Descriptive Overview
Acme Corporation uses the Oracle eBusiness Suite for production operations. The company has recently become concerned that improvements are necessary in the areas of user training and competency related to the use of the Oracle Applications. Facility staffing levels do not allow for key personnel to be taken away from daily activities for lengthy classroom training. As a result the company desires a method to instill standardized system procedures and at the same time provide training on demand as the need arises. Two products have been licensed from Oracle to achieve this goal. Oracle Tutor provides clients the ability to document standardized business procedures and easily make these available to all levels of the organization. Oracle has developed base line Best Practice procedure documents for the various roles and responsibilities in the Oracle eBusiness Suite. Clients can use these directly or modify them to reflect their own business processes. Additionally the Oracle User Productivity Kit (UPK) allows business process steps to be recorded as actual screen shots and played back to the end user in one of 4 modes; See it, Try It, Know It and Do It. Acme Corporation would like to make the most efficient use of these two applications to provide guidance quickly and effectively to their employee base. This solution design proposal will explain the key features of Oracle Tutor and UPK and provide a proposed method for using the two products at Acme Corporation.

Product Features
Oracle Tutor consists of two separate products, Tutor Author and Tutor Publisher. Tutor Author is a sophisticated Macro Add-In for Microsoft Word. It uses very structured document formatting to produce the basis for the resulting network of role specific desk manuals containing task steps, flowcharts, hyperlinks, forms and reference documents. Tutor Publisher is a standalone tool that takes the structured documents created in Tutor Author and creates the role specific desk manuals. Publisher also performs analysis of the network that is created to allow the document manager to efficiently manage the document network. Publisher can also create tailored training materials from PowerPoint files supplied by Oracle. These PowerPoint files are not part of the base installation and must be requested from Oracle as application patches. The Tutor installation package contains a base set of model documents allowing the immediate production of role specific desk manuals. These desk manuals can be printed as separate desk manuals or produced as HTML files and accessed over the corporate intranet. The HTML files provide added functionality above and beyond that of the printed format by providing documents and flowcharts that are hyperlinked. This allows the user to simply click on a hyperlink in a document or on a task in the flow chart and jump directly to the referenced point in the current procedure or on a related procedure. The base package produces over 600 HTML files containing step by step procedures based on Oracle recommended Best Practices for the use of the Oracle eBusiness Suite. User Productivity Kit (UPK) is a recent addition to the Oracle product base as part of the Oracle acquisition of PeopleSoft. Like Oracle Tutor, it is also a very powerful tool and has the ability to create procedure documentation. However, Oracle Tutor is definitely the stronger of the two products in this area. UPKs strength lies in its ability to allow easy creation of task oriented training. With UPK a training document can easily be created by actually stepping through a system process and simply taking screenshots at key points in the process. UPK automatically senses the area of focus on a screenshot and inserts shaded boxes along with balloon notes. UPK allows the developer to edit or modify these suggested features. Then UPK produces short training packages with 4 modes of user training. The See It mode is a hands-off demo which shows the user the recorded process. The shaded boxes and balloon notes call attention to and explain the specific areas of interest on each screenshot. The Try It mode allows the user to attempt the process within the UPK tool rather than on the actual production system. This mode provides prompts to guide the learner through the process. The Know It mode is a testing mode allowing the learner to demonstrate their understanding and be graded. The Do It mode can be used in Production to help prompt the user on tasks that may not be performed frequently enough to be committed to memory easily. Both tools could be used together to help Acme Corporation create a structured set of procedure documents that would provide on-demand user training. The product features most relevant to Acme Corporation are explained on the following pages.

Document Hierarchy Structure Tutor Author uses a sophisticated document hierarchy structure. As shown below the highest level is the Business Process document. This typically contains references to sub-processes related to the execution of the overall business process. The sub-processes break down into Procedure documents. And the procedure documents provide work instructions and hyperlinks to other related documents.

Desk Manuals by Job Role Tutor Author, as installed, provides a set of seeded model documents that follow the hierarchy mentioned above. They can be used as installed or modified to reflect specific company business practices. These documents are based on established Best Practices for the Oracle eBusiness Suite. Tutor Publisher uses these documents to produce the network of role specific desk manuals shown below:

These manuals can be produced as hyperlinked HTML files for easy user access. A user can simply locate their job role and click on it to drill down to job role specific information. The base installation produces over 600 HTML files for this network of Desk Manuals. Additional model document packages are available from Oracle. These include model documents for Oracle Payroll Procedures, Information Technology Procedures, Process Manufacturing Documents and numerous language translations. Review the table in the Additional Model Documents section at the end of this document for details. The ability to produce role specific desk manuals begins with Tutor Authors use of strict document formatting in Microsoft Word. Tutor Author uses a document structure that includes a document owner and a distribution list in each document. Tutor Publisher creates an index of these structured format sections to produce the network of role specific desk manuals. Note the example shown below:

As previously mentioned the model documents included with Tutor can be modified to reflect Acme Corporation business practices as necessary and new desk manuals can be produced at any time. Using the output as hyperlinked HTML files ensures all users access the most current version of their desk manual.

Task Level Training/Job Aids Where Oracle Tutors strength lies in process and procedure documentation and user desk manuals, the Oracle User Productivity Kit excels at creating short training snippets based on actual system screenshots. Oracle User Productivity Kit (UPK) allows training developers to step through a business process once and take screenshots at strategic points. The UPK then produces numerous forms of output including Standalone topic files which provide 4 different learning modes from a single set of screenshots. UPK allows the developer to divide the training into modules, lessons and topics. This provides the developer the ability to arrange the content to best fit the process being documented. Topics are recorded using the UPK Recorder to capture screenshots of the tasks and related information.

The UPK recorder senses the movement of the mouse and the actions of the user. These are included in the recorded screenshot information and used later by UPK to develop the actions shown in the various learning modes.

UPK can produce numerous forms of output. Acme Corporation has already investigated the use of the Standalone topic files and Training Guide. Other forms of output might also be useful. Some of the many forms of output are shown below.

The Standalone topic files should be of particular interest to Acme Corporation. A single set of screenshots is used by UPK to produce 4 different modes of playback in each Standalone topic file.

The See It mode is a hands-off demo allowing the user to see the process steps as they would be executed on the production system. The Try It mode allows the user to practice the execution steps but within the UPK environment. UPK provides prompts to help the user through the Try It mode. The Know It mode allows the user to demonstrate their knowledge of the task steps and receive a grade. Prompts are still provided in this mode but are more challenging. The first three modes are all executed in the UPK environment so there is no risk of mistakes adversely impacting the production system. The Do It mode provides a small floating window over the production system window with user guidance on the execution of tasks for the procedure. Summary Acme Corporation has purchased two very sophisticated products to aid users in the execution of their daily duties. The functionality provided by the two provides a wealth of tools to document and help enforce standardized business procedures and provide on-demand user training. Tutor excels at documenting procedure related information and producing job role specific desk manuals. UPK excels at producing task level user training and job aids. Each has its own strength and will work well together to support Acme Corporations goals for improvements in these areas.

Proposed Solution
Proposed Solution Oracle Tutor and User Productivity Kit have many overlapping capabilities. The most logical approach would be to select the strongest of the two applications in those situations where this overlap exists. Both products are capable of producing procedure documentation for instance. However, Tutor is by far the stronger of the two allowing multiple process and procedure documents to be integrated into role specific user desk manuals. Additionally, Tutor provides a seeded model document library that allows role specific desk manuals to be published as part of the implementation cycle. UPK has no such seeded document library for Oracle applications. Both products are also capable of producing training materials. However, UPK is by far the stronger of the two products in this area. UPK allows a developer to step through a business process and easily create user training materials merely by taking screenshots at strategic points in the process. Tutor offers a library of training materials created in PowerPoint. UPK offers no such library of seeded content but, once created, the finished training product created with UPK provides a much more beneficial product for the end user. Therefore, this solution design proposal recommends Acme Corporation adopt the implementation and management approach shown in the diagram on the following page. Once Tutor is installed a few modifications would need to be made to several HTML files if Acme Corporation wants to include the company logo on the resulting desk manuals. Additionally if any additional Model Document libraries are to be included they will need to be installed at this point in the process. Then, after installing Tutor, making changes to include the company logo and installing additional model document libraries all documents will need to be published using the Tutor Publisher application. Specific steps for the installation and publish processes are included in the Tutor user manuals. After the initial installation of Tutor and UPK things are ready for users to begin accessing the role specific Desk Manuals. Acme Corporation can begin using these desk manuals right away. Modifications to the seeded model documents can be performed as necessary. A document manager should be appointed to manage these changes. As subject matter experts request changes the document manager will work with them to modify the seeded documents and republish the changes to the HTML desk manuals. UPK can be used to develop Standalone Topic Files for strategic topics. These might be tasks where users need additional training or tasks that may not be executed on a frequent basis where users will need job aids to refresh their memory. UPK makes developing these types of training materials quick and easy. Again the document manager will need to work with SMEs to develop these training materials. The document manager will also need to insert hyperlinks to these training materials into the Tutor procedure documents. This will make the training materials available directly from the relevant user desk manuals. The HTML Tutor Desk Manual files as well as the UPK training files could be stored in standard directories on the corporate server. A shortcut to the applicable User Desk Manual or to the overall Desk Manual index could be placed on the users desktop to provide quick and easy access. As the document manager makes and publishes changes these changed documents would be available the next time a user uses the shortcut to access the HTML files.

Additional Information Tutor is also capable of modifying the Oracle eBusiness Suite On-Line Help files. The role specific desk manuals can also be integrated into those help files. However the process, as shown below, is rather tedious. Help files must be downloaded and updated by individual Oracle functional module such as Purchasing (PO) or Accounts Receivable (AR). And major Oracle application upgrades may overwrite these changes meaning they would need to be recreated through the process below. Acme Corporation should weigh the benefit versus the risks and effort required before using Tutor to modify the Oracle Help files.
