If any BH / ABH possesses higher grade than applicable to their experience as above, they will be re-designated in line with their experience in the Group. Similarly, if any BH/ABH possesses higher grade than applicable to the volume of business of the Branch, they shall also be redesignated in line with the volume of business of the Branch. Salary and allowances will be revised accordingly.

If such employees are prepared to move to any other Branch of the Group having business in line with their designation / experience, they can continue in the same grade provided they are competent enough.

Those who are recruited in higher grades will continue in the same grade provided they are competent enough and prepared to move to high volume Branches.

Jr. Officers / Asst. Managers directly recruited shall be considered for the post of Asst. Branch Head on acquiring 1month experience in the Branch and after 3 months experience as ABH, such employees shall be considered for the post of Branch Heads.

While considering employees for the post of Area Managers / ARO / ASO they should be a graduate with minimum 3 years experience as Branch Head in the grade of Asst. Manager or Dy. Manager and employees for the post of Regional Manager should have 2 years experience as Area Manager in the Group.

In the Branches where volume of business is Rs. 17 Crores and above, a Jr. ABH in the minimum grade of Sr. Assistant shall be posted and if the volume of business is Rs. 58 Crores and above, two Jr. ABHs shall be posted. While filling the vacancy of such Jr. ABHs, we shall consider

Jr. Officers recruited directly and having 3 months experience in the Company or a Graduate Jr. Assistant having experience of 6 months in the Company. Jr. Officers / Asst. Managers recruited directly having less than3 months of experience shall not be considered for the post of Jr. ABH.

Jr. ABHs having 3 months experience shall be considered for the post of ABH / BH in the grade of Sr. Assistant / Jr. Officer.

4 Guidelines for promotion:1. Manager: - The employee should have completed minimum 3 years of continuous service in the Group with minimum 1 year as BH or Dy. Manager. 2. Sr. Manager: - The employee should have completed minimum 5 years of continuous service in the Group with minimum service of 2 years as Manager. 3. Chief Manager: - The employee should have completed minimum 7 years of continuous service in the Group with minimum 1 year as Senior Manager. Relaxation of two years in total service will be given in the case of employees having MBA / B. Tech / LLB etc. This will not be applicable to the employees of following categories:1. Who are presently enjoying a higher grade 2. Having professional qualifications such as CA/ ICWA/ CS etc. 3. Working in key professional areas such as IT, Legal etc.

Terms and conditions, mode of payment, etc. will continue as per Circular No. Magro-1440 dated 21st June, 2008. Bata: -Employees temporarily engaged in official duties outside their home district (i.e. both residential and working district) are presently eligible for Bata and transportation allowance. It has been decided to change the eligibility criteria for Bata as follows:

i)

If lodging is not required, i.e., stay is not involved in the travel, they will be eligible for Food Allowance of Rs. 100/- (Rupees one hundred only) per day.

ii)

If lodging is required, they will be eligible for Lodging Allowance as detailed hereunder plus Food Allowance of Rs. 100/- (Rupees one hundred only) per day. However, Food Allowance & Bata together is applicable for AMs, RMs & ZMs only and not applicable for other category of employees. Sl. Whenever employees eligible for outstation allowance claim Bata, they will not be eligible for outstation allowance ie, employees eligible for outstation allowance will be eligible for either Bata or Outstation allowance. However, considering the extensive travel involved in discharging the duties of RMs, it has been decided not to deduct eligible bata from the outstation allowance. However, if they have availed more than 5 days leave during a month, proportionate deduction will continue as it is. Employees claiming outstation allowance will not be eligible for Bata if they are visiting their home district. But they will be eligible for actual traveling allowances (actual train / bus fare). For attending training on holidays employees will be eligible for special allowance of Rs. 100/- (Rupees one hundred only) in addition to actual Travelling Allowance and Lodging / Food Allowance as applicable. However, Food Allowance & Lodging Allowance will be paid only on attaining 50% marks in the examination conducted after training. Places / Districts which are not covered will be paid Rs. 175/- per unit. This is because the allowances initially fixed has now become on the higher side with the larger concentration of Branches in such area. When the allowance was fixed by O.N. 152 dated 10th June, 2006, the concentration of Branches was very low and Branches were widely scattered. When inspection duty is assigned to security inspectors, it shall be ensured that the area where allowances are higher level is clubbed with the area having lowest allowance in a particular Region / Zone. Rotation of the Security Inspectors shall be made on a monthly basis to ensure that all are enjoying the benefits of higher allowances in certain places. i) Employees engaged in premises searching will be eligible for accommodation and daily allowance for maximum days permitted even if they complete their assignment ahead of the days permitted. ii) Reimbursement of telephone expenses, traveling expenses and payment of outstation allowance will be permitted only for the actual days spent for locating the premises subject to limit as specified above. iii) Accommodation allowance will be sanctioned after the lease agreements are signed between the parties and commencement of civil work. Expenses incurred by the employees engaged in premises searching for taking photograph / recording video of the proposed place will be reimbursed by the Company on submission of original bills to AGM (Estates & Premises Department) Finalization of premises (Stage II) Senior Officials attending finalization of premises will be eligible for:

Reimbursement of actual expenses such as Accommodation, Travel, Food etc. based on supporting bills, as Special allowance of Rs. 1000/- (Rupees one thousand only) per Branch.

Special Allowances for identification and finalization of Branch Premises Senior Officials from HO engaged in identification and finalization of Branch Premises will be eligible for a special allowance of Rs. 2000/- (Rupees two thousand only) per Branch. Also, they will be eligible for reimbursement of actual expenses such as Accommodation, Travel, and Food etc. as above. If they are using company vehicle they will not be eligible for reimbursement of travel expenses. They will not be eligible for any other allowances applicable for employees engaged in identification (Stage-1) and finalization (Stage-II) of Branch premises as above.

Note 1. Special allowance to the Branch Heads will be paid according to the grade of BH and volume of business of the Branch. For lower grade /

volume of business, allowance will be paid accordingly

The employees who are eligible for Fixed Transportation Allowance will not be eligible for reimbursement of actual expense, if they are

traveling within the working District. But they will be eligible for reimbursement of actual expense, if they travel outside the District on official duty. 3. Actual Travelling Allowance permitted is the actual bus fare or actual train fare upto the Sleeper class. Employees traveling in upper class facilities than allowed as per rules shall do it only with the prior permission of Executive Chairman, which is to be taken through a separate request letter mentioning the reason why this has been necessitated. The claim for excess amount than permitted will also be considered only if the employee has taken prior permission through a request letter. 4. Employees who work in Life insurance and General Insurance Divisions will be entitled for reimbursement of actual traveling expense subject to a maximum of Rs.1000/- (Rupees One thousand only) based on the target achievements and duly recommended by the Branch Heads & concerned Department Heads at A.O. 5. Claim for traveling allowance for joining duty on transfer will not be considered if the expenditure involved is less than Rs.100/- . Likewise, Bata for traveling purpose will be considered only if the duration of journey exceeds 24 hours and maximum duration for claiming bata is limited to 2 days. 6. Newly joined employees are eligible for actual Travelling Allowance only. They will not be eligible for bata. 7. Employees who are working in Vigilance / IA / Preventive Vigilance Department at Branches are eligible for Bata of Rs.125/- (Rupees One hundred only) when they visit nearby districts like Ernakulam, Malappuram and Palakkad branches. In all other districts, they will be eligible for bata applicable to their designation. Apart from the above, they will be eligible for reimbursement of actual TA. 8. Employees attending BH/ABH meeting at AO. will be paid half day bata for number of days and actual traveling allowance only. No additional bata will be payable, even though BH/ABH training gets extended due to the poor performance of those employees. However, employees working in nearby Branches of Thrissur District like Edappal, Vadakanchery, North Paravoor and Angamali will be eligible for actual TA only. Ie, they will not be eligible for Bata.

9. Employees in HP Division who are eligible for special allowance will not be eligible for any other TA / Bata if they travel within their working State. 10. Former Bankers appointed as Branch Managers / Area Managers will be eligible for Outstation / City / Travelling Allowance applicable to the grade of Asst. Manager / Manager respectively. 11. The allowances / incentives applicable to Field Region Heads shall be extended to Regional Managers also. 12. Proportionate deduction from Travelling & Other allowance will be made if the employee is in resigned status. Submission of TA / Bata forms All employees are advised to submit their TA /Bata claim routed through their Department Heads to HRM Dept. TA / Bata claim should be submitted along with approved tour report (MS-52) forms and supporting documents (bills). Every claim should accompany supporting / proof for getting the claim sanctioned All claims should be submitted to HRM Department on or before 20th of the succeeding month. Any claim received after the prescribed date including old claims will not be entertained. This circular supersedes all Circulars issued earlier on the subject.
