Functions of Communication
1. Information

Managers receive and transmit the information that


enables them to solve problems and make decisions.
In case of any decision, the managers need to take the
information from employees before arriving to final
decision.

2. Control

Control refers to power to influence peoples behavior.


In case of any grievances, the employees should
communicate to their immediate boss.

3. Motivation

Motivation refers to the fostering of motivational spirit


among the employees.
Need of effective communication to define the goals,
giving feedback on the progress and reinforce the
desired behavior.

4. Emotional Expression

Emotional expression relates to the function of


communication in expressing or letting out the feelings
and emotions of employees under various
circumstances.
Feeling of satisfaction, dissatisfaction and frustration.

Process
Step 1: Sender conceives an idea depending on
the purpose of communication.
Step 2: Sender chooses appropriate symbols and
encodes the idea and formulates the message.
Step 3: Sender sends the message through the
appropriate channel. (oral or written)
Step 4: Receiver receives the message.

Step 5: Receiver decodes the symbols and
interprets the message.
Step 6: Receiver sends response that is observed
by the sender.

The communication process takes place within a
communication environment, which is also called
communication context/frame of reference.
Both sender and receiver should be aware of the
context.
When sender selects the channel and sends a
message, it first enters the sensory world of the
receiver.
Unique mental make up is formed on the basis of
knowledge, emotions, cultural background etc.

The filtered message is sent to receivers brain and
the message is interpreted.
No two people have identical filters.
Receiver may respond in the form of words, gestures,
physical actions etc.
When the response enters the senders sensory world,
his mental filter gives a meaning to the response.
Hence, another cycle of communication begins.

wish to communicate.
Written communication also follows a similar
process.
