Chapter ~ewsletter Your chapter's newsletter is the only means by which you can communicate with JOO% of your memben, because they will never show up at a meeting at one time. It is, therefore, very important that it be timely and informative. Your chapter's editor (Secretary in some chapten) should order The U.S. Jaycees' "Guide to Successful Local Publications" (RSVP No. 5022-0). This will give him all the information he needs to publish a good newsletter. More details concerning a good publication are also given later in this guide in the section entitled "You and Your Specific Office - Editor." The best way you can assist your editor is to give him your rePorts and the reports of your project chairmen when he wants them. An important link in your communications process is to have the right attitude. Remember that word - ATTITUDE! Your attitude and the manner in which you approach your newsJetter this year as editor win have tremendous influence upon the members of your chapter. Regardless of whether you have to write every line or whether you merely have to collect the "news" and put it together, maintain a positive attitude. Use only positive remarks and statements. It's your attitude through your newsletter that will have the impact. Increased participation in projects and meetings result from the sense of identity and belonging that occurs among your membership as a result of a regular, meaningful newsletter. Remember: Successful meetings, projects and programs equal better Jaycees and better communities. Use your newsletter to close the communications gap which may exist and make each member a vital part of your team.

Regardless of who in your community receives your newsletter, the most important readers are your members and their interests must be considered at all times. People, events, programs and opinions are the basic ingredients which form and make up your newsletter. When you are considering the contents of your newsletter, keep the folJowing things in mind: Is your newsletter properly aimed at yc ur readership? b. Are. the articles timely and do they tell the complete story? c. Is it professional in appearance and content? d. Is it readable? e. Is it clear, concise, complete and correct?

It contains sections on newsletter content, layout and printing, getting articles submitted, mailing, how to write articles, and a series of worksheets and checklists. It can be your most valuable tool in making your newsJetter effective.

Communications.
"What We Have Here Is Failure To Communicate."
There have been at least a half dozen cartoons in popular publications with this caption and each time we see them, it causes laughter but generally little thought. But when communication fails in the real world, the world that you must train and develop people to cope with, it is seldom funny. You have been elected (one of approximately 8,500 local Presidents) to lead your chapter toward an ideal end result: The betterment of your community through the growth and participation of your members. You must, therefore, be result-oriented. To obtain results requires effective communications. You, Mr. President, hold the controls on the two primary means of communication available to your chapter. One: Your chapter's newsletter and Two: Your membership meetings. Let's deal briefly with effective Board and membership meetings and your chapter newsletter.

Successful Chapter Newsletters.


How often have you heard an inactive member complain that the reason for his inactivity is that he was not properly informed about chapter activities? Is that his problem? No' It's your problem because you haven't told him what's gOing on in the chapter and how he can benefit by becoming personally involved. "Poor" communications hurt every Jaycee chapter and contribute to more problems than any other factor. A newsletter must effectively tell the reader what your chapter is doing and why. Regardless of who in your community receives your newsletter, the most Important readers are your members and their interests must be considered at all times. A new member has basically two functions of your chapter to consider when forming his initial opinion. These are your meetings and your newsletter. A newsletter that is aimed at members who are part of the "in" group can totally destroy the positive effect of its impact on new members. An Informal type newsletter that refers to members by first name, or programs by their initials, has a tendency to make a new member feel like a party-crasher. He probably doesn't know a ePG (Chairman's Planning Guide) from a FPG (Financial Planning Guide) and your newsletter has confused him rather than informed him. People, events, programs and opinions are the basic ingredients which form and make up your newsletter. When you are considering the contents of your newsletter, keep the following things in mind (a) (b) (c) (d) (e) Is your newsletter properly aimed at your readership? Are the articles timely and do they tell the complete story? Is it professional in appearance and content? Is it readable? Is it clear, concise, complete and correct?

Successful Board and Membership Meetings.


The importance of Board and membership meetings to the overall success of your chapter cannot be overemphasized. A well-planned and well-run meeting may not be a reason in Itself for a member to attend a meeting, but an unorganized and poorly run meeting is definitely a legitimate reason for him not to come. Get your Board members as involved as possible in the planning of your chapter's meetings. Let it become "their" meeting, not just "your" meeting, Always ask them for help when talking about important or controversial issues during the meeting Also, ask them to help you handle any "overly aggressive" member when that member's actions deny any other member's right to be heard or negatively blocks the progress of a meeting. The Board shall ensure that each membership meeting is a productive one ... you, as President, lust happen to be the one selected to stand behind the podium and run the meeting efficiently. Use Board meetings to hold each Board member accountable for performing on an ongoing basis the duties and responsibilities of his office. Be fair, but be firm. Maybe the goal of each of your Board meetings should be to have each Board member more committed to the performance of his duties You do this by holding them accountable, and then assisting each with his weak areas; and the best place for this to be done is at a Board meeting, At both Membership and Board meetings you will be called upon to make some very tough and, sometimes, controversial decisions. Let the following be your guide when these decisions have to be made: "If it's best for the majority do it; for it's best for the minority don't do it." Just as important. take the time after your newsletter is "Iayed-out" and go back over these questions to make sure you have included what is needed for a good publication. The Lincoln Jaycees have announced plans to sponsor an Outstanding Young Farmer(OYF) programfor18-to36-yearold agriculturists in thiS area. The Jaycees' OYF program began as the project of a single chapter but was adopted by the organization's national board of directors in 1954. More than 2,000 Jaycee chapters around the nation sponsor OYF programs annually. This is the fifteenth year of involvement for the Lincoln chapter. The OYF program is sponsored by Deere & Company, manufacturers of John Deere farm implements and equipment. I am going to devote this column to a subject that has bothered me for some time. Ever since I joined the Chapter in 1972, I have often heard from the members the complaint that, "Nobody calls me to work on projectsl!~ I realize that this situation sometimes exists in Petersburg, as it does in most large chapters across the country. But face it, it is virtually impossible to call almost 150 people to work on every project. Over the years, I've seen many people try (myself included) without complete success. ~o the Board members and project chairmen mail out project notices seeking help, put articles in the SPARK, put "sign up" sheets at the chapter meetings, and call a few people that they know. And what happens? The same people that work on every project, plus a few others, show up to help, and a lot of people st cw home and say, 'IIwasn I t called': I guess the point that I'm getting at is that while the obligation is on the leadership to do all the things I have listed above. there is also an obligation on the members who stay home and don't respond to do something more. LP/SD Meetin~ The LP/SD meeting for March was held in Chester, VA. Thanks for Tim Williams and John Gee attending with me. State Convention, Roanoke The VA Jaycees State Convention is coming up soon. It will be held in Roanoke, VA from May 20-22, 1977. We plan to stay in the Holiday Inn across from the Convention Center. Dear Fellow Jaycees: At our last business meeting~ 8 March 1977, I formally announced my candidacy for the office of President for your Chapter next year. At that time I referred you' to my flier in the March issue of the Jaycee SPARK which briefly summarized my platform and my experience since I joined the Petersburg Jaycees in September 1972. Now let me take a moment of your time to summarize my experience. I have chaired 12 projects and participated in every project the Petersburg Jaycees has run since I jointed. I currently hold the. office of State Director and ROC/CPG Chairman for Region II. My efforts have not gone without chapter recognition. In 1974-75 I was selected as Outstanding External Project Chairman for my efforts in forming the Tri-City Alliance for the Eradication of Venereal Disease and my efforts last year as Project Chairman of CPG Project Notebooks Program for the Petersburg Jaycees resulted in our chapter for 1975-76 winning more State and National awards than any other chapter in the US Jaycees. Thus, through this project I was able to help you (the chapter members) get credit for the work you did for our community action programming and individual development programming. Also through this project I learned what Jaycees is all about and how a Jaycee chapter should be run as promoted by the US Jaycees. My basic platform is simple, I plan to lead the chapter as your President for 1977-78 and carry out the programs that the majority of the chapter wants. Based upon comments I have heard, most of you want more socials, individual development programs, and work on meaningful community action projects to make Petersburg a better place to work and live. If this be true, it will be up . to me based upon the plan of the year passed by your Board and you to carry it out next year. The one thing I want to stress is that you'll have a choice this year for President, something you haven't had in recent years. Since becoming active in the Petersburg Jaycees, I feel that I have done a good job and will stand on my record. If elected, I will try as always to continue the record I have done in the past. Yes, I want to be your President next year and ask for your support not only during the election but for all of 1977-78.

Jaycee Involvement: joined January, 1975 - attended 100% of membership meetings since then - project chairman O.Y.L.E.O. 1975; Freedom Guard 1976, Washington Redskins Game 1976 - qualified for Spoke award 1976, Spark Plug award'1976, 1977 - Spoke of the Year 1976 - Outstanding Freedom Guard in Virginia 1976 - Director 1976 - Internal Vice-President 1976-77.

Based on my conversations with many chapter members, the following goals for next year:

I have developed

Membership: I believe we must continue to give as many young men as possible the opportunity to develop themselves as individuals and leaders. The more ,members we have, the more ideas we have, and the more we can do for our community and ourselves. Retention: We should work hard to retain all members by finding out what they want in the chapter and by providing it. The strength of our chapter is not in the projects we run but in the ~embers themselves. Individual Development: We should concentrate on finding qut what the members feel are their individual strengths and weaknesses, and then run projects to polish the skil+s and help them overcome the weaknesses based on each member's needs. Community Action: Mygoal is to involve the Petersburg Jaycees in community projects that not only the membership is interested, but projects that are also significant to the community in terms of resolving a need. Chapter Activities: Comments from various members have convinced me we should concentrate on two areas. First, support is very strong for.an organized sports program within the Chapter. I will back this 100% based on the wishes of the chapter. Second, I believe an organized calendar of social activities should be planned to give us a chance to get to know each other better .. In conclusion, you can see I am firmly committed to a well balanced program of chapter activities. I am dedicated and committed to the continued success of our chapter. With your support we can once again successfully achieve our purpose of Developing The Individual Thru positive Involvement Within His Community. HONARD BROWN FOR PRESIDENT
