Preface
This document represents the CADD management and other standards to be used
by consultants under contract to the New York City School Construction
Authority Architecture & Engineering Department. The standards and procedures
discussed are based on AutoCAD Release 2002/Autodesk Architectural Desktop
Release 3.3 and other software used by the Authority. They will be revisited as
the Authority adopts new versions of the software and/or revises current
standards.

Adherence to the Standards
By adhering to the CADD and other standards and procedures contained in this
manual you contribute to developing a uniform character throughout the
documents prepared for the Authority, and make the most efficient use of project
time. This uniformity allows information to be correctly keyed, added, displayed
and plotted at any point in the project cycle and enables future designers to access
information from earlier designers more easily.

Chapter 1
Description / Approach:
The intention of this “group numbering” system is to allocate drawing sheet
numbers to specific groups of drawings within a discipline i.e. architectural plans,
elevations, etc.
A drawing sheet number starts with a one or two letter Discipline Code (e.g. “A”
for Architectural, “FP” for Fire Protection) followed by a three-digit numeric
Group Code. Note that there is no hyphen between Discipline and Group codes.
The Group Code numbers are either sequentially numbered starting at “001” and
are used for general notes, symbols and legends, and general clarification
drawings or they are batched in series by hundreds (e.g. 101, 201, 301)
corresponding to a Group Code description, such as the 101 series for floor plans,
the 201 series for elevations, the 301 series for wall sections, the 401 series for
details and the 901 series for schedules, etc. Group Codes vary for each discipline
code. The sheet numbering conventions for Discipline and Group Codes are
shown in the following table.

Addendums
Supporting drawing files and sheets for addendums are named such that the first
two characters indicate the drawing is an addendum followed by the addendum
number, a decimal point and the sequential drawing number.

Format Drawings - Titleblocks
An SCA standard format drawing has been created for each sheet size. The scale
of these standard formats is one to one. For example the format sheet for the
standard 36-inch by 24-inch page is actually drawn at 36 inches by 24 inches.
Each SCA project should have its own format sheet created from a copy of the
standard. The project specific format sheet is attached as an external reference to
the issue drawing in paper space at the coordinate 0,0 at one to one scale. The
standard formats are named according to sheet size and titleblock alignment. Each
titleblock sheet is paired with an attribute drawing used to insert the sheet specific
data. This drawing is inserted as a block at the coordinate 0,0. In the attribute
dialogue box that appears, type in the requested sheet specific information. Each
format sheet includes an AutoCAD rtext object that displays the drawing name,
date and time on plots. Rtext (reactive text) is one of the AutoCAD Express Tools
and should be installed with you r AutoCAD or Autodesk Architectural Desktop.
If rtext is available but the object does not display properly, activate it by typing
rtext at the command line and canceling the command.

Each drawing file should contain only one drawing. Verify the sheet size with
project requirements.
All building graphics shall be created in model space using actual (real world)
size. Scaling of the final product is performed in paper space viewports and
plotted at full scale (1:1). The standard format sheet used will depend on the
output scale. Sizing and placing text and tags must be done with the scale of the
plotted drawing considered. Refer to the chapter on graphic conventions for text
scale factors. General notes, legends and schedules should be placed in the paper
space of their respective drawings. At this writing, schedules generated using
ADT cannot follow this convention; therefore schedules generated in ADT will be
placed in model space.

Layer Standard
The layer naming convention consists of four parts. Part one is the discipline
which is a single letter followed by a hyphen. The available discipline codes are
found below in the section titled Discipline Codes. Part two is a Major Group
code and will be from four to eight characters in length. The third part, which is
optional, consists of a Minor Group code that further refines the purpose of the
layer. Typically Minor Group codes will be from three to six characters in length.
The fourth and last part, also optional, is the Status code. It is a single character.
Available Status Codes are listed below in the section titled status codes.

Discipline codes serve to distinguish between layers belonging to the building
chassis from those relating to the fit out of the space. Should it become necessary,
additional codes can be added with the approval of the project manager in order to
accommodate special situations.

Status Codes
Status codes are used to distinguish between objects belonging to different aspects
or phases of the work. Should it become necessary, additional codes can be added
with the approval of the project manager in order to accommodate special
situations.

Dimensioning
Use architectural units when dimensioning as appropriate for the particular pro-
ject. Use associative dimensioning to allow for the ease of editing and updating
that they provide. Drawings must be drawn accurately and to scale prior to
dimensioning so that associative dimensioning functions properly. Do not explode
associative dimensions or override the default dimension text unless required by
the specific instance such as "5 EQ SPACES". To set the dimension variables to
these standards refer to Appendix 'C'.
One dimension style is used by the SCA. It is AEC_Arch_I. To change from one
scale dimension to another, use the Desktop àDrawing Setup Pull-Down menu
and select the appropriate scale.
Text
The typical text used is based on the font romans.shx. All styles are defined with
the height set to 0; this allows the height of the text to be established when

Tags are notational symbols that are used to label and identify specific parts of a
drawing. Since they do not have an intrinsic physical size like a door or a piece of
equipment, they are scaled to be legible when plotted, independently of drawing
scale. Most tags include an attribute, which can be left blank and edited at a later
time or filled in at the time of insertion.
Most tags will come from the design content using ADT DesignCenter.
Following below are two groups of hatch patterns. The first group applies to
Capacity Projects and the second group applies to CIP projects.

Varied line weights are used to properly express the information needed in a
drawing for construction. AutoCAD uses colors to determine plotted line weights,
reference Appendix "B" for pen assignments and line weights.
Linetypes
The linetypes shown in the following table are not built into the software. They
are created as required by drawing a line using the linetype shown in the table,
then manually breaking it, and inserting the appropriate text. We use this
technique in order to be able to place the text in the precise desired location.

Plot Style Tables
The SCA makes two plot style tables available. The sca-full.ctb is used to plot
existing projects completed using AutoCAD Release 14. The adt-full.ctb is used
to plot all new projects using AutoCAD 2000/Autodesk Architectural Desktop
Release 3.3 or later. These files can be downloaded from the SCA web site.

Requirements for Submitting Electronic Documents by
A&E Consultant
The consultant shall submit the CADD drawings and all other electronic
documents, e.g. specifications, scope reports, addenda, bulletins, photographs,
cost estimates, etc., prepared on CDROM or Zip disk as follows:
Phase 3–Bulletins and other applicable data are to be submitted no later than
the date of Substantial Completion.
If multiple projects are submitted on one CD/Zip disk, the individual project
directories must be clearly indicated. Consultant must provide an indexed list of
drawings, specifications, and other files generated for the project with their
corresponding file names.
Final payment for the applicable phase of work will be contingent upon
receipt of all required submissions as detailed in contract Exhibit C
“Checklist for Submission of Documents”.

b. Purge all drawings to remove unused layers, blocks, etc. Drawing
files must be saved in their proper orientation (paper space or
model space), zoomed to extents (i.e. as they would appear for
final plotting).
c. All CADD drawings that comprise the ‘Bid Set’ must be included;
in addition, all XREFs must be bound (inserted) into the ‘Bid Set’.

Accessing Architecture & Engineering on the Web
The SCA Architecture & Engineering department maintains its own homepage on
the Authority’s website. From this page, members of your design team are able to
keep up with and download the latest SCA standards and bulletins.
Consultants who have applied for and obtained a user ID and password from the
SCA can access the standards and download areas of the home page. You will be
notified by e-mail of all A&E Bulletins as well as additions and changes to the
standards. The SCA firmly believes that notification by e-mail provides for the
most timely and accurate distribution of information. It is extremely important
that you check your e-mail inbox regularly for transmittals from the SCA. All
technical/design related information transmitted by the SCA to you must be
distributed to your design staff working on SCA projects. Any changes to your
company’s contact information should be forwarded immediately to your SCA
representative’s attention. Technical questions may be sent via e-mail to
aeweb@nycsca.org.

The page displays two columns. The column on the left displays a link to the text
of the bulletin in MS Word format. The column on the right displays links to self-
extracting executables for the complete set of items changed as noted in that
bulletin.

Design Requirements
The Design Requirements define the acceptable and/or minimum design practice
for SCA consultants and in-house architects and engineers, and are generally
organized by discipline and building system. Each requirement under
"Description/Design Approach" may match or exceed any applicable code
requirements. The Design Requirements are available on this website in MS Word
format.

SCA Standard Room Layouts
The SCA Standard Room Layouts provide the ability to download complete sets
of room layouts. They are organized in three categories: pre-kindergarten through
eighth grade (PK_8), high school and kitchen.
The SCA Standard Room Layouts can be viewed with Microsoft Internet
Explorer 5.5 or newer with the Autodesk DWF Viewer. The viewer will
download and install automatically from Autodesk the first time you request to

Alchemy / EDMS
Background
The Alchemy database is an electronic archive of all school drawings dating back
to the 19th Century (in techno speak this is called an Electronic Document
Management System or EDMS). The A&E CADD Unit manages the Alchemy
database. For those requiring external use of a specific school’s drawings, the
A&E CADD Unit has the ability to make disks containing the drawing images.
The SCA Alchemy application, which is available to all internal SCA users,
currently contains drawing images (.tif, .dwg, etc.) for approximately 1,450 BOE
buildings. Still to be incorporated are: the original plans for approximately 100
buildings (mainly leased sites), and various CIP projects. Those are being added
in phases and the archive will be completed later this year; it will then be updated
at the completion of each project.
Kiosk machines are available outside the CADD Unit for use by consultants to
access the Alchemy database and retrieve images. The SCA does not provide
plotting services for these images. Consultants are advised to bring appropriate
media such as recordable CD’s or ZIP disks to store copies of desired images.

How to Search a Database
Bring up Search Screen as shown below by going to the Tools Menu and Clicking
Search button or by hitting the Binocular icon on the tool bar.

Every image in the database is indexed with the following Document Profile
fields and can be searched by one or more of the profile fields. The easiest way to
search is by the Building ID (Facility Code) that is unique to a building. (E.g.
Building ID/Facility Code X001 is unique number assigned to P.S. 1 – Bronx).
All profile fields are self-explanatory.
Note:
Facility Code (Building ID) is a unique number for a Building that can be found
from either the CIP Tracking System or Worldview by typing design
number/LLW number(s)/Package number or by school number.
Make sure that you have selected the correct database (i.e. if you are looking for a
school in the borough of Bronx, select Bronx library of School Drawings
database).
The blue arrow next to the profile fields shows available options for that field.
Note: You can also search a school in the Viewer Window by scrolling up or
down. Schools designated with numbers, e.g. PS 5 – Bronx, etc., are sorted by
number, high schools are sorted alphabetically.
Viewing an Image
When a document image is displayed in the Viewer pane, only functions that
pertain to image documents are available. Images can be manipulated in a variety
of ways to enhance your viewing capabilities.

Synchronize: Synchronizes the Tree View and Viewer panes by highlighting the
same object in the Tree View that is displayed in the Viewer pane.
One Level Up: One level up will take you one level up from where you are at
presently (e.g. if you are at the document level of a folder, clicking one level up
will take you to the folder level).
Thumbnails: The use of thumbnails is not recommended because they will slow
the response time of your computer. If you choose to use thumbnails, they will
either show thumbnail images for folders containing images only, or they will
show folders contained within a large folder.
Zoom In: The image is made larger. To zoom in automatically on a selected area,
hold down on the Ctrl key while you draw a selection rectangle over an area of
the image. When you release the mouse button, the viewer zooms in. You can
also double-click in a selection rectangle to zoom in.
Pan: Opens up another small window named pan. It shows what part of the
image area you are viewing in the viewer window by highlighting that area in the
panning window. By moving the highlighted area it will change the view of the
image in the viewer area. It is important to note that the panning window will
keep the entire view of the image at all times.
Actual Size: Displays the image in the actual size it was scanned into the
database.
Best Fit: Scales the full image to fit the current viewer window
Fit to Height: Scales the image to fit the current viewer window’s height.
Fit to Width: Scales the image to fit the current viewer window’s width.

Folders are automatically expanded as the next or previous document is displayed.
Back and Forward: Once several documents are open, use back and forward

Saving Images
Go to File|Retrieve menu to pop-up the following dialog box.
Check off all boxes as shown and click OK tab. The selected file(s) will be saved
to your project directory as a filename.tif file.

Expedition
Expedition Overview
Expedition is a multi-user, multi-project, client/server database product that helps
control contract changes and submittals. It provides a centralized way to store,
organize, and track project information, post-NTP. It is primarily a Project
Management system, with elements requiring input by A+E personnel.
Expedition consists of many interrelated logs that store information about your
jobs such as submittals, transmittal letters, meeting minutes, contract terms,
contract prices, invoices, requisitions, drawings and drawing sets, purchase
orders, and changes. Access to an Expedition project is provided on an individual
basis, to those working on Phase III issues.
The notarized agreement should be sent through the Design Manager who will
then process the request through the SCA's IT department. The IT department will
notify the Consultant when the account is created and provide a unique password
for account access.

Appendix A
Standard Layers
The SCA has chosen to adopt the layer naming convention promulgated by the
American Institute of Architects (AIA). The AIA provides both a format for
naming layers and a prescribed list of layers. Where possible the SCA will use the
listed layer names. Should the need arise to create additional layer names; the
AIA layer naming format will be used. All AutoCAD drawings will contain a "0"
layer and most drawings will contain a "Defpoints" layer. These layers are
maintained by AutoCAD and do not appear on the lists as standard layers.
