Aberystwyth Community of Gamers Committee Meeting 4th October 2011 Nags Head 7pm

Welcome Nick Brookes welcomed the committee to the meeting, with the addition of Santhosh Kannan. Apologies Lisa and Ben are not present at the meeting because it is their anniversary. Minutes The minutes from 20th September and 27th September committee meetings were passed; despite committee members not reading them. Socials The budget for socials is 5% of the income from the societies. Prizes for themed socials The options discussed are for a Fish Bowl for the winning team or a budget to get their whole team a drink of their choice. A yard of ale was also discussed as an idea for a prize for the winning team. Having badges for completing different challenges on socials. The badges would be made by us using the badge making machine of AberPride which was offered to us at the societies fayre. At socials all committee members are to remain sober at all times. All drinking challenges are optional and any peer pressure to get people to drink will be stamped out by the committee. Also in instances of get a room members and committee should do exactly that. However committee are banned from get a room situations on socials. Event Liam needs to talk to the committee about the layout of the event. Being on guild premises it is of upmost important that all health and safety paperwork has been taken care of. For Gran Turismo 5, the Top Gear test track will be played along with a reasonably priced car if possible. Dance central will be played on the Kinect. The N64 will have its own corner playing a series of retro games.

Stopping file sharing is a must on guild premises; as a result house rules will be introduced where if any pc gamer is caught sharing files they will be banned from all future events. Sam OHara or another member of the committee as delegated by Sam will get an ACOG stamp for use in future events

Attitudes Society was made to fill a gap in the University for a Gaming Society after the folding of GameSoc and AberLAN. As a result the committee has been known to be passionate about the society and have put a lot of time and money into it. This year the aims have been ambitious and now we have the funds to make the ambitions come true. Various individual comments for the committee members some of praise others of criticism. Most notably all favours that a committee member can call in, the entire committee should be able to call on them as it is for ACOG not the person. Various a discussions about how we can each improve our roles in the committee. In future there will be weekly e-mails with the tasks for the week in order to make sure they get done along with better delegation where any member can take on any task as needed by the committee. Liam Edwards has requested an Equipment database to be drawn up.

Any Other Business Full Restore

Keiran Russell and Sam OHara have managed to negotiate down full restores funding request to 50, it was asked by a member of the committee if it was possible to make this performance based however it was disregarded as the deal was already matching the committees general expectation. The Deal was approved 5 -0

Prices Nick Brooks was seeking clarification on the pricing system being used by ACOG. 5 membership; for events: 4 for non-members to compete, 2 for members to compete and 2 for non-members to be social. The committee debating whether the plan of raising the membership cost to 7 after the first event would be worth it considering the amount of money made from membership to date and that it would make ACOG very expensive in comparison to other societies. Although Sam OHara wanted to defer the decision to the next meeting after the event had taken place, Rhys Short reminded the

committee that the social at which membership could be purchased would take place before the next committee meeting due to changing of days because of sponsorship. After pushing and making the point that it had to be decided tonight, the committee eventually came to the agreement that membership will not rise after the first event it will stay at 5 for the year.

Upon the subject of membership it was brought up that we had not yet officially voted Santhosh Kannan to be Network Admin. A vote took place and Santhosh was made a member of the committee 5 0 in the appointed position of Network Admin.

Committee Training No Committee member attended the training due to lectures and other commitments as a result Nick Brooks along with Keiran Russell will talk to the guild about what we missed.

Membership Cards

Membership cards are needed by the society as a result Keiran Russell will choose the design, Santhosh Kannan has said he can make the cards at his work place on photo paper. And Sam OHara will laminate them as they are ready to be given to members.
