Aberystwyth Community of Gamers Committee Meeting 15th Febuaray 2012 AberVaults 6pm

Welcome Everyone was welcomed to the meeting Apologies Nick Brooks Assassin Conduct Sam has asked that the members of the committing that are assassin players do not use the acog name. Kieran Russell and Ben Mayne say they have not used the ACOG name other people have used the name. It was suggested anything not benefiting the acog membership base should not be allowed to be posted on the facebook group, although this was agreed, there was no agreement on the limit of such postings. Sam O'Hara has said that he will not be attending AberCOG evens and meetings unless there is not safe zones. Keiran Russell said that events and meetings are safe zone but socials are not. Sam O'Hara has concerns that it would have to be delt with by us on socials if people started firing nerf guns everywhere. Although this is a sensible worry, Keiran Russell said that this would not be our problem as we could not stop it from happening. Sam O'Hara also requests that the game is taken less seriously in light of comments made on the facebook group in recent days. Rhys Short reminds the committee that everything they do reflects on the committee and the society and should act as such. In the event that someone acts in a way that is unacceptable some form of punishment for that offence will be decided by the committee. Full Restore Keiran Russell reports on full restore. He says that they are far more prepared and have new website in the works, they have spoken to guild and the guild has spoken to the University. The Confident that they will get on BBC news, they have agreed to use carry on using our name, but Aber RAG will be used above ours.

They have the guild committee room for their broadcast and will have Jess Hardcastle's (Keiran Russell's Girlfriend) Penbryn Hall room to sleep in, however they will only do this if they have devuets / sleeping bags provided. Keiran Russell plans another charity eveny for Childs Play and he has requested that Full Restore to come to event in march, a social, the AGM and the awards evening. Keiran Russell also states that they would like Liam to appear as a guest during their Pokemon marathon. Kieran Russell will also be appearing The Marathon will be held in aid of the British Red Cross. Keiran Russell has requested if buckets can be brought on social, this was agreed as along as added security measures have been taken, and permission is gained from the council. Pokemon social will be moved from the last week to the week before east.er Next event Keiran has requested that a tournamet is held in three weeks if this is possible to do so. It has been suggested less tournaments for the next week mine craft should be removed to allow longer Age Of Empires tournamet. Many possibilities to fix the situation were disscuessed. There were problems at the last event these were: The original plan was to have a time trail through out for Track Mainia Nations, this was not followed. Too much going on, the event was not streamlined enough Soloution: Minecraft and track mania running in the background no time allocated to it as an event. It was agrred that Pokemon was a good tournament, although it was so long this is down to the number of people was greater than expected. In hindsight there should have been three instead of six pokemon per team, but the overrun was due to addition of people throught the evening Keiran Russell put forward the idea that each team has the same pokemon but this was rejected as it takes away the skill from the event. It has also been requested that different games in the genres to mix up the routine a bit. Keiran Russell has suggested that before the next meeting everyone puts forward games they would like to see to Liam Edwards, and Liam Edwards will bring list to the next meeting. Polls then go up after meeting, posters will be made once the results are known

Elections Nominations will run as anyone can put their own name forward for election. Closing date will be the 15th march for nominations. Election will be on the 22 March.

Draft ballot paper to be sent within two weeks Nick Brookes or Rhys Short to be returning officer Speeches / blurbs will be asked for submittal Speeches can be given, 2 minute speech for everyone who would like one, start after introduction to event. To make the election process fair until the 16th March the socitey email account will only be managed by Rhys Short. AGM The AGM will be held on the 25th April in the afternoon, Keiran Russell will book chapel for 2 hours. Awards Evening Awards have been discussed have are fine. New catalog for trophies have been published. There 7 awards total. Keiran Russell to bring awards list to next meeting. General Notes Andrew Fitzpatrick, Jon Wilson and Ben Mayne to run event for 1st march. Sam O'Hara will take minutes for the meeting on the 29th Febuaray as Rhys Short is away.
