Autocapture Scanning from MFP Device

When you walk up to the MFP you will first choose the large APPLICATION
button on the left side of the panel.

Then touch the AUTOCAPTURE button on the Touch Screen.

This will connect you to the document routing process.

From the screen below you will highlight EHR Manual Entry and Touch NEXT.
This will allow you to begin “filing” your document into the EHR. First you will
enter the Chart Number and Touch NEXT. Keep in mind this can be customized
to meet your practice needs.

After the Chart Number is entered you will place the document into the appropriate
TAB by choosing the type of document and touching NEXT. These TABs are
determined by you during the set up process up to 100 tabs.

Now you will further classify your document by choosing a DOCUMENT TYPE.
This will tell you at first glance inside the EHR what kind of document was placed
in the chart. Again, customized by you the DOCUMENT TYPE’S are dove tailed
to your practice/business needs.

After classifying the document with your perimeters you can now enter who else
may need to view the document by routing it to the appropriate person. For
example, the document will be placed in the appropriate area of the EHR in the
appropriate chart and you determine it also needs to be reviewed by the doctor,
nurse or office manager. You will do this by choosing the appropriate name
button. If no one else needs to view the document you will choose NO ROUTE
and touch NEXT.

Finally you will enter the DATE and touch NEXT. Your document is ready to be
“filed” and if applicable placed in the appropriate inbox for review.

On the READY TO SEND Screen you may change the setting for the image such
as density, zoom, or resolution. Once complete you will press the Big Green Start
Button on the panel.

After this document is sent to the EHR you can choose to send more documents to
either the same place by selecting SAME DESTINATION, SAME MODE which
will take you back to the READY TO SEND screen or to a different chart by
choosing SAME DESTINATION, DIFFERENT MODE to begin your
classification process again. If your scanning is complete you will touch FINISH.

Document Management from your PC
Autocapture also allows you to move electronic documents whether faxed, scanned
or created into the EHR with a few simple steps. Below we have created folders
that hold faxes, scans and other documents in PaperPort. PaperPort will allow you
to review and annotate these electronic documents and then send them into the
appropriate chart and/or inbox.

Below is an incoming fax that will be placed in the appropriate chart in the EHR.

To begin the routing process the document is highlighted and the Autocapture
button is clicked.

When the Autocapture button is clicked the following pop-ups appear and this
will prompt you to choose the EHR button.

Once the EHR box appears you will begin the classification process first by
entering the CHART number.

Next you will select the appropriate TAB.

Then the DOCUMENT TYPE will be entered.

Next you will choose where the document should be routed. For example if
someone else needs to review the document in addition to “filing” it in the EHR it
will be routed to their Inbox. No Route may also be chosen.

And finally, the DATE will be selected.

Now it is time to send your document to its destination, you will do this by
clicking on Send Now.

Using Autocapture with a Word Doc.
Another one of the many helpful features for your practice is the ability to move a
saved Word Document into the EHR using Autocapture. This can be done two
ways, from within Paperport as pictured below or directly from your Word
application. From inside Paperport you are able to access Word from the icon on
the bottom of your screen. This will open your Word application; next you will
retrieve the document that needs to be stored in the EHR.

In the photo below you will notice an Autocapture button as been added to your
tool bar. When you click on the Autocapture button the Send to and EHR boxes
will appear.

Next the EHR box will appear and you will be able to classify and store the Word
document into the desired Electronic Health Record. The same directions apply
outside of Paperport by opening your Word application from your desktop and
using the Autocapture button on the tool bar.

Other applications can be accessed through Paperport such as Microsoft Outlook,


Paint, Corel, Windows Xcel and Notepad. Once inside the application
Autocapture can be utilized to classify and store your documents into the EHR.
