Messaging and collaboration applications, such as Lotus Domino R5 and Microsoft Exchange, play a significant role in driving productivity gains in todays business environment. Its equally important that the enterprise have an effective, production-oriented solution in place to back up and restore e-mail files and databases. This requirement is made all the more challenging by the amount of data to be backed up and the frequency with which the data objects change in a typical messaging and collaboration environment. Specialized Tivoli software products can help you address the need for backup solutions that have minimal impact on the availability of your e-mail applications. Tivoli Storage Manager Mail Extension solutions are designed to work in concert with your Tivoli Storage Manager environment to optimize backup and recovery procedures. Of course, whenever possible, you should back up application-specific databases using an application program interface (API) provided by the application vendor; such an approach helps the backup product exploit the full capabilities and intelligence of the database product and be fully application-aware. Tivoli Storage Manager Mail Extension solutions employ APIs provided by e-mail application vendors to enhance functionality, permit online hot backups and improve restore performance. The components in the Tivoli solution work with two widely used messaging and collaboration applications: Lotus Domino and Microsoft Exchange. The components supplement the function of Tivoli Storage Manager, the core application for storage management services for all enterprise resources connected over networks, including local area networks (LAN), storage area networks (SAN) and wide area networks (WAN).

Tivoli Data Protection for Lotus Domino is designed to improve backup and recovery procedures for Lotus Domino databases by providing capabilities that take advantage of changes made to the Lotus Domino server architecture in the R5 release. This new architecture includes a specific API for backup and recovery of databases. (A similar API is not available in the R4 release.) Tivoli Data Protection for Lotus Domino helps you realize several benefits, such as a more scalable architecture for backup and restore and improved flexibility. It also works to enhance availability by eliminating the need to take Domino databases offline periodically to perform backups using a file-level backup tool. With Tivoli Data Protection for Lotus Domino, you can:

Perform hot or online backup of databases Maintain multiple backup versions of databases Define an exclude list to identify databases that are to be excluded from a backup Archive transaction log extents (if archival logging is used) Restore any backup version of an R5 database, and automatically apply changes since the backup from the transaction log Restore databases to a specific point in time

Exploiting Lotus Domino R5 architecture to help improve database backup and recovery processes

In the past, administrators have been challenged by the fact that Domino databases are complex logical structures that often appear to traditional storage management tools as very large data objects in the form of single client files. As a result, backup tools operating only at the operating system level had just one option: back up the entire database. Even if only a few documents were updated within a database, the entire database would have to be backed up since the last point when the modification time stamp of the database had changed. The limitations of this architecture meant that an enormous amount of data, and multiple backup copies, had to be kept in the designated storage location. It also meant that the extremely large data files in the Domino application had to be transmitted over the companys LAN on a regular basis to be backed upstraining network resources and requiring a lengthy backup window. The backup and recovery API in Domino R5 provides the capability to perform online full backups of individual databases, plus archives of the transaction log (when archival logging is in effect). Because Tivoli Data Protection for Lotus Domino is built around this backup API provided by the application vendor, it helps maintain the integrity and consistency of your backup data even if the databases are changing while the backup is in progress. The addition of transaction logging in the R5 release adds both flexibility and functionality to the backup and restore process. Tivoli Data Protection for Lotus Domino can help you take advantage of this change to implement a production-oriented backup and restore process for your Lotus Domino R5 environment.

Highlights

A transaction log is used to capture database changes for logged databases; full database backups are not required as frequently as they were with previous Domino releases. Updates to a logged database are recorded in the Domino server transaction log. Then, if a recovery is necessary, the database can be restored using the last full backupaugmented by any changes to the database since the last full backup, as recorded in the transaction log. The introduction of transaction logging in R5 creates a new storage management requirement for Lotus Domino environments. Both the logged databases and the transaction log must be backed up regularly, because both types of data objects are required to recover from system and media failures. Archived transaction log extents must be applied to the backup before a database can be fully recovered. Tivoli Data Protection for Lotus Domino works in combination with your Tivoli Storage Manager server to help verify that these vital new data objects are backed up automatically.

Online backup and restore

Tivoli Data Protection for Lotus Domino provides the ability to perform a hot backup for a Lotus Domino server. Using Tivoli Data Protection for Lotus Domino, Lotus Domino databases can be backed up during normal operation, without shutting down the server. This capability helps maintain near-24x7 availability for your Lotus Domino applications. Tivoli Data Protection for Lotus Domino also supports many high-performance features, such as the use of parallel sessions to help maximize throughput of backup data and shorten the backup window. By offering enhanced functionality, Tivoli Data Protection for Lotus Domino provides extra flexibility in managing backup routines for Domino databases. For example, you can use it to help implement a backup and recovery process based on a combination of full and incremental backups. Full backups can be scheduled to occur at specific intervals (for example, once a week, during a time slot when user traffic is relatively low). Incremental backups, which require fewer system resources to perform and have less impact on the applications availability, can occur more frequently. The objective of an incremental backup is to capture only the changes in a database since the last backup. For logged databases, this is done by capturing

transaction log data from the Domino serverin effect, archiving the changed data in your Domino environment from one full backup to the next. Tivoli Data Protection for Lotus Domino supports two types of incremental backups. In addition to archiving the transaction log (which captures the changes for logged databases), Tivoli Data Protection for Lotus Domino also provides an incremental backup command that backs up only the following:

Any new databases that have not yet been backed up Nonlogged databases that have changed since the prior backup Logged databases that need a new full backup because the database instance ID has changed

Tivoli Data Protection for Lotus Domino helps maintain the integrity of your backup and recovery process. As new databases are added, they can be included automatically in your established backup procedures. In addition, if your Lotus Domino environment includes nonlogged databases, Tivoli Data Protection for Lotus Domino makes it possible to enroll those nonlogged databases in your backup and recovery scheme. If a recovery is necessary, it can be accomplished by restoring the latest full backup, followed by a restore of the transaction logs that have been archived since that backup, to whatever point in time you specify.

Tivoli Data Protection for Lotus Domino incorporates several features that let you efficiently manage the transaction logs produced in your Domino environment and exploit their full potential for implementing a robust backup and recovery process. The key features of this transaction log support include: Ability to archive transaction log files: This helps increase availability by minimizing the network traffic required to implement an effective backup and recovery plan for your Domino resources. With transaction log archiving in place, you can use frequent incremental backups to reduce the need for resource-intensive full backups of your Domino databases, which can significantly decrease your backup windows. And because transaction log

archives are smaller than full database backups, they require less storage space; this gives you the opportunity to use storage resources more efficiently than would be possible with a backup and recovery plan that uses full backups exclusively. Ability to archive the currently filling transaction log file: Tivoli Data Protection for Lotus Domino uses the most current version of the backup API provided by Lotus. This API permits all transaction log files to be archived both those that have reached their 64MB limit and the transaction log file that is currently filling on the Domino server. As a result, all your transaction log data is protected, helping provide a full and complete recovery with virtually no loss of data. Protection against log space overflow: Tivoli Data Protection for Lotus Domino works to maintain the integrity of your Lotus Domino databases by providing log archive threshold functionality. This functionality helps guard against a situation where the transaction log fills up the available log space on the server, a condition that would cause the Domino application to grind to a halt. To prevent such an occurrence, Tivoli Data Protection for Lotus Domino provides threshold parameters on the archive log command. This lets you schedule transaction log archiving to occur often (for example, every hour) if necessaryand yet not perform the archive unless the log has reached the threshold you specify (expressed as a percentage of log volume capacity). This helps you avoid affecting the production system unless absolutely necessary during peak periods, while also protecting the Domino environment against log full situations. Automatic retrieval of archived transaction log files during database recovery: Tivoli Data Protection for Lotus Domino can help restore archived transaction logs. It lets you complete a real point-in-time recovery of your Domino environment using a combination of full and incremental backups. This involves restoring a full backup, then applying the transactions from the transaction log up to the desired point in time. Tivoli Data Protection for Lotus Domino makes this restore process even easier by providing automatic retrieval of archived transaction logs as necessary. You simply indicate a specific point in time for the database recovery, and Tivoli Data Protection for Lotus Domino will automatically select and apply the transaction log files needed to complete the restore.

Tivoli Data Protection for Lotus Domino provides an additional level of protection for your Domino environment by intelligently scanning for any changes to Database Instance IDs (DBIIDs). Occasionally you might take actions that produce DBIID changes, such as performing maintenance work on your servers or completing a scheduled compression of database files. When DBIIDs change because of these actions, your most recent full backup can no longer be used to initiate a system recovery supplemented by transaction log archives. Tivoli Data Protection for Lotus Domino helps protect you against this potential exposure by automatically detecting when DBIIDs have changed. It then initiates a new full backup to capture the changed data, providing the backup files you need to complete a restore.
Data protection for clustered environments

You may have implemented a clustering strategy in your Lotus Domino environment to enhance the availability of the application and protect against hardware or system failures on a given machine. Tivoli Data Protection for Lotus Domino provides a full set of backup and recovery capabilities when deployed in either one of two common clustered environments: Lotus Domino Cluster or Microsoft Cluster Server. In either case, Tivoli Data Protection for Lotus Domino can intelligently manage backups to help prevent data loss in the event of a failover.
With the Tivoli solution, administrators can restore data down to the individual user level. Additional features

Tivoli Data Protection for Lotus Domino provides several additional features to help you improve backup and restore performance. It offers a way to achieve fine granularity in your restoresdown to the level of individual users and mailboxes. It also gives you the flexibility to restore individual mailboxes to a different location under a different name, making it possible to duplicate mailboxes to a specific point in time and let your users extract individual items or messages. The Tivoli solution offers broad platform support with products available for most major platforms, including Microsoft Windows, and UNIX platforms such as Sun Solaris, IBM AIX and OS/390 UNIX System Services (USS). On the Windows platform, Tivoli Data Protection for Lotus Domino lets you choose between a graphical user interface (GUI) or a command line interface to perform backup and recovery functions. A version of the Tivoli Data Protection product is available for the IBM OS/400 platform.

LAN-free backup in SAN environments

Tivoli Data Protection for Lotus Domino can help you realize additional benefits from your investments in SAN technology. It can perform backups and restores directly through your SAN, helping minimize their impact on the LAN and on LAN-dependent applications and resources. It supports this LAN-free functionality on several platforms: Windows, AIX and Solaris.

By communicating with a Lotus Domino API, the Tivoli solution can restore data to a specific point in time.

How Tivoli Data Protection for Lotus Domino works

Tivoli Data Protection for Lotus Domino supports the Lotus Domino server, communicating directly with the backup API provided by Lotus Domino R5. Based on this communication, Tivoli Data Protection for Lotus Domino can read databases and transaction log files from the disk of the Lotus Domino server, even while the server is online. From there, Tivoli Data Protection for Lotus Domino automatically transfers the data to the Tivoli Storage Manager server. The Tivoli Storage Manager server is responsible for writing the data to defined storage media (direct access storage device, optical and tape). Depending on your environment, backup data can be transferred locally over the LAN or over the SAN. When a restore is required, Tivoli Data Protection for Lotus Domino can handle the whole process automatically. You simply select a database backup version and specify the point in time you want the restore to cover. It then retrieves the full backup you selected from the Tivoli Storage Manager storage device and restores it to the Lotus Domino server. Then Tivoli Data Protection for Lotus Domino automatically retrieves the transaction log files needed for recovery to the point in time you specified. Transactions from these transaction log archives are then applied to the restored full backup to complete the roll-forward recovery.
LAN-free implementation

If you operate a SAN environment you can use Tivoli Data Protection for Lotus Domino to help manage the connection of your Lotus Domino server to designated storage devices directly over the SAN. In this LAN-free scenario,

most backup data is transferred over the SAN; only the metadata for the backup files flows over the LAN to the Tivoli Storage Manager server. This approach lets you offload network traffic from the LAN while still using a centralized Tivoli Storage Manager server to manage the storage of your backup data.

With Version 2.2 of Tivoli Data Protection for Microsoft Exchange you have a powerful tool for enhancing your backup and recovery procedures for Microsoft Exchange server databases. Tivoli Data Protection for Microsoft Exchange 2.2 is designed to support both Microsoft Exchange server 5.5 and Microsoft Exchange 2000 server. How Tivoli Data Protection for Microsoft Exchange works

Whether used in an Exchange 5.5 environment, an Exchange 2000 environment or a combination 5.5 and 2000 environment, Tivoli Data Protection for Microsoft Exchange provides the same basic backup functionality. It gives you the ability to create a copy of an Exchange server database (or storage group) on your Tivoli Storage Manager server storage devices. The backup includes the transaction logs associated with the database.

When a backup operation is initiated, Tivoli Data Protection for Microsoft Exchange automatically performs the following actions:

Begins a session with a Tivoli Storage Manager server Informs the Exchange server that a backup is about to begin Reads data from the Exchange server and forwards it to the Tivoli Storage Manager server Informs the Exchange server that the backup has completed Ends the Tivoli Storage Manager server session

Tivoli Data Protection for Microsoft Exchange can produce all the different types of backups specified by Microsoft backup APIs. Full backup: Backs up the specified storage group as well as associated transaction logs. After the storage group and logs are successfully backed up, the log files are deleted. Incremental backup: Backs up only the transaction logs and then deletes them. If the backup fails, the log files will not be deleted. Differential backup: Backs up only the transaction logs but does not delete them. If you perform a full backup and then perform only differential backups, the last full backup plus the latest differential backup has the data needed to bring the storage group back to the most recent state. This type of backup is also called a cumulative incremental backup. Copy backup: Similar to a full backup, except transaction log files are not deleted after the backup. A copy backup can be used to make a full backup of the Exchange server storage group without disrupting regularly scheduled backup procedures that use incremental or differential backups. Database copy backup (Exchange 2000 server only): A special backup function that backs up only the specified database as well as associated transaction logs. The transaction log files are not deleted after the backup. A database copy backup can be used to make a special full backup of the Exchange 2000 server database without disrupting backup procedures that use incremental or differential backups.

Optimize your backup strategy

The Tivoli solution offers options for a backup and restore strategy.

Because Tivoli Data Protection for Microsoft Exchange is application-aware, it provides great flexibility for you to develop and implement a backup and restore strategy that meets the needs of your enterprise. Depending on factors such as network traffic management, your available window for backups and the acceptable time required for a restore, you might choose one of several backup strategies. Full backups only: This strategy is commonly used with Exchange servers that are relatively small, because each backup file contains enough data to restore the entire storage group. The disadvantage is that full backups can take a long time to perform. Full-plus-incremental or full-plus-differential backups: These strategies are commonly used when the normal backup window or network capacity cannot support a full backup on a daily (or more frequent) basis. In these cases, a full backup can be performed periodically (for example, weekly on weekends), supplemented by a more frequent series of incremental or differential backups during which only changed data is backed up. This approach can reduce network traffic and shorten backup windows. However, it also makes the restore process more complex by requiring both the latest full backup and any subsequent incremental backups, or the latest full backup plus the last differential backup, to be restored. Note: You should not mix incremental and differential backups, because doing so can make the restore process unnecessarily complicated and confusing.
High-performance features

Tivoli Data Protection for Microsoft Exchange incorporates several features that can help improve the overall performance of your Exchange environment. These high-performance features include the following areas:

Buffering: Tivoli Data Protection for Microsoft Exchange can use asynchronous execution threads to transfer data between the Exchange servers and Tivoli Storage Manager servers, increasing overall throughput. Multiple data buffers are used, to allow one thread to read data from an Exchange server while another thread sends data to the Tivoli Storage Manager server. LAN-free support: If you operate a SAN environment, you can use Tivoli Data Protection for Microsoft Exchange to help avoid network constraints. It can automatically manage the connection of your Exchange server to designated storage devices directly over the SAN. This allows most backup data to be transferred over the SAN, while only the metadata for the backup files flows over the LAN to the Tivoli Storage Manager server.

Using Tivoli Data Protection for Microsoft Exchange to optimize restores

Tivoli Data Protection for Microsoft Exchange can help simplify the process of performing a restore on your Microsoft Exchange servers. When a restore is required, you can use Tivoli Data Protection for Microsoft Exchange to help complete the process automatically. Depending on the version of Exchange you are running, you are prompted to begin the restore by:

Stopping any running services (Exchange 5.5 server) Dismounting the databases (Exchange 2000 server)

Then, Tivoli Data Protection for Microsoft Exchange takes the following actions:

Starts a session with a Tivoli Storage Manager server Informs the Exchange server that a restore is about to begin Restores the specified storage group(s) and logs from the Tivoli Storage Manager server (In a restore performed with Exchange 2000 server, the logs are restored to a temporary location as specified by the user.) Informs the Exchange server that the restore has completed Ends the Tivoli Storage Manager server session

Depending on the backup strategy you have chosen, Tivoli Data Protection for Microsoft Exchange can help simplify the process of restoring the correct backup objects from the Tivoli Storage Manager server. For example, if you are restoring from an incremental backup, Tivoli Data Protection for Microsoft Exchange can:

Automatically highlight the last full backup in the GUI window and prompt you to initiate the restore Then automatically highlight the other incremental backups performed since the last full backup and prompt you to initiate the recovery of the appropriate incremental backup files
