Aberystwyth Community of Gamers Committee Meeting 27th September 2011 Keiran Russells Flat 7pm

Welcome Keiran Russell welcomed everyone to meeting. Apologises Nick Brooks was absent from the start of the meeting as he was returning to Aberystwyth. Minutes Rhys Short informed the committee due to the lack of quality of the minutes due to the technical difficulties; however they will be put before the committee for approval at the next meeting along with the minutes from the current meeting. Presidency Rhys Short tabled the proposal that since Nick Brooks is returning to Aberystwyth at the present time, Keiran Russell should step down as acting president and Nick Brooks take over. A debate ensued which was ended with a vote on the subject with the statement If Nick Brooks returns and says he is well enough to continue then he should take over the society again, The vote rejected the motion tabled. Societies Fayre Keiran Russell led a quick rundown of the equipment that was needed for the event. Liam Edwards would provide the gaming sticks and the Marvel Vs Capcom, the decision was taken that Sam OHara would provide the TV and PS3 because they will in Penbyrn after the Gaming Fayre. It was decided that the committee would meet at the sports cage at 9am. A banner for the societies fayre would be created in the style of Aberystwyth Community of Gamers with A C O G in a larger font and different colour. Flyers for Aber Vaults and our Society will be on the stall. Ben Mayne showed the committee his montage, after the viewing the variety of games shown was questioned by Rhys Short, most notably, there were no sports games in the montage, or many recognisable console games. To solve this issue it was put forward the empty cases of different console games would be put on the desk for the fayre. Sam had confirmation from the finance office that we could not have a float as some paper work had not been competed making us a truly official society.

Freshers Gaming Fayre A review of the Freshers gaming Fayre was put to the committee, so lessons could be learned. Friday had gone reasonably well, apart from small numbers, the event had run smoothly. Saturday had a good flow of freshers throughout the day. Due to the number of committee available for the Saturday due to various reasons members of full restore were left in charge for a short period of time. As a result it is recommend that we have enough refs/ committee to run the event. Also in the event that something cannot be attended a period of 24 hour notice should be given however this is excused in extreme circumstances. Social 1st Social has been sroted and it will be on Wednesday. Freshers Event Liam Edwards will be running polls for the titles to be played at the event during the week, he is hoping that there will be a Kinect being played along with the normal complement of game types.

Nick Brooks has joined the meeting, and feels that he can take control of the society again. With requests for TF2 to be played at events Nick Brooks assured the committee that it is possible for it to be run at event if it is wanted. It was reported to the committee that Bar 9 has been booked for the event on the 6th of October, the event will be left to Liam to sort out.

Guild Keiran Russell has been talking to Min and Tom, considiering the success of the event for moving in weekend they are thinking of talking to Activision and getting Call of Duty: Modern Warfare 3 on release and have a tournament, run by us, with the guild advertising it and the procceds going 3:2 in favour to us. Penbryn Gaming Night The residence manager for Penbryn wants to run a gaming night every Friday night for the people who do not go out on Friday nights, there would be no fee for the event, however if it proves successful they would like the event run by the students staying in Penbryn, and transferring all control to them. However the committee had many reservations about this mainly due to ACOG getting not a lot out of running the event and it depending on timing we would have 3 events to run in a week before running a Penbryn gaming night.

There will be a meeting in the future about this along with the residence staff, the members of the committee that need to attend the event are Nick Brooks, Keiran Russell, Sam OHara and Liam Edwards should attend at least. Full Restore Full restore would like 65 for equipment along with 50 for food, the committee came to the conclusion that this was far too much and is something we could ill afford it was decided that we wanted to give them something the amount was the problem. The committee took a vote on the maximum amount we would be willing to give to them was 50, Keiran Russell and Sam OHara will talk to them about this and negotiate the amount we will be giving them. Keiran Russell and Sam OHara to talk to full restore, and present discussions to the committee at the committee meeting preceding their meeting. Game reviews If the member submitting the review would like their review to be published in The courier as well, this will be made possible through ACOG.
