ONLINE PERFORMANCE MANAGEMENT


STEP-BY-STEP INSTRUCTION-EMPLOYEE

Getting started:

From self service main menu:

I. Click employee button.

II. Click performance management link.

III. Click the main menu link, performance management system main menu
appears:
A. To maximize screen-click and drag window to the left then click the
maximize button in the upper right corner.
B. The performance management main menu-create & certify performance
plan, create & certify performance review, or view historical reviews.
C. The most current review is shown, click drop down to view next rating
period.
D. Print option is available on the plan main menu; review main menu, and
historical main menu.

Reviewing the performance plan:

I. You will receive a system generated e-mail stating that the plan has been
certified by your supervisor and needs to be reviewed by you:
A. From performance management main menu, click the create/update
an uncertified plan button.
B. Your name, process level, and current position appear.
C. The most current rating period appears.

II. To review competencies, click competencies button:


A. The full description button provides additional information/details
about each competency.
B. You can view comments and return to the competencies menu by
clicking on the back to selected competencies button.
C. You may also view any development plan* comments from your
supervisor by clicking on the development plan button, return to
selected competencies.
D. You also have access to view the Behaviorally Anchored Rating
Scales**(BARS).
E. After reviewing competencies, return to plan menu.

III. To review objectives, click objectives/factors button:


A. To exit, click back to plan menu button.
B. Click progress review/comments button to view. You can add
comments here. To save click save employee progress
review/comments button.

*Development plan-is not mandatory, used to develop a more detailed plan in which to
review the employee.

Certification/de-certification of the performance plan:

a. Before you certify a performance plan:


A. Review the competencies for completeness.
B. Review objectives/factors for completeness.
C. Review any progress review/comments for completeness.
D. Schedule and conduct your one-on-one discussion with your supervisor.
E. Make any additional changes.

b. Employee certifies the performance plan:


B. Click white box under employee heading in the certification area,
warning box appears, click ok.
C. Date of certification appears in red.
D. E-mail is sent to supervisor that the plan has been certified.

II. Employee is unable to certify their performance plan:


i. Employee has no computer access or access to the Internet.
ii. Supervisors can override, using access override,
you must still print and have you and employee sign plan.
iii. Click on access override under the certification area of the plan main menu
screen, click in the white box, and click ok when warning window appears.

III. Employee refuses to certify their performance plan:


i. Supervisor can use refusal override.

i. De-certifying after supervisor/employee certification:


ii. Can only be done by supervisor.

iii. E-mail notice will be sent to employee each time a plan is certified/de-
certified or access override or refusal override has been used.

i. When the supervisor or employee certifies a plan/review an e-mail notification


will be sent to the other party.

Reviewing the performance review:

I. E-mail notification is sent to employee.

II. Employee completes performance review on manager self service:


iv. On performance management main menu-employee screen, click update a
review button.
v. The name, process level, and current position
will appear.
vi. Select the current rating period.
vii. Review ratings for competencies using the competencies button.
viii. You may also view the bars by clicking on its link, it is job group specific
ix. Review development plan; return to selected competencies
x. Review each objective by clicking on objectives/factors.
xi. You may now add comments in the progress review/comments area.
xii. Review overall rating.

III. Employee certifies performance review.

IV. E-mail sent to supervisor.

V. Employee reviews and certifies performance review on self-service.

Certification/de-certification of the performance review:

I. Before you certify a performance review:


A. Review the competencies area for completeness.
B. Review the objectives/factors area for completeness.
C. Review any progress review/comments for completeness.
D. Conduct your one-on-one discussion with your supervisor.

II. Supervisor certifies the performance review:


A. E-mail sent to employee.

III. Employee certifies the performance review:


A. E-mail sent to supervisor that employee has certified the review.

IV. Employee is unable to certify their performance review:


A. Supervisor can do an access override.
B. Click on white box under certification next to review, warning box to verify
will appear; click ok.

V. Employee refuses to certify their performance review:


A. Supervisor can do a refusal override
B. Click on white box under certification next to review, warning box to verify
will appear; click ok.

VI. De-certifying after supervisor certification


A. Can only be done before employee certification.
B. Uncheck the white box under the supervisor review certification area;
warning box will appear, click ok.
C. Certification will have to begin again.
D. Supervisor and employee can view historical records.

VII. De-certification after employee certification:


A. Only HR has access to do this.
