RUNNING A BUSINESS MEETING

We organized a business meeting about sales with the new Portuguese director and the
recent Executive director.

Meeting Chairman (Leonor): If we are all here, let's get started. First, I'd like you to
please join me in welcoming Ana Paula, our new Portuguese director.

Portuguese client (Ana Paula): Thank you for having introduced me; I’m pleased to
be in this meeting.

Meeting Chairman (Leonor): I'd also like to introduce you to Alexandre Nunes who
recently joined our team as Executive director.

Executive Director (Alexandre Nunes): Thank you for having introduced me Mrs.
Leonor.

Leonor: You`re welcome Alexandre. I'm afraid our marketing director, Carla Sampaio,
can't be with us today. She is in Lisbon at the moment, developing our new merchandise
project to Portugal.

Leonor: We're here today to discuss ways of improving sales in Portugal, and other
areas. First, let's go over the report from the last meeting which was held on July 12th.
Right, Alexandre, over to you.

Alexandre: Thank you Leonor. Let me just summarize the main points of the last
meeting. We began the meeting by approving the changes in our structure discussed on
May 30th. After briefly revising the changes that already took place, we moved on to a
brainstorming session concerning the sales support improvements in Portugal. You will
find a copy of the main ideas developed and discussed on these sessions in the
photocopies in front of you. The meeting was declared closed at 12:30 p.m.

Leonor: Thank you Alexandre. So, if there is nothing else we need to discuss, let's move
on to today's agenda. Have you all received a copy of today's agenda? If you don't mind,
I'd like to move on to item 2: Sales improvement in the Portuguese market districts. Ana
has agreed to give us a report. Ana?

Ana Paula: Before I begin with the report, I'd like to get some ideas from you all. How
do you feel about sales in your sales districts? I suggest we analyze the last three
months’ sales figures.

Alexandre: In my opinion, we have been focusing too much on regular customers and it
would be better for us all to get new clients in new market areas.

Ana Paula: I have already stated that we need to give our sales teams better market
information reporting.

Alexandre: I don't quite follow you. What exactly do you mean?

Ana Paula: Well, we provide our sales staff with database information about market
references. We should provide information about the regular clients and the new info we
have about the market like we`ve done with Spain last year.

Alexandre: Do you have any data you can share?

Ana Paula: Sure, let me begin with the PowerPoint data show.

Ana Paula: As you can see, we develop new methods that allowed getting new clients.
The marketing report gave us opportunities that allowed entering the market and
reaching our goal in sales, as you can see.

Alexandre: I see, fortunately, we admitted a new salesman with large experience, and
we should reach our goal as Spain did.

Ana Paula: That’s good news Alexandre. We are running out of time, so let me just
summarize the main points

 New clients need special marketing campaign in order to become more interested.
 Our sales teams need more accurate information on the market.
 We should increase our sales team.
 The results of this increase will make our time to market decrease.

Leonor: Thank you very much Ana. Right, it looks as though we've covered the main
items. Are there any other business?

Alexandre Nunes: Can we fix the next meeting, please?

Leonor: Good idea Alexandre. How does next September, 12th sound like? Let's meet at
the same time, 9 o'clock. Is that OK for everyone?

Ana Paula: It`s OK with me.

Alexandre: Fine with me, too.

Leonor: Excellent. I'd like to thank Ana and Alexandre for coming to our meeting today.
The meeting is closed.
