Pre-proposal
Pre-proposal should be consist of: Organizing Committees structure Each Organizing Committees Job Description Each Organizing Committees target Each Organizing Committees measurement of success Each Organizing Committees timeline Budget and budget timeline Projects Standard Operating Procedures Marketing plans and corporate proposal Projects programs. For Project Based on Exchange, the events are structured as follow: Opening Event, Learning Event, and Closing Event

Working Capital
LC will give working capital as amount Rp 500.000 Working Capital can be given to OC after Preproposal have been accepted by EB This working capital can be used by OC to do their activities

Budgeting
Define budget clearly and coordinate budget with OCP Clear revenue sources: Marketing, Fundraising Identify critical cost: fixed cost comes first Budget you must have: 1. Optimistic budget: based on your plan 2. Pessimistic budget: plan B with minimize budget

Budgeting
Budget must representative the current condition --> do the survey to make sure the cost (price) or based on previous budget + inflation Constant tracking of the budget Monthly budget Project budget template

Tracking
Track actual vs budget Cash flow projection Financial Timeline
It is your guidelines for cash inflow and outflow Balancing your cash inflow and outflow Make it visible to follow (dont make it to optimistic, especially for revenue)

Analysis performance based on budget with OCP Review Sponsor Payment

Standard Operational Procedures

Reimbursement System
Based on policies of OC Usually: if there is net profit, OC will be given of reimbursement OC have right to ask reimbursement to OC Finance not GA Manager OC F have authority to either accept or reject reimbursement request based on Project SOP

Bookkeeping
Make your final financial report --> I/S Collect all invoices, MoU, and projects documentation Daily/weekly basis: 1. General journal 2. Cash flow statement Give proper invoice for sponsors

Project Policies
OC should arrange pre-proposal Project report (LPJ) must be submitted to VP F at least one month after closing event Incoming transfers from sponsor or donators should first sent to LCs account VP F will then transfer to OCs account LC Account at BANK MANDIRI: 157-00-0094063-6

If there is any profit after projects, it will be 75% to LC and 50% to OC If there is any loss after projects, it will be 50-50
