1 Introduction
1.1 Key functions
• Ability to view details of assessments which are Completed, Booked and To Be Booked
• Ability to download certificates and associated certification marks
• Ability to download assessment and testing reports
• Ability to view details of findings raised
• Ability to submit and manage corrective action plans that require submitting to BSI

2 Getting started
2.1 General principles
BSI will activate the Portal for one admin user within your organization. It will be up to that one admin user to
provide and remove access to other people who require access to the Portal. If the admin user needs to be
changed you will need to contact BSI and request that BSI deactivate the existing admin user and activate a
new admin user. There can only be one admin user per organization.
All users will be able to see who this is on the dashboard.

2.2 Accepting terms and conditions


The first time you login you will be asked to accept the terms and conditions for using the Portal. If the terms
and conditions change at any point you will be asked to reaccept them. You cannot access the Portal without
accepting the terms and conditions.
Once accepted, you will be able to find these at any time in the footer as shown below.

2.3 Admin user account information


The admin user will receive an e-mail from BSI which contains a link to activate the Portal. This link will only
remain active for 14 days. The admin user will be required to login and set their password within this time. If
the account is not activated within this time the admin user will need to contact BSI and request that the
account is reactivated. The activation e-mail will come from connectportal@bsigroup.com. This e-mail address
has been whitelisted, so it should not be directed to your Junk or Spam folder.

3 General navigation
3.1 Left menu

You can navigate around the Portal using the left menu. Initially you will only be able to see the icons until you
hover over the pane to expand and view the labels. Some sections can then be expanded further by clicking on
the arrow, for example: Assessment; and Testing.

3.2 Top menu

There are several options in the top menu, including: Tasks; the Help page; Account Settings; and Account Admin
which are covered further in the manual.

3.2.1 Language and Country


You can set the default language and country for your account using these drop downs.
3.2.2 Logout
You can logout through the dropdown in the top right-hand corner of the homepage.

3.3 Icons

3.3.1 i icon
Throughout the Portal there are i icons that will provide you further information. If you hover over these icons,
information about the item they are associated with will appear.

3.3.2 Three red dots


Wherever you see three red dots in the Portal, you can click it for more information.

3.3.3 More button


If you see a More button at the bottom of the list, it can be clicked to show additional tiles.

3.3.4 Download
On most pages there is a Download.xls button in the top right-hand corner, this will download an Excel file
including all the data shown on the page.

You may also see the below icon which will download all data related to the graph/gadget it is next to.

3.3.5 Download image


You can download the image of the graph in either PNG, JPG, PDF, SVG or simply print it directly, you can use the
three-line icon to expand more options and then choose the format you would like to download the graph in.

3.4 Hover over

3.4.1 Hover over tiles


Any tile that turns grey when you hover over it can be clicked to get more information.

3.4.2 Hover over data points


Several features, including the calendar view and map, allow you to hover over to get further information

4 Account Settings
Within the Account Settings page, you can choose which notifications you wish to receive and change your
password. You can find this below the Logout option.

4.1 Notifications
There are several notifications available which you can choose to receive using the below options. To turn
these on, select the toggle to show Yes and save your changes.

4.2 Change Password


Below the notification options, you can change your password.

4.3 Reset your password


If you forget your password, you can reset this using the Forgot Password? option on the login screen.

5 User management
5.1 Activating other users
The admin user can activate other users on the Account Admin screen, which can be accessed through the
dropdown in the top menu.

To activate other users, the admin user will need complete the below fields about the individual and the access
to assign:
• Title (optional)
• Client ID – What BSI account you would like them to have access to? Most will only see one option in
this drop down. Please note that each email address can only have access to one Client ID.
• First Name
• Last Name
• Email Address
• Language
• Country
• Middle Name (optional)
• Is read only access? – When Yes is selected, the user will only be able to view, not edit/submit details
in the Portal
Once Confirm Creation is clicked an e-mail will be sent to the person providing them a link to activate their
access to the account. The e-mail will come from connectportal@bsigroup.com.

The activation link in the e-mail will remain active for 14 Days. If they have not activated their account in this
time you will need to resend the e-mail to them using the Resend link button which can be found in the
Administer Users list.

5.2 Administer Users list

The Administer Users list can be found below where you create a user. This list shows you all the users with
access to your Portal.

You can filter the list to find a user or group of users. You can do this by clicking on the filter icon next to one of
the column headers.

Once you select a filter, fields will show below the column headers. You can use these fields to search and filter
the list. Under the Is read only access? and Status columns there are drop downs to filter on these columns.

To clear the selection, click the Clear all filters button.

5.3 Revoking and deleting access


The admin user will be able to either Revoke (temporarily remove) or Delete (permanently remove) the access
of other users. This is done selecting Edit and then using the buttons shown below.

Revoking access means that the user’s account details will be preserved but they will be temporarily unable to
access the Portal until access is reinstated by the admin user. This is typically used when the user is
temporarily assigned to another area of the business or when they are away from the organization for a period
of time.
Deleting access means that the user will be removed from the Portal entirely. This is typically used when the
user leaves the organization.

5.4 Managing user access for clients with Key Account nodes
Some clients are structured as several small clients grouped together into one larger client.
In this case you can create users at either the larger client level or at the lower client level. You can move
users between the different levels as required. For support doing this, please contact BSI.
5.5 Password expiry settings
Any settings you apply will affect all users visible in the Administer Users list. Once a password expires you will
receive an e-mail giving you instructions on how to set a new password. Please note that by default,
passwords expire every 60 days.

5.5.1 Passwords Expire?


As an admin. you can switch off password expiry, meaning that the password a user sets will not expire and will
not require periodic change.
Please note that if the option is changed from No to Yes and saved, all users will be asked to reset their password
when they next log in.
5.5.2 Number of days before a password expires
When the Passwords Expire? option is set to Yes, you will be able to edit the number of days before a password
expires by using the slider. It ranges from 1 to 99.
Please note that once the number has been edited and saved, all users will next be asked to reset their password
in that many days’ time. For example: if you change the slider to 7, all users will have to reset their password a
week from when you click Save.

6 Filters
There are a series of filters at the top of the dashboard which allow you to customize your view of the whole
Portal. You can apply a filter by selecting what you wish to filter by in the drop down and then clicking away
from the filter. Once the filter is set it will remain effective as you navigate from one page to another until you
change/clear the selection or log out of the Portal. You can select multiple items from each list and apply
multiple filters.

To clear the selection, click the Clear all filters button.

6.1 Filter options


You can filter on:
6.1.1 Location
This is the site at which your assessment has taken place or will take place. The reference number we use
contains 3 elements to help you identify which site we are referring to.
ABC Services 00012345-015 London
The first element (in red) is the name that BSI records for your company at a particular location (often the first
line of the postal address).
The second element is BSI’s reference number of the location (in black) .
The third element is the city in which the location is situated (in teal).
6.1.2 Standard
This filter allows you to select a standard. In this case we have mapped different versions of the same
standard together e.g., if you select ISO 9001 you will see information for both the 2008 version and the 2015
version, or if you select ISO 22301 you will see information for this standard and its predecessor BS 25999.
6.1.3 Certificate
This filter allows you to select a particular certificate.

6.1.4 Date Range


The earliest date you can select is 40 months in the past and the latest date you can select is 14 months in the
future.
6.1.4.1 Assessments
A date for an assessment is the date the assessment commences, or if the assessment is yet to be booked, the
first of the month in which the assessment is due.
6.1.4.2 Non-conformances
The date of the non-conformance is the date the report was posted on BSI’s system.
6.1.4.3 Reports
The date of the report is the date it was posted on BSI’s system.
6.1.4.4 Tasks
Tasks are dated in accordance with the non-conformance they are associated with.

6.2 Saving your filter

Admins can save filter views for all their users to select. When the admin selects filters, the save icon will be
enabled. After clicking the save icon, they’ll be asked to save a name for the set of filters, once they’re happy with
the name, they can click Save to add this new view to their saved filters list. Note that only the admin will be able
to see the save icon.

When a saved filter is applied, you’ll be able to see the filter name as shown below. To edit a saved filter,
make the change to your filter and click the save icon. A box will appear with your filter name, either click save
to replace the view or edit the name to create a new filter.

6.3 Viewing and deleting saved filters

All users will be able to view the saved views by selecting View saved filters under the Clear all filters icon.

A dialog box will appear with a list of available filters. Users can select Apply to view that view or Cancel to be
taken back to the dashboard. Admin users will see the option to Delete a filter.

7 Calendar
7.1 Dashboard view
A summary of the calendar appears in the top left-hand corner of the dashboard. This shows the location and
date of the next visit to take place. The month shown is when the next assessment is scheduled to take place
(not necessarily the current month). Remember, all this data is subject to the filters at the top of the page.

7.2 Assessment Calendar


You can click through on the dashboard calendar to see a three-month calendar view of your assessments; it
will open with the current month showing in the centre. You can then scroll to view assessments in the past or
future. You can also get to the Assessment Calendar from the left menu.
Within this view, you can search for an assessment using the text box shown below. You can use either the full
Assessment Number or a part of it.

You can hover over dates in the diary to get a summary of information concerning the visit. All visits are colour
coded.
• Completed assessments are coloured Grey
• Booked assessments are Teal
• To Be Booked assessments are coloured in Red
• Where Multiple Assessments are taking place on a day, they are coloured Yellow
• Not yet booked assessments do not show in the view

7.2.1 Unannounced visits


Please note that if you have unannounced visits, they will not show on this view unless they have been
completed.
7.2.2 Calendar tiles
Below the 3-month view there is a series of tiles, each represents an assessment. Assessments are in different
columns depending on whether they are Booked, To Be Booked or Completed.
Only the first six assessments are displayed on the tiles, for further tiles please click the More button at the
bottom of the page.

7.3 Viewing your assessment’s details


You can hover and select any tile available on the Assessment Calendar page to be taken to the details page,
which displays further information regarding that assessment.
All assessments will show details at the top of the page, and the Completed page will show the Report and
Findings raised within that assessment too. Booked and Completed assessments will also show the Assessment
Breakdown, including a remote icon next to the Start Date when that Role is delivered remotely (see section 7.4).

7.3.1 Start Date


This is the date when the assessment will start/has started. When a job is To Be Booked there is no specified
start date, but it will show the month in which it is due.
7.3.2 Assessment Number
This is BSI’s reference number for the assessment. Also known as a job or SMO number.
7.3.3 Location
This refers to the place where we will be assessing/assessed the management system. Please note that even if
a remote assessment is taking place the location will still show the address of the facility we will be assessing.
7.3.4 Assessment Type
This describes the type of assessment.
7.3.5 Certificate
The certificate number of the certification that will be assessed/was assessed.
7.3.6 End Date
The end date is the date the assessment is due to complete/completed.
7.3.7 Assessors
For some countries, the assessor’s name may only appear once the assessor conducting the visit has been
confirmed. It may also display more than one name if you had multiple assessors conduct your assessment.
7.3.8 Duration
Duration is the total person days the assessment requires. E.g., an assessment of two days delivered by one
assessor might begin on Monday and conclude on Tuesday, but the same assessment delivered by two
assessors could start and end on Monday. It is even possible that the job could be done by one assessor who

did the first day of the assessment on Monday and then returned on Friday to do the second day. In this case
the job would have a start date of Monday and an end date of Friday.

7.4 Assessment Plan


On the To Be Booked and Booked assessment pages, you will be able to see your Assessment Plan. The Next Visit
Plan will pull from your previous assessment and display. If the assessor has uploaded an updated plan, you will
see a download icon underneath the section.
Please note that the assessment plan information provided is for guidance only and details may change before or
after the commencement of the assessment.

7.5 Assessment icons


If an assessment is conducted remotely, it will be marked by the below icon on the dashboard calendar and tiles in
the Assessment Calendar.

If an assessment is conducted both remotely and onsite, it will be marked by the below icon on the dashboard
calendar and tiles in the Assessment Calendar.

When downloading the Assessment Calendar details to Excel (as mentioned in 3.3.4), there is a Delivery column. If
the assessment was conducted: remotely, it will say Remote; onsite, it will say remote; both onsite and remote, it
will say hybrid.

7.6 Testing Calendar


The Testing Calendar is available through the left menu which will show tiles containing information about your
testing activities.

7.6.1 Sample selection form


Your sample selection form can be downloaded from the Testing Calendar page for tests which are To Be Booked.
All you need to do is click on the hyperlink under the Certificate.

In addition to this, for tests which have already been completed you are able to download the BSI Test Report. All
you need to do is click on the three red dots for more information and when the tile expands, click on BSI Test
Report which will take you to your reports page, where your reports will be available to download.

8 Corrective Action Plan Summary


The corrective action plan summary only shows non-conformances which require a corrective action
plan to be submitted to BSI, it does not show non-conformances that do not require submitting to BSI.

You can get more detail on the Corrective Action Plan Status page. This can be accessed by clicking the title of
the chart or through the left menu.

8.1 Corrective Action Plan Status


The data presented on the summary graph is laid out in a tile view to allow you to see the details of each
finding. You can click through on these tiles to get to a screen where you can see the full details of the non-
conformance and submit corrective actions.
The tiles show the Finding Number which is the BSI reference number listed in your assessment report and the
Certificate Expiry which is the date of the certificate for which the non-conformance was raised against will
expire.

They are divided in to 5 statuses.


8.1.1 Overdue
The non-conformance requires a corrective action plan to be submitted but it is overdue for submission to BSI
8.1.2 Pending
The non-conformance requires a corrective action plan to be submitted but it is not overdue for submission to
BSI.
Please note that if a corrective action plan has been rejected then the status will either become pending or
overdue depending on the due date of the corrective action plan.
8.1.3 Submitted
A corrective action plan has been submitted to BSI and it is under review.
8.1.4 Accepted & Open
A corrective action plan has been accepted by BSI.
8.1.5 Closed
A non-conformance which has been closed by BSI.

8.2 Viewing your finding’s details and submitting a corrective action plan
This screen allows you to submit corrective action plans and optionally create associated tasks.

If no form is available or the page says No CAP details available, you’re unable to submit this plan via. the
Portal. It may have been submitted manually, the finding may not require a plan, you were granted read only
access by your admin or the scheme has specific requirements.
8.2.1 Submitting a corrective action plan
To submit a corrective action plan, you must enter a Title. There is an optional box to add a Target Completion
Date, Cause, Correction and Corrective Action. You then upload your corrective action plan using the Choose
Files button. You can upload the following file types of files: doc, docx, pdf, csv, txt, xls and xlsx. You can
upload up to 5 files. Each file must not exceed 5MB in size.
Please note that the Cause, Correction and Corrective Action fields are only optional if you upload a file,
without a file they’re mandatory.

If your corrective action plan applies to other findings, you can select the Submit CAP for other findings button.

This button will bring up a new box allowing you to tick Pending and Overdue findings raised in the same
report to submit the same plan for. You can click Cancel after making changes in the list to not save the
changes made. Or once happy with the selection, click Apply and you will now be able to see a list of findings
which the corrective action plan will be submitted for underneath your plan.

If you wish to make changes to your selection, click the Submit CAP for other findings button again to tick
other findings or remove the tick against the findings you do not want to submit the plan for.

Please note that some schemes may not allow Corrective Action Plans to be submitted from the Portal. The
form will not display if that is the case.
Portal also allows you to click Save to come back and further edit your plan before submitting.
Once you’re ready, click Submit and a box will appear asking you if you are sure.

Once you select Yes, the status of the corrective action plan will change to Submitted, along with the other
findings you have submitted the plan for.

Once a corrective action plan has been submitted, it is not possible to edit it.
If you wish to receive a confirmation email once you have submitted a plan, you can select this in your Account
Settings (see section 5.1).
8.2.2 If a corrective action plan is rejected
A corrective action plan might be rejected by the assessor, you will receive an e-mail telling you to log onto the
Portal to see the details, including why it has been rejected.
You will be able to submit a new corrective action plan by clicking Please raise a New CAP. This will allow you
to upload your amended corrective action plan.

8.2.3 When a corrective action plan is accepted


Once a corrective action plan is accepted by the assessor, you will receive an e-mail telling you to log onto the
Portal to see any comments made by BSI.
Once a corrective action plan has been accepted it cannot be amended or resubmitted.

9 Findings
This gives a count of the number of findings raised by BSI, divided into: Major (major non-conformances);
Minor (minor non-conformances), Opportunities for Improvement and Observations.

10 Tasks
You have the option to create tasks against any findings raised by BSI, regardless of whether a corrective
action plan is required. These are simple notes which allow you to title a task, provide a description, assign it
to an individual, and set a due date. They can be created from the page you view your finding’s details.
The tasks can only be assigned to users that are registered for the Portal.

10.1 Task closure and deletion

Using the pencil icon will open the Edit Task pane to the right where the action status can be changed. Tasks
can have their status changed to Closed by anyone who has access to the Portal. Tasks can also be deleted
from the system entirely using the dustbin icon.

10.2 Task notifications

A person who is assigned a task will receive an e-mail notifying them that a task has been created for them.
The person who created the task will get an e-mail notifying them once the task has been changed to Closed.

10.3 Task Management

There is a task management screen which can be accessed through the clipboard icon in the top menu. This
will display all tasks in the Portal in a tile view, you can then navigate to the finding that the tasks are
associated with and update or close them.

Tasks are categorised as Overdue, Open, or Closed.


• Overdue – The task is not yet closed, and the due date is in the past.
• Open – The task is not yet closed, and the due date has not yet passed.
• Closed – The task has been changed to Closed.

11 Graphs
11.1 Dashboard – Findings by Location
This graph shows up to ten locations. If your organisation has more than ten locations, the graph will show
those with most Major non-conformances. If there are locations with the same number of Major non-
conformances (or none), it will then sort by those with the most Minor non-conformances, then Opportunities
for Improvement, then Observations.

You can get a larger more detailed graphical view of findings by location on the Benchmarking/Performance
screen which can be accessed through the left menu under Assessment or by clicking through on the title of
the graphs.
11.2 Dashboard – Findings by Standard
This graph shows up to six standards. If your organization has more than six standards, the graph will show
those with most Major non-conformances. If there are location with the same number of Major non-
conformances (or none), it will then sort by those with the most Minor non-conformances, then Opportunities
for Improvement, then Observations.

You can get a larger more detailed graphical view of findings by location on the benchmarking/performance
screen which can be accessed through the left menu under ‘Assessment’ or by clicking through on the title of
the graphs.

11.3 Benchmarking/Performance
11.3.1 Findings by Location
This graph shows all locations, including the same data in 11.1. The locations are organized in the order of
those with most Major non-conformances. If there are locations with the same number of Major non-
conformances, it will then sort by those with the most Minor non-conformances, then Opportunities for
Improvement, then Observations.

11.3.2 Findings through Time


This graph shows the number of findings raised by BSI each year. You can click on the drill down icon at the
top left of the graph to look at seasonality of findings.

Once you click on the drill down icon again, it will take you back to the yearly view.

11.3.3 Findings by Standard


This graph shows the number of findings against which standard they were raised for, including the data
shown in 11.2.

11.3.4 Findings by Clause Area


Most core standards have now adopted, or are in the process of adopting, a common high-level structure that
divides the standard into seven core areas: Context of the Organization; Leadership; Planning; Support;
Operation; Performance Evaluation; and Improvement. Some standards also have annexes against which
findings can be raised. All of these are shown with the count of findings raised against them. Including a
category of Not Classified for any findings which cannot be classified into the aforementioned areas.

Older versions of standards did not follow this structure. For this data, we have (where possible) mapped the
clauses to the high-level structure. We have undertaken mapping for ISO 9001, ISO 14001, AS 9100 Series,
TS/IATF 16949, ISO 27001 and ISO 22301.
11.3.5 Benchmark – Findings by Standard
The graph plots the number of findings raised per assessment day for your organization and is split by
standard. You can then compare your organization with BSI’s global benchmark.

The benchmark can be further refined by selecting an industry sector that you want to compare your
organization to. Please note that selecting an industry will not alter your data but will alter the benchmark you
are compared against.

11.3.6 Benchmark – Findings by Clause Area


The graph plots the number of findings raised per assessment day for your organization split by clause area as
described in 11.3.4. You can then compare the number of findings per assessment day for your organization
with BSI’s global benchmark.
The benchmark can be further refined by selecting an industry sector with which you want to compare your
organization. Please note that selecting an industry will not alter your data but will alter the benchmark you are
compared against.

12 Certificates and Certification Marks


This screen allows you to download your certificates and certification marks. It shows both assessment and
testing certificates. Where there is more than one location covered by the certificate you can click on the three
red dots to see the full list of locations covered by that certificate.
You can also click on the View External Profile link to be taken to your Certificate Profile on the BSI Certification
and Verification Directory.
Please note for some schemes you may see a Raise Certificate button, for more information, download the
supplementary manual here.

12.1 Certificate status


You will be able to see the status of all your certificates by clicking on the chevrons that show the count of
certificates at each status.

12.1.1 Awaiting Assessment


The final certification assessment required before the certificate is issued has not yet taken place.
12.1.2 Awaiting CAP
The final certification assessment required before the certificate is issued has taken place but there is a
corrective action plan required that has not yet been accepted. Please note that certificates will remain in this
status even if you have submitted the corrective action plan. It is only when it is accepted by BSI that your
certificate status will change.
12.1.3 Awaiting Issue
The certificate is now with the BSI review team to confirm everything is in order before issue
12.1.4 Issued
The certificate is now issued and will remain in this status until it is cancelled or expires.
Please note that Under Review certificates will also show as Issued.

12.2 Download Certificate


To download a PDF of your certificate, select Download Certificate. Please note that certificates can only be
downloaded once they are issued.

12.3 Download Certification Marks


The certification marks that are associated with the certificate can be downloaded by selecting the Download
Certification Marks.

Guidance for the use of logos is available on the right-hand side of the page by clicking How to use the BSI
Mark of Trust.

12.4 Download Letter of Conformance and Intent


Click on the Awaiting Issue chevron to view the certificates which are with BSI for review prior to issue. If a
Letter of Conformance or Intent is available, you will be able to select Download.

13 Reports
Assessment and testing reports can be downloaded from this page. You can expand each report to see further
details using the three red dots.

14 My Network
Within the Portal you can watch up to 100 certificates and be notified of any revisions to keep track of your critical
suppliers, contractors, and partners. Please note that all users in your organisation will be able to view and edit
the same watchlist, it is not a different watchlist per user.

14.1 Adding a certificate to your watchlist


To add a new certificate to your watchlist, click on Add new certificate to watchlist.

Once you have selected this button, you will be able to search all the certificates available for you to watch. You
can either enter a Company Name (minimum of 3 characters) or a Certificate number (you will have to enter the
full certificate number), then click the Search icon.

Your results will then appear, once you have found the certificates you wish to watch, select the tick box in the last
column. Once you are happy with your selection, click the Apply button to save your changes. Or click the Clear all
filters icon to restart your search or Cancel to exit without saving your changes.
Please note that the results will show a maximum of 50 certificates.

14.2 Viewing and removing certificates on your watchlist


All users can view the watchlist and select Open certificate profile to be taken to the BSI Certification and
Verification Directory. They can also choose to receive a notification when one of the watched certificates has
changed. This can be found in the Notifications section of the Account Settings page, see 5.1 for more details.
Certificates with inactive statuses or recent changes will be highlighted for ease:
• Expired, Suspended and Cancelled certificates are Red
• Certificates revised in the last 30 days are Teal
To remove a certificate from your watchlist, find the certificate by using the search bar. When you have found the
certificate, click the Remove button.

14.3 Sorting your watchlist


Sort your watched certificates by:
• Latest Revision Date – Newest to Oldest – Find those that have been recently revised
• Expiry Date – Oldest to Newest – Find those that are expiring soon
• Company Name A to Z – Easily find the certificate you’re looking

14.4 Downloading your watchlist

Click the Download button to download all your watched certificates and their details.

15 Account Structure
You can view your structure held by BSI on this page which you can find in the left menu. You can expand and
collapse the tiers for a more compact view. The second tier lists your locations and site contacts, and the third tier
lists your certificates, status, and certificate contact (if different to the site contact).
You can click the View External Profile next to either your Location or Certificate to be taken to your profile on the
BSI Certification and Verification Directory.
You can download an Excel spreadsheet to show more details related to your account with BSI.
