U.S. Vaccination Requirements and Exemptions

Are all Ford U.S. employees now required to get vaccinated?


Effective November 2, 2021, the majority of salaried, non-represented Ford employees in the U.S. will need
to be fully vaccinated by December 8, 2021 as we continue to prioritize the safety of our employees.
Additional populations may be added at a later date. Ford continues to strongly encourage all employees
who can, to get vaccinated.

Why are most Ford U.S. salaried employees now being required to be vaccinated?
The science and data tell us the vaccines offer critical protection against COVID-19 and its variants and keep
our global team safe. Additionally, Ford is a federal contractor, and so must comply with the vaccination
mandate for federal contractors announced in September Federal Register: Ensuring Adequate COVID
Safety Protocols for Federal Contractors. The majority of our salaried employees have some direct or
indirect linkage to federal contracts. Regardless, Ford has made the decision to require vaccination for almost
all of our salaried employees, regardless of whether they are covered under the federal contractor
requirements.

Which Ford employees are now being required to be fully vaccinated by December 8, 2021?
Salaried, non-represented employees at all U.S. locations, including remote workers (with the exception of
site-dependent employees of manufacturing plant facilities and parts depots, and all Ford Motor Credit
employees), are now being required to be fully vaccinated by December 8. 2021.

Why are current employees at manufacturing facilities, parts depots, and Ford Motor Credit not yet
required to be vaccinated by December 8, 2021?
Manufacturing facilities and depots are specific exclusions due to having product-based federal contracts
under the federal contractor guidelines.

Guidelines around the vaccination mandate are complex and we continue to carefully evaluate the federal
orders, including the pending details from the OSHA Emergency Temporary Standard, as we develop our
policies for additional employee groups, including Ford Motor Credit. When this federal standard is
published, we will review its requirements and provide more information.

Can U.S. employers legally require their employees to get vaccinated against COVID-19?
Yes. The U.S. Equal Employment Opportunity Commission allows employers to mandate vaccinations for
employees, to protect the safety and well-being of the workforce.

Why aren’t we allowing U.S. salaried employees to be tested regularly as an alternative to vaccination?
Ford’s policy for U.S. salaried employees aligns with federal contractor guidelines, under which testing is not
available as a routine alternative to vaccination.

Are we requiring visitors to Ford’s U.S. campuses to be vaccinated?


Certain locations, such as World Headquarters, Rotunda Center, Greenfield Labs (California), Research and
Engineering Center, and EMDO, may require visitors to be vaccinated prior to entry. These locations will
include signage so that the requirement is clearly posted, and protocols will be in place for those who enter.

At other locations, visitors will continue to be required to wear a face mask and complete the daily self-
certification survey, which includes an optional question on vaccination status.

Are agency and purchased service resources now being required to be vaccinated?
We will be communicating vaccination requirements to our agency and purchased service suppliers in the
coming weeks.

Will all salaried new hires be required to be vaccinated, regardless of work location?
Yes. Associated processes and communications are under development.

I’m normally assigned to work remotely but will be going on-site to a plant for a few weeks. Am I required
to be fully vaccinated?
Yes. The vaccination requirement is based on your normal assigned work location.

I have no intention of being vaccinated or am not able to be vaccinated. What are my options?
Salaried employees who have indicated that they are not fully vaccinated (or did not report their vaccination
status and are assumed to be not vaccinated) will be receiving additional communications about next steps.
For those who are not able to be vaccinated, this could include instructions for submitting a request for
medical or religious accommodation.

How do I request a religious or medical accommodation?


Accommodation requests for exemption from the vaccination requirement for religious or medical reasons
will follow the established process. Ford employees can click here to read more. Agency and purchased
service team members should consult their employers for additional information on the accommodation
process.

What is the deadline for submitting an accommodation request and when will I be notified if it’s been
approved?

While accommodation requests can be submitted at any time, current employees who are required to be
vaccinated by December 8 should submit their requests by November 17, 2021 to ensure that their request
can be reviewed and dispositioned as soon as possible.

What are the criteria by which my accommodation request will be reviewed?
All accommodation requests are reviewed on a case-by-case basis in accordance with applicable laws and
EEOC guidelines.

How and When to Report

Why is Ford requiring U.S. employees, agency resources and purchased service resources to report their
vaccination status? How will the data be used?
Employee vaccination data will aid our efforts to comply with the federal contractor vaccination guidelines
and the forthcoming OSHA vaccination requirements for large employers. It will also help Ford assess the
overall vaccination level of our employee population in order to determine appropriate measures to support
employee safety.

How do I report my vaccination status?


Click here to report your vaccination status through the secure online portal. You may also access the portal
at vaccination.ford.com from any computer or smart mobile device (you will need to log in using your Ford
credentials and choose “active directory” if offered the option). Only Ford employees will be asked to enter
the manufacturer and dates of their vaccinations, as well as any available documentation, such as a
photograph of their vaccination card. You will receive an automated confirmation email after you have
successfully completed your submission.

Can I just show my proof of vaccination status instead of uploading it to the portal?
No. The size of the workforce is too large and the timeline is too short for the Company to manage multiple
processes. The portal has been set up to expedite the process.

What is the deadline for reporting my status?


The deadline for existing employees to report status was October 8, 2021. New hires scheduled to begin
employment during this transitional period will be required to report status within 3 business days of their
start date. If you fail to report status, you will be considered “not vaccinated”.

What does “fully vaccinated” mean?


You are considered fully vaccinated if you have received both doses of a two-dose vaccine (including but not
limited to Pfizer-Biontech, Astra Zeneca, Moderna, Sinopharm, or Sinovac) or a single dose of the Johnson
and Johnson vaccine AND 14 days have passed since completion of vaccination.

Will Ford accept proof of COVID-19 antibodies (due to prior infection) as proof of vaccination in the
vaccination reporting portal?
No.

How should I report my current vaccination status if I’ve only had one of the two required doses?
If you are partially vaccinated right now (you have only received one dose of a two-dose regimen, or you
have received both doses, but it has been less than 14 days since your last dose), you should answer “No” to
the question “Are you fully vaccinated?” and retain the confirmation email you receive.

After it has been 14 days since your last dose, you should click “edit” in your confirmation email to return to
the online portal, change your response, and add your vaccination details.

Can I change my status in the portal if I get vaccinated after the reporting due date?
Yes, if your vaccination status changes, you can return to the online portal to update your information.

How should I answer the “Are you fully vaccinated” question in the portal if I am considered fully
vaccinated in my home country (outside the U.S.)?
Answer “Yes” to the question on the vaccination reporting portal and report your specific manufacturers and
dates of vaccination as you received them. You will be contacted if additional information is required.

I am a U.S. agency or purchased service team member and the vaccination reporting portal did not ask for
details of my vaccination; it only asked “yes” or “no”. Is that correct?

Yes. The vaccination status reporting portal does not request or collect vaccination details, such as dates of
vaccination or images of the vaccination card, from agency or purchased service resources. Vaccination
details for agency and purchased service team members are managed by their employers.

I was an agency resource, but now have converted to Ford full time. I already reported my status in the
vaccination portal as an agency resource. Do I have to report my status again?
Yes; you will need to access the vaccination.ford.com portal and indicate that you are a salaried employee, so
that you can provide the additional details (vaccine dates and manufacturers, and an image of your
vaccination card) requested of Ford employees.

I was vaccinated, but do not have my proof of vaccination. What should I do?
Contact your vaccine provider for a replacement card. In some locations, state or local authorities may also
have record of your vaccination and can reissue a card to you. You should still submit your vaccination status
through the portal; on the screen where it asks you to upload your card, click the “click here” link to access
an attestation screen. You will need to return to the portal and upload the proof of vaccination when you
receive it.

What should I do if I get the message "SecurID locked" when trying to report my status in the portal?

Who's Required to Report Their Vaccination Status

Will fully remote workers be permitted to opt out of vaccination reporting requirements?
No. Vaccination status must be reported, regardless of your work location.

Do I still need to report my vaccination status in the portal if I submitted (or intend to submit) an
accommodation request for exemption from any potential vaccination requirement?
Yes.

Does the vaccine reporting requirement apply to Ford's U.S. hourly workforce? If not, will the requirement
be expanded to include them?
U.S. hourly employees' conditions of employment are governed by collective bargaining agreements. At this
time, hourly employees are not required to report their vaccination status. The application of this
requirement to these populations is currently being reviewed and discussed with union leadership.

We strongly encourage all employees to report their status. Understanding the current vaccination status of
our entire population allows our medical team to assess safety protocols for locations and informs the
implementation of the federal contractor vaccination guidelines and the forthcoming OSHA vaccination
requirements for large employers.

Do I still need to report my vaccination status in the vaccination reporting portal if my employment will
soon be ending (e.g., separating under the VSSP, retiring, voluntarily resigning, etc.)?
Yes, you are still required to report your status. The Company is conducting the data collection to help inform
our strategy to comply with the federal contractor vaccination guidelines and the forthcoming OSHA
vaccination requirements for large employers. Since your employment status is active you are included in the
data set being used for this analysis.

Do I need to report my vaccination status if I am a Canadian commuter or ISE who works in the U.S.?
Yes.

What will happen if I refuse to disclose my vaccination status?


The consequences for refusing to report vaccination status have been communicated to non-compliant Ford
employees by their People Leaders and will continue to be communicated to any newly hired employees who
fail to report their status. Ford will centrally communicate with employers of non-compliant agency and
purchased service team members for their handling.

Privacy

Who will have access to my vaccination information?


To ensure protection of this private information, only select Ford professional medical staff and authorized
Human Resource personnel will have access to individual team members’ vaccination status. Your People
Leader will not receive any vaccination details but may be informed if you have complied with the
requirement to submit your vaccination status in the online portal. Ford employees can review
the Coronavirus Response Personnel Privacy Policy for more information on who has access to the data and
how the data will be stored, used and protected; specific names of individuals with data access will not be
disclosed.

How will you verify my vaccination status?


We expect our team members to be truthful in their responses to all questions in the vaccination reporting
portal. Falsification of vaccination status will result in disciplinary action, up to and including termination. For
agency and purchased service team members, in the coming weeks, we will work through our partner
employers to confirm and verify the vaccine documentation.

Business travelers may be required to provide documentation of vaccination to entities including hotels,
immigration officials, airline carriers, and VISA-issuing authorities.

Isn’t this an invasion of my privacy for the Company to collect this information?
No. We recognize that this is a sensitive topic. However, Ford is collecting individual vaccination status as an
initial step towards compliance with the federal contractor vaccination guidelines and the forthcoming OSHA
vaccination requirements for large employers. It will also help us assess the overall vaccination level of our
team in order to determine appropriate measures to support employee safety. Team members’ personal
information will be stored and used in accordance with our Coronavirus Response Personnel Privacy Policy.

Doesn’t this request violate HIPAA?


No. Employers are not considered “covered entities” under the Health Information Portability and
Accountability Act (HIPAA). Click here to read related information on HIPAA from the U.S. Department of

What other information can we expect the Company to request in the future?
At this time, no additional information is being collected. Ford is committed to complying with all federal,
state and local requirements. You will be notified if additional information must be collected to comply with
future requirements.

We strongly encourage all employees to report their status. Understanding the current vaccination status of
our entire population allows our medical team to assess safety protocols for locations and will help inform
our efforts to comply with the federal contractor vaccination guidelines and the forthcoming OSHA
vaccination requirements for large employers.

federal requirements are defined and as the global virus pandemic evolves.
