1.

How will the policy be implemented and who has responsibility for what duties in the resources efficiency plan.

After all the planning it is time for the doing. Actions should be integrated into core business processes and regular reporting cycles. This is also where we need to develop or adjust policies and procedures for the various aspects of the business to ensure that each staff member knows their role in the business. All reporting lines and lines of responsibilities must be covered. They include relevant agency boards or executive committees.

The sponsor may report directly to the agency head and minister, as well as to an internal agency executive committee, as well as to external advisory or steering groups. The project manager will have to report to the leader or to the sponsor. External reporting lines and accountability mechanisms must also be identified. Further, staff members in each department may be assigned the role of promoting changes, gathering preliminary and ongoing data, and facilitating compliance for the project. A project manager may be chosen to compile data and develop strategies for improvements.

2.

How continuous improvement will be measured, corrected and be continuous.

Different performance indicators must be developed to monitor and assess the value of sustainability actions. Different companies have to use various indicators to help quantify the efforts made to improve sustainability performance. Each element must be translated into a metric.

Metrics such as the number of certified suppliers or the percentage of facilities certified to the ISO 14001 standard are examples of metrics that permit managers to assess the impacts of these initiatives on a specific aspect of sustainability performance. Thanks to the measurement they can then be compared and corrected.

3.

How the recording and tracking systems work and what the expected outcomes are hoped to achieve.

If we are not able to track the actual results one will not be able to know the actual results of the changes that are happening in the sustainability policy and procedures. It is of essential value that the methods of recording are accurate and consistent.

A change of personnel recording the data can diminish the results, thus it is very important that specific personnel is assigned the task of recording sustainability for appropriate departments. Moreover, it is very important to continually monitor and revise the processes involved and to compare the results to the outcomes that are expected.

4.

How failures and disappointing data will be dealt with.

If a certain program is not meeting the goals, it can be changed in order to address the voids. Evaluating if a procedure is serving the needs of the company will help further new initiatives, will keep communication on a high level and the staff will be motivated toward excellence in their sustainability commitment. Changes in the procedure are always a good way to deal with disappointing outcomes and failures. It is good to know that there is always a place for improvement.

5.

What measures will be taken to ensure continual feedback to allow further improvements.

It is of crucial importance that the methods that we are using are accurate and consistent. The people factor is very important, since people dont record things in the same way or they dont have the same level of accuracy it is important that specific personnel is assigned to the task of recording sustainability for the department at hand. If it is possible the data acquired should be computerized. Others will be manually recorded. Having the needed data in front of us what we need is continuous improvement and not just a quick jump in statistics.

6.

State your outcomes and provide feedback to key personnel and stakeholders.

As mentioned before sustainability is a new area, thus there might not be enough data available to determine the results that the sustainability policy should adopt. Still, the data from the company at hand can be used. Results of continual and gradual improvement should be presented visually in a graph form. Two important things should be taken into consideration, the first being the benchmark so that the complete result can be seen and the second one is the goal, i.e. how much more the benchmark has to go. Every result should be applauded and motivated, because in this way people will try to improve in this relatively new area.

7.

Identify trends that may require remedial action and use to promote continuous improvement of performance.

TRACE reporting incorporates the principles of: Transparency: organized documentation that facilitates interpretation of data Relevance: reporting serves the needs of the organization and aids decision making Accuracy Consistency: consistent measures and procedures must be implemented in order to make comparisons over time Entirety: boundaries must be clearly defined and all relevant sources must be included.
