1. Introduction

1.1. Background
The Ministry of Rural Development (MoRD) announced the Deen Dayal Upadhyaya Grameen
Kaushalya Yojana (DDU-GKY) Antyodaya Diwas, on 25th September 2014. DDU-GKY is a part of the
National Rural Livelihood Mission (NRLM), tasked with the dual objectives of adding diversity to the
incomes of rural poor families and cater to the career aspirations of rural youth.

DDU-GKY is uniquely focused on rural youth between the ages of 15 and 35 years from poor families.
As a part of the Skill India campaign, it plays an instrumental role in supporting the social and economic
programs of the government like the Make In India, Digital India, Smart Cities and Start-Up India,
Stand-Up India campaigns. Over 180 million or 69% of the country's youth population between the
ages of 18 and 34 years, live in its rural areas. Of these, the bottom of the pyramid youth from poor
families with no or marginal employment number about 55 million.

The DDU-GKY skilling ecosystem consists of The Ministry of Rural Development (MoRD) or the National
Mission Management Unit (NMMU or NU), State Missions, Project Implementing agencies or training
partners and Technical Support Agencies. Curriculum support is through National Council for
Vocational Training (NCVT) and the Sector Skill Councils (SSC) of National Skill Development
Corporation (NSDC). Combined with industry partnerships and partnerships with employers, the
ecosystem comes together to provide the best possible training and gainful employment for a
candidate.

1.2. Audience
The audience of this document includes the various functionaries involved in implementation of
DDUGKY

1.3. Purpose of the Document


“eSOP – Learning Portal is an e-Learning portal designed to impart knowledge on guidelines and
Standard Operating Procedures (SOP) adopted for implementing projects under DDU-GKY

This document will guide the different project functionaries of all Stake holders of DDUGKY to navigate
the eSOP portal and to understand the process of undergoing the eSOP certification examination

1.4. Brief Overview


1.4.1. Features

Brief description of the features offered by “eSOP – Learning Portal” are given below

i. Easy access to all the functionaries of DDU-GKY project at various levels for learning the
standard operating procedures
ii. A web-based learning management system compatible with Mobile, Tablet, laptop & desktop
in all operating systems like Windows, Mac, Linux, etc.,
iii. Multiple stakeholders with distinct privileges
iv. Structured course materials with self-assessment modules and built-in certification
v. Robust question bank that supports multiple type questions
vi. Enables the various functionaries involved in the project to undergo certification exam

1.4.2. Minimum System Requirements

“eSOP – Learning Portal” is a web-based application, the minimum system requirements for accessing
the website are:

i. Desktop / Laptop / Tablet / Mobile, etc.,


ii. Operation System like Windows, Mac, Linux, etc.,
iii. Web Browsers like Google Chrome, Internet Explorer, etc.,

2. General Operating Instructions


2.1. Getting Started
“eSOP learning portal” – is an web application.
To view the portal, type the URL http://ddugkysop.in/ in the Address Bar of the Browser Window.
The Home Page will open as shown in Figure-1.

2.2. Home Page


Home page of eSOP portal contains the general information about the portal which include Menu bar
with tabs, Dashboard, Login tab and Footer with related links

2.2.1. Menu Bar


i. Home: Directs to the Home page of the portal
ii. About us: This section provides information about NIRDPR and eSOP Portal
iii. Courses: This section provides the Categories and course wise content of SOP
iv. Certification: This section provides information related to eSOP examination,
Minimum certification requirements and final certification process
v. Key Contacts: This section provides contact details of eSOP Nodal officers of eSOP
Portal, MoRD, SRLMs, PIAs and eSOP Test centre incharges
vi. Log In: This section provides the users to login into eSOP portal using login credentials
(Registered users) or to create new account in the portal

3.2.1. Globally Accessible Roles

i. Guest: Any user who visits the portal without any registration
Privileges:
i. Register in the portal
ii. Browse the portal sections including the course content
iii. Can register in the portal

Limitations:
i. A Guest user (Without registration) is restricted to enrol in any of the
courses and attempt any type of Assessment available in eSOP Portal

ii. Registered User


Any user who gets registered into the portal by filling the registration available in
the portal

Privileges:
i. Browse the portal sections including the course content
ii. Enrol in course/s
iii. Update user profile, Change Password and Message Preferences

Limitations:
i. A Registered user (Without enrolling in any of the courses in eSOP portal)
is restricted from attempting the eSOP final certification examination

iii. Student: A registered user who has enrolled in any course becomes a student in
that particular course.

Privileges:
i. Browse the portal sections including the course content
ii. Enrol in course/s
iii. Update user profile, Change Password and Message Preferences
iv. Attempt Self-assessment available at the end of each chapter and Mock
assessment available at the end of each course
v. Book slots for eSOP Final Certification examination
vi. Attempt eSOP Final Certification (After booking exam slot)
vii. Unenrol from course/s
viii. View / Generate the eSOP certificate (Only those who qualified in any
of the certification exams within one year of validity from date of
examination)
ix. View his/ her grade reports

Limitations:
i. A Student is restricted from attempting eSOP Final certification exam
unless he/she books a slot in any enrolled course at any eSOP test centre

4. Registration / Creating a new Account in eSOP portal

4.1. Registration
To register / create a new account in esop portal, the user has to follow the below steps

Step 1: Visit http://ddugkysop.in/ and click “Register / Create New Account” link by either ways

Step 2: Enter the Account details, Personal details, Contact Details and Professional details in the
respective columns

I. User Account:

User ID: The proposed user id should be a working and valid Email ID. After submission of the
registration form, a confirmation email will be sent to the email ID. The user has to
click the activation link in the email to activate the user account in the eSOP Portal

Password: The Password should follow the below given criteria

i. Password should have at least 8 Characters


ii. It should be a combination of minimum one Upper Case, one Lower Case, one Special
Character and one Number

Eg: Abc@1234

Personal Details: User has to enter Aadhar No., PAN No., Driving Licence No. (Either / All)

Contact Details: User has to enter the Address and contact numbers

II. Professional Details:


i. User has to select their respective process group from the list (MoRD / CTSA / TSA /
SRLM / PIA / Others)
ii. User has to select the Organization name from the Dropdown under “Organization” tab
a. If the Organization name is not visible in the dropdown, the user has to send a
request to NIRDPR to add the Organization details in the eSOP Portal.

b. The user has to send an email request to “ddugky-esop@lsmgr.nic.in” email id with


the following details
i. Organization Name
ii. PRN details
iii. Contact Person name and details for communication

After filling the required information, the user has to click “Create My New Account” option at the
bottom of the registration form.

After successful submission of the registration form, a confirmation email will be sent to the user id
(email) where user has to click the activation link in the email to active the account in the eSOP Portal.

III. Edit / Update User Profile

A registered user can Edit / Update his/ her Profile, Password and Message preferences in the portal.
The user can update the profile details in any of the following ways

i. At the time of login


ii. On Home Page, on clicking “Profile” option after clicking the User name at the top right of
the screen
iii. On Home Page, on clicking the “My Profile Setting” under “Administration” tab at the
bottom right of the screen

(i) Edit Profile: The user can update/edit his/her profile information except the User ID

Note: User cannot edit / update the User ID (Email ID)

(ii) Change Password: The user can change the login password any time

Note: The Minimum password criteria should be followed for setting new password

IV. Message preferences

There are two types of receiving notifications - popup notices and messages sent as email. The default
notification method is popup notices.

a. Pop-up notices
When a user is logged into the portal, the message will pop up from the bottom right corner
of the page. The user can choose to read the message immediately or to ignore it. If they
choose to ignore it, the message remains as new message that is unread until it is read.

b. Email notifications
Users receive notifications as emails to the email address specified by them during the
registration process.
Different types of message preferences can be set by the users based on whether they are
online or offline. The message preferences can be set by checking the relevant box for each
item.

5. Courses & Categories

5.1. Categories
The course content of eSOP portal is arranged under two categories

i. Professional: Professional courses are intended to provide training in different aspects


of the Standard Operating Procedures for project implementation under DDU-GKY.
There are 3 courses under Professional Category

ii. Master Trainer: Master Trainer courses are intended for those who wish to become
trainers in different aspects of the Standard Operating Procedures for project
implementation under DDU-GKY. Those who clear a course at this level are deemed to
have also cleared the corresponding Professional course. They can participate as trainers
in SOP training programmes and also volunteer as trainers on this e-learning portal.
There are 3 courses under Master Trainer Category

To check the Categories list, the user has to click the “Courses” tab available on the home page of
eSOP portal.

5.2. Courses
There are 3 courses available under both the Professional and Master Trainer Categories. Th
details are given below
i. Operations
ii. Finance
iii. Comprehensive

To check the Courses list, the user has to click the “Courses” tab available on the home page of eSOP
portal then click any of the Categories available

6. Enrolment in a Course

6.1. Highlights
i. A register user can enrol in any of the courses available under both the categories
ii. Once the user enrols for a course, he/she becomes a student of that particular course
iii. After becoming a student in eSOP portal, the user becomes eligible to take assessments
available in the portal, i.e., Self-assessment, Mock Assessment and Final eSOP
Certification Examination in that particular enrolled course
iv. Enrolment has to be done course-wise for each of the available courses
v. Enrolment is mandatory for attempting the eSOP Final certification examination in the
particular course
vi. As per the guidelines mentioned in the notification no: 63/2015 released by MoRD, the
user has to enrol in the prescribed courses (at least) to meet the minimum certification
criteria based on the user profile

6.2. Steps for enrolment in a course

To enrol in a course, the user has to visit the course of his/her choice and then click “Enrol me
in this course” option available under the “Administration” section.
The user has to follow the below steps for the same:

i. Click the “Courses” tab on the home screen of the portal


ii. Then click on the “Category” name of the choice (Either Professional or Master Trainer)
iii. Then click on the “Course” name of the choice (Operations / Finance / Comprehensive)
iv. Once the Course is selected, the user has to click the “Enrol me in this Course” option
available under “Administration” section on the left side of the screen
v. Then click the checkbox available under “Enrolment Options” screen to confirm the
enrolment in the particular course and click “Enrol Me” option

6.3. Steps for un enrolment from a course

To unenrol from a course, the user has to visit the enroled course and then click “Unenrol me
from course” option available under the “Administration” section.
i. The same steps mentioned above for enrolment in a course can be followed for
unenrolment from a course
ii. Here the user has to click “Unenrol me from course” option
iii. The user can “Unenrol” from any course only when he/she has enroled in that
particular course earlier

7. Assessment

eSOP portal offers the users with different types of Assessment models to check the level of
understanding of the user in the particular chapter / course

Currently there are 3 types of Assessments available on portal, they are.,

i. Self-Assessment
ii. Mock Assessment
iii. Final Certification

7.1. Self-Assessment

i. Self-assessment enables the student to assess his/her level of understanding of the


particular enrolled chapter content.
ii. Self-Assessment is available at the end of each chapter and the quiz will be related to the
particular chapter
iii. The student can take the Assessment multiple times from any location
iv. There is no negative marking and no time for completion
v. The question type is of multiple choices

7.1.1. Steps for Self-Assessment

i. The user has to navigate to the particular enrolled course (Operations / Finance /
Comprehensive) of Professional / Master trainer
ii. Then click on the particular chapter
iii. Then click on the “Self-Assessment” option available at the end of each chapter
content
iv. Then click on the “Attempt Quiz Now “option to start the Assessment
v. Attempt the quiz by answering the questions by selecting the suitable answer from
the multiple choice for each question
vi. After attempting the quiz, click on “Finish Attempt” option to finish the assessment
vii. A summary of the of quiz will be displayed question wise
viii. The user can choose “Return to Attempt” or “Submit all and Finish” option at the
bottom of the screen

a. If the user clicks “Return to Attempt”, the quiz page will be reopened where
he/she can attempt the quiz
b. If the user clicks “Submit all and finish”, the assessment will be submitted for
grading, and the user cannot attempt / change answers further
ix. On confirmation of the “Submit all and finish” action, the user will be directed to
question wise review screen where the he/she can review questions with correct
answer to the question
x. After reviewing, click “Finish Review” option to submit the Assessment and to check
the Grade of the assessment

7.2. Mock Assessment

i. Mock assessment enables the student to assess his/her level of understanding of the
particular enrolled course (Operations / Finance / Comprehensive) of Professional / Master
Trainer
ii. Mock assessment is available at the end of each course and the quiz questions will be
related to that particular course
iii. The student can take the Assessment multiple times from any location
iv. There is no negative marking and there is a time limit based on the course selected
v. The question type is of multiple choices

7.2.1. Steps for Mock Assessment

i. Navigate to the particular enrolled course (Operations / Finance / Comprehensive)


of Professional / Master Trainer
ii. Click on the “Course Assessment” option available below the chapter names
iii. Then click on the “Mock Assessment” option
iv. Then click on the “Attempt Quiz Now “option and then click “Start Attempt” option
to start the Assessment
v. Attempt the quiz by answering the questions by selecting the suitable answer from
the multiple choice for each question
vi. After attempting the quiz, click on “Finish Attempt” option to finish the assessment
vii. A summary of the of quiz will be displayed question wise.
viii. The user can choose “Return to Attempt” or “Submit all and Finish” option at the
bottom of the screen

a. If the user clicks “Return to Attempt”, the quiz page will be reopened where
he/she can attempt the quiz
b.If the user clicks “Submit all and finish”, the assessment will be submitted for
grading, and the user cannot attempt / change answers further
ix. On confirmation of the “Submit all and finish” action, the user will be directed to
question wise review screen where the he/she can review questions with correct
answer to the question
x. After reviewing, click “Finish Review” option to submit the Assessment and to check
the Grade of the assessment

7.3. Final Certification Examination


7.3.1. Highlights of Final Certification

i. The final certification exam is to be taken by the students of eSOP portal who aspire to
become certified professionals in a particular course (Operations / Finance /
Comprehensive) of Professional / Master Trainer categories
ii. Final Certification assessment is available at the end of each course and the quiz
questions will be related to the particular course
iii. The student can take the Assessment multiple times with two conditions, i) Book a slot
in advance, ii) Visit the selected eSOP test centre to attempt the exam
iv. The question type is of multiple choices
v. The certification exam is conducted in specified centres (eSOP Test centres) on specified
date and time slot
vi. The user has to book a slot in advance (Date and Time) and visit the selected / opted
eSOP test centre to attempt the Final certification examination
vii. The process of the final certification exam is similar to the mock assessment. However,
the final certification exam is password protected. The password is generally revealed
to the students who take the certification exam at the eSOP test centre before 10 mins
of exam slot and valid till 10 mins after exam slot
viii. A user on achieving the pass percentage in the final certification exam will be eligible to
get an online certificate.
ix. The certificate can be retrieved at any point of time by visiting the course page for which
the final certification exam was taken
x. The Certificate will be valid for one year from the date of examination. After the validity
the user has to once again appear for final certification examination
xi. Each certificate has a unique code and the details / validity of the certificate can be
checked online by entering the unique code / email id in the below link

xii. There is no negative marking and there is time limit based on the course selected

7.4. Final Certification Examination Process


Two steps are involved in final certification examination process

i. Slot booking
ii. Final certification examination

7.4.1. Final Certification Examination

i. Slot Booking

For appearing the eSOP final certification exam, the user has to book a slot in advance which
includes the selection of Category, course and eSOP test centre
i. To book a slot, the user has to visit the slot management page by either of the ways
a. By clicking on the icon available on the home screen

b. By clicking the “Certification” tab on home screen and then clicking the “Click here to
book a final certification examination” link

ii. The user will be directed to the Slot management page where to book a slot, the user
has to click “Book a slot” tab and then click “Select Location” option

iii. Then the user has to select proposed Course and category in which he/she is willing to
get certified
a. The enrolled category and course only will be available for selection in the respective
dropdown.
b. User has to select the proposed eSOP test centre form the list available in the
dropdown

c. After selecting the test centre, the user has to select the proposed date of
examination, exam slot timing and click on the corresponding seat number (The
particular cell will be highlighted)

d. After selecting the seat, the user has to click “Create” option to create and confirm
the slot

e. The user can check the details of slots booked by clicking the “Dashboard” tab on
the slot management page

ii. Final Certification Examination

On the day of the examination the following process has to be followed by the user

i. The user has to visit the eSOP test centre selected at the time of booking the slot and produce
any of the following documents to the eSOP test centre incharge (The same ID proof updated
by the user at the time of user registration)
a. Aadhar Card
b. PAN Card
c. Driving License
ii. The exam slot will be approved only after the verification of the ID proof by the eSOP test
centre in charge
iii. After approval of the slot, the user has to login into eSOP portal and visit the slot management
page by either
i. By clicking on the icon available on the home screen (or)
ii. By clicking the “Certification” tab on home screen and then clicking the “Click
here to book a final certification examination” link

iv. After visiting the slot management page, the user has to click “Dashboard” option and click
on the upcoming slot details under “Upcoming Reservation” section

till 10 mins after the exam slot time
c. The user has to note down the password

vi. After noting the password, the user has click “Home” option and then click “Courses” option
and navigate to the particular course in which the user has booked the slot for examination

xiv. The user can choose “Return to Attempt” or “Submit all and Finish” option at the bottom of
the screen
I. If the user clicks “Return to Attempt”, the quiz page will be reopened where he/she
can attempt the quiz
II. If the user clicks “Submit all and finish”, the assessment will be submitted for
grading, and the user cannot attempt / change answers further
xv. On confirmation of the “Submit all and finish” action, the user will be directed to question
wise review screen where the he/she can review questions with correct answer to the
question

xvi. After reviewing, the user has to click “Finish Review” option to submit the Assessment and to
check the Grade of the assessment
xvii. If the user attains minimum 60% pass marks in the exam, an online certificate will be
generated in the name of the user in that particular course

iii. Online eSOP Certificate

i. After qualifying the final examination, an online certificate will be generating and will be made
available in the user login for one year from the date of the examination
ii. To check the online certificate the user has to navigate to the particular course and click
“Course Assessment” option below the chapters and then click on “Certificate” option to
generate the online certificate

7.4.2. General Instructions for Assessments (Self, Mock and Final exam)

i. The quiz will be displayed as one question at a time. The quiz navigation helps to navigate to the
questions. Clicking on Next button also takes a user to the next question
ii. The question can be answered, flagged (if the answer to the question is doubtful or needs to be
reviewed later) or can be left unanswered too
iii. To flag a question, click on “Flag question” link available in question summary block
iv. The status on whether a question is answered or not can be seen both from the navigation block
(filled in boxes with question number for answered questions and empty boxes with question
number for the unanswered one) or from the question status indicated in the question summary
block.
v. A user can choose to return to the attempt or Submit all and finish the assessment. Return to the
attempt will reopen a quiz, while Submit all and finish will submit the assessment for grading. No
further changes to the answers will be allowed.

7.4.3. Grading of Assessments

After attempting any of the Assessments (Self / Mock / Final exam), the user can view the grades
of the assessments by either of the ways

a. Immediately after finishing the assessment


b. The user has to navigate the enrolled course and click “Grades” option under
“Administration tab” on the left side of the screen
