BASIC OPERATIONS
Single-sided Copying:
1. Place originals into the document feeder and press start.

Making Two-sided Copies from One-sided Originals:


1. Place your originals and press the [Two-sided Mode] key. 2. Press the [1 to 2-sided] key. When you select the [Option] key, select the type of two-sided orientation, and press the [Done] key. 3. Press the [OK] key. The display returns to the Basic Features screen, and 1 to 2-sided is displayed above the [Two-sided Mode] key 4. Proceed to make copies in the usual way.

Making Two-sided Copies from Two-sided Originals:


1. Place your originals in the feeder and press the [Two-sided Mode] key. 2. Press the [2 to 2-sided] key. When you select the [Option] key, select the type of two-sided orientation for original and copy paper, and press the [Done] key. 3. Press the [OK] key. The display returns to the Basic Features screen, and 2 to2-sided is displayed above the [Two-sided Mode] key. 4. Proceed to make copies in the usual way.

Creating Covers:
1. 2. 3. 4. 5. 6. Place your originals in the feeder and press the [Special Features] key. Press the [Cover/Sheet Insertion] key. Select the [Front Cover] and press the [Next] key. When copying onto the Front Cover, press the [Printed] key, and then press [Next]. Select the paper source for the Front Covers, and press the [OK] key. Press the [Done] key. The display returns to the Basic Features screen. 7. Proceed to make copies in the usual way.

BASIC OPERATIONS

Enlarging/Reducing Originals to a Standard Size (Preset Zoom):


You can enlarge or reduce standard size originals to standard paper size. [Reduce] LGL LTR (78%) 11x17 LGL, 11x15 LTR (73%) 11x17 LTR (64%) 11x17 STMT (50%) Minimum ratio (25%) 1. 2. 3. 4. 5. Place your originals and press the [Paper Select] key. Select [Entire Image] key, and press the [Done] key. Press the [Copy Ratio] key. To reduce, select a reduction ratio. To enlarge select an enlargement ratio. Press the [Done] key. The display returns to the Basic Features screen, and the selected copy ratio is displayed 6. Proceed to make copies in the usual way. To return the copy ratio to 100%, press the [Direct] key. You can cancel the mode by pressing the [Reset] key.

Specifying the Copy Ratio by % (Zoom Designation):


1. Place your originals and press the [Copy Ratio] key. 2. Enter the copy ratio with the [-] or [+] key or the Numeric keys [0 in 1% 9] increments. 9], 3. Even if you entered the ratio with the Numeric keys [0 you can change the entered values with the [-] and [+] keys. 4. If you make a mistake when entering values, press the [Clear] key, and enter the correct value 5. Press the [Done] key. If you enter a value outside the setting range, a message prompting you to enter the appropriate value will appear on the screen. The display returns to the Basic Features screen, and the selected copy ratio is displayed. Proceed to make copies in the usual way. To return the copy ratio to 100%, press the [Direct] key. You can cancel the mode by pressing the [Reset] key. Copy Ratio Tips & Tricks: Select the [Entire Image] key from the Copy Ratio screen if your original contains print that extends all the way to the edge of the pages. (This feature slightly reduces images to include this area.)

The Sample Set key will enable you to print a sample when you are making multiple sets of copies. It appears when a number other than one copy is selected.

GLOSSARY OF TERMS - SPECIAL FEATURES


Select the [Special Features] key from the Basic Features copy touch screen. Press the Arrow Up or Down as needed.

DOCUMENT LAYOUT
Two-Page Separation: Enables you to copy facing pages in a book or bound original to fit into separate pages. Place original on glass in top left corner. Tip: If the book does not have standard size pages, it may work better to place the binding of the book in the center of the machine (at the LTR mark). Cover/ Sheet Insertion: Enables you to add front & back covers and sheet insertions. For best results, manually select paper source document, then select paper source individually for each cover/sheet insertion. You may choose to have sheets printed or left blank. Booklet: Enables you to begin with one or two-sided original documents and create a booklet. Select the original paper size, then the paper output size. If you want a reduced booklet on LTR sized paper, LTR-R paper must be loaded. Transparency Interleaving: Enables you to automatically insert a sheet of paper between transparencies with the option to copy the content of the transparency to the inserted paper. Image Combination: Enables you to automatically reduce multiple 2, 4, or 8 originals as well as two-sided originals to fit onto one or both sides of a selected paper size.

IMAGE ADJUSTMENT
Shift: Enables you to make copies with the entire original image shifted to the center or a corner. Margin: Enables you to make copies with the entire original image shifted by a designated width to the left, right, top or bottom to create a margin on the copies. This is generally used to make copies ready for placement in binders. Frame Erase: Enables you to erase shadows, lines and other parts of a document such as fax headers. Options include Original, Book and Binding Frame Erase. In order to clear information from only one area of the document such as a fax header, select Original Frame Erase, and Adjust Each Dim. for further area designation. Note: Only one type of frame erase can be used on a particular document.

SCAN SETTINGS & NOTIFICATIONS


Scan Image Check: Enables you to confirm scanned images page by page when you scan originals. It is useful to prevent copying errors resulting from scanning errors.

GLOSSARY OF TERMS - SPECIAL FEATURES Different Size Originals: Enables you to copy two different size originals together with the paper output size auto detected by the device. The following combinations of originals may be used 11 x 17 and LGL, LTR and LGL, LTR and LTRR. If LGL and LTR are used, LTRR paper must be loaded in a drawer. This mode will not work with the Stack Bypass. Job Build: Enables you to scan multiple batches of documents through the feeder and on the glass, and prints them out as one document after scanning. It is used when there are too many documents to fit in the feeder at once, or other documents such as photos need to be inserted within the document. You may change a minimal amount of copy settings for each batch. However, the finishing (stapling/hole punch, etc) will be the same for all pages in the document and cannot be changed. Select job build and continue to press the start key for scanning originals. When all documents have been scanned, press done and the entire document will be printed. Job Block Combination: This is an advanced job build. This mode enables you to scan multiple batches of originals with different copy settings and print them as one document. You can edit, rescan and check the settings of each block before combining and printing. You may also store the document in a mailbox with the print settings. Store in User Inbox: This mode enables you to scan originals into a User Inbox with the copy settings, making copies at the same time if desired. It saves the document with the copy settings in the mailbox for future use. Job Done Notice: Enables you to set the machine to notify you via email when the current copy job is done. In order to use this you need to store email addresses in the address book beforehand. This feature can only be used if the optional Universal Send Kit is active.

IMAGE EDITING
Nega/ Posi: Enables you to make copies of the original image by inverting the gradations of black-and-white. Image Repeat: Enables you to repeatedly copy the entire original image in either the vertical or horizontal direction. The paper source must be manually selected. Automatic setting- The original image is copied so that the maximum possible number of repeats fit onto the selected paper size. Manual setting- The original image is copied the specified number of times. If the image is too large to fit on the paper when repeated for a selected number of times, it will overlap. Form Composition: Enables you to superimpose a previously scanned image, which has been stored in the memory of the machine on the output. Mirror Image: Enables you to copy the original image reversed, as a mirror reflection.

GLOSSARY OF TERMS - SPECIAL FEATURES Page and Copy Set Numbering: Enables you to print page numbers, copy set numbers and user defined text on the copied output. If you would like to print characters with the numbers you may store (register) the characters in the machine for future use if desired. Watermark/ Print Date: Enables you to print a preset or user defined watermark and the date on your copies. If you create your own watermark, you may select register to store it in the machine for future use. Tab Paper Creation: Enables you to print on tab paper. The tab paper must be loaded into a drawer and the paper must be registered as tab paper in the machine. Sharpness: Enables you to make copies of originals with a sharper or softer contrast. Low Use this setting to lessen the moir effect (shimmering, wavy pattern). High- Use this setting to enhance the edges of original images so that the faint or fine line text is reproduced with a sharper contrast.

MEMORY FUNCTIONS
Job Recall: Enables you to recall the three most recent copy jobs and make copies using these settings. Mode Memory: Enables you to set any possible combination of copy modes and store them one of nine memory keys, which may be named. To program a memory key, specify the copy settings first, then select the memory key desired and choose register. If you would like to adjust the settings later for a key, you may register and overwrite the existing settings.

For additional information using the machine, the Help button gives step by step instructions on the use of features and general maintenance information. To learn more about the use of a particular feature, press help after selecting a mode or feature on the display.

MAILBOXES
Mailboxes allow users to scan and store documents directly from the platen glass or document feeder into the devices hard drive image server into personalized or departmental mailboxes. Up to 100 mailboxes can be created and stored.

Creating Mailboxes:
1. Press ADDITIONAL FUNCTIONS 2. Press [Mailbox Settings]. 3. Press [Box Set/Store]. Scroll down to an unused mailbox. Press to select desired mailbox. 4. Press [Store Name]. 5. Using the keyboard that appears on the touch screen, enter the mailbox name. 6. Press [OK]. 7. Using the copier number keys, enter a password if desired. Passwords can be up to 7 numbers. 8. Select desired time for auto document erase: 1,2,3,6,12 hours (or) 1,2,3,7,30 days (or) 0 for OFF = permanent document storage. 9. Press [OK] to enter data. The new mailbox will be displayed. If secured, a padlock icon will show. Press [Done] 3 times to exit ADDITIONAL FUNCTIONS.

Deleting a Mailbox:
1. 2. 3. 4. Repeat steps 1, 2 and 3 above. Press to select desired mailbox. Press [Initialize]; press [Yes] to delete the mailbox. Repeat step above to exit.

STORING AND PRINTING DOCUMENTS IN A MAILBOX


The improved mailboxes feature allows users to scan material directly into a mailbox from the copier, as well as send documents from a workstation. Merge document allows the user to combine documents scanned into the copier with documents sent to the unit as a printer. Multiple selected mailbox documents can be printed out in any order, either as separate jobs in succession, or combined as one large document (merged).

Scan to Mailbox:
1. 2. 3. 4. 5. 6. Place documents to be scanned in the document feeder or on the platen glass. Press [MAILBOX] button. Press to select the destination mailbox. Press [Scan]. Enter the job-level settings for that document. Press [Document Name]. Using touch screen keyboard enter name of document. Press [OK] 7. Press [START] button to begin scanning document. 8. The document will be listed in the mailbox queue. 9. Repeat steps 1, 4, 5 & 6, or send several print files to that mailbox. You will need at least 3 documents in the same mailbox to fully demonstrate the new mailbox features.

Store In User Inbox:


Refer to Special Features in the copy section. This copy feature will enable you to copy a document, as well as store it in an Inbox for future use, saving the print settings with the document. Select Store in User Inbox key under Special Features on the Copy Screen. Select mailbox where document will be saved and name the document. Select Copy Upon Storing if desired. Copy document with desired settings.

Print Documents to a Mailbox:


1. Open the file on your PC. 2. Select File, Print and choose the Canon Printer from the Windows Print Screen.

5. Click on the mailbox you wish to print to and enter the name of your document. Choose [OK] and continue with other print selections. When the job is sent it will store in the selected mailbox.

Copy Documents Stored in a Mailbox:


1. At the copier, select the [Mailbox] key. Select your mailbox number. Select the jobs from the screen that you wish to print by touching them on the screen. 2. Press [Print]: At this point you have 2 options: i. Press [Start Print] to print the mailbox documents in the order you selected; or ii. Press [Change P Settings]. 3. Press [Merge Documents] if you selected multiple jobs and wish to print them as one. 4. Press [Start Print] to print the merged mailbox documents as ONE LARGE DOCUMENT. NOTE: All Job-Level settings for each separate Mailbox document (Simplex, duplex, zoom, etc.) will be overridden by whatever you set in the Mailbox print screen. All documents printed in merge mode will share those settings. Output will be all simplex or all duplex.

UNIVERSAL SEND ( SCANNING)


The Send tab is where all of your sending and scanning functions will be located if the Universal Send feature is enabled and configured. It will enable you to fax (if a fax board is installed), scan to file, scan to email and Store in User Inbox.

To send to an address, you may select the key for the type of destination such as email address on the New Address tab where you desire to send, then type in the email address with the keyboard that pops up on the screen. If the address is frequently used, it will likely be stored in the address book or on a One-touch button. To find this address, select the address book and find the address.

You may further drill down into menus by specifying type of address or first letter in name of address.

UNIVERSAL SEND- (SCANNING) After selecting the address, you may further specify the send settings, which are all located on the right side of the screen.
Select the drop-down menu next to the resolution to specify send resolution. A larger number will create a larger file.

Select the Option button to access to additional scan settings such as enlarge/reduce and document type as well as Special Features such as Job Build and Frame Erase.

Additional Scan Settings are available under the Option button.

UNIVERSAL SEND (SCANNING) More Send Settings such as 2-Sided Original and Different Size Originals are available on the right side of the screen. The File Format menu will determine the format in which the recipient will receive your document if sending via email or scanning to a file.

The File Format menu enables you to further specify the file type of your document. Send Settings enables you to enter the document name, message and replyto address.

In the Send Settings section you are able to name the document you are sending, as well as enter a subject, message, and reply-to address.

The most important field to fill out is document name.

If sending via email to someone other than yourself, select reply-to and find your email address.

Please note, in most cases, if you are emailing the document from the machine, it is easiest to email it to yourself. The reason for this is the email address of the sender will show to be something like Canon_Copier@domain.com. If no subject, message, or reply-to address is filled out, the recipient will not know who sent it. (Note: Some of the settings listed in the screen above are optional.)

The output method will be switched to [Secured Print]. Enter the document name, user name, and password in the [Confirm ID/PasswordJ dialog that appears when printing,

Select OK and OK again or Print to begin printing as normal. Another window will pop up asking you to confirm your password. This is a one-time password for this print job. Type any numeric password that you choose and select OK.

To print your job, go to the machine and look in the print queue on the Print Job tab. (On some machines this is under System Monitor. If you are looking in System Monitor, select the Print button and you will see your job in the print queue.)
The default view is Secured Print. Change the drop down to All to see entire print queue.

The Secured Print button will be available when the secure job is selected.

Your print job will have a lock next to it, and the Secured Print button will be highlighted. Select the Secured Print button and enter your numeric password. Your job will print. If you forget your password, you may delete the job out of the queue, but you will be unable to print it. The job will be stored in the RAM of the machine for up to 24 hours, then will automatically delete if it is not printed.

TECHNICAL TIP: Occasionally, you will find your output copies have lines across the page. This is caused by spots on the small glass to the left of the main platen. Cleaning Lines on Copies when using the Feeder:

Spot on this glass will cause lines when using the feederi.e. Dust, white out, ink.

1. Take the copy with the line and place it on the glass as shown on the picture. 2. This gives you a general area to look at and clean on the slit glass. 3. Use a soft and damp paper towel to clean the general area of the slit glass.

MAINTENANCE/ TROUBLESHOOTING

PREVENTING PAPER JAMS


It is important that the paper guides AND the paper size knob or dial on the drawer coincide with the size of the paper loaded in the drawer. If they are not set correctly, you will get a misfeed every time the paper pulls from this drawer. See example below Set paper guides to the correct paper size BEFORE loading paper. Close cassette paper drawers gently.

When loading paper, make sure side plates are firmly against the paper.

If the paper size has been changed, please also change the setting on the blue dial (if available) to correspond with the actual paper

SPECIALTY PAPER STOCK


It is important to the life of your color copier to use proper paper. Specialty papers help to achieve different results from color copiers but not all papers are suited for use in your copier. Some papers may cause the device to misfeed or require service. Please check the specifications of paper weight and types acceptable for use in your Color imageRUNNER. Consult the Canon Media Guide for Canon paper available for your machine. A paper weight comparison table is included on the next page.

REGISTERING SPECIAL PAPER


REGISTERING PAPER IN THE DRAWERS The default paper setting for the paper type in the drawers is plain. To register a different type of paper, follow these steps: Select Additional Functions Select Common Settings Page down using the arrow key to Register Paper Type Select the drawer where you wish to load the special paper. Choose the appropriate paper type. Select ok and done through the screens.

This paper type will remain registered until someone registers a different paper type in this drawer. REGISTERING PAPER IN THE STACK BYPASS TRAY Whenever paper is loaded in the stack bypass tray (on the side of the machine), a window should automatically pop up, asking you to enter the paper size and media type. Each time more paper is loaded, this window should automatically pop up. This tray is generally used for special paper, and it is where you will want to load the heavier paper and labels.

WARNING MESSAGES
Technical Tip:
To maximize the uptime of your new Canon product, and minimize downtime, the following tips are strongly encouraged and recommended. Please note that the black and white Canon devices have the following warning messages: 1 "Cleaning web is low" 2. "Waste toner full" Each of these messages indicates that the machine is in need of service. Please place a service call when you see either of these messages. For example the message cleaning web is low will be displayed 5-10k copies prior to the cleaning web actually running out. Once the cleaning web runs out the error message E-005 will be displayed and the unit will be inoperable until a technician arrives to replace the web.
