Effective communication is all about conveying your

messages to other people clearly and unambiguously.


It's
also about receiving information that others are
sending to
you, with as little distortion as possible.

Doing this involves effort from both the sender of
the
message and the receiver. And it's a process that can
be
fraught with error, with messages muddled by the
sender, or
misinterpreted by the recipient. When this isn't
detected,
it can cause tremendous confusion, wasted effort and
missed
opportunity.

In fact, communication is only successful when both
the
sender and the receiver understand the same
information as
a result of the communication.

By successfully getting your message across, you
convey
your thoughts and ideas effectively. When not
successful,
the thoughts and ideas that you actually send do not
necessarily reflect what you think, causing a
communications breakdown and creating roadblocks that
stand
in the way of your goals - both personally and
professionally.

In a recent survey of recruiters from companies with
more
than 50,000 employees, communication skills were
cited as
the single more important decisive factor in choosing
managers. The survey, conducted by the University of
!ittsburgh's Katz Business School, points out that
communication skills, including written and oral
presentations, as well as an ability to work with
others,
are the main factor contributing to job success.

In spite of the increasing importance placed on
communication skills, many individuals continue to
struggle, unable to communicate their thoughts and
ideas
effectively - whether in verbal or written format.
This
inability makes it nearly impossible for them to
compete
effectively in the workplace, and stands in the way
of
career progression.

Being able to communicate effectively is therefore
essential if you want to build a successful career.
To do
this, you must understand what your message is, what
audience you are sending it to, and how it will be
perceived. You must also weigh-in the circumstances
surrounding your communications, such as situational
and
cultural context.

Communications Skills - The Importance of Removing
Barriers
!roblems with communication can pop-up at every stage
of
the communication process (which consists of the
sender,
encoding, the channel, decoding, the receiver,
feedback and
the context - see the diagram below). At each stage,
there
is the potential for misunderstanding and confusion.



To be an effective communicator and to get your point
across without misunderstanding and confusion, your
goal
should be to lessen the frequency of problems at each
stage
of this process, with clear, concise, accurate, well-
planned communications. We follow the process through
below:

Source...
As the source of the message, you need to be clear
about
why you're communicating, and what you want to
communicate.
You also need to be confident that the information
you're
communicating is useful and accurate.

Message...
The message is the information that you want to
communicate.

Encoding...
This is the process of transferring the information
you
want to communicate into a form that can be sent and
correctly decoded at the other end. Your success in
encoding depends partly on your ability to convey
information clearly and simply, but also on your
ability to
anticipate and eliminate sources of confusion (for
example,
cultural issues, mistaken assumptions, and missing
information.)

A key part of this is knowing your audience: Failure
to
understand who you are communicating with will result
in
delivering messages that are misunderstood.

Channel...
Messages are conveyed through channels, with verbal
channels including face-to-face meetings, telephone
and
videoconferencing; and written channels including
letters,
emails, memos and reports.

Different channels have different strengths and
weaknesses.
For example, it's not particularly effective to give
a long
list of directions verbally, while you'll quickly
cause
problems if you give someone negative feedback using
email.

Decoding...
Just as successful encoding is a skill, so is
successful
decoding (involving, for example, taking the time to
read a
message carefully, or listen actively to it.) Just as
confusion can arise from errors in encoding, it can
also
arise from decoding errors. This is particularly the
case
if the decoder doesn't have enough knowledge to
understand
the message.

Receiver...
Your message is delivered to individual members of
your
audience. No doubt, you have in mind the actions or
reactions you hope your message will get from this
audience. Keep in mind, though, that each of these
individuals enters into the communication process
with
ideas and feelings that will undoubtedly influence
their
understanding of your message, and their response. To
be a
successful communicator, you should consider these
before
delivering your message, and act appropriately.

Feedback...
Your audience will provide you with feedback, as
verbal and
nonverbal reactions to your communicated message. !ay
close
attention to this feedback, as it is the only thing
that
can give you confidence that your audience has
understood
your message. If you find that there has been a
misunderstanding, at least you have the opportunity
to send
the message a second time.

Context...
The situation in which your message is delivered is
the
context. This may include the surrounding environment
or
broader culture (corporate culture, international
cultures,
and so on).

Removing Barriers at All These Stages
To deliver your messages effectively, you must commit
to
breaking down the barriers that exist within each of
these
stages of the communication process.

Let's begin with the message itself. If your message
is too
lengthy, disorganized, or contains errors, you can
expect
the message to be misunderstood and misinterpreted.
Use of
poor verbal and body language can also confuse the
message.

Barriers in context tend to stem from senders
offering too
much information too fast. When in doubt here, less
is
oftentimes more. It is best to be mindful of the
demands on
other people's time, especially in today's ultra-busy
society.

Jnce you understand this, you need to work to
understand
your audience's culture, making sure you can converse
and
deliver your message to people of different
backgrounds and
cultures within your own organization, in your
country and
even abroad.

Registration of a Private Limited Company, Single Nember Company, Pubic Limited Company in
Pakistan

This brief overview explains, in very general terms, the procedure and requirements for
registration of a company in Pakistan. These brief notes are for general guidance only and
should not be taken as a substitute for thorough and professional legal advice.

Types and Forms of Companies which may be Registered in Pakistan
The following types of companies may be registered in Pakistan:

* A private limited company, which may be a single member company
* A public limited company, which may be listed or unlisted
* A foreign company


How to Register a Company in Pakistan?

Companies remain the most favored form of business organisations in Pakistan especially for
medium and largescale business enterprises. Legal regime for establishment and regulation of
companies in Pakistan is given in the Companies Ordinance, 1384. Whereas the function of
administration of these companies is vested in the Securities and Exchange Commission of
Pakistan and the Registrar of Companies appointed by the Securities and Exchange Commission
of Pakistan for a Province of Pakistan where such company is to be registered.

Under the provisions of the Companies Ordinance, 1384 a company is a corporate body with
separate legal entity and a perpetual succession and a company may be formed by persons
associating for any lawful purpose by subscribing their names to the Nemorandum of
Association and complying with other requirements for registration of a company under the
provisions of the Ordinance.

The Companies Ordinance, 1384 provides three different types of companies:

* A company limited by shares
* A company limited by guarantee
* An unlimited liability company

Further, under the Companies Ordinance, 1384 two types of limited liability companies are
provided namely, a) a private limited company and b) a public limited company (which may be
listed or unlisted). Any one or more persons associated for any lawful purpose by subscribing
their name(s) to the Nemorandum of Association and complying with other registration specific
requirements of the Companies Ordinance, 1384 may incorporate a private limited company.
Provided that where a company has only one subscriber to the Nemorandum of Association
then such a company is called a Single Nember Company, however, a Single Nember Company
remains a private limited company for all intents and purposes of the Ordinance. Whereas any
three or more persons so associated may form a public limited company. A company limited by
shares whether a private company or a public company is the most common vehicle for carrying
out a business enterprise in Pakistan.

Prior approval of the relevant Ninistries/Departments is required to be obtained before
incorporation of the following companies:

* A banking company
* A nonbanking finance company
* A security service providing company
* A corporate brokerage house
* A money exchange company
* An Association not for profit u/s42 of the Companies Ordinance, 1384

Prior approval of the ministries (which regulate their respective functions) noted against each
category of the following specified nature of companies is required before incorporation of such
companies.

(1) Banking Company
Ninistry of Finance/State Bank of Pakistan.
(2) !nsurance Company
Ninistry of Commerce.
(3) !nvestment Finance Company (!nvestmentBank)
(i) Ninistry of Finance.
(ii) State Bank of Pakistan.
(4) Leasing Company
Securities and Exchange Commission of Pakistan.
(S) venture Capital Company
Securities and Exchange Commission of Pakistan.
(6) Asset Nanagement Company
Securities and Exchange Commission of Pakistan.

A company which invests in any of the following industries

(i) Arms and Ammunition
Ninistry of !ndustries/Board of !nvestment.
(ii) Security Printing, Currency and Nint.
Ninistry of !ndustries/Board of !nvestment.
(iii) High Explosives.
Ninistry of !ndustries/Board of !nvestment.
iv) Radio Active Substances
Ninistry of !ndustries/Board of !nvestment.

Procedure for Registration of a Company in Pakistan

Following are the requirements for registration of a company in Pakistan:

Step No. 1 for Registration of a Company in Pakistan

Availability of Name
The first step with regard to incorporation of a company is to seek availability of the proposed
name for the company from the Registrar. For this purpose, an application is to be made and a
fee of Rs.200 is required to be paid for seeking availability certificate.

Step No. 2 for Registration of a Company in Pakistan

Filing of documents required for registration of a private limited company in Pakistan

The following documents are required to be filed with the registrar concerned for registration of
a private limited company in Pakistan:

* Copy of national identity card or passport, in case of foreigner, of each subscriber and witness
to the memorandum and article of association.
* Nemorandum and articles of association Four printed copes of Nemorandum and Articles of
Association duly signed by each subscriber in the presence of one witness.
* Form 1 Declaration of compliance with the prerequisites for formation of the company.
* Registration/filing fee A copy of the original paid Challan in the authorized branches of Habib
Bank Limited or a Bank Draft/ Pay Order drawn in favour of the Securities and Exchange
Commission of Pakistan of the prescribed amount.
* Authorisation by sponsors The authorisation of sponsors in favour of a person to make good
the deficiencies, if any, in memorandum and articles of association as may be pointed out by
the registrar concerned and to collect the certificate of incorporation

Documents required for registration of a Single Nember Company in Pakistan
Any person may form a single member company and would file with the registrar at the time of
incorporation a nomination in prescribed form indicating at least two individuals to act as
nominee director and alternate nominee director, of the company in the event of his death. All
requirements for incorporation of a private limited company shall mutatis mutandis apply to a
single member company.

Documents required for registration of an association not for profit in Pakistan
All the documents meant for incorporation of a limited company alongwith a licence issued by
the SEC. !n case of a trade body, a licence issued by the Ninistry of Commerce would also be
submitted to the registrar concerned. The application for obtaining the requisite licence from
the Commission should be accompanied by draft memorandum and Articles of Association, list
of promoters, biodata of each promoter, declaration, names of companies in which the
promoters of the proposed association hold any office, estimates of annual income and
expenditure and brief statement of work already done or to be done.
Letter of Credit

The import and export of things take place between different countries. A letter of credit is a
mean of making payment for import of goods.

Opener or Buyer
The person who purchases the goods from other country and at whose request the letter of
credit is opened is called the opener or the buyer. !n our project the importer of jewelry and the
restaurants are the parties that will request for opening of L.C

Beneficiary or Seller
!t is the person or the parties in whose favor the letter of credit is opened. !n this case this
letter will favor both the parties. !t ensures exporters about the payment and same time it
facilitates importers about their product and services and ensures about the terms and
condition decided by the exporter.

Opening or !ssuing Bank
!t is the bank which opens letter of credit.
!ntermediary or Paying Bank
The bank which makes the payment to the exporters after receiving letter of credit on behalf of
buyer is called paying bank, confirming, negotiating or intermediary bank.

Opening of Letter of Credit
!nternational trade is financed through letter of credit, which is quite simple. Following is the
procedure for issuing a letter of credit. The procedure for opening L.C consists of eight steps,
1. Sales contract
The importer contracts the exporter for the purchase of goods. He settles term and condition
and the mode of payment. Then the importer informs the banker to open letter of credit.
2. Performa !nvoice !mport License
The banker asks the applicant to provide import license, Performa invoice and indent of goods
to be imported. After checking the documents the banker asks the importer to file application
on a prescribed form.
3. Application Form
Application form is usually known as application and agreement for irrevocable letter of credit"
is filled up by the banker and signed by the importer. All terms and condition of sale agreement
are documented in it.
4. Completion and Security of the Form
The banker as per information provided by the applicant fills the letter of credit form. The
banker completes the form and scrutinizes the document.
S. Opening of L.C
After complete processing of the application if the banker finds that every document is correct,
it opens the letter of credit in favor of exporter on behalf of importer.

6. !nformation to the Advising Bank
The issuing bank informs the advising bank that the letter of credit has been issued. Therefore
three copies are made one is kept by the issuing bank and the other two copies are sent to the
advising bank. The advising bank gives one copy to exporter.
. !nformation to the Seller
Advising bank informs the seller or the exporter that the letter of credit has been issued. The
seller thus sends the goods to the buyers and providing shipping document to advising bank.
The bank checks the document and sends it the issuing bank.
8. Nargin of Letter of Credit
State Bank of Pakistan decides the percentage of amount to be paid to issuing bank by the
importer. This interest is known as margin. The amount is deducted from the total payment
made by the importer.

The Relationship Between Communication and Culture
The relationship between communication and culture is a very complex and intimate one. First,
cultures are created through communication; that is, communication is the means oI human
interaction through which cultural characteristics whether customs, roles, rules, rituals, laws,
or other patternsare created and shared. It is not so much that individuals set out to create a
culture when they interact in relationships, groups, organizations, or societies, but rather that
cultures are a natural by-product oI social interaction. In a sense, cultures are the 'residue oI
social communication. Without communication and communication media, it would be
impossible to preserve and pass along cultural characteristics Irom one place and time to another.
One can say, thereIore, that culture is created, shaped, transmitted, and learned through
communication. The reverse is also the case; that is, communication practices are largely created,
shaped, and transmitted by culture.
To understand the implications oI this communication-culture relationship, it is necessary to
think in terms oI ongoing communication processes rather than a single communication event.
For example, when a three-person group Iirst meets, the members bring with them individual
thought and behavioral patterns Irom previous communication experiences and Irom other
cultures oI which they are, or have been, a part. As individuals start to engage in communication
with the other members oI this new group, they begin to create a set oI shared experiences and
ways oI talking about them. II the group continues to interact, a set oI distinguishing history,
patterns, customs, and rituals will evolve. Some oI these cultural characteristics would be quite
obvious and tangible, such that a new person joining the group would encounter ongoing cultural
'rules to which they would learn to conIorm through communication. New members would in
turn inIluence the group culture in small, and sometimes large, ways as they become a part oI it.
In a reciprocal Iashion, this reshaped culture shapes the communication practices oI current and
Iuture group members. This is true with any culture; communication shapes culture, and culture
shapes communication.

What is Corporate Culture?
Corporate culture is one of those focus areas that are not always fully
understood.




Corporate Culture Defined

Corporate culture is one of those focus areas that are not always fully understood and
are not optimally utilized either in an organization.

A basic definition of organizational culture is the collective way we do things around here. It
involves a learned set of behaviors that is common knowledge to all the participants. These
behaviors are based on a shared system of meanings which guide our perceptions,
understanding of events, and what we pay attention to. As Sun Tzu, a Chinese military
general from 3000 BC, indicated in his explanation of strategy, culture forms an integral
part of any organizational strategy. It consists of Tao - the created and shared beliefs,
values, and glue that holds an organization together, and it also involves the very nature of
the organization. Culture is about individuals in a group sharing patterns of behavior. There
is no cultural absolute. Because culture is relative, we have the power to create a culture
that is the best fit for an organizations future direction.

Culture plays out in a variety of ways. We can identify the specifics of it from how
information is communicated, feedback is given, performance is managed, and projects are
co-coordinated within the organization. It is reflected in the way the corporation or
institution is structured; whether work is conducted cross-functionally or within silos, how
the hierarchical levels are set up, and the types of job titles used. Culture is often defined
by the systems that are used, the processes that are followed, and the rituals, symbols, and
stories that abound in the organization. It is even reflected in how meetings are held in an
organization.

Corporate Culture as an -stacle

When working towards company goals or when trying to effect change in the organization,
your organizational culture can be the very thing that trips you up. If insufficient effort
is put towards identifying aspects of the culture that may impact on what you are trying to
achieve, then insufficient actions will be taken to circumvent obstacles in a timely manner or
harness the way things are done in an opportune direction. This is best explained through
an example.

An organization espouses that "people are our most important asset as part of its new
philosophy. However, employees witness a senior executive being escorted off site with his
belongings by security guards after being laid off. They receive an e-mail explaining where
they will be sitting and who they will be reporting to in the future restructure - with no fore-
warning or personal contact. Training and development opportunities for employees are
stopped in order to cut costs. Actions that consistently reflect a certain core culture will
more effectively emphasize to employees what the leaderships true values are than any
widely publicized statement. If a direction is truly desired, then all actions that will reflect
the required culture need to be considered and instituted accordingly.

Aligning Culture for Success

Once a strategy is set for the organization, the way deliverables are produced in the
organization needs to be examined and challenged. This is to ensure that every process is
geared towards achieving the strategy.

Every component of the corporate culture needs to underpin what is required from all
stakeholders in order to realize the strategic goals. There must be a reinforcing stream of
communications. All the actions in the organization need to translate into the cultural
realities. A culture can be created or reinforced through the use of socialization. Avenues for
socialization abound in functions like selection, placement on the job, job mastery, the
measurement and rewarding of performance, and recognition and promotion. Reinforcing a
culture can emerge through the stories told and the folklore propagated and, most
importantly, through the adherence to chosen important values. The key to the success of
the above is to ensure that the culture you wish to socialize others into is an ideal one,
necessary for breakthrough performance in your work area or organization. If it is not, then
you need to involve everyone in the evaluation and creation of a more suitable culture.

Strong Leadership is Required

One of the surest ways to align the culture to the organizations strategy is to apply
leadership practices that are also aligned. The leaders, at all levels, need to know what the
required culture is and then determine ways of establishing practices and procedures in all
operations that will closely reflect the desired culture. They also need to role model the very
behaviors they wish exhibited by everyone in the organization and provide the necessary
support to others that will enable them to function accordingly as well. Particular attention
also needs to be given to all communications.

Leadership needs to be front and center to create a corporate culture that works.

SelI-disclosure. The level oI selI-disclosure is culturally
determined. Not all cultures wish to give personal inIormation; some
want to do business without knowing the other person while others insist
on Iull knowledge Iirst.
Any intentional false communication, either written or spoken, that harms a persons
reputation, decreases the respect, regard, or confidence in which a person is held, or induces
disparaging, hostile, or disagreeable opinions or feelings against a person.
DeIamation may be a criminal or civil charge. It encompasses both written statements, known as
IB, and spoken statements, called slander.
The probability that a plaintiII will recover damages in a deIamation suit depends largely on
whether the plaintiII is a public or private Iigure in the eyes oI the law. The public Iigure law oI
deIamation was Iirst delineated in NW YORK TIS '. SUI'AN, 376 U.S. 254, 84 S. t. 710, 11
. d. 2d 686 (1964). In $ullivan, the plaintiII, a police oIIicial, claimed that Ialse allegations
about him appeared in the New York Times, and sued the newspaper Ior libel. The Supreme
ourt balanced the plaintiII's interest in preserving his reputation against the public's interest in
Ireedom oI expression in the area oI political debate. It held that a public oIIicial alleging libel
must prove actual malice in order to recover damages. The ourt declared that the First
Amendment protects open and robust debate on public issues even when such debate includes
"vehement, caustic, unpleasantly sharp attacks on government and public oIIicials." A public
oIIicial or other plaintiII who has voluntarily assumed a position in the public eye must prove
that deIamatory statements were made with knowledge that they were Ialse or with reckless
disregard oI whether they were Ialse.
Where the plaintiII in a deIamation action is a private citizen who is not in the public eye, the
law extends a lesser degree oI constitutional protection to deIamatory statements. !ublic Iigures
voluntarily place themselves in a position that invites close scrutiny, whereas private citizens
who have not entered public liIe do not relinquish their interest in protecting their reputation. In
addition, public Iigures have greater access to the means to publicly counteract Ialse statements
about them. For these reasons, a private citizen's reputation and privacy interests tend to
outweigh Iree speech considerations and deserve greater protection Irom the courts. (See Gert: v.
Robert Welch, Inc., 418 U.S. 323, 94 S. t. 2997, 41 . d. 2d 789 |1974|).
Distinguishing between public and private Iigures Ior the purposes oI deIamation law is
sometimes diIIicult. For an individual to be considered a public Iigure in all situations, the
person's name must be so Iamiliar as to be a household wordIor example, ichael Jordan.
Because most people do not Iit into that category oI notoriety, the ourt recognized the limited-
purpose public Iigure, who is voluntarily injected into a public controversy and becomes a public
Iigure Ior a limited range oI issues. imited-purpose public Iigures, like public Iigures, have at
least temporary access to the means to counteract Ialse statements about them. They also
voluntarily place themselves in the public eye and consequently relinquish some oI their privacy
rights. For these reasons, Ialse statements about limited-purpose public Iigures that relate to the
public controversies in which those Iigures are involved are not considered deIamatory unless
they meet the actual-malice test set Iorth in $ullivan.
Determining who is a limited-purpose public Iigure can also be problematic. In Time, Inc. v.
Firestone, 424 U.S. 448, 96 S. t. 958, 47 . d. 2d 154 (1976), the ourt held that the plaintiII,
a prominent socialite involved in a scandalous Divorce, was not a public Iigure because her
divorce was not a public controversy and because she had not voluntarily involved herselI in a
public controversy. The ourt recognized that the divorce was newsworthy, but drew a
distinction between matters oI public interest and matters oI public controversy. In Hutchinson v.
Proxmire, 443 U.S. 111, 99 S. t. 2675, 61 . d. 2d 411 (1979), the ourt determined that a
scientist whose Iederally supported research was ridiculed as wasteIul by Senator William
!roxmire was not a limited-purpose public Iigure because he had not sought public scrutiny in
order to inIluence others on a matter oI public controversy, and was not otherwise well-known
plagiarism

Planning and communication are critical for any reorganisation. Getting top management involved in
planning and executing any major changes can improve your chances of success.
Planning for any restructuring will help you ensure that changes happen in the way you want them to and
that costs are identified in advance and kept under control:
O Plan well ahead. Set flexible priorities and change them with your circumstances.
O Assess any risks to the success of the change and to your business. See our guide on managing risk.

O Plan how you are going to communicate the change to your employees - it demonstrates commitment if

Sustained communications are vital. You should meet managers and employees regularly to explain the
reasons for the change, how it will be carried out and how it will affect them. Combat unfounded rumours by
tackling them head on. Make sure that managers operate an 'open door' policy to any employees who may

You may also need to take account of the Information and Consultation of Employees (ICE) Regulations,
which can apply to businesses with 50 or more employees. Under these regulations, and where you already
have an agreement in place, employees can request a change to the way you inform or consult them about
major issues affecting the organisation. If no agreement currently exists, employees can request that one is
drawn up, subject to certain conditions.
It is important to talk to suppliers, partners and customers to keep them informed of any changes that could
affect them. Try to give this information as far ahead as possible
Planning for Effective Communication
Whether you are drafting a campus memo, responding to an email message from a
customer, or developing a major outreach campaign that will last for several months,
the time you spend planning these communications can make the difference between
success and missed opportunity. A comprehensive communication plan will probably
include more than one audience with more than one goal, as well as more than one
communication channel.
Planning for effective communication starts with these questions. The steps below will
help you answer them.
Why are you communicating?
What are you communicating?
Who needs to receive the communication?
How can you best reach the audience?
How will you know whether you communicated effectively?

Step 1: Clarify your communication goals
Why are you communicating and what do you want to accomplish with this
communication?
Are you announcing a new service to your customers?
Are you seeking feedback?
Are you hoping to influence attitudes?
Are you asking people to make a decision or take action?
Are you aiming to achieve consensus?
Are you building a shared understanding of strategy or challenging the culture?
Why does anyone need your communication -- why should they pay attention?
We've developed an example (see below) of possible goals for communicating a-out
a significant change.

Step 2: Know your audience
Think about who needs your information, whom you need to hear from, and their roles
in the organization. o your research to understand your audience(s), and then think
about what you've learned. Ask yourself questions such as:
How much do the audience members already know about my topic...do they need
background information?
What are the specific benefits for each particular audience? What aspect of this topic
matters to them?
If they are being asked to take action, how difficult will it be for them?
ifferent audiences may require variations of your message. For example, if you are
communicating about a new business process....
A Vice Chancellor might be interested in the strategic or financial benefits.
Business officers might want details about how the process will affect their work, or
when they can schedule training for staff members who will be carrying out the
process.
Staff members in your own unit may care about the success of the new process and
what they will need in order to provide customer support.

Step 3: Craft your messages
Use concise language to tailor your messages to your audience members. Keep it
simple, avoid jargon, and include references where readers can get more details if they
wish. Test your message out on readers who don't already know the subject.

Step 4: Choose your channel
A communication channel is simply the method or mechanism you choose to convey
your communication. Your choice of channel depends on the audience you're trying to
reach, whether you want an interactive discussion or just to provide information, and
whether the message is long and complex or short and simple. See Communication

team members who are assigned responsibilities in the plan as well as project
sponsors; otherwise, your communication plan may not be carried out.

Step 5: Evaluate the outcome
Check with members of your audience -- did they receive the communication? Was it
clear and useful for them? id it achieve your goal? What will you do differently the
next time?

10 Tips to Effective & Active Listening Skills

Do you ever need someone to listen to you? Our mentors are available.
Listening makes our loved ones feel worthy, appreciated, interesting, and respected. Ordinary
conversations emerge on a deeper level, as do our relationships. When we listen, we foster the skill in
others by acting as a model for positive and effective communication.
In our love relationships, greater communication brings greater intimacy. Parents listening to their
kids helps build their self-esteem. In the business world, listening saves time and money by
preventing misunderstandings. And we always learn more when we listen than when we talk.
Listening skills fuel our social, emotional and professional success, and studies prove that listening is a
skill we can learn.
The Technique. Active listening is really an extension of the Golden Rule. To know how to listen to
someone else, think about how you would want to be listened to.
While the ideas are largely intuitive, it might take some practice to develop (or re-develop) the skills.
Heres what good listeners know - and you should, too:
1. Face the speaker. Sit up straight or lean forward slightly to show your attentiveness through body
language.
2. Maintain eye contact, to the degree that you all remain comfortable.
3. Minimize external distractions. Turn off the TV. Put down your book or magazine, and ask the
speaker and other listeners to do the same.
4. Respond appropriately to show that you understand. Murmur ("uh-huh and "um-hmm) and
nod. Raise your eyebrows. Say words such as "Really, "Interesting, as well as more direct prompts:
"What did you do then? and "What did she say?
5. Focus solely on what the speaker is saying. Try not to think about what you are going to say
next. The conversation will follow a logical flow after the speaker makes her point.
. Minimize internal distractions. If your own thoughts keep horning in, simply let them go and
continuously re-focus your attention on the speaker, much as you would during meditation.
7. Keep an open mind. Wait until the speaker is finished before deciding that you disagree. Try not
to make assumptions about what the speaker is thinking.
