Master Calendar
Make a school year calendar with county holidays written out for the year. Determine which Fridays will be Elective Fridays. Try to even out 5-6 classes for each of the four sessions. List the dates for each session to communicate to volunteers.
For the first four Fridays every grade level will visit each of their Mon Thurs encore in order to give time for students to sign up for their electives.

Get Volunteers!
Put a flier in 4th and 5th grade Back-to-School Packets Send emails to volunteers from previous years. Send emails to the PTOs volunteer list. Ask the 4th and 5th grade teachers who will not have students to offer a class in at least one session. Ask Administrators or other specialists who may not have students during this time.

Set the Classes

Elective Packet was made with the descriptions of each class and sent home. Forms with parent signature were numbered as they reached my desk. Chorus runs 2 sessions. 3D clay runs 2 sessions. Spanish and French runs 2. Have students choose 2nd & 3rd choices.

Assign Students to Classes

Each student must be placed in an elective for each session. Each session has a set number of students it can take. Set up an excel spread sheet. Run a mail merge to print class list for each student.

My husband is a programmer and wrote me a program in Access worked better and was able to run reports. Each classroom teacher gets a list of where their students should be each session
Each new student will need to be placed. Special Ed Students will need coverage.

Friday Art Lessons

Since I see each of my classes on one Friday the first semester I use that class to have them create their portfolios for the year. After electives have begun I will see Monday K-3 classes for 5 Fridays, Tuesday classes for the next 5 and so on. I use these days to work out new lessons or teach lessons that have a lot of prep or materials since I am teaching it one class at a time.

Draw a simple design on a diagonally folded square. Transfer the design to the other side. Press the design into a styrofoam. Print 4Xs by rotating to put the same corner in the center each time.
