CHAPTER I
INTRODUCTION OF ON THE TRAINING
A. BACKGROUND
On the job training is one oI the implelmentation Ior students in
according with the curriculum in the Vocational Hight School 2
Prakerin very important Ior students because student direct work
activities in the institution . The teachers hope every students have skill
and experience.
Education oI prakerin is a curriculum oI proIessional expertise , which
combination in a systematic and synchronous educational programs in
school, with target to achieve a proIessional expertise.
The program expertise in vocational school 2 purworejo as Iollow :
O Accounting
O OIIice Administration
O Marketing
O Accommodation Hospitality
B. PURPOSE PRAKERIN
1. Producing student that has a skills oI their program expertise.
2. Improving eIIiciency process on education and tratning students to be a
proIessional expertise.
3. Adding know ledge and experience oI student
4. Increase the independence oI students
5. Directly to practice the materials is received at the school in to the instance.

C. PLACE PRAKERIN
Butuh sub-district is one oI the government agency that handle all general aIIairs
Butuh sub-district located in the km 5 , Kutoarjo- Kebumen Street , Butuh sub-district and
purworejo regency just on the east oI Dlangu Elementary School in the Butuh sub-district is
devided in to several section , each having a tast which consist in several sections such us :
1. Secretariat section
2. Govenance section ( TAPEM )
3. Society section
4. Economic section and the building ( EKOBANG)
5. PN-PM
Part in their respective duties and responsibility to the purworejo regency .
D. HANDLING OF THE LETTER
BeIore we discuss about the handling oI the letter, we must know what is the
letter and what are the beneIit oI the letter Ior an organization.
1. Letter
In general, letter can be interpreted as a meant oI written communication to
convey inIormation Irom one person to another /Irom one organization to another
organization .

3. Handling oI incoming letter
In arrange oI incoming and outgoing mail , secretary use an agenda
book`s proses to arrange oI incoming and outgoing mail as Iollows.
a) Accepting letter
We received the letter Irom another organization . In a letter received a
letter there are some things we need to do include.
Examining the accuracy oI the mailing address.
ClassiIication mail according to the type letter.
Signed prooI oI delivery as a sign that the letter has been received .
b) Sorting
To Iind the number oI incoming mail.
To determinated the priority handling
In the sorting oI each letter must be separated in accordance with their
respective section , as Iollows :
Separated letter to leader or staII
Separated mail service , including regular mail service , an important
oIIicial letter , letters that require special conIectionary
Read and examine the contents oI the letter.
c) Recording
Regular mail that is not conIidential , once sorted and then opened
envelope. Then the letter was given a disposition sheet. Fill out the
appropriate disposition sheet content oI the letter.

The letter has been given a disposition sheet and then recorded on the
diary oI incoming mail . AIter all incoming mail has been collected and
recorded in the diary, the letter in raising the head oI an agency to Iind out
what to do to Iollow up the letter.
d) Storage
Letters that have been processed, are stored by each respective section by .

CHAPTER II
TYPING DOCUMENT
A. TYPING DOCUMENTS
In a typed document that is the media we use two computers and manual
typewriter tool. Manual typewriter tool contained in the district need still is in need like
to type in the ekobang SKPD SPJ. While the use oI the computer to type some
documents such as letters oI invitation, report data raskin village, and others.
B. DOUBLING DOCUMENT
In doubling the documents we had to copy the document in place
pemoIotocopyan photo in "MURCE CELL" his right to the east oI the district oIIice
needs. But Ior a duplicate document Iiles can be done by printing using a printer.
The steps taken to duplicate documents using a copy machine are as Iollows:
Put a document that will be copied into place in the photo copy machine,
Press the Iigures oI the number oI results copyan.
Select the paper to be used to reproduce the document
Adjust the size oI the lighting to the results obtained are clear and there are no black lines
on results in copy.
Press the green button to start copying.
C. STAMP
Stamp is light work, but it can not be granted because the stamp was not as easy
to be seen.
Things are done when the stamp, among others.
Use a stamp in accordance with the provisions and requirements,
Grease a stamp with ink by emphasizing stamp on the base (cushion) that has been in the

spread oI ink stamp.
In the stamp, the stamp should be on the leIt oI the signature and the name and try to
approximately 1 3 part oI the name and signature.
Note the location oI seals, not to reverse.
When the stamp, do not be too hard because the ink that arise will be too thick and not
too soIt, because the ink that arise will be too thin.
Keep the stamp should not be repeated twice because it can damage the stamp image

CHAPTER III
HANDLING OUTGOING LETTER
A. PREPARATION
BeIore we make a letter, we must know the purpose oI the letters, and to
whom the letter was made.
Things that need to be considered in the manuIacturing process outgoing mail to
prepared in advance so that we Iacilitate in making the letters out.
B. DRAFTING A LETTER
BeIore the letter typewritten letters usually contained in a draIt letter
Concept letters are usually made by the staII assigned to create a letter or reply to the
letter.
In making this concept should be Iormulated in detail in accordance with the rules to
whom the letter was shown, the letter must be correct, clear and straightIorward
ketujuan letter.
C. TYPING LETTERS
The concept oI a letter that's been made then diketaik directly by staII. In
typing a letter, all must be typed in accordance with the concept's true especially in
rapid typing the name and title oI responsible letters.
In asking Ior autographs leaders will need to be accompanied by a memorandum oI
submissions, so in addition to typing the letter also typed memorandum oI Iiling.
D. PENTAKLIKAN
Pentaklikan an approval by the ChieI oI the letter that would be raised to
penaggung answer letters. Pentaklikan done by raising letter and memorandum
submission to the Head oI Department, then Head oI the memorandum signed

submission.
AIter the approval letter Irom the Head oI Section, the letter raised to the oIIicials
who must sign it in accordance with the name on the responsibility letter.
E. RECORDING
For listing on the outgoing mail in doing agenda book on each sub-section
dealing with each letter.
The letter which has been in the agenda will be given a stamp, in the Iold and then put
in an envelope to be sent according to destination address. Mailings can be done by
courier accompanied the expedition book or use the services oI post oIIices.
