
Accounting participants will be able to collect their PY program certificates directly from the
Navitas Professional office, the week following the end of their internship providing that all
internship documentation has been signed off and Internship Diaries have been completed (no
earlier than Week 45 of the Program).
ACS
ACS participants will be able to collect their PY program certificates directly from the Navitas
Professional office following the end of their internship providing that all internship documentation
has been signed off, the event attendance requirements have been met and the ACS Professional
Environment work has been completed (no earlier than Week 45 of the Program).

Note: ACS certificate generally take an extra 2-3 weeks from the anticipated graduation
date.

EEA
EEA participants will be able to collect their PY program certificates directly from the Navitas
Professional office, the week following the end of their internship providing that all internship
documentation has been signed off, the event attendance requirements have been met and the
EEA Work Placement Report has been completed (no earlier than week 45 of the Program).

Graduation Ceremony
Navitas Professional PY Graduation Ceremonies are generally held four times a year. Following
your course completion, you will be emailed an official invitation in advance detailing the date,
time and venue. Staff, trainers and other special guests will join you for the celebration where
finger food and drinks will be supplied.

Policies
Attendance & Absence Policy
Classes are held either once or twice a week (sometimes 3 times depending on demand) and run
for 32 weeks, followed by the work placement component of twelve weeks.

It is expected that participants will attend 100% of classes, have 100% attendance during
the internship component and must complete all of the assessments. Please note that we will
not approve any holidays or non-emergency medical absences from the program. Not meeting
these attendance requirements will result in immediate dismissal from the program.
There are no exceptions.

You will be required to sign an attendance sheet at the beginning of each class. Your trainer will
forward this to the administration team who will monitor your attendance throughout the program.
A Navitas Professional staff member will be in contact if there is an issue with your attendance.
If you know in advance that you are going to be absent for a class, it is polite and correct
Australian business etiquette to advise of your absence. This can be done by contacting your
trainer or one of the staff members at the Navitas Professional office.
Late arrival and early departure from class will be noted by your trainer and will be deducted from
your attendance i.e. if you are late to class four times by an hour, this will count as one evening
session or a half day of training absent. Please see the table below for when a medical certificate is
needed.

Punctuality is expected for every class and on the return from breaks. Failure to adhere to this
requirement will be recorded as an absence.

Recognition of Prior Learning (RPL) Policy


Navitas Professional recognises that participants will have acquired vocational skills from a variety
of different sources, other than formal training. These skills are valid, irrespective of how they
were acquired. Participants who believe they have skills and knowledge that would be covered in
the training programs offered by Navitas Professional should apply at time of enrolment to have
their skills and knowledge assessed and where appropriate have the training program reduced.
Participants can make an application for Recognition of Prior Learning at any time during the
training program. An RPL application pack is available upon request.

Credit Transfer Policy


Credit Transfer is available to all participants enrolling in any of our training programs on our
scope of registration. Credit Transfer – means credit towards a qualification granted to participants
on the basis of outcomes gained by a participant through participation in courses or nationally
training package qualifications with another Registered Training Provider. The full details of NP

Withdrawal Policy
If you wish to withdraw from the program, the appropriate withdrawal form must be completed.

relevant process for your professional association is outlined below.

Reasonable Adjustment Policy


Navitas Professional is aware of the need for inclusive teaching, learning and assessment
practices. This includes providing additional support, where necessary, in order that participants
gain quality learning, and achieve successful outcomes. Navitas Professional manages its access
and equity in strict accordance with the Navitas Diversity Policy, the Navitas Anti-Discrimination
Policy and the Prevention of Harassment, Vilification and Bullying Policy. It also ensures the
assessment process incorporates reasonable adjustment procedures. Participants requiring
Reasonable Adjustment will be assessed on a case by case basis.

Transfer & Deferrals Policy

The relevant process for your professional association is outlined below:
Engineering Transfer & Deferrals Policy
An EEA ‘Transfer/Deferral Application Form’ needs to be completed and this should include your
reason for wishing to transfer or defer. This form can be obtained from your local Navitas
Professional office. Once completed, please return it to your local Navitas Professional office and
who will forward to EEA on your behalf. EEA will then send you an invoice for the transfer fee of
$100 (inclusive of GST). This needs to be paid to EEA in order for your transfer/deferral to be
processed. Payment does not guarantee your application will be approved. Each request is
assessed on merit and you will be required to submit any supporting evidence where applicable,
such as medical certificates. Please note if payment is not received, your request will be declined.

Taking leave prior to the approval of your application will result in you being withdrawn
from the PY program and your grade will be recorded as ‘Fail’.

IT Transfer & Deferrals Policy


An ACS ‘Transfer/Deferral Application Form’ needs to be completed and this should include your
reason for wishing to transfer/defer. These forms can be obtained from your local Navitas
Professional office. Once completed, please return a copy to your local Navitas Professional office
who will forward to ACS.
A $115 (plus GST) administration-processing fee applies to all ACS transfer/deferral requests and
needs to be paid to Navitas Professional at the time of submitting the request. Payment does not
guarantee your application will be approved. Each request is assessed on merit and you will be
required to submit any supporting evidence where applicable, such as medical certificates.
Requests should be made not less than 2 weeks prior to the start of the element to be deferred
(coursework or internship). Note if payment is not received with the transfer request, your request
will be declined.

Taking leave prior to the approval of your application will result in you being withdrawn
from the PYP and your grade will be recorded as ‘Fail’.
Transfer or Deferral Requests received in the two weeks prior to the ACS PE online
component commencing will be charged a $900 (plus GST) ACS PE Cohort transfer fee
and participants will need to repeat the PE online component from the beginning.

Accounting Transfer & Deferrals Policy


A Navitas Professional ‘Transfer Request Form’ will need to be completed by all Accounting
participants. This form can be obtained from your local Navitas Professional office. Once completed
please return to your local Navitas Professional office. Each request is assessed on merit and you
will be required to submit any supporting evidence where applicable, such as medical certificates.

Your local Navitas Professional office will provide you with a written response either approving or
declining your Transfer Request.

Complaints and Appeals Policy


Navitas Professional is committed to ensuring that we deliver a fair and equitable service to all of
our clients. If at any time during your dealings with us you have any concerns about training,
assessments or service we encourage you to:
• Try to resolve the matter with the party concerned.
• Should the grievance remain unsolved then formally register your concerns in writing to
the State Operations Manager using the Complaints and Appeals Form. Forms are
available from your local Navitas Professional office or on NP’s Policy and Forms webpage

Appeals Process
For a participant whose grievance is not resolved satisfactorily and for those who wish to appeal a
decision that has resulted in them failing the Professional Year, the following process is available:
• Participant lodges Appeal with Administration Officer in State of enrolment.
• State Administration Officer acknowledges receipt of appeal in writing and advises that
the participant may be assisted or accompanied by a support person throughout the
process.
• State Administration Officer forwards appeal to National Operations Manager for
assessment. National Operations Manager will inform those involved of the allegations,
providing an opportunity for all parties to present their side of the matter and operating in
a fair and unbiased way.
• Appeal added to Complaints and Appeals Register by National Operations Manager.
• Within 10 working days of lodgement of Complaint, National Operations Manager to
investigate appeal and convene an appeals committee to allow the appellant to present
their case. The appeal committee shall comprise:
o National Operations Manager (Chair);
o Three NP Management members from different states.
• The Appeals committee shall hear the appellant case and form a recommendation
• The National Operations Manager will present the Appeals Committee recommendation to
the Director, NP to provide suggested resolution.
• Participant advised of Appeal Outcome including details and reasons for the decision.
• Participant satisfied with outcome – process ends. Participant dissatisfied with outcome –
matter refer to external third party for independent review.

If the process extends beyond 60 days, the participant is to be informed of reasons why more than
60 days have been required. Navitas will provide regular updates to the participant on the
progress of the complaint or appeal.

ACS Student Complaints Policy


ACS is committed to ensuring a harmonious and fair environment for PY students by ensuring that
all PY students have access to processes that allow for grievances, disputes, problems and
complaints to be resolved. In the event that a student cannot resolve a grievance or issue with
their respective provider, they will be able to put forward a formal grievance against their PY
program provider.
This policy is based on conciliation with the aim to ensure that all students are represented fairly
and to ensure that all grievances will be dealt with in a fair and supportive environment without
intimidation and victimisation of anyone connected with the grievance either during or subsequent
to the grievance resolution procedure.
The stages involved will include:
a) An initial notification in writing to ACS;
b) Resolution of the complaint by the provider in accordance with the guidance in AS/NZ
10002:2014 Guidelines for complaint management in organisations
c) Mediation between ACS and the student and provider if required;
d) Use of an independent arbiter where the mediation process does not produce a
satisfactory outcome.

Counselling Services
For many international participants, the PY program represents an exciting time of their lives. It’s
about making the transition from student to professional and is the beginning of a new chapter of
their lives.
For some people this transition brings with it a lot of pressure, for example from English tests such
as IELTS exams, NAATI qualifications, part & full time work commitments, family commitments,
migration applications and general life pressures. Some participants can feel anxious, stressed or
even depressed.
If you feel like this, it can be hard to know where to turn or who to talk to. If you feel anxious or
depressed organisations such as Beyond Blue & Lifeline can help you identify the signs and provide
you with help.
They offer a free and confidential 24-hour service to help anyone who feels stressed, worried, sad
or anxious about anything in their lives. Both organisations can be reached by phone, email and
online 24 hours a day and offer resources in Mandarin, Hindi and many other languages.
Beyond Blue
Beyond Blue takes a public health approach, which focuses on improving the health of the whole
population, across the whole lifespan. They tailor approaches when working with specific
population groups, and work in a range of settings including educational settings, workplaces,
health services and online. This is so they can be accessible to as many people as possible.

NSW: Redfern Legal Centre
Redfern Legal Centre provides free, confidential legal advice to international students living in New
South Wales. International students in NSW can get advice about housing problems, fines, debts,
car accidents, employment, discrimination, family law, domestic violence, and complaints about
colleges or universities. The Centre can also advise how these problems affect student visas.

Council of International Students Australia
The Council of International Students Australia (CISA) is the national peak student representative
body independently run by international students for international students studying at the
postgraduate, undergraduate, private college, TAFE, ELICOS and foundation level.

MDA Brisbane Student Hub
The MDA Brisbane Student Hub is a free, welcoming support service for students. The hub is
targeted at international students however is open to supporting all students, domestic and
international.
The aim of the hub is to provide a safe, welcoming and social space for students to engage in
activities, workshops as well as seek one to one support and have access to information that will
support their time while studying and living in Australia.
The services comprise of:
• Community engagement – workshops and activities. These are organised from feedback
provided by students directly to the hub and also from the student leadership group who
provides the hub with insight into the needs of students.
• Case management – experienced case management support provided to students requiring
one on one support around a range of topics including settlement, mental health and
wellbeing, academic studies, employment advice and general life skills/ orientation of
Brisbane.
• Welcome and Reception - funky space that can be set up to how students wish with bean
bags, laptops, printer and Wi-Fi for their use, boom box for music, study desks, brochures
and information and advice can be provided on the spot by the customer support officer.
The hub is a community for students to come to and build connections with each other and wider
Australian community through linking, referrals and activities.

Study Melbourne Student Centre (SMSC)
The Study Melbourne Student Centre (SMSC) is a ‘one stop shop’ where international students in
Victoria can access a range of free support, information and welfare services.
The SMSC is a Victorian Government initiative which responds to the needs of the international
students living and studying in Victoria. The main objective of the Centre is to ensure that
international students have a positive, rewarding and enriching experience during their studies.
The SMSC is a point of contact and referral where students can access a range of information
about health matters, general wellbeing, legal services, accommodation, financial management
and safety.
The Centre offers professional support and referrals to local services and community resources,
crisis intervention, case work assessment and support in emergency situations. They can assist
international students through personal difficulties by providing emotional and practical support
that is sensitive to their particular circumstances.
Support staff can be contacted via 24-hour free phone line or by visiting the office during business
hours, Monday to Friday. Services are free and confidential, and interpreters are available on
request.
The SMSC also offers a welcoming space where international students can access computers, the
internet and printing service. In addition, international student groups are welcome to hold
meetings and events at the centre.

Progression Rules
Below is a summary of the important information and rules for the Navitas PY program. This is
your copy.
1. Purpose of the Program
The PY program is a Department of Home Affairs (DHA) initiative designed to provide graduates of
Accounting, IT and Engineering with the skills to become Australian workplace ready by the time of
program completion so that they can be employed in their respective fields.
2. Structure
The Forty Four (44)* week program is divided into thirty (30) weeks of coursework and twelve
(twelve) 12 weeks of an internship within your professional field. There are two (2) weeks of
holidays during the coursework component. All of this information is available on your program
calendar.
*program may be longer depending on internship start date and completion of coursework
component.
3. Coursework
Your coursework component is competency based. This means that if you take an assessment and
you do not meet the required standard, that is, you are ‘not yet competent’; you are allowed to
take that assessment again until you are ‘competent’.
4. Rules
a. Satisfactory progression is a course requirement.
b. Assessments must be submitted by the date set by your Professional Year trainer.
Submission of an assessment (for the first time) later than one week after the due date,
without prior (generally within two (2) weeks of finishing a topic) approval by your
Professional Year trainer, will result in a warning. Should three (3) warnings be issued to
you during the coursework component, you will not be permitted to take the internship
and will be deemed to have failed the course.
c. In addition to point (b), all assessments need to be submitted by the final class in Week
Thirty Two (32). If you fail to complete and submit all coursework assessments, you will
not be permitted to take the internship and will be deemed to have failed the course.
d. It is expected that participants will attend 100% of the class component and must
complete all of the assessments. Please note that we will NOT approve any holidays or
non-emergency medical absences from the program (only medically authorised absences
will be accepted). Attendance is taken each session monitored by Navitas staff each week.
Arriving late and leaving early due to work commitments is not acceptable. Failure to
achieve the minimum required attendance will mean that you will fail the program. Thus it
is important to remember to submit all relevant medical certificates for any program
absences.
i. A required absence of more than two (2) weeks may result in you being moved
back to the next available intake. You will be required to pay any transfer fees
incurred
ii. When a class is missed (i.e. one (1) week) you will need to provide a medical
certificate
5. Internship
It is expected that participants will attend 100% of the internship.
a. A participant who rejects an internship opportunity should provide reasons, in writing, as
to why they do not wish to proceed with the proposed internship. Participants who provide
reasonable grounds should be given other interview opportunities. Disputes around such
issues should be managed by the State Operations Manager as appropriate.
b. Participants who repeatedly refuse internship interviews or appropriate placement
opportunities will be required to source their own placement.
c. Any participant who displays unacceptable or unprofessional or disruptive behaviour during
their internship may be asked to leave the internship or source their own suitable
internship.

6. Program Failure
If you fail the program, you will neither achieve the necessary Australian workplace skills nor
receive points towards migration.
How can I fail the program?
a. Receive three (3) warnings during your coursework and not be allowed to take the
internship
b. Attendance below the minimum requirement
c. Failure to progress satisfactorily in the course for any reason, for example:
i. Not contributing to class activities
ii. Not speaking English in class
iii. Cheating (all online documents will be assessed through a plagiarism checker)
iv. Poor written English
v. Exhibiting behaviours that would be unacceptable in the workplace.
