COMMUNICATION IS KEY
The next slides will indicate policies and procedures on how the school will
communicate to parents, students, and the community.

Communication is very important within the school. We pride ourselves on being


transparent and professional. Please reach out to any faculty member if you need
further explanation.

RESPONDING TO FACULTY MEMBERS
1. In an event of an emergency each staff member will be notified via Remind App.
2. Each staff member is required to download the app and subscribe to:
ChampionStaffLine330
3. An announcement will be made for teachers to check the ”Staff Line” to ensure
that each staff member is receiving the information in a timely manner.
4. In the event of a substitute teacher the teacher next door is required to inform the
sub of the matter.
RESPONDING TO STUDENTS
1. After teachers are informed of the information the principal will choose one of the
following options.
1. Announcement about event via loud speaker
2. Grade level meetings in grade level pods with principal
3. Grade level meetings in school gymnasium
4. Whole school meetings in school gymnasium

2. Principal will inform students of the event and give facts


3. Principal will talk about how we will continue to ensure safety
4. Principal will offer resources and open the floor for more questions about the
event.
RESPONDING TO OTHER SCHOOLS
1. ALL schools within the district will be notified via phone, email or message to its
own building principal
2. The building principals will decide on how to inform staff or students if necessary.
3. Neighboring schools will notified via email blast if the situation is an emergency
that will directly affect them.
4. If not they will get information through media outlets when the school decides to
make a statement
RESPONDING TO PARENTS
1. Parents will receive an ALL call from the building principal discussing the facts
about the event.
1. Message must contain only facts and what we are allowed to share via laws/regulations.
2. Communication committee will meet to ensure a proper statement is made

2. The parents will be offered a number to call with questions and concerns
3. A follow up ALL call with more information the next day is required. Parents must
be informed before the media.
NEWS MEDIA INQUIRIES
1. Communication committee will propose a statement alongside building principal
and superintendent. Meeting will take place as soon as possible baring each
member can be present.
2. The Communication Committee will consist of a School Lawyer to ensure laws, rules
and regulations are being adhered by.
3. Meeting will take place for at least one hour.
4. Statement will be given to the news via superintendent
5. If not available the principal will give the statement to inform the community.
6. All statements will end with how we will ensure the health and safety of all
students and focus on our mission statement.
RESPONDING TO THE COMMUNITY
1. After the Communication Committee meets a statement will be given.
2. Statements will be made via news, social media or EschoolNews Email blast.
3. Statements will include only facts and must have a resolution statement made
after a resolution or more information is found out.

Be aware of:

MEMO EXAMPLE
“It is with great sadness that I inform you all that we have lost a student within our facility today.
The student took his life in the boys bathroom at approximately 10:45 a.m. this morning. The
school was put on immediate lock down as a teacher was informed that someone was in the
bathroom stall for an extended period of time. The teacher, Mr. Hendrickson, immediately
informed myself and called 911. The bathroom was closed and the students were to remain in
their classrooms as the lockdown announcement was made. The teacher and nurse continued to do
CPR as emergency members were on their way. The students parents were called to come to the
school. Two hours later the students were informed by grade level meetings with myself and the
school counselor. Students were offered time to express their feelings and share what was on their
mind. We will have members of the community outreach program at school tomorrow to offer
support to our students. In this time we need to come together to help one another mourn the loss
of this student. If you suspect your child needs further assistance please call us or call the hotline
1-800-HELPKIDS. We will be providing further funeral information as we receive it. Your child's
safety and wellness is paramount to us as always. We will continue to provide resources and
together we will stand strong to get through this time with heavy hearts.”
