ABSTRACT

SANHS MIS (MANAGEMENT INFORMATION SYSTEM)

Fernando B. Enad

The SANHS MIS (Management Information System) was

proposed to replace the manual process of enrollment and

records management of San Agustin National High School

(SANHS) in order to have a smooth and organized flow of

transactions. SANHS is a public integrated senior high school

in Sagbayan, Bohol that used a traditional system of

enrollment and records management.

Traditionally, data and information are kept in filing

cabinets and should a report be needed, the school registrar

or any personnel would have to skim through each of the

documents to look for and retrieve a student record. In

addition, processing student’s record, making a list of

students and subjects, compiling of records and generating of

reports would take time and tremendous effort since

information is still non-centralized.

To solve the above-stated problems and issues, the SANHS

MIS was conceptualized. The numerous operations that SANHS

MIS included, are the adding and the updating of student’s

records, the generation of admission and assessment slips,

and other enrollment processes commending efficient system

for the institution. Since it involved proper record handling

and record keeping, SANHS MIS can be a solution to the

problems encountered by the school. Some of the benefits that

can be acquired in the SANHS MIS are as follows:

a. Easy and efficient monitoring of students’

enrollment records;

b. Easy and efficient retrieval of records;

c. Easy and efficient generation of reports.

CHAPTER I

Introduction

Enrolment serves as a vital part in the life of every

student upon entering any schools. It gives students the

impression on how the whole institution is being managed and

manipulated by the people behind its operation. Moreover,

enrolment serves as the first experience of all students by

which he/she takes part either individually or with a company

of a parent or some relatives.

Good enrolment is always an asset in a school, pertaining

to fast assessment procedures, registration and enlistment

procedures and easy transactions with a high rate of accuracy

and efficiency. Therefore, good enrolment within the schools,

if present, can be described as civilized, organized,

accurate and professional. This is contrary to what a manual

enrollment system offers which San Agustin National High

School is still practicing.

THE PROBLEM

Statement of the Problem

The study aims to develop and implement an automated

enrollment and records management system in San Agustin

National High School.

Specific Objectives

To develop a computerized system that will help San

Agustin National High School in:

1. Easy and efficient monitoring of students’ enrollment

records;

2. Easy and efficient retrieval of records;

3. Easy and efficient generation of reports.

Significance of the Study

This action research will be of significance to the

following entities:

School. This will help the school persuade new, incoming

students to enroll, and can now compete with other private

schools in terms of excellent enrollment and records

management.

Administration. This will provide the administration

easy access to the students’ profiles, grades and schedules.

As all student records will be stored in a centralized system,

acquiring information will be easy with little or no delays.

Thus, efficient report generation is just right under the

administrator’s finger tips.

Teachers. This eliminates the teachers’ fear of paper

sheets lost or torn. This will also make the teachers to focus

more on their primary job other than more focused on paper

works.

Students. This will help shorten the time it takes for

a student to wait in order to successfully enroll.

Furthermore, student can readily access their grades after a

teacher has successfully encoded it in the system.

Future Researchers. This will help future researchers in

providing them necessary information in developing a

computerized enrollment system. They can use this as

reference in their study and in developing the same system.

Requirements Statement

A. External Interface Requirements

1. User Interface

The system has the following interfaces: System

Administrators’ Interface, Teachers’ Interface,

Staff’s Interface and Students’ Interface.

Table. Requirements by Users

ID Requirement Description Priority

All the subjects and students must Required

be registered on the system in

order to add enrollment

records such as enrollment Summary

of Subjects and student Account

The registrar must load all the

classes that fall on the specified

semester in order to make the

Classes be available to the

specified

school year and semester.
