Exit Criteria 1) Collecting and making final payments In a contract, it is a norm to pay only partial amount of payment by client.

The remaining balance will be paid right after a project is done. In our case, we give 6 months of trial or probation period to ensure that the system is successfully run and satisfy the needs of our client. A project is said to be done when it passes the quality as stipulated in the contract and when all requirements have been completed. Finally, when everything had run smoothly, the remaining balances of payment need to be made by the client. 2) Recognizing and evaluating staff Recognition is a basic human need. Many people experience this need most strongly at work. Regardless of status and job type, employees and even managers feel a need to be recognized by superiors, coworkers, customers, etc. Everyone wants to be fully appreciated and acknowledged as individuals and workers able to show commitment and dedication, skillfully complete tasks, and produce concrete results for the organization.

To meet this need, we must understand that employee recognition should be part of a relational perspective governed by mutual respect and reciprocity. By and large, recognition does not follow a specific set of rules. Rather, it should arise from the values and priorities of organization members. Employee recognition should be a part of employee work habits, daily management practices, and the overall company philosophy. It should be central to work relations and employee interactions. Under these conditions, recognition will meet the needs of people in a variety of companies. Evaluation could be

done either by providing an open appraisal in front of all workers in that individual or also in terms of benefit and monetary reward.

The preferable type of recognition depends on the workers itself as according to the background, gender and age. For example, the baby boomers generation prefer to be recognized in terms of religious benefit such as paying the trip 2 perform haji in mecca while for x and y generation, the recognition in terms of monetary such as salary increment and bonuses are adequate.

Nowadays, there are lots of tools provided for evaluation and the recognition of employee. It could be done by the immediate officers who are the closest person in charge for the job or project. He or she could assess the workers based on their performance for each job done throughout his task in the project. Supervisors need to review what are the employees strengths and weaknesses.

The supervisor must be very rational and do not get easily influenced. Favoritism should not occur during evaluation. When the supervisor what is the employees are lacked of, he should initiate for seminars or training to improve the ability and skills of the employee . Also, the evaluation could be done by having self or peers evaluation. Most widely used is peers evaluation and it is the most reliable methods available. This is because our working partner knows the best about us.

3) Conducting a post- project evaluation Post project evaluation is deemed important to a project. As we all know, not everything planned goes smoothly. Sometimes, there are problems that werent viewed as one at the commencement of a project. This kind of evaluation is to get knowledge about are the mistakes done, what are the best measures to be applied during the problems of occurrence, and the best thing is the ability to forecast for the future project of the same kind. The post project evaluation could be done in two different manners. First, a meeting could be done to ensure everybody participate and take note of the flow of the project. Whether it is a big success or a big failure, the real thing still has to be conveyed to all the workers. Evaluation could also takes place individually. This is to ensure that the employee gives the truth relating to what had happened throughout the project. It is most recommended to be done but it is very time consuming as the person in charge has to meet everybody individually and this may inhibits the other process to take place. Inour company, we have set up trusted board of employees which consist of 7officers to carry out indivisual meeting. So far, we had able to correct any flaws that was committed during the project and able not to repeat it again in the next commencement of projects. We carry put this as we understand that most employees are afraid to talk openly in public as they are sorry to hurt their click feelings. When there is a closed interview, employees could easily reveal their feelings and their ideas regarding what is the best practiced to be done next. In our company, we stressed mostly on the budget, technical works, control, risk management, customers relationship.

In the project of cctv installations, the works scope is to installed 30 cameras in the Cyberjaya residential area. We also are made responsible upon not only installing but as well as maintaining the control system. About the budget performance, we do manage to keep the budget low as we had own Cctvs Suppliers Company. But the problem occur as the company out of sudden, wish to change the type of cctv used. It was agreed at the first place to use another type of brand but as the deal is on, they would like to change it. This had caused some trouble to us as we had to cancel the previous order and wait for some time as the brand requested upon us are not available and need to be ordered first. 4) Lesson learned In a project, the most things that are needed to look into depth are about the lessons learned from it. Lesson is precious data that you acquire during the progress of a project. In our project, we had our lesson, not to hesitate to install cctv at the very early commencement of the project even if we have capability on it and the client had agreed regarding to the matter. This is because, as customer always say and think they are always right, they abruptly change their mind about what have been agreed at the first instance. For next time, we will bring the customer to the site first before starting to install the cctv. This is because, the pictures and plans are inadequate to give overall view of the system to the customer. As when we bring them to the site, they will start to feel that our previous contract regarding where should we place the cctv seemed fake or not real. For this purpose we had to install the cctv back to the places favored by the client.

Lessons learned also must not only be documented but have to be spoken across the company workforce. Let everybody talked about it for a while as it is the hot gossip that used to spread in an organization. The top manager also should continuously repeat the same advices and story to the subordinate so that they will be able to remember it vividly.

5) Organizing and archiving project documents Why documenting is stressed in any of project done? What is the purpose of it actually? The answer is documentation is seen as a golden treasure for each company. It tells us briefly about what mistakes that we have committed for our previous project. It tells us what need to be done to overcome the unexpected risk. The project archive includes a description of the files being stored, the application used to create the archived materials, the location where they are stored, and a point of contact for further information. These all information provides us with guidelines on how the next generation will lead the project of the same kind.

But, always to be remember that all the filing have to be in properly order as there is no use of collecting and documenting all the precious document if they are not well organized. We are certainly not into the digging activity to find out about the previous document. In our company, we had taken initiative to build up a database where every document is saved there. Each of the workers are given the passwords to enable them to find any relevant information when they are on a certain project. We also make it compulsory for each of our employees to document their experience and findings and all relevant information upon finishing a project.

However, if the project takes several years, the process of documentation are made before the project ends. This is to prevent the person in charge to forget what had been done throughout the project. .
