ORGANIZATION COMMUNICATION GROUP 2 DISCUSSION ASSIGNMENT.

QUESTION: Choose any big organization that you know and critically examine the way they deploy small group and interpersonal level of communication? Organization Meru Level IV Hospital Small group- Pediatrics wing and mothers with children under 5 years Interpersonal level- staff members of the pediatrics wing e.g. Nurses, doctors clinical officers. The message to be communicated is vaccination of children under 5 years of age. Interpersonal Level Verbal Communication- Staff members of the pediatric wing can communicate the upcoming vaccination by word of mouth. Thisi can be done as they go about their duties and during their informal interactions like during lunch break. The mothers of the children concerned can also be communicated to verbally while they are attending the clinics. E-mails- this method would be most effective for the staff members where they would get details on the schedule of the vaccination. Phone calls- These can be used by staff members to discuss the upcoming vaccination. Mothers can also be called on their mobile phones they give in their details in the hospital card for clarification on attendance. Popup messages- These a feature installed on all staff members computers which is instant sending and receiving as compared to emails where they can discuss the upcoming activity. Summons- The head of the wing can summon the team leader of the different sub-groups to ensure that the leaders have all the information needed. Gestures- These will apply to the staff members because they have certain gestures that they all understand e.g. the dosage to be given to each child Notes- These may be passed around between staff member with the details of the upcoming activity.

SMSs- These maybe used by both staff members and also it can be sent to the mothers with the details. Facebook- Staff members can send inbox, chat or write on each others wall to act as reminders.

Small Group Memos- This is a formal document addressed to all the concerned members of staff concerning a particular topic in this case the vaccination. Meetings- These can be chaired by the head of the wing and attended by all the staff members of the wing. Meetings can also be held by the staff members and the mothers educating them on the importance of the vaccination exercise. Circulars- These include notices pinned on the notice board, posts or any other place where they can easily be accessed by the members of the staff and the mothers. Audio announcements- These are done via the intercoms in hospitals, radio announcement especially using the vernacular station of the targeted area, a vehicle going round the targeted area with a person announcing the message using loudspeakers/awareness campaign. Pamphlets- These are short written messages with more information on the vaccination that can be handed out to the mothers for further reading thus clarifying any questions they may have. Audio visual- Examples PowerPoint presentations, projectors with CDs to aid in sound. These can be used by the head of the wing when he is training the staff members.
